This Remote Advisor Installation Planning Guide describes the workflow for installing Agilent Remote Advisor. It is a reference for planning the installation of Remote Advisor.

Remote Advisor Installation Planning Workflow

Free of Charge and Trade order Email Form Most Remote Advisor installations will start when Support Sales has a qualified customer that is interested in installing Remote Advisor. Support Sales starts the installation planning process by completing all of the fields in the Support Sales Rep section of the Remote Advisor Quote & Customer Information Form.

FSE’s may convince a customer to install Remote Advisor without the aid of Support Sales. Support Sales is still required to initiate the installation by completing the Support Sales Rep section of the Remote Advisor Quote & Customer Information Form.

The Free of Charge Form is used when the customer qualifies for free installation of Remote Advisor.

The Trade Order Form is used when the customer does not qualify for free installation of Remote Advisor. The customer will be billed for all parts ordered on the Trade order form.

Support Sales Rep Responsibility Completing the Support Sales Rep part of the form is the responsibility of Support Sales. All customer and support sales contact information are essential to be able to contact the customer or support sales.

Support Sales must include one of the following to be able to order Remote Advisor Parts

Instrument Serial Number – a valid serial number of an instrument under contract

Original Sales Order Number (Instrument) – sales order number of an instrument that is under contract

Customer Meeting The FOC or Trade Oder Email form will have the necessary information to contact the customer.

Contact the customer to set up a meeting to discuss the installation and confirm their interest to install Remote Advisor.

Email a copy of the Remote Advisor Site Preparation Guide to the customer for the customer to review before the meeting.

The meeting can be conducted in person or by telephone. Customer attendees should include representatives from the lab and IT. Use the Site Preparation Guide as your guide to conduct the meeting.

Typical Meeting Topics

Site Requirements

Internet for the Gateway communications to the Enterprise The Gateway requires connection to the Internet to communicate to the Enterprise. Communications will not work through VPN. VPN is not necessary for security because the Gateway to Enterprise connections is secure and communications are encrypted.

Gateway Location A semi secure location is advisable. The Gateway PC must be reserved for exclusive use for Remote Advisor with no other applications installed. Agilent prefers not to have the Gateway locked away in the server room so Agilent has access for maintenance.

Antivirus for the Gateway The customer is responsible to provide and install antivirus software on all Gateway PCs including Agilent provided Gateway PCs

Administrator privileges are required for installing Remote Advisor software on both the Gateway and Data Source.

Data Source software installation Data Source software is installed on ChemStation, EzChrom Elite, and other CDS that control one or two instruments. Standalone Data Sources will be used for installations where the Data Source software cannot be installed on the PC controlling the instrument.

Network Architecture

Determine whether the customer has an All in One, Segmented, or Isolated network.

Gateway PC

Determine who will provide the Gateway PC, the customer or Agilent

The customer provided Gateway PCs must meet the Gateway PC requirements specified in the Site Prep Guide

Remote Advisor Data Source

Data Source software can be installed on ChemStation and EzChrom Elite PCs with Windows XP, Windows 7, and Windows Server 2008 operating systems with at least 512 MB of memory. Minimum 1 GB of for Standalone Data Sources.

Instrument Connections Instruments will be connected in a variety of methods depending on instrument and Data Source type. The Site Preparation Guide discusses the connection types in detail

Discuss the RS232 to LAN converters or Bluetooth solution for Standalone Data Sources. Agilent will provide the RS232 to LAN converters. The customer is responsible for the LAN connections for the converters.

USB to RS232 adapters will be used with the RS232 null modem cable when a PC comm. port is not available.

Installation Workflow

Discuss the installation workflow as described in the Site Preparation Guide

Responsibilities

Discuss both the responsibilities of the customer and Agilent. Responsibilities are outlined in the Site Preparation Guide

Introduce the Installation Planner

The Installation Planner is the customer’s responsibility to complete. Set completion deadline to give enough time to order parts for the installation.

The customer completes the Contact Information, Gateway PC, and Instrument Information worksheets

Agree on an installation date

Give the customer the most current copy of the Remote Advisor Installation Planner.xls which can be downloaded from https://extranet.chem.agilent.com/sites/partners/support/Product%20Pages/Remote%20Advisor.aspx

Installation Planner Review & Parts Ordering The Customer returns the completed Installation Planner.

Installation Planner Review The Installation Planner is checked for completeness and accuracy.

Verify the Contact Information and Gateway PC worksheets of the Installation Planner are completed

Check the Instrument Information worksheet for completeness and accuracy. Column A gives the status of each line index where information was entered.

Configuration Status

Configuration status is displayed in the Configuration Status column for each instrument that is entered into the installation planner worksheet

Return the Installation Planner to complete or work with the customer to obtain the information needed to complete the Installation Planner. Parts are not calculated for an instrument when there is an exception.

Parts Ordering All parts for Remote Advisor installations should be ordered by using either the Free of Charge or Trade Order forms. Each form must have a valid Instrument Serial Number or Original Sales Order number of an instrument completed by Support Sales for the form to be accepted by logistics when submitted.

Complete the Site Prep Specialist section of the Free of Charge or Trade Order forms.

Enter the shipping information taken from the Contact Information worksheet of the Installation Planner. Note: Duties in some countries may be charged to the customer if the parts are shipped direct to the customer. In some cases it may be better to ship the parts to an Agilent office.

The Remote Advisor Installation Planner.xls predicts the parts needed to install Remote Advisor. The Part Numbers section of the Installation Summary worksheet has a list of part numbers predicted for the Remote Advisor installation.

Transfer the quantity of each part number to the Part Order section of the Free of Charge or Trade Order form

Countries outside of the Americas

The PC and the RS232 to LAN Converter G1680-60600 ships with an American style power cord. It is necessary to order the correct power cord for the PC RS232 to LAN converter for use in countries outside of the Americas. The PC will require two power cords one for the CPU and another for the monitor

Bluetooth Gateway and Bluetooth Adapters

Bluetooth Gateways and Bluetooth Adapters do not ship with a power cord. A power cord must be ordered for each Bluetooth gateway or adapter ordered.

Power cord selection and ordering

Find the power cord part number for your country in the list of power cord part numbers

Enter the part number in the empty cell of the part number table next to the Power Cord Part Number cell

Enter the quantity in the quantity column

Submitting Parts Order The Send Form to: table is located at the bottom of the Free of Charge and Trade Order form. An email address is provided each region.

Create an email to the email address for the where the part is going to ship

Attach the completed Free of Charge order form to the email

Enter in the subject line of the email Remote Advisor Parts Order

Request that they order the parts on the attached form in the body of the email. Ask to be updated when the parts are ordered and for tracking information. Do not attaché the Installation Planner!

Request an order status if you do not get a response within two business days.

Scheduling and Planning the Installation Date Schedule the installation as soon as possible. It is critical to meet the customer’s expectations to adhere to the scheduled installation date. The customer usually chooses an installation date because of lab schedules. Every effort should be made to keep the scheduled installation date.

The Site Prep Specialist may or may not be doing the installation. The Site Prep Specialist should prepare the FSE for the installation by introducing the installing FSE to the customer and the installation. This introduction can be done by teleconference. The Installation Planner should be forwarded to the FSE scheduled to do the installation.

Schedule the installation with the customer

Schedule the installing FSE’s time with a Work Load Administrator

Introduce the installing FSE to the customer by teleconference and talk about any issues or concerns the installing FSE may have about the installation

Email a copy of the Installation Planner to the installing FSE

Printing the Remote Advisor Installation Planner All information required to install Remote Advisor is in the Installation Summary worksheet of the Remote Advisor Installation Planner.xls spreadsheet. The Installation summary is formatted to all of the information to install 50 instruments.

Select the Installation Summary worksheet.
