I. Provenance The records of the American Psychosomatic Society cover the years 1938 to 1991. The collection comprises approximately 60 cubic feet and is housed in 209 document size boxes and one oversize box. In 1995, the American Psychosomatic Society deposited its records with the Oskar Diethelm Library and in 1996, the Library received funding to organize, describe and care for the records. The majority of the project work was completed in July, 1996, and additions to the collection and finding aid were completed in June, 1997. As the Society remains a viable organization, additional records may be added to this collection in the future. With the exception of duplicate materials, all records given by the Society to the Library have been retained. The collection is open for research.

II. Origins of the American Psychosomatic Society In her 1994 publication Mind, Body, and Medicine: A History of the American Psychosomatic Society, author Dorothy Levenson presents a decade by decade history of the American Psychosomatic Society. The section below, based in part upon information in Levenson's book, summarizes early events in the establishment of the journal of "Psychosomatic Medicine" and later, the American Psychosomatic Society.1 A 1994 brochure provides up-to-date information about the Society.2 The American Psychosomatic Society grew out of a desire among academicians, practitioners and foundations to link developments in psychology and psychiatry to internal medicine, physiology and other disciplines. In the United States, efforts to establish an organ which could address these developments date to the 1930s. In 1936, Kate Macy Ladd, philanthropist and founder of the Josiah Macy, Jr. Foundation, directed her foundation to provide financial support for the fledgling field of psychosomatic investigation. An initial project to assemble a bibliography of "psychosomatic" medical literature, examining the relationship of religion to health, was undertaken by the New York Academy of Medicine's Joint Committee on Religion and Medicine. The Committee, headed by Dr. Helen Flanders Dunbar, published a first volume in 1935, titled "Emotions and Bodily Changes: A Survey of the Literature on Psychosomatic Interrelationships."3 According to R.C. Powell who devoted a PhD thesis to Dunbar, this work "quite literally launched the ̀ American psychosomatic movement.'"4 With further financial assistance from the Macy Foundation, a Committee on Problems of Neurotic Behavior, under the direction of the National Research Council's Division of Anthropology and Psychology, soon began publication of a journal entitled "Psychosomatic Medicine." Its goal was to encourage collaboration among the medical specialties, psychology and the social sciences. Financed by the Macy Foundation, sponsored by the National Research Council, managed by an Editorial Board, and overseen by an Advisory Board of prominent doctors and scholars representing a range of disciplines, the Journal had complex beginnings. Its first four 1 The table of contents of Mind, Body, and Medicine is included in the Appendix of this document, located in section VIII. Researchers are encouraged to refer to this book for a written history of the Society. It is available for use in the Library. 2 See Appendix, Section VIII of this document. 3 This book is available for use in the Library. 4 Levenson, p.31.

issues appeared in 1939 under the editorship of Dr. Dunbar. By 1942, in response to the Second World War, interest and research in the new field had expanded rapidly. Other than the Journal, however, no forum was available for the exchange of ideas and information. In response, in December of 1942, the Journal's Advisory Board voted into existence the "American Society for Research in Psychosomatic Problems."5 By 1943, subscriptions to the Journal had more than doubled, and in 1944, the National Research Council relinquished their control of the Journal to the new Society.

5 In 1948, the Society changed its name to become the "American Psychosomatic Society."

III. Scope and Content Note The records of the American Psychosomatic Society date from 1938 to 1991 and comprise 58 cubic feet. This is largely a collection of administrative files created by the Society, the vast majority of which were systematically filed by Joan Erpf, secretary and later executive assistant for the Society from as early as 1946 until her death in the mid 1980s. The majority of records document the administrative procedures by which the Society carried out its major functions, which traditionally have included membership operations, the publication of the journal and the staging of an annual meeting. Documents reflecting interesting or particularly well documented topics include:

oan abundance of materials documenting the founding and early years of the Journal and Society6

oconference proceedings on topics in psychosomatic medicine discussed by the Society's research committees in the 1940s (eg., physiological mechanisms and animal experimentation, cutaneous and allied diseases, relation of mental illness to bodily ill health, etc.)7

ocorrespondence and manuscript reviews reflecting procedures used by the Journal over several decades8

oearly hand-written membership applications (for both accepted and

rejected applicants) including those of founding members of the Society, accompanied by membership recommendations9

ocorrespondence and advertising proofs reflecting publishing, printing and advertising procedures employed by the Journal10

6 These records are located in Record Group 1 in the Editors subgroup. 7 See Record Group 4, Research Activities. 8 Early manuscript reviews written before the establishment of a formal review process are located in Record Group 1 in the Editors subgroup, often within the text of correspondence between editors. Manuscript reviews written during and after the 1940s are found in the Manuscript Reviews and Correspondence subgroup, also in Record Group 1. 9 Membership applications and recommendations are found in Record Group 5. All applicants' files are organized alphabetically by last name. 10 Files are located in Record Group 1, Subgroup: Administrative Files.

Materials most commonly found in the collection include carbon copy and original administrative correspondence among Society officers, editors, members, authors, publishers and others; committee minutes and conference proceedings; election materials such as ballots, slates, etc.; financial records such as invoices and accountant's reports; abstracts of articles and reviews or critiques of manuscripts submitted to the Journal; and printed materials such as brochures or bulletins. Indices (e.g., for minutes, reports, publications, etc.) have not been located in the collection. With a few exceptions, the collection does not contain manuscripts for articles or monographs, because, upon reviewing such materials, the Society returned them to authors. Likewise, the collection does not contain published monographs or print copies of the Journal. The Journal is available on microfilm. All records received from the Society have been retained, with the exception of duplicate materials. Following the request of the Library, even among records of a routine administrative nature (eg. invoices, letters of transmittal, standard requests for information), weeding was not performed.

IV. Organization and Access The collection has been arranged in eight record groups which have been further organized into subgroups and series. To as great an extent possible, record groups reflect functions carried out by the Society and include: Record Group 1 "Psychosomatic Medicine" - Journal " " 2 Annual Meetings " " 3 Governance " " 4 Research Activities " " 5 Membership " " 6 Financial Operations " " 7 Printed Material " " 8 Administrative Files A detailed outline of record groups and their subgroups and series is provided by a Subgroup and Series Outline located in Section V of this document. Subgroup and Series Descriptions in Section VI provide information about the content, time frame, organization and size of each record group, subgroup and series. A Box and Folder Listing in Section VII provides folder titles and locations for the entire collection. Lastly, Section VIII contains an Appendix of research materials gathered from the collection. Most files are arranged alphabetically or chronologically. Generally, the original folder titles used by the Society's office staff have been preserved. Whenever possible, the filing system employed by the Society which remained almost unchanged over a period of four decades, has been maintained. While not an official guide to this collection, researchers may wish to consult Dorothy Levenson's Mind, Body, and Medicine: A History of the American Psychosomatic Society (1994), available from the

Curator of the Library. At the very least, Levenson's index is helpful for locating dates of events, editorships, movements and publications by the Society, in the text of her book. Once located, date information is useful for locating files in chronologically organized portions of this collection. The majority of records in this collection have been housed in document sized boxes in acid-free folders. The entire collection is open for research upon application to the Curator of the Library.

Subgroup and Series Descriptions RECORD GROUP 1 - PSYCHOSOMATIC MEDICINE - JOURNAL Subgroup: Advertising, Publishing and Printing Dates: 1938-1965 Boxes: 4 (letter size) (#1-#4) Folders are arranged by name of printer, publisher or advertiser (e.g., "Hoeber, Inc.) or by subjects designated by the Society (e.g., "Advertising & Promotion"). Files include routine administrative correspondence and contracts carried out between the Society and advertisers, printers and publishers; proofs for advertisements in the Journal, invoices and financial records.11 Box four contains topical correspondence about paper allotments imposed on the Society by the US War Production Board in 1944, journal circulation and subscriptions, and permissions to quote. Subgroup: Committees Series: Ad Hoc Committee for Journal Name Change 1977-197812 Abstracts Committee 1944-1954 Editorial Appointments Committees 1960-1971 Editorial Executive Committee 1963-1964 Monographs Committee 1960 Dates: 1944-1980 Boxes: 1 (letter size) (#5) Arranged alphabetically by committee title. The above committees were formed to address a variety of matters relating to the publication of the Journal. Includes administrative correspondence between committee members, memoranda to committee members, excerpts from committee minutes, "curriculum vitae" for candidates under consideration for editorial appointments, and candidates' statements of intent.

11 In the Journal's first years, its business management - which included printing, advertising, etc. - was divided between the National Research Council and George Banta Publishing Co. After the 1940s, the Journal alternated between different companies for its printing and publishing needs, sometimes using a single company for both. Original folder titles used by the Society have been preserved. 12 See also Record Group 1, Subgroup: Editors, Series: Subject Files.

Subgroup (continued) for the Journal, publication and funding for a cumulative index, and special issues to devoted various topics or individuals (e.g., adrenal cortex, 15th anniversary, Dr. Freud, Dr. Binger, etc.). NOTE: In most cases, this subgroup does not contain the letters to the editor or supplementary issues of the Journal, only correspondence about the letters and issues. Subgroup: Editors Series: Managing Editors Editor-in-Chief Abstracts Editors Book Review Editors Acting and Transitional Editors Dates: 1937-1984 Boxes: 10 (#12-#21) Arranged by editorial title and name of editor. Includes carbon copy and original correspondence and reports written to or by editors of the Journal. Highlights include the files of Dr. Helen Flanders Dunbar13, the first managing editor of the Journal, containing 1) correspondence by and to her from members of the Journal's Advisory Board14 regarding administrative matters or critiquing or discussing articles or monographs to be published by the Journal, 2) reports by the Journal's sponsor, the Committee on Problems of Neurotic Behavior of the National Research Council, 3) her correspondence to and from Dr. Walter Miles, Chairman of the Committee, discussing business management and publication of the Journal, and 4) correspondence about the first issue of the Journal.15 Editor Dr. Binger's "General Correspondence - M" files include brief (but humorous) correspondence from Margaret Mead.

13 By the 1930s, Dr. Dunbar discontinued use of her first name "Helen," assuming the name "Dr. Flanders Dunbar." Letters addressed to her as "Dear Sir" appear throughout the collection. 14 Correspondence with Oskar Diethelm, Adolf Meyer and other prominent individuals from a variety of disciplines is contained here. 15 See Levenson, Chapter 3, "Forming a Society" for an extensive discussion of the early years of the Journal, including its first issue.

Subgroup (continued) The Accepted and Rejected series contains correspondence about accepted and rejected manuscripts (1985-1991). These more recent files contain fewer documents than their predecessors and due to budget constraints, have not been placed in acid-free folders. Files with red labels indicate files for manuscripts rejected for publication; green labels indicate acceptance. NOTE: The three series above do not include the manuscripts themselves, which were returned to their authors by the Society. To note the location of the few manuscripts which were discovered, a letter "A" for abstract or "M" for manuscript has been printed on the top right hand corner of the relevant folders.17 Subgroup: Monograph Reviews and Correspondence Series: Published Monographs Dates: 1939-1961 Boxes: 2 (#107-#108) Series: Rejected Monographs Dates: 1938-1964 Boxes: 1 (#109) Organized by author's last name. Through Paul B. Hoeber, Inc., the medical division of Harper & Brothers, the Society intermittently published several monographs from 1939 on. A Harvard University related monograph series taken over by the Journal while under the sponsorship of the National Research Council ended in 1942, however, some irregular publication of monographs continued for several years. The Published Monograph series contains telegrams, publisher's invoices, correspondence among printers, publishers, authors and editors, and copyright registration forms. The Rejected Monographs series contains correspondence and some reviews. An example of files found in this series includes three folders of requests for copies of Benedek & Rubinstein's monograph, "Sexual Cycles in Women" (1940-1943). NOTE: These series do not contain drafts, reviews or copies of the monographs themselves.

17 These notations appear in the Box and Folder Listing, Section VII of this document, as well.

RECORD GROUP 2 - ANNUAL MEETINGS Subgroup: Administrative Files Dates: 1943-1987 Boxes: 42 (#110-#151) Organized chronologically and by meeting location. The Society held one conference annually, most often in Atlantic City, New Jersey. For early meetings only (1943-1947), files include transcripts of conference proceedings which contain business meeting reports as well as scholarly panel discussions.18 Some of these proceedings are fragile and have sustained water damage. The bulk of the records in the Administrative Files document administrative planning arrangements by the Program Committee for annual meetings. Topics covered include hotel arrangements and specific session or panel topics and speakers. Files include financial records, Program Committee minutes, and correspondence about manuscripts accepted or rejected for presentation at annual meetings. A few manuscripts and abstracts are located in folders marked "M" (for manuscripts) or "A" (for abstracts) in their right hand corners. The administrative files show how meeting terminology changed over time, as "speakers," for example, later became "discussants." The term "brief communications" was used to signify presentations delivered that were shorter than papers. Subgroup: Meeting Publications Dates: 1942-1986 Boxes: 2 (#152-153) Arranged chronologically. Includes "Abstracts of Presentations" (1962-1975 with many gaps) and annual meeting "Programs" (1942-1986 excluding 1945 and 1970). Abstracts of presentations provide short abstracts of papers presented at meetings. Meeting programs include names of Program Committee members, officers and Council members for that year, and basic meeting program and schedule information.

18 Transcripts of conference proceedings of the Society's Research Committees, which also met yearly, are located in Record Group 4 - Research Activities.

RECORD GROUP 3 - GOVERNANCE Subgroup: Constitution and By-Laws Dates: 1955-1983 Boxes: 1 (#154) Arranged chronologically. Contains copies of the Society's Constitution and correspondence regarding revisions to the Constitution. Subgroup: Council Series: Meetings and Memoranda to Council19 Dates: 1943-1986 Boxes: 2 (#155-#156) This series includes meeting minutes and memoranda to Council, arranged chronologically. Memoranda, produced primarily by the executive secretary of the Society, advised members of upcoming events and developments within the Society. Ballots are included in these files. SEE: Appendix, Section VIII of this document, for the 1946 Bulletin listing names of Council members. Subgroup: Council Series: Committees Dates: 1943-1958 Boxes: 3 (#157-#159)

19 The Council of the Society consists of twelve members, ten of whom serve a three-year term. The President and Secretary-Treasurer, the Editor of the Journal, the President-elect, and the immediate past President of the Society, act as ex-officio members of the Council.

Arranged chronologically. Includes the minutes, slates, ballots, and administrative correspondence of the Nominating Committee of the Council, the body responsible for nominating Council members. Subgroup: Council Series: Special Issues Dates: 1955-1956 Boxes: 1 folder (#159) File includes correspondence reflecting the Council's decision against expelling from its membership a Dr. Ethan Allan Brown, following statements by a Dr. Kaufman attacking the legitimacy of

Subgroup: Officers Series: Presidents Dates: 1944-1971 Boxes: 2 (#160-#161) Arranged alphabetically by name of officer. Presidents served terms of one year, with exceptions to this rule falling during the years soon after the Society's founding. Files in this series probably were kept by presidents themselves. Consequently, materials in this subgroup may also be found in other portions of the collections. Included here are general correspondence, annual reports, conference schedules and agendas, presidential addresses, membership rosters, membership dues reports and eligibility rules, material on compulsory health care (1948-1949) and committee selection, committee minutes, and information related to publication of journal articles. Material in Dr. William Greene's files include background information about the history of the Society. Subgroup: Officers (continued) Series: Secretary-Treasurers Dates: 1944-1971 Boxes: 2 (#161-#163) Arranged alphabetically by name of officer. Secretary-Treasurers served the Society for terms of three years, though exceptions to this rule are found during the early years of the Society. Included in these files are general correspondence, some annual business meeting minutes and a variety of reports. RECORD GROUP 4 - RESEARCH ACTIVITIES Subgroup: Committees Series: Correspondence and Minutes Dates: 1942-1951 Boxes: 6 (#164-#169) Arranged alphabetically by committee title. Includes administrative correspondence and minutes of the various Research Committees. Most correspondence reflects the planning, scheduling, and selection of topics for discussion at committee meetings. Research committees were formed in 1942 to supervise the

A list of Research Committee names and members as of 1946 is located in the 1946 Bulletin. SEE: Appendix or Record Group 7, Box 1. Subgroup: Committees (continued) Series: Conference Proceedings Dates: 1942-1951 Boxes: 1 (#170) Organized by Research Committee title. Some proceedings are accompanied by correspondence. Conference proceedings, typed transcripts of panel discussions and presentations held at each session of a research committee conference, include table of contents which list names of individual speakers.20 Some materials have sustained water damage and must be handled carefully. For a list of research committee conferences and proceedings, SEE: Page 57 of the Box & Folder Listing in section VII of this document. Subgroup: Forums Dates: 1949-1960 Boxes: 2 (#171-#172) Organized by geographic location. After the Society dissolved its research committees, it began to encourage professionals (members and non-members of the Society) to meet together at forums held in various regions of the country. This subgroup contains correspondence reflecting planning and scheduling, attendance and the selection of topics and speakers. Almost half of the correspondence documents forums held in New York City. The Society's forum program is described in a 1959 letter by Dr. Eugene Meyer, located in the Appendix in section VIII.

20 Transcripts of proceedings of the Society's annual meetings (1940s only) are located by year in Record Group 2 - Annual Meetings, in the Administrative Files subgroup. Proceedings of the 1945 regional meeting, held in place of the annual meeting cancelled because of the War, are found here as well.

RECORD GROUP 7 - PRINTED MATERIALS Subgroups: Bulletins Brochures Mailings & Letterhead Dates: 1939-1981 Boxes: 1 (#205) Organized chronologically. This record group contains bulletins for the years 1943, 1944, 1946, 1950, and 1959 only, which discuss the Society's aims, membership guidelines and activities and sometimes list names of officers, Council members and research committees and committee members. The "bulletin" series was discontinued between 1959 and 1967, replaced by "brochures" containing similar information. The collection has brochures for the years 1967, 1971, 1980, and 1982 only. They give a history of the Society as well as a "scope and philosophy" note and provide a list of names and dates of the Society's presidents from 1943. Mailings and letterhead form the third portion of this record group. Found here are letterhead samples and a variety of blank printed forms used by the Society from 1939 to 1981 (e.g. monograph order forms, membership application forms, conference and forum announcements, ballots, hotel reservation forms, etc.). RECORD GROUP 8 - ADMINISTRATIVE FILES Subgroup: Correspondence Dates: 1943-1986 Boxes: 4 (#206-#209) The first and second boxes ("Subjects") include correspondence regarding attendance by members at international conferences (1957-1961), funding foundations (1943-1945), organizations of which the Society was a member (e.g., National Society for Medical Research, World Federation of Mental Health), and revisions and drafts of the Society's bulletins. The third and fourth boxes comprise a "General Correspondence" series (1943-1967) organized alphabetically by name of individual, organization or Journal title. It contains requests for information on a range of topics including membership, psychosomatic literature and the Journal.
