Lotus Notes Mail Archiving Procedure

 

STEP ONE: From your mail file, click on "Actions", then "Archive", then "Settings...."

 

 

STEP TWO: Click on the “Change” tab

 

 

STEP THREE: Click on “On my Notes Client to” to highlight the top drop-down menu. Make sure "Local" is selected in the drop-down menu.Then click the "OK" button.

 

 

STEP FOUR: Click on the “Settings” tab

 

 

STEP FIVE: Delete anything listed in the box. (for example “Default for Last Modified” & “Default for Expired”)

 

STEP SIX: Click on the “Add” button.

 

STEP SEVEN: Type “Archived Files” in the top white box

 

STEP EIGHT: Click on the “Selected Documents” button (at the bottom of the window)

 

STEP NINE: In the “All Documents” dropdown box, where it says “not modified”, choose “selected by user”

 

 

STEP TEN: Click the “OK” button

 

STEP ELEVEN: Click “OK” on the next window

 

STEP TWELVE: Put a checkmark in the “Enable Archiving” box.

 

STEP THIRTEEN: Click “OK”

 

STEP FOURTEEN: Select the files you want to archive by clicking beside them and putting a checkmark my them. (Use "Edit", "Select All" to select all the email in your inbox or other folder)

STEP FIFTEEN: Click on “Actions”, then “Archive”, then “Archive Selected Documents ” (This process may take a few minutes)

 

 

STEP SIXTEEN: After you have archived your files, the archived mail is now on your hard drive (your computer). To access the archived files, click on "Tools", then "Archive", then "Selected Files" (or whatever you named your archived file folder in step 5)

 

 

STEP SEVENTEEN: Clicking on "Selected Files" will open up a new window entitled "Your Name (Archive) - Folder Name" (Your archived files are only accessible from your computer, not from the internet or any other computer.)
