2. Logistics and Support

Participants: Conference participants include paper authors, discussants, and invited Northwestern

faculty and graduate students. A list of all participants appears at the end of this document.

Reimbursement: Travel and lodging is reimbursable (unfortunately, we cannot reimburse meals in

route).

• For ground transportation (see below for details), up to $140 can be covered. Please send

your ground transportation receipts to: Cindy Mydlach at

[email protected].

o Scanned/electronic versions of itemized receipts is preferred

o If you ride share with other participants (see below), please do not split the receipts.

One person should pay and will be fully reimbursed.

• If your hotel and/or flight has not been directly covered, please scan and e-mail your receipts

to: Cynthia Kendall at [email protected].

Papers: All papers are available in the shared Dropbox, with papers sorted by the relevant

conference/book section.

Seminar Room: Please note four items about the room.

1. There are no outlets near the seats but there are charging stations in the back of the room.

Make sure your devices are charged.

2. Space is tight so those who arrive later may have to sit in the back (without a table).

3. Wifi access is available through the Guest-Northwestern network. When you log-in, you will

be asked to provide information so you can be contacted in the event of issues with your

registered device. The University does not share your personal information with any other

entities, and it will not be used for any other purpose.

4. The building doors are open 7:00 am – 8:00 pm; elevators are accessible from 7:30 am – 7:00

pm.

3. Conference Hotel

The hotel is on the edge of campus, near downtown Evanston. If you are interested in fitness clubs

(or a pool) beyond what the hotel offers, there are three nearby:

4. Ground Transportation

Ground transportation to and from airports is reimbursable. After the conference, please send your

ground transportation receipts to Cindy (as noted above). As mentioned, if you share rides (see

below), please do not split the receipt – one person should pay and will be fully reimbursed.

On the Chicago end, you can use an Uber/Lyft or a taxi. For a taxi, it is best to call a suburban taxi

with a flat rate of $32-$35 that can pick you up at door G of your terminal. American Taxi works

well and can be reached at: (847) 255-9600. A last alternative is a city taxi (i.e., from the taxi line). If

you do this, be sure they do not charge you a double fare or 1.5 fare (some suburbs cost more but

Evanston does not).

In effort to keep costs down, it is suggested to share rides if and only if it proves convenient (please

do not wait a long time to share a ride). To facilitate departures, each out of town travel attendee’s

departure times are listed in the table below. Potential ride sharers are colored in dark or light gray.

The shadings are based on times and terminal locations:

Terminal 3: American, Jet Blue

Terminal 5: International

For departures, you can call Uber/Lyft or a taxi from campus. The Departures table below lists

departures times – clearly many people are leaving on similarly timed flights and so hopefully it will

be easy to coordinate some groups when the conference ends. Terminal is not important for

departures since the ride can drop different people at different terminals. It is generally 45 minutes to

O’Hare International Airport. There are suggested large groupings colored in distinct shades of gray

(some of the groups are too large for a single car so they can divide into smaller groups).

Again, the groups are meant to be suggestive at best – please do not inconvenience yourselves! Also

feel free to use distinct groupings if you prefer. The suggestions are meant as nothing more than

rough ideas.

5. Conference Meals

Breakfast, lunch, and snacks will be provided at the conference.

There is a dinner Monday night, restricted to only out-of-town attendees and in-town individuals who

are authors or discussants (i.e., those who will speak) on the program. This dinner is at Mt. Everest

from 6:00PM to 8:00PM. The address is: 630 Church St, Evanston, IL (Tel: (847) 491-1069). (It is

buffet style so feel free to come late.)

There is a dinner Tuesday night, open to all conference attendees, at Giordano’s from 6:00PM to

8:00PM. The address is 1527 Chicago Ave. Evanston IL (Tel: (847) 475-5000).

Note on alcohol at dinners: The meals will not include alcohol (budgetary constraints). The

restaurant for Monday – Mt. Everest – has a cash bar from which people can purchase individual

drinks. The restaurant for Tuesday – Giordano’s – takes alcohol orders on a few aggregated tabs. We

will coordinate these tabs, but we ask participants to keep track of the number of drinks bought and,

if possible, bring some cash or check to facilitate aggregating the tabs.

Directions from the hotel to Mt. Everest are: Head south on Orrington Avenue. Turn left onto

Church Street – Mt. Everest will be on your right.

and Sheridan). Continue south on Chicago Avenue, then turn right onto Clark Street. Turn left onto

Orrington Avenue – the hotel will be on your right.

7. Panel Format and Slides

Time is tight so it is critical that we proceed in a timely fashion (i.e., do not go beyond the below

described allotted time).

Each panel will proceed as follows:

1. The panel chair (who in most cases is a graduate student author) will very briefly introduce

the panel by mentioning its title, and the papers’ titles/authors.

2. Each paper has a presenter who is not the author(s). The presenter has 10 minutes to present

the paper – this includes a very brief summary and then constructive comments/critiques,

spending more time on the latter (as we assume in the course of the constructive comments, a

summary will be apparent). We will present each paper sequentially.

a. PRESENTERS: Please plan to send some written comments to the author at least

three days in advance of the meeting.

3. Each panel has an “integrative discussant.” After all the papers are presented, this person will

have 10 minutes to present some connections between papers – how they complement each

other (e.g., points where chapter authors might want to integrate ideas from the other

papers).There is no need to get into details of each paper as that’s for the paper’s presenter.*

a. DISCUSSANTS: Please plan to send some written comments to all authors at least

three days in advance of the meeting.

4. Each author (or authors) on the panel then will have 5 minutes to briefly respond to the

comments.

5. There will be 20 minutes for questions/answers and general discussion. This will be

moderated by the panel chair.*

*The integrative discussant time and questions/answers times are not proportionally equitable across

panels since panels have different numbers of papers. We can slightly alter the times to accommodate

these differences but we do not want to have significant changes. (The plan is for the following time

allotments for these panel types: 6 papers = 120 minutes, 5 papers = 105 minutes, 4 papers = 90

minutes, 3 papers = 75 minutes.

8. Mentor Matches for Tuesday Lunch

Lunch on Tuesday will match conference participants who have not yet received their PhDs (or have

done so very recently) with faculty conference participants. The purpose of the lunch is for the more

experienced scholars (i.e., mentors) to offer some advice and feedback to their mentees. The mentees

are strongly encouraged to contact their mentors in advance of the conference to introduce

themselves (e-mails are provided in the participant list at the end of this document). There are two

groups that consist of one mentee and one mentor – it is suggested that that these two groups merge

into one group of four.

Each Northwestern graduate student attendee has kindly offered to comment on two chapters. The

assignments are below (see the conference schedule to connect authors’ names to chapter titles). Chapters

are made available via a shared Dropbox site. Graduate students will aim to send comments no later than

June 1, so that authors can revise with comments from the editors, discussant, conference participants,

and graduate reader at once. Graduate student readers should directly send their comments to the given

authors.

11. Post-Conference for Authors

1. All authors will have received, by June 1, comments from four sources: their presenter, their panel’s

integrative discussant, Jamie and Don (in a single document), and their graduate student readers. As

noted, these comments should all be sent directly to authors by each source.

2. Authors should revise their chapters, accordingly, by August 15, 2019 and upload them to the

appropriate Dropbox folder.

3. Each chapter will be given a review by Jamie and Don and one other author.

a. This includes the introduction by Jamie and Don, and Lynn Vavreck’s reflections which

will be the concluding chapter.

b. Thus, each author should plan on reading one other chapter, assigned, at this point

(different from one he/she discussed the conference). These comments should be sent by

September 10, 2019.

4. Authors make final revisions on their chapters by October 15, 2019.

5. The book is compiled and sent for publisher for review by November 1, 2019.

6. ≈February-April 2020: revise chapters based on publisher reviewer comments and finalize volume.
