ADVANCEMENT COMMITTEE MEETING Minutes – Unapproved

October 11, 2017 2536 Countryside Blvd, Suite 500

Clearwater, FL 33763 Members In attendance: Erica Bolline and Jessica Hooper (via conference call) Members Absent: Nick Meza, Elliott Stern, Susan Johnson, Nancy St. Arnold

and Paula MacDonald Coalition Staff: Lindsay Carson, Mary Burns and Eva Stoddard (Recorder)

I. CALL TO ORDER Erica Bolline called the meeting to order at 4:00 P.M.

A. Erica Bolline called for approval of the July 12, 2017 Advancement Committee

Meeting Agenda.

A motion was made by Jessica Hooper and seconded by Erica Bolline to:

Approve the July 12, 2017 Agenda. The motion passed unanimously.

II. DISCUSSION

A. Annual Giving Campaign Launch & Giving Tuesday i. Board Member Participation

Lindsay Carson will email board members and request they send contact Information for potential donors. Donor appeal letters will be signed by board members if it is a personal contact. General pleas will be signed by Lindsay Carson.

ii. Personal Asks iii. Direct Mail

B. Snappers Comedy Night – November 30, 2017 This event will follow the regular Board of Directors meeting on Thursday, November 30th.

i. Ticket Sales Tickets are sold through an ELC designated link online. All tickets sold through this link, proceeds go to ELC.

ii. Door Prizes Previously donated wine will be used as door prizes. Eva Stoddard has contact for painting donation by local artist for auction.

iii. Social Media Mary will be sending email and social media announcements early next week.

C. Advancement Report Mary is drafting a report to be included in board packets that features upcoming events, donors (by level), total amount raised and % of board members participating.

D. GuideStar & Charity Navigator E. PreK 5K Readiness Run – April 14, 2018

Registrations will run through Active.com and the race packet should be available in January 2018.

GUIDELINES FOR SUCCESSFUL FUNNDRAISER!

1. Select a Thursday night Comedy Show date. - Submit a paragraph on your cause or rescue explaining what you do and why

you are having a fundraiser so we can put it next to your event. - Send art/logo/graphics. - Doors open at 6:00pm for people setting up. Encourage people attending to be

here no later than 6:30. - You need time to sell raffle tickets and do the raffle before the show. If people

come too late they can’t buy raffle tickets or bid on auction items and quite a bit of money can be made that way.

- Show starts at 7:30pm (90 Minute Show). - 2 item minimum purchase required per person.

2. Event accommodates 130 people.

- Deposit of $100.00 required at time of booking 30 days prior whichever occurs first.

- The check is not cashed, it is held until the event. - This deposit holds the event date and secures extra staff. - Deposit requires that on the day of the event 50 + people attend. - If 50 + people attend the deposit will be refunded.

3. If less than 50 people attend the deposit will not be refunded.

However, all ticket proceeds that your organization sold will still go to the charity and you get the raffle money. The general public can still purchase tickets from Snappers directly. Those will not go to the charity. Just the tickets the charity themselves sell.

4. Key to Selling Event Tickets: - Choose key people within your group and make them responsible for selling 5-

10 tickets each, depending on the amount of volunteers. - Snappers gives you a custom link for people to buy tickets online, and NO

charge to you! There is a $1 process fee for online sales that the purchaser pays, added in the ticket cost online.

- 100% of the organization’s tickets sales goes to the charity.

5. Solicit raffle prizes from clients, businesses and friends. The more great prizes the

more money can be raised. Snappers will provide the raffle tickets the night of your event, and help sell them too.

6. Bring raffle prizes to the event on the day of event. Snappers will set up tables to display the prizes.

7. When selling event tickets stress the importance of people showing up. If they are unsure of attending, tell them they can just make a direct donation. Then sell the ticket to someone who will attend. You need people to attend in person. The more people show up, the more money your charity will make (ticket and raffle sales).

- You may reschedule your event without penalties, within 14 days of the original date pending availability.
