Dear Exhibitor,

My name is Geoff Fox, Redwood Media Group’s Chief Operating Officer. On behalf of the entire RMG team, I would like to welcome you to the event and let you know that we are here to assist in making your experience as exciting, enjoyable and stress-free as possible. The Exhibitor Manual is designed to provide you with the tools to enable you to efficiently prepare for your booth and participation. Please read each section carefully. There are several important items that we would like to bring to your attention before you read the manual and fill out the forms.

1. The booth design form located on page 10 allows you to purchase additional lights, walls or electrical. Be sure to order all items and services in advance and pay careful attention to the deadlines on the forms. Please note that changes or requests to your booth design after the deadline of February 19th will incur premium fees. We recommend that you carefully calculate the number of lights you will need. 2. Your sales representative along with the Show’s Curatorial Team will strictly enforce proper booth presentation, review all booth installations during set-up and will notify you of any required changes. To preserve the integrity, presentation, and appearance of the show, the RMG Curatorial Team has prepared a mandatory online Booth Display Requirements Course to clarify expectations and provide helpful guidance in planning your exhibition.

3. Your booth fee includes freight handling of empty boxes and crates at move-in and move-out. There may be added costs for fork-lifts or other special equipment needed to handle heavy items, such as sculptures. Your art handlers are responsible for movement of artwork. Please advise us in advance if you will need such equipment.

4. If your shipment requires U.S. Customs clearance, please make certain that your freight forwarder is aware of the move-in schedule and is familiar with trade show protocol. We will not provide our tax ID number on behalf of any exhibitor for customs clearance. Artists from outside of the US are the importer of record for their works and will need to provide all information to have their shipments cleared for delivery. Non US artists are required to work with a Customs Broker for guidance.

5. At move-out, do not leave your booth before you receive confirmation from your shipper or freight forwarder that they have assumed responsibility for your merchandise. Also, be sure to attach your bill of lading(s) to your boxes/crates.

Schedule

Exhibitor Services The Exhibitor Service Desk will have a service representative for electrical, walls, furniture, etc. The service desk will be open during move-in and move-out. During the show, a representative will be available in the Show Office.

Registration Exhibitor Badges can be picked up at the Registration Desk upon arrival. Before badges are released, accounts must be paid in full and proof of insurance must be on file. Exhibitor contractual requirements must be met and all outstanding balances paid in full before set up. Exhibitor Badges are for security purposes and will not include individual names. These will provide exhibitors and their staff members with access to the venue during move-in/move-out, all show hours and special events as well as access to the venue 30 minutes prior to show opening each day.

Marketing & Promotions Maximize your exposure and take full advantage of RMG’S marketing campaigns. We have a comprehensive show marketing plan.

Promotional Image Submission Access the link here: Promotional / Catalog Image Submission Form to submit your images and gain attention! Due: Feb. 26; however, we recommend that you submit these ASAP to maximize your exposure.

Once your images have been processed, the images will be uploaded to the Redwood Media Group Flickr account, and at least one of these images will be used in your Exhibitor Preview in the digital Show Catalog and online in the Exhibitor Art Gallery. The artwork may also appear in our Marketing Program materials and promotional campaigns (Artexpo New York’s website, email campaigns, print ads, social media, etc.) with artist credit given. The sooner your images are submitted, the better your chance to gain exposure.

For each image submitted, we also suggest including the artist bio and/or artist statement along with a press release, if available, so our Marketing and Media teams can use the materials in their upcoming campaigns. Finally, try to choose images and stories that will distinguish your exhibition.

Freight Receiving Hours

Your shipment must arrive at Pier 94 ON BUT NOT before freight receiving hours. Shipments arriving outside the specified freight receiving hours will be refused. All shipments must be sent PREPAID, collect shipments will not be accepted. Box trucks with lift gates are required as there are no docks on-site.

1. Domestic & International Shipping Artexpo has selected Phoenix International Business Logistics, Inc. for assistance on shipping arrangements, brokerage, customs clearance and local transportation.

We recommend that you avoid using carriers such as USPS, FedEx, UPS, YRC or Express Mail. These shipments will be delivered to your booth without individual/carrier receipts or freight bills and without guarantee of piece count or conditions. Please note that Show Management and Showtime on the Piers will assume no liability for any shipper.

2. Advance Warehouse (crates only, no loose artwork) Sending your shipment in advance ensures that your shipment is received; no headaches on-site wondering when your shipment will arrive. Your shipment will be delivered directly to your booth at Pier 94. Please contact Craig Bowman, Freight Center to receive a quote and make arrangements.

Shipping Instructions, cont. 3. POV (Privately Owned Vehicle)

a. Self Unload (Hand Carry): If you are driving a POV that does not require a dock or assistance, you will be permitted to drive up to the front of the Pier.. Showtime, the appointed, official Material Handling Contractor for Artexpo New York, will have personnel in the area to direct you to the appropriate unloading area. The ramp area is first come/first serve. Unloading or reloading of any freight into the exhibit hall by any and all privately owned vehicles and contracted carriers will be handled by Showtime.. Showtime personnel will be monitoring the area and enforcing an unloading/loading time limit of approximately 20 minutes. A licensed driver must remain with the vehicle at all times.

b. Requiring a Dock or Assistance: Showtime On the Piers will have personnel in the area to direct you to the appropriate unloading area requiring assistance. Upon arrival there will be labor available to unload your vehicle and transport to your booth. This material handling service is included as part of your booth package. Unloading or reloading of any freight into the exhibit hall by any and all contracted carriers will be handled by Showtime On the Piers. Exhibitor’s such contractors and helpers must obtain temporary badges from the Registration Desk. A licensed driver must stay with the vehicle at all times.

Important International Shipping Guidelines Redwood Media Group, LLC. does not have any role or responsibility for the shipment of Exhibitor’s art or other property to/from Artexpo New York. No refunds or credits will be issued to an Exhibitor whose shipment does not arrive in time. Exhibitor that are shipping from outside the USA MUST engage a customs broker. RMG will not act as consignee, importer, “sold to” party, freight forwarder customs broker, or power of attorney. Important Steps: Advise your shipper that your goods must arrive in the US and clear customs several weeks prior to the date on which your artwork is meant to be delivered to Pier 94. Ask your shipper to give you notification of the arrival of your shipment in the USA. Follow up with your shipper to ensure that the customs-clearance process is proceeding without issue. Ask your shipper to notify you when your shipment has cleared customs. Notify your shipper that your shipment must arrive at Pier 94 ON but Not BEFORE Tuesday, April 21st.

Storage Onsite Art Storage Reservation Artexpo New York offers art storage space for excess artwork in a designated, secure art storage area. To reserve a space, click here and complete the Reservation Form.

Empty Crate Storage By order of the fire marshall, exhibitors will NOT be permitted to store empty crates, containers or boxes in their booth or around the perimeter of the venue during the show. Empty crates and boxes, when properly marked, will be removed, stored and returned at the end of the show. No empty crates or boxes can be used as display counters or props unless they are chemically treated to resist flames. Please place small containers inside larger ones to facilitate storage. Once your containers are ready for storage, you are required to place one “EMPTY” sticker on each container. EMPTY stickers will be provided at the Exhibitor Service Desk. Containers with an EMPTY sticker will be removed and returned after the close of the show. Your cooperation in keeping the aisles clear to facilitate the delivery/return of containers is appreciated. Once a crate/container has been removed from the floor and stored, exhibitors will NOT have access to this crate. Exhibitors requiring access to crates or cartons during the show must arrange for accessible storage.

Move-Out Instructions Move-Out Objects left installed in the booth after 10pm on Sunday, April 26th will be removed and stored at your expense and risk. The venue will charge for the removal of anything that is left after this time. If the booth is not empty (with the exception of your packed freight), you will delay the dismantling of the rest of the spaces in the venue. Should this occur, the exhibitor will be liable for any costs incurred by the Show Organizer as a result of this delay.

Return of Empty Crates Empty crate return will begin on Sunday, April 26th after the show closes at 6PM and when the venue is clear of attendees. The return of crates and cartons can be a lengthy process. During the wait time, you may take your artwork off the wall and get your materials ready to pack. PLEASE PLAN YOUR TRAVEL ACCORDINGLY. ***If you are unable to wait for your crates due to time constraints, you are required to make alternative crate storage arrangements with your shipper or other provider to avoid delays.

Forced Freight All freight must be removed from the venue by 11AM on Monday, April 27th. Freight arrangements must be made to comply with the deadline. Any freight not picked up will be turned over to a local shipper. The exhibitor will be responsible for shipping arrangements as well as all fees incurred. It is the responsibility of the Exhibitor to schedule a pick up, label all crates/boxes with a shipping label and provide the shipper with a Bill of Lading. RMG is NOT responsible for arrangements made between you and your shipper. Follow up with your shipper to verify pick-up.

Rules & Regulations Exhibitors have agreed to abide by all Rules and Regulations by virtue of signing the Exhibitor Contract.

Booth Display Requirements To meet a high standard of presentation, each exhibitor is required to abide by the show’s Booth Display Requirements (click here to view). Your sales representative along with Show Management will strictly enforce proper booth presentation, review all booth installations during set-up and will notify you of any required changes.

To clarify expectations, our easy-to-use online course must be completed prior to arrival for set-up in order to give you access to the show floor and your booth (see page 10 for the link).
