AIS login

The AIS login page provides access to the AIS Online system which includes e-Safety Check.

Conditions of use

Before logging on the first time you must read the conditions of use.

PIN use

Log in using your proprietor/examiner number. The RTA will issue you with a Personal Identification Number (PIN). When you login the first time, you will be prompted to change your PIN.

Change PIN

To change your PIN, login and then select Change PIN from the menu on the left hand side of the screen.

Forgotten PIN/ locked out of the system If you have forgotten your PIN or have been locked out of the system you will need to complete RTA form 1275 e-Safety Check Request for Continuation of Access (Reset PIN) and fax it to the Help Desk on Fax No. (02) 4927 8416.

Logging in

This page provides access to the AIS Online system.

To log in:

1. Enter your proprietor/examiner number. If you are an LPG/CNG examiner do not include the ‘P’ (or any other letters) at the end of the examiner number when logging in.

2. Enter the PIN you have been supplied by the RTA.

3. Read the terms and conditions and click the accept conditions & login button.

Select AIS (Important – Multiple Site Examiners)

This page only displays when you are registered to examine vehicles at more than one Authorised Inspection Station (AIS).

Select AIS - Click on the AIS where you inspected the vehicle you wish to record. This will take you to the home page. or AIS not listed - If the Authorised Inspection Station you are currently working at is not listed, you will need to contact the Help Desk. Click on contact us at the top of the page for contact details.

Change user PIN

This page allows you to change your PIN. This page also appears when you log in for the first time to prompt a PIN change.

To change your PIN:

1. Enter your existing PIN.

2. Enter your new PIN.

3. Confirm your new PIN by entering it again.

4. Press the submit button.

Home page

This page displays the user name and AIS details of the logged on user. It also displays a menu on the left side of the page.

The menu on the left hand side of the page This menu displays on all pages except the login page. This menu allows you to easily go to other functions within the system at any time. The options are:

Home page This is the home page of the application. You may click on this at anytime to return to the home page.

e-Safety inspection Click on this to begin a new 1st or 2nd inspection.

e-Safety inquiry Click on this when you wish to view the details of a past inspection or when you wish to view the e-Safety Check activity for the AIS.

AIS maintenance This option is only available to the proprietor, nominee and alternate nominee. Click on this to view AIS details and to view, add or remove users in the AIS.

Publications This page displays all publications (including e-Safety Check worksheets) relating to AIS Online.

Notices This page displays all notices accepted from the notice board.

User profile This page displays the details of the logged on user and the facility to make changes online.

Change PIN Click on this whenever you wish to change your PIN. If, at any time, you think another person knows your PIN you must change it as a precaution as you are responsible for any inspections entered using your PIN.

Logout It is essential that you logout of the system after you have finished recording an inspection. If you do not, another person may record an inspection against your name.

e-Safety Check inspection

This page allows you to enter the information of the vehicle you have just inspected.

1. The system defaults to the 1st inspection. If you are recording a second inspection click the down arrow to select the 2nd Inspection from the inspection type list.

2. You must enter the registration plate number of the inspected vehicle. To ensure the correct vehicle is verified, you are also required to enter the last 4 digits of the VIN/Chassis number or the last 4 digits of the billing number (which you will find on the registration renewal papers). Note: When a vehicle is returned for a 2nd inspection you only need to enter the plate number or the e-Safety Check number.

3. Go to the ‘e-Safety Check inspection – results’ page by clicking the submit button. The RTA database will then verify the vehicle. If a message displays telling you the VIN/Chassis number or billing number does not match the registration plate number, check that you have entered the details correctly. Check also that you have entered the VIN/Chassis number from the registration renewal papers or the label rather than from the vehicle itself.

OR

If you want to delete any details click the clear button. You may now enter the details of another vehicle.

Inspection results

This page allows you to enter the inspection results.

Fields marked with an * are mandatory. Examiner details 1. The name of the examiner logged on is displayed at the top of the page. If you

need to change examiners, select the click here link to log out and log in as another examiner.

Vehicle details

2. Check the vehicle details are correct. If the vehicle description does not match the vehicle, click change to go back and select the correct vehicle.

3. Once you have checked the VIN/Chassis number on the vehicle against the VIN/Chassis number on the Certificate of Registration or the registration label, select either the correct or incorrect radio button.

4. The ‘Gas powered’ check box will only be displayed for vehicles not recorded as gas powered. If the vehicle is powered by gas, click this box.

5. Clicking the ‘Gas powered’ check box will prompt you to enter the type of gas system fitted and the certificate/compliance number. The number must be obtained from either the AutoGas Certificate or from the gas compliance plate. This action will cause RTA records to indicate that the vehicle is gas powered. Note: If you are not authorised to inspect gas vehicles the system will not allow you to perform this function.

Inspection details

6. Inspection reason defaults to registration renewal. If the inspection reason is not 'Registration Renewal', click the down arrow to select ‘Change of Ownership’.

4. Enter the odometer reading as whole numbers only. It may not be more than 6 digits. Do not enter any leading zeros. For example, if a car has done 50,000, enter 50000 not 050000.

5. Inspection date defaults to today's date. You can only enter today's date or yesterday's date. If you wish to enter yesterday's date, you must enter it in the format dd/mm/yyyy eg: 02/05/2001.

6. Amount paid defaults to the amount chargeable for the vehicle class. Where the amount is less than the default fee click on "Other Amount' and proceed to Step 10.

7. You may enter any amount in the other amount field equal to or less than the amount allowable for the given vehicle class.

8. To enter a fail reason, click on the appropriate failure reason link and the failure reasons page will be displayed in a new window.

9. To complete the inspection results, click the down arrow to select an inspection result from the list.

Inspection result Description Pass Select pass if the vehicle has passed the inspection.

Fail/Now pass This option allows you to record a failed inspection followed by a passed inspection in one action. In many instances, a customer will present a vehicle that requires minor repairs before being issued with an e-Safety Check report. In order to record this, the system allows you to click on the fail/now pass button to indicate that the repairs have been undertaken and the vehicle has passed the inspection.

Fail Select fail when the vehicle has failed the inspection and requires repairs.

Fail - Not to be driven

Select Fail - Not to be driven when the vehicle has not only failed the inspection, but that it would be dangerous to drive it in the current condition.

2nd inspection note: Where this is a pass on a second inspection follow STEP 9 – Fail reasons. At this point un-tick all boxes under the second inspection and click submit. Ensure the check box next to the fail category in the fail reasons table is also un-ticked. Then continue with the inspection to pass.

Failure reasons

This page displays when you click on a fail reason within the e-Safety Check inspection results page. These fail reasons have been compiled in accordance with the rules for Authorised Inspection Stations. Rules relating to the e-Safety Check inspection have been provided to assist with the inspection process. Where you see a reference repeated i.e. a) listed 4 times, all 4 options refer to the same sub-rule.

1. Where the rules for a given fail category cover more than one page, you will find a listing of headings at the top of the fail reasons page. Clicking on the appropriate sub category that will take you to its details.

2. Now click on the specific details of the fail reason. In some instances it will be necessary to type in details of the fail reason in the comments box.

3. Once you have clicked on the fail reason detail, click the submit button to return to the e-Safety Check inspection results page. If you have made any mistakes, click the cancel button to delete all fail reason details entered for this inspection. Note: you can also simply scroll up and down to view other sub categories within the overall category.

Confirm inspection results

This page displays all the details of a current inspection.

Last chance It is critical that you check that the details are correct at this point. Once the submit button is pressed the inspection is complete and cannot be changed in any way.

Examiner and AIS details Displays the examiner and the Authorised Inspection Station you are providing the e-Safety Check inspection reports from. If you need to change examiners, select the click here link to log out and login as a different examiner.

Vehicle details Displays the vehicle details. If vehicle details are incorrect, click on change that will take you back to the e-Safety Check inspection page and allow you to select another vehicle.

Inspection details 1. Carefully check that all the inspection details and failure reasons (if applicable) are

correct. If any details are incorrect, click change to take you back to the inspection results page where you can make the necessary changes.

2. Either click on the submit button to complete the inspection, or click on the cancel button to cancel the inspection. Once the submit button has been pressed, no further changes can be made to the current inspection. Therefore it is critical that you do not click on this button until you are sure the details are correct.

Printing the e-Safety Check report

This page allows you to print the e-Safety Check report.

1. Click the print customer copy link and the customer copy of the e-Safety Check report will be displayed.

2. Click on the print icon located at the top right portion of your browser. The customer copy of the e-Safety Check report will be printed. After printing, close the report page by clicking the cross at the top right corner of your browser.

3. Click the print AIS copy link and the AIS copy of the e-Safety Check report will be displayed.

e-Safety Check inquiry

This page allows you to select either a single e-Safety Check report or view a number of e-Safety Check reports for a given date range.

If you wish to view a single inspection, you may enter the plate number or the e-Safety Check number or the date the inspection was undertaken. If you enter a date or a date range you will get a listing of all inspections carried out in your AIS during the specified date range. Note: You may only make inquiries on inspections that are less than 2 years old.

e-Safety Check inquiry results

This page displays the inspections selected in the e-Safety Check inquiry page, and allows you to view any inspections listed.

1. Click the ‘AIS’ or ‘Customer’ link to view the e-Safety Check report. The selected e-Safety Check report will be displayed in a new window.

2. You may print the selected e-Safety Check report by clicking the print icon at the top of the page.

3. To close down the page click the cross at the top right corner of the display.

4. To view other e-Safety Check reports, click the search again link to enter another selection criteria.

e-Safety Check worksheet The e-Safety Check worksheet can be printed from the publications menu option. You can print off either single or multiple copies. Use this worksheet to jot down particulars during an inspection.

1. Press the print icon at the top of the screen and the print dialogue box will display.

2. On the right of the print dialogue box there is a field called number of copies. Click the up arrow repeatedly until the number you wish to print displays or highlight the number and type in the number you wish to print.

3. Click the OK button and the work sheets will print.

AIS maintenance – view AIS details

This page allows the proprietor, nominee and alternate nominee to view their Authorised Inspection Station details.

1. To change your AIS details click the Change button.

2. To view a list of all users associated to your AIS click the view users button.

AIS maintenance – edit AIS details

This page allows the proprietor, nominee and alternate nominee to edit their Authorised Inspection Station details..

1. Change the details as required and check for correct spelling and spaces, then click submit to save the changes.

2. To exit without saving the changes click cancel.

When AIS details cannot be changed online

1. Where the AIS details displayed cannot be changed online, select the click here

link on the top of the edit AIS details page. This will display the AIS details change request in a new window.

2. The AIS name and user ID will automatically be displayed.

3. Enter your contact telephone number and the description of the change required.

4. Click the submit button.

5. To close the window, click the close window link.

AIS maintenance - view/remove user

This page allows the proprietor, nominee and alternate nominee to view all users of their AIS, their relationship to the station and their accreditation. It also allows the proprietor, nominee and alternate nominee the option to remove or add users to the station.

1. To view the accreditations of a user click the down arrow of the accreditation list.

2. To remove users from the AIS, select one or multiple users by ticking the corresponding check box then click on the remove user button.

3. To add a user click on the add user button, which will take you to the add user page.

4. To exit, click cancel to return to the AIS details page.

Note: Removing a user from the AIS also prevents the user from accessing that AIS from the online application.

AIS maintenance - add user

This page allows a proprietor, nominee and alternate nominee to add an examiner, alternate nominee or both to their AIS. Only the proprietor, nominee and alternate nominee can view this page.

1. Enter the user ID (examiner number) of the examiner to be added and click on

the submit button.

2. The user name and accreditation details will then be verified.

3. To exit the add user process click cancel to return to the view user list.

1. Select the relationship of the user to the station by clicking the down arrow of

the relationship list. The relationship options are: alternate nominee, examiner or alternate nominee and examiner.

2. Tick the check box to declare that the user has given authority to disclose their personal details to the RTA.

3. Click the add button. The user will be added to the view user list.

4. To exit without adding the user click cancel to return to the view user list.

Note: A user can only be added if they have at least one of the same accreditations as your AIS.

User Profile – view details

This page displays the details of the logged on user.

1. Your telephone number, fax number, mobile number and email can be added or updated online by clicking the change button.

2. Your NSW residential and/or postal addresses can be modified online by using the ‘myAddress’ application available from myRTA.com. If your address is outside of NSW, you will need to e-mail your details and a contact phone number to [email protected], the RTA administrator will contact you to verify changes.

User Profile – edit details

This page allows you to make changes to some of your details.

1. Change the details as required and click submit to save changes.

2. To exit without saving the changes click cancel.

When user details cannot be changed online

6. Where the AIS details displayed cannot be changed online, select the click here link on the top of the user profile edit page. This will display the user details change request form in a new window.

7. The AIS name and user ID will automatically be displayed.

8. Enter your contact telephone number and the description of the change required.

9. Click the submit button.

10. To close the page, clicking the close window link or click the cross at the top right corner of the page.

11. To change your NSW residential or postal address online, go to myRTA.com and select the myAddress application.
