have to organise their own stall designing, electricity requirement, etc. Organiser will not provide any other facili�es to
the exhibitor op�ng for raw space. Various fair services that are being offered by the organiser can be availed at an
addi�onal charge. The stall dimension will be approved by the organizer before finalizing the layout of the exhibi�on.
Par�cipa�on Payment Terms
The prospec�ve Exhibitors should apply on the Applica�on for Par�cipa�on form along with payment. Allotment will be
on first-come-first served basis subject to receipt of payment. All payments should be made by Demand Dra� payable to
“Federa�on of Indian Chambers of Commerce & Industry”, payable at New Delhi, India. Applica�on for Space towards
raw & built-up booths may be made in combina�ons/mul�ples of con�guous plots/booths. For a combina�on of
con�guous, furnished indoor standard booths allo�ed, provision of par��ons with the area would be op�onal.
Overseas Payment Terms
Overseas companies willing to par�cipate in the exhibi�on should contact the Organisers directly for the booking of

- Admission is free for professionals, invited guests, trade and business visitors only.
- The Organizer reserves the right to refuse admission to any person in the event without specifying any reason.

An Interna�onal buyer's lounge as well as a press centre of local and interna�onal media will be made available
throughout the opening hours to assist members of the press. Exhibitors may like to deposit press materials with the
duty staff to pass on to the media covering the show.

The Organisers will provide electricity at a suitable point in the stand. Internal distribu�on to the machinery/equipment
will have to be arranged by the Exhibitors' electrical contractor at their own cost, keeping in view the electricity system
norms.
Shell stand exhibitors will not be charged extra upto a maximum load of 1 KW single phase per 9 sq m stand. Those who
require addi�onal power will have to pay Rs. 3000/US$ 85 per KW. Exhibitors op�ng for raw space have to pay for
electricity/power connec�on and consump�on at the rate of Rs.3000 / US$ 85 per KW.

A host of other services and facili�es can be availed on payment. Please refer to various FORMS enclosed at the end of
this manual.

The Organisers will provide electricity at a suitable point in the stand. Internal distribu�on to the machinery/equipment
will have to be arranged by the Exhibitors' electrical contractor at their own cost, keeping in view the electricity system
norms.
Shell stand exhibitors will not be charged extra upto a maximum load of 1 KW single phase per 9 sq m stand. Those who
require addi�onal power will have to pay Rs. 3000/US$ 85 per KW. Exhibitors op�ng for raw space have to pay for
electricity/power connec�on and consump�on at the rate of Rs.3000 / US$ 85 per KW.
Other Services and Facili�es
A host of other services and facili�es can be availed on payment. Please refer to various FORMS enclosed at the end of
this manual.

The Organisers would be making arrangements for Parking of vehicles for exhibitors near fair ground. For this parking
labels will be issued by the Organisers from the site office.
Viola�on of Rules
In the event of viola�on of any rules, organisers will have the right to close down the stall of the exhibitor.
Dispute Resolu�on and Governing Law
All unresolved ma�ers, ques�ons, disputes or differences whatsoever arising between the Exhibitor and Organisers shall
be se�led by arbitra�on in accordance with the rules of the Arbitra�on and Concilia�on Act 1996. The arbitra�on
proceedings shall be conducted in English language in New Delhi, India. The arbitra�on agreement contained in this
paragraph shall be solely and exclusively governed by the laws of India.
Force Majeure
If the exhibi�on is abandoned, cancelled or suspended in whole or - in part by reasons of war, fire, na�onal emergency,
and labour, non-availability of exhibi�on premises or re-alloca�on of exhibi�on premises or any other cause not within
the control of organizers. Organizers shall be under no obliga�on to refund such rental or part thereof and shall be under
no liability for any ac�ons, claims or losses.

Exhibitors will be required to make payment for the damages incurred to the Fair Ground facili�es / buildings etc also
during set up and dismantling period.
Sale of Exhibits
Counter sales are not allowed during the Fair. However, nego�a�ons for sale may be conducted. Removal of any Exhibit
during the fair period is strictly prohibited.
Handling of Exhibits, Customs & Imports
Customs, clearing & forwarding services would be available at the Fair Grounds at extra cost. The Organiser has
appointed M/s. R E Rogers Pvt. Ltd. and M/s P S Bedi & Co Ltd as Clearing and Forwarding Agents, who would assist in the
handling and comple�ng customs formali�es, if required. Please refer to enclose FORM No 09 for further details and
tariff. The Exhibitor would be required to contact them directly for such assistance. Movement of Exhibits in the Fair
Grounds by agencies other than the official clearing and forwarding agents is prohibited.
Service Agencies
Service agencies/provider like security, cleaning, phones, catering, courier etc. empanelled with organisers will only be
allowed to provide services to exhibitors. Other agencies will not be allowed to enter/operate in the exhibi�on.
Photography
The organisers reserve the exclusive right to take photographs and films of the Exhibi�on stalls. Prior permission of the
Organisers will be essen�al for taking photographs and films by the Exhibitors and others.
Insurance
Against all ascertainable risks from transporta�on to display and removal should be done by the Exhibitors at their cost.
Organisers will not be responsible for any claim.

Entry into Fair Ground will be on the basis of exhibitor passes issued by Organisers. The exhibitor badges can be procured

Specific Architectural Control and Guidelines
l Exhibitors are advised to follow guidelines specified by the organisers for the exhibi�on. The organisers would
par�cularly like to emphasize on the following points.
l Woodwork in the halls is prohibited. Pla�orms / panels and other decora�on for the interiors must be
brought in pre-fabricated condi�on for assembly and finishing inside the hall. Use of systems will be
encouraged to result in �mely comple�on of stalls. Passage area is to be kept clear of packing cases,
construc�on material etc.
l The exhibitors should leave minimum 30% of the stall area free for movement of visitors.
l Stalls should be completed in every respect by 1600 hrs. on 04 December 2019 with all exhibits in posi�on.
l The exhibitors who have booked indoor / outdoor raw space can construct an office / cabin provided the
area covered is 25% of the total booked area and the balance space should be kept open. Height of the
sidewalls that open onto the passage area has to be of 1.5 m. The wall touching the adjacent exhibitor's
stall or the back wall has to be of 2.5 m in height, whichever is applicable.
For island posi�ons, the openings on all sides of the stall / space will have to be maintained. The height of the
sidewalls should not be more than 1.5 mtrs. The display within the stall could go �ll 3 m. Exhibitor booking
outdoor raw space can go up to a height of 5 m.
Exhibitors should note that the par��on wall between the two stalls / space in the indoor / outdoor raw space
categories will not be provided by the organisers. Exhibitors will have to finish the par��on / sidewalls from both the
sides so that the a�re exhibi�on is maintained. Exhibitors are advised to follow this guideline strictly.
It is mandatory for exhibitor to maintain the stand types in terms of openings of a stall / space. Exhibitor may like to
have an entry / exit point on the sides. Organiser can ask exhibitors, any�me, to follow the above guidelines.
Organisers decision in this regard is final and binding.
Use of any kind of cloth banner and tent structure in the stall/exhibi�on site is prohibited.
Exhibitors should advise their display and adver�sing agents about the rules and guidelines for stall decora�on,
permissible size of display material, par��on / side / back wall height restric�ons, load bearing capacity, wall finish
from both sides, panels, office cabins etc. Organisers would not correspond with the adver�sing agents engaged
by the company / exhibitor. However, if the exhibitors themselves require any informa�on or clarifica�on, the same
can be obtained from the organisers.
The above height of features and their loca�ons is subject to approval of plans from the organizers (FEDER
UNACOMA & FICCI)
No construc�on shall be permi�ed in front of emergency doors, service doors, electric distribu�on boards, switch
rooms, toilets, and other fair facili�es. The unauthorized construc�on undertaken in front of such facili�es would be
removed at the expense of defaulter par�cipants and the organisers (FICCI) would also levy penalty as deemed fit.
Exhibitors booking indoor / outdoor raw space are required to submit their design drawings at least one month
before start of the exhibi�on and the plans would be scru�nized within 7 days a�er their submission to the
organizers (FEDER UNACOMA & FICCI). All exhibitors have to strictly follow the architectural guidelines laid down in
the manual. Any devia�ons will not be permi�ed.

Eima Agrimach INDIA 2019 is being held in the temporarily constructed hanger structure based halls in the open ground
and also outdoor raw space at IARI, Pusa. The superstructure will be made of mild steel/Aluminum frame sec�ons. The
roof of the structure will be a covering made of SRF Polypropylene. The flooring will be made of wooden pla�orm. The
pitch roof type superstructure will have a maximum height of 10 m at the centre and the side eave 4 m. The Pla�orm in the
hanger will have a load bearing capacity of 200 kg / sq m.

Flooring
All exhibitors op�ng for indoor space for Raw or shell stand, a wooden pla�orm slighted or raised from the ground
made of ply board is provided as the base. This pla�orm has a load bearing capacity of 200 kg / sq m. Heavy machines
of more than this load cannot be placed on this base. Exhibitors have to compulsorily opt for brick or paver floor,
which can take more loads. Organisers will try their best to provide flooring, which has uniform level for enabling
exhibitors to place & demonstrate sensi�ve machines but since the event is held in a temporarily created
infrastructure organisers cannot guarantee a quality, which can be compared with that of concrete floors of
permanent exhibi�on halls.
Procedure for taking possession of Stands
l� Possession of Built up and Raw space area will be given to the exhibitor only a�er full payment of all dues
including the security deposit and service tax.
l� The exhibitor must give a le�er of authoriza�on to the FICCI official at site office for obtaining possession of
their stand in the name of representa�ve men�oned in the le�er.
Time schedules for taking Possession of Stands
Possession of Built up stalls and raw space will be given as follows:
Indoor / Outdoor Raw Space : On 30 November 2019 from 12:00 am onwards
Live Demonstra�on Area : On 01 December 2019 from 12:00 am onwards

Eima Agrimach INDIA 2019 is being held in the temporarily constructed hanger structure based halls in the open ground
and also outdoor raw space at IARI, Pusa. The superstructure will be made of mild steel/Aluminum frame sec�ons. The
roof of the structure will be a covering made of SRF Polypropylene. The flooring will be made of wooden pla�orm. The
pitch roof type superstructure will have a maximum height of 10 m at the centre and the side eave 4 m. The Pla�orm in the
hanger will have a load bearing capacity of 200 kg / sq m.

Flooring
All exhibitors op�ng for indoor space for Raw or shell stand, a wooden pla�orm slighted or raised from the ground
made of ply board is provided as the base. This pla�orm has a load bearing capacity of 200 kg / sq m. Heavy machines
of more than this load cannot be placed on this base. Exhibitors have to compulsorily opt for brick or paver floor,
which can take more loads. Organisers will try their best to provide flooring, which has uniform level for enabling
exhibitors to place & demonstrate sensi�ve machines but since the event is held in a temporarily created
infrastructure organisers cannot guarantee a quality, which can be compared with that of concrete floors of
permanent exhibi�on halls.
Procedure for taking possession of Stands
l� Possession of Built up and Raw space area will be given to the exhibitor only a�er full payment of all dues
including the security deposit and service tax.
l� The exhibitor must give a le�er of authoriza�on to the FICCI official at site office for obtaining possession of
their stand in the name of representa�ve men�oned in the le�er.
Time schedules for taking Possession of Stands
Possession of Built up stalls and raw space will be given as follows:
Indoor / Outdoor Raw Space : On 30 November 2019 from 12:00 am onwards
Live Demonstra�on Area : On 01 December 2019 from 12:00 am onwards

No entry of goods will be allowed a�er 1300 hrs on 04 December 2019. The exhibitors should complete the stall

Equipments concerning with sound or any sort of noise inside the stall should be in permissible decibels. No sound system
will be allowed inside the demonstra�on area. For any demonstra�on / presenta�on, there should be right level of sound
(Decibels) to be maintained which should not hinder the surrounding exhibitors. Any sort of devices and ac�vi�es
gathering public a�en�on leading to chaos are not allowed.

as suggested by FICCI on their own expense prior to the opening of the event.

a) India, being a signatory of the ATA Carnet System offers the ATA Carnet as means of clearing exhibi�on goods.
Alternately, goods can be cleared under simple Embassy Bonds, which does not entail any financial overheads.
Bank guarantees can be a third alternate.
b) Unlike in most parts of the world, no duty is required to be paid on exhibi�on goods at the �me of ini�al entry.
ii) Handling at the fair grounds.
a) Official Handling Agents operate with modern mechanical equipment (forkli�, cranes etc) and a specialized work
force is present at the fair site.
b) Through their Interna�onal network, they will provide detailed shipping instruc�ons and offer services to
exhibitors from the point of origin to the fair and back.
iii) Post Exhibi�on
a) Goods displayed during the event can be sold a�er the exhibi�on, subject to the buyers complying with regular
import procedures and payments.
b) Goods can be kept in the Customs Warehouse for a period of six months. The period may be extended upon
request. During the tenure, display items can be taken for private demonstra�ons, subject to the permission
from Customs.
c) There would be no du�es on consumables like printed ma�er, literature, pamphlets, etc.
d) If not sold, exhibits can be re-exported within the s�pulated period of �me.

It is in the discre�on of Organizers' for alloca�ng the demonstra�on slots to the par�cipants for demonstra�ng the
equipments as men�oned in the schedule by the Organizers'. Exhibitors' request for specific slots will be kept in due
considera�on, compa�bly with availability of the same.
Speed Limit :
Demo vehicles are not allowed to exceed the 30 Km/h speed limits.
Parking:
Vehicles will be allowed to be parked in allocated slots only. Vehicles should not obstruct aisles, emergency entry/exist,
traffic lanes and escape routes. It is in the discre�on of organizer to change the allo�ed parking slot as per the requirement
of other companies.
Addi�onal Material:
Procurement of any addi�onal equipment and/or material required to carry on the live demonstra�on lies with the
Exhibitor/Demonstra�on holder only.
Qualifica�on of Drivers:
l The driver must hold a “Valid Driving License” and should be well qualified to handle the driving condi�ons of the
demonstra�on.
It is mandatory for the exhibitors / demonstra�on holders to submit their drivers name, their driving license copy and a
document a�es�ng their qualifica�on which sa�sfies the criteria for driving in demonstra�on area by the company.. All
the drivers will need to carry their driving license during all the three days of event, if any driver found without driving
license in the demonstra�on area, he will not be permi�ed to run / operate the Machinery / Equipment.
Safety:
The exhibitors / demonstra�on holders must comply with all the laws & regula�ons pertaining to safety and accident
preven�ons. For safety reasons, use of flammables and / or other dangerous item in the demonstra�on area is strictly
prohibited. The exhibitor / demonstra�on holder will be solely directly and / or indirectly liable for any damage and / or
accident, occurring from non-compliance with safety norms.
Insurance:
It is mandatory and at the sole responsibility of the exhibitor / demonstra�on holder to obtain insurance policy, covering
risks against civil liability, transport, the�, fire and excep�onal events.
Security:
The organizers will provide a general security for the Live Demonstra�on Area, which will not be le� una�ended at any
�me during the demonstra�on period.
Force majeure:
Should the demonstra�on be abandoned, cancelled or suspended due to any reason whatever, which is not under the
control of the Organizers', the la�er shall not be held liable for any ac�on, claim or loss thereof.

Electrical Supplies & Installa�ons
The electric power supply available in India is as under:
Single / 3 Phase : 230 / 400 volts 10% fluctua�on
Frequency : 50 cps 3 % varia�on
The Organiser's engineers responsible for supply of power will be entrusted with the authority of regula�ng and
controlling the power supply to the exhibi�on hall and individual stalls. Each stall will be provided with electric power
at one or more main points depending on the total load requirements. Exhibitors should use Distribu�on Boards for
feeding power to their machines. Individual isola�on switches should be provided for each machine. Exhibitors
should use either armored cables or metal conduits for connec�ng power supply to machines.
The work of drawing power from main points to machines / exhibits is to be carried out by the exhibitors, at their own
expense. Exhibitors may engage the services of their own engineers or authorised electrical contractors for wiring
work inside their stall subject to the condi�on that they are duly licensed to undertake electrical work. Exhibitors are
advised to exercise highest level of safety precau�on for electrical wiring and installa�ons. The service charges of
electrical contractor are to be borne by the exhibitors that are payable directly to the contractors.
The Exhibitors should connect power to machines and exhibits as per the requirement given in their Applica�on.
Connec�ng power to the Exhibits other than those men�oned in the Electricity requisi�on Form No. 3 or more than
the specified load or the allo�ed by the Fair Electrical Department will not be permi�ed.
Exhibitors must install independent switch for their machines/exhibits. Alternate connec�ons or throw-over switches
are not allowed. In case power is supplied to the stall from two or more main points, Exhibitors must distribute the
load as per the capacity of the respec�ve switchboards in consulta�on with Fair Electrical Department. The Exhibitors
requiring single-phase power for ligh�ng purpose should carry out necessary wiring from 3-phase outlet through two
poles single phase switches if necessary for further distribu�on. A�er the electric wiring work is completed, the
exhibitors must obtain a comple�on report from the Electricians or Contractors engaged by them and file the same
with Fair completed Electrical Department. Actual connected load for the individual machines/exhibits is to be
men�oned in the report. Power will be released only a�er the wiring work is carried out. All the main electric supply
points must be accessible for opera�on and repairs in the event of emergency. Main electrical supply points should be
concealed or covered.

For site handling opera�ons, cargo-handling equipment such as forkli�s, mobile cranes and skilled labour will be
available at the Fair Ground, from the Official Agents on hire. The rates for On-site handling will be se�led by the
exhibitor with the agents directly, depending upon the quantum of work and kind of job required as per the official
on-site handling tariff approved by the organisers. The Official Agents will have their offices at the site during the pre
& post exhibi�on period.
The Organisers will not be responsible for damages caused to exhibitors while handling at the site. Therefore, the
exhibitors must insure for all their display against possible transit & handling damages, which are meant to exhibit.

available at the Fair Ground, from the Official Agents on hire. The rates for On-site handling will be se�led by the
exhibitor with the agents directly, depending upon the quantum of work and kind of job required as per the official
on-site handling tariff approved by the organisers. The Official Agents will have their offices at the site during the pre
& post exhibi�on period.
The Organisers will not be responsible for damages caused to exhibitors while handling at the site. Therefore, the
exhibitors must insure for all their display against possible transit & handling damages, which are meant to exhibit.

removal of excessive packing materials, discarded crates or cartons & stand building material.
Conservancy
While the Organisers will make arrangement for cleaning the passages, it is the responsibility of the Exhibitors to get
their respec�ve stall & equipments cleaned in the evening. Sweeping will not be allowed a�er 9:00 hrs during event
days.
Replacement of Exhibits
No removal or delivery of exhibits and other exhibi�on material in or out of the exhibi�on hall during the open hours
of the exhibi�on is permi�ed. Such removal, delivery or replacement of stock may only be carried out before opening
hours in the morning or a�er closing �me in the evening. For security, to remove any item of your display from the hall

to take due precau�ons and provide necessary equipment in their own stalls. Exhibitors should also install Guards or
Protectors on Machine/Exhibits during the demonstra�ons to avoid injury to visitors.
l� All exits, entry areas, aisles must be kept clear and unobstructed.
l Gas cylinders of any type are prohibited in the exhibi�on area.
l All temporary wiring must be accessible and free from debris and storage material. Live wire must be insulated.
l No storage of any kind is allowed behind booths or near electrical services.
l All empty cartons and crates must be labeled and removed for storage.
l Helium balloons are not allowed inside the halls.
l Smoking is strictly prohibited inside the exhibi�on halls during show days.
l No person present inside the exhibi�on halls will behave or act in a manner that may cause any harm, injury or
damage to other persons, exhibits/exhibi�on hall property/fixtures.
In case exhibitors need any fire control equipment they may contact the official agency.

Registra�on and �cket Counters are being set up at Main Entrance Gate for facilita�ng the Business and General
visitors.

Exhibitors are requested to make use of the Business Centre located in fair facili�es area. This will be equipped with
essen�al communica�on facili�es like Computers, Telephone with STD/ISD facility, photocopy, fax etc. However
secretarial assistance, courier services etc. will be provided on chargeable basis.
Travel & Transport Counter

Business Visitors Registra�on Counters
Registra�on and �cket Counters are being set up at Main Entrance Gate for facilita�ng the Business and General
visitors.
Business Centre
Exhibitors are requested to make use of the Business Centre located in fair facili�es area. This will be equipped with
essen�al communica�on facili�es like Computers, Telephone with STD/ISD facility, photocopy, fax etc. However
secretarial assistance, courier services etc. will be provided on chargeable basis.
Travel & Transport Counter
Crea�ve Travel Pvt. Ltd. will set up a counter to help exhibitors with their travel related requirements and hotel
bookings etc. Exhibitors desirous of using their services may please contact the Crea�ve Travel officer on duty at the
facilita�on counter.
Restaurant/Snack counters
The organisers have provided a restaurant run by a leading caterer to provide buffet lunch as well as snacks to
exhibitors/visitors.
VIP/Protocol Lounge
This lounge will be at the Exhibi�on Site and will be manned by organisers. Exhibitors may submit informa�on
regarding the visits of VIPs to enable organiser to receive them at the VIP lounge.
Exhibitors' Parking
The Organisers are making arrangements for Parking of vehicles for exhibitors at the venue. For this parking, labels
