Welcome to ATB Online Business  

ATB Online Business provides secure, convenient access to your business accounts and services 24 hours a day, seven days a week. ATB Online Business allows you to check balances, transfer funds, pay bills, view transactions, order statements and more. As the administrator designated by your company’s signing authorities, you are the only person that has control over user access to your company’s business accounts and services through ATB Online Business. Once you’ve signed in, completed your security questions and answers and enrolled in Enhanced Security, you’ll need to create roles and add users for the other employees in your company that need access to ATB Online Business.  

 

As the administrator, when you’re creating roles for users, you’ll need to determine which accounts and services your users will need access to, so they can transfer funds, pay bills, collect or make payments, and access workflow and limits. These entitlements will carry over to ATB Business Mobile for each user. As the administrator, you’ll have access to all of your business’ accounts and services, the ability to reset passwords and security questions for other users and the ability to create alerts for other users to subscribe to.

How to use this guide This user guide is intended as a reference for the administrator of ATB Online Business once the administrator has received their User ID and password; this guide will teach the administrator how to create roles and add users. Once the administrator has created roles and added users, the administrator and users should refer to the General User Guide and the associated User Guides to learn how to use the products and services in which your business has enrolled.   

 

There are two types of users in ATB Online Business: 

Administrator—The administrator was designated by the signing authorities when the business enrolled in ATB Online Business. The administrator creates roles and adds users so other employees can access ATB Online Business.  

User—Users are granted access to ATB Online Business by the administrator. The administrator must create a role and then assign it to a user before the user can sign in to ATB Online Business.   

Roles and entitlements in ATB Online Business ATB Online Business uses roles so users can have different entitlements to access and perform transactions on the business’ accounts. Once a role is created, the administrator can add users; multiple users can be assigned to the same role.  

Administrator role 

The administrator is authorized by the signing authorities, to have full administrative access to all the accounts linked to the company's online banking. The administrator can create a user administrator role in cases of vacations, illness or other unforeseen emergencies. The user administrator would have the same access as the administrator. In ATB Online Business the administrator can: 

● Perform transactions on accounts ● Create and assign roles for users ● Gives account and transaction access to users through entitlements ● Audit users and transactions ● Reset passwords and security answers for users 

User roles Once the administrator has created a role and assigned it to a user, the user can sign in to ATB Online Business. After signing in, the user is required to create challenge questions and answers along with enrolling in Enhanced Security. The user will then be able to see the accounts and perform the transactions the administrator has given their role entitlements to.

Limits All transactions are governed by the available funds in the deposit account. With many of ATB’s services, both the company and the administrator can limit the value of transactions.   

ATB Online Business has two types of limits: 

• Business-level limits are set in ATB’s internal system. ATB personnel modify these limits, which are set by ATB in consultation with your company’s signing authorities and administrator. Business-level limits apply to all users performing transactions, including the administrator.  • Role-level limits are managed by the administrator in ATB Online Business. The administrator can set different limits for different types of payments and transactions for each role. Role-level limits must match or be lower than business-level limits. 

Workflow approval 

All transactions are governed by the available funds in the deposit account. With many of ATB’s services, both the company and the administrator can limit the value of transactions and create approval settings.  

ATB Online Business has two types of limits for workflow approval: 

• Business-level workflow approval is set in ATB’s internal system. ATB personnel modify these settings, which are set by ATB in consultation with your company’s signing authorities and administrator. Business-level workflow applies to all users performing transactions.  • Role-level workflow approval is managed by the administrator. The administrator can use different settings for different types of payments and transactions for each role. Role-level settings must match or be lower than the business-level workflow approval. Role-level workflow is added when the administrator is creating a role.   

There are three types of workflow approval available for both business- and role-level workflow approval: 

• No approval required–User does not require any approvals and would not have a transaction or payment limit. The user is only subject to the business-level transaction and daily limits. • Single approval required–Any transaction or payment submitted must be approved by a different user with approval entitlements. The administrator can further specify a dollar limit whereby any transaction or payment over the specified dollar amount is subject to approval and any transaction or payment under the specified dollar amount does not require approval. • Dual approval required–Any transaction or payment submitted must be approved by two different users with approval entitlements. The administrator can further specify a dollar limit whereby any transaction or payment over the specified dollar amount is subject to approval and any transaction or payment under the specified dollar amount does not require approval. • Deny workflow approval will deny any transaction or payment submitted by a user that exceeds the specified dollar amount. Any transaction or payment submitted below that dollar amount is subject to the business-level workflow approval. Deny is only available at the role-level workflow approval.

Note: To require approval for every transaction, regardless of size, leave the transaction limit at $0. If you leave the Transaction Limit box blank once you’ve edited a role, the limit will default to the business-level limit 

 Here’s an example of the workflow approval process:   A user at your company is subject to the following limits and approval criteria for One-off Payments. 

● Role-level transaction limit: $200 with single approval  ● Business-level transaction limit $1000 with dual approval ● The user sends multiple One-off Payments the same day 

 

One-off Payment  Approval Required  Where is the limit set?   Who approves the transaction? 

$150  No approval required; this payment is within the user’s transaction limit 

ATB Online Business  No approval required so this transaction will be processed on its due date 

$300  Single approval required; this payment is higher than the user’s transaction limit 

ATB Online Business  A user that has approval entitlement. Once a user has approved the payment the transaction will be processed on its due date.  

$1600  Dual approval required; this payment is higher than the business-level transaction limit 

ATB’s internal system  Two different users that have approval entitlements. Once two users have approved the payment the transaction will be processed on its due date.

Users can’t approve their own transactions nor can a user approve the same transaction twice if dual approval is required. Transactions must be approved within the specified time limits. If a transaction deadline passes with no decision, it will expire and be deleted from ATB Online Business. The deadlines vary with the transaction type as follows:  

● EFTs expire 60 days after the file creation date. ● One-off Payments expire depending on the currency: 

○ CAD One-off Payments will expire at 12pm (noon) MT on the payment’s due date. ○ USD One-off Payments will expire at 11:59pm MT on the day before the payment’s due 

date. ● Wires expire at 2pm MT on their effective dates. ● AGLC payments expire at the end-of-day on the due date. ● Cheque Management Services decisions expire at 11am MT on the presentment date. ● Interac e-Transfers expire seven days after creation. ● Bulk Interac e-Transfers expire seven days after creation. ● User and role approvals expire 30 days after their initiated date. 

Entitlements 

A role must be created prior to adding users. Please remember that each person you create as a user in ATB Online Business must have their own sign in credentials. This is a security feature and allows the business to monitor who does what and when in ATB Online Business. For more information refer to your ATB Online Business Access and Services Agreement.   The administrator will only see and be able to grant account and activity access entitlements for products and services in which the business has enrolled. For more information on the individual services, refer to the General User Guide and the associated service user guides to learn how to use the products and services your business has enrolled in or may be interested in enrolling in.   

Account access entitlements: 

These entitlements control the accounts and services to which a role has access.   

● Banking Services: Allows the role to view the account; by ticking the Banking Services box the role will have view-only access to the selected accounts in ATB Online Business. Assigned users will not be able to perform any transactions. 

● Incoming Wires: Allows the role to view incoming wire details. ● Stop Payments: Allows the role to stop single payments, stop a cheque range and manage stop 

payments. ● Cheque Management: Allows the role to manage, view, add and import cheque files of 

decisioned cheques if the business is enrolled in Cheque Management Services. ● EFT: Allows the role to maintain receivers, originate, release, approve, and manage templates of 

electronic funds transfer (EFT) files if the business is enrolled in EFT Services.

● Wire Initiation: Allows the role to create, release and approve online wires if the business is enrolled in Online Wires. 

● EFT Returns: Allows the role to review returned payments that were sent by EFT or One-off Payments if the business is enrolled in one or both services. 

● AGLC Payments: Allows the role to make or approve payments to the Alberta Gaming and Liquor Commission (AGLC) if the business is enrolled in AGLC services. 

● Transfers: Allows the role to make transfers between accounts that are accessible in ATB Online Business. 

● Bill Payments: Allows the role to make bill payments. ● One-off Payments: Allows the role to maintain receivers, create, release and approve One-off 

Payments if the business is enrolled in One-off Payments   ● Send e-Transfer: Allows the role to send an Interac e-Transfer if the business is enrolled in 

Interac e-Transfer send services. ● Receive e-Transfer: Allows the role to receive an Interac e-Transfer. ● Remote Deposit Capture: Allows the role to take a picture and deposit a cheque through ATB 

Business Mobile without seeing account balances, or performing any other transactions on the account to which the cheque is being deposited. 

● Bulk e-Transfer: Allows the role to create, send and maintain a Bulk Interac e-Transfer if the business is enrolled in Bulk Interac e-Transfer services. 

Activity access entitlements: 

These entitlements control the actions a role can perform on the accounts and services to which the role has access.   

● User/Role Administration: Allows the role to have the same entitlements as the administrator; however this entitlement could have workflow added by the designated administrator. If the release checkbox is not checked on the role details page, the user/role administrator will only be able to view role and user information. They will not be able to create, edit or delete roles and users. 

● Service Statements: Allows the role to have access to view and print Service Statements if the business subscribes to Service Statements. 

● Audit Reports: Allows the role to have access to view and download audit reporting. ● Alerts Management: Allows the role to manage alerts and create alert rules so other users can 

subscribe to the alert. ● Corporate Creditor: Allows the role to view and download Corporate Creditor reporting if the 

business is enrolled in Corporate Creditor services. ● Alerts: Allows the role to subscribe to alerts created by a user with the entitlement Alerts 

Management. ● Tax Pay & File: Allows the role to access ATB Online Government Tax Payment & Filing 

Services through ATB Online Business if the business is enrolled in ATB Online Government Tax Payment & Filing Services.

● Mastercard Company View: Allows the role to view company Mastercard account information and individual card details for Mastercard accounts your role has entitlements to view.  

● Shopping Bank: Allows the role to purchase some business deposit accounts through ATB’s Online Shopping.  

● Shopping Services: Allows the role to purchase some business services through ATB’s Online Shopping.  

● Shopping Invest: Allows the role to purchase some business investments through ATB’s Online Shopping.  

Enhanced Security  

Enhanced Security may prompt you to enter a one-time verification code when you initiate specific sensitive online transactions. These transaction through ATB Online Business may include: 

● Adding or editing bill payees ● EFT files ● One-off Payments   ● Changes to passwords and challenge questions and answers ● Managing users and roles 

 Your one-time passcode will be sent to you by SMS text or automated phone call, depending on your                                   preference. When you enter the passcode in ATB Online Business, the transaction proceeds. The whole                             process takes only a few seconds from start to finish and will leave you two steps ahead of whatever                                     fraudsters might try.

User procedures As the administrator of ATB Online Business, you need to sign in before anyone else in your business can have access. You will automatically have full access to all accounts the business has requested be available in ATB Online Business and the services in which the business has enrolled. 

Accessing ATB Online Business Sign in 

ATB will send the administrator their User ID and password to sign into ATB Online Business. If you have not received your User ID and initial password please contact us.  

Once you have received your User ID and password: 

1. Go to atbonlinebusiness.com

2. Type your User ID and Password, click Submit. 

 

3. Follow the on-screen instructions to change your temporary password. 4. Set up your Challenge Questions and Answers. 

 

5. Select questions by using the drop down arrows within each Select a Question box.  

6. Type in the corresponding answers to the questions in box adjacent to the question you have selected.

8. Click Next to begin enrolment and activation of Enhanced Security. If you are not ready to enrol, click Defer Enrolment; the Account Summary page will be displayed in ATB Online Business.  

 

  

Note: If you defer enrolment you will have limited functionality for certain transactions, payments and administrative functions. The enrolment process will be presented each time you sign in to ATB Online  Business until you enrol. ATB recommends completing your enrolment as soon as possible. 

 

9. Enter your phone number, phone name (i.e. mobile, office) and the preferred delivery method for Enhanced Security notifications. The delivery method can be changed with each Enhanced Security notice you receive.

10. Click Submit to register the phone information.  

● A passcode input page will appear.  ● A one-time passcode will be sent as verification that the phone is in your possession and                               

the number was entered correctly. This verification process is required for each new                         phone number added for Enhanced Security.  

 

Note: When you add a new phone for Enhanced Security, a SMS text message is sent as notification                                   that ATB alerts have been activated regardless of the delivery method chosen. This enables the phone                               to be used for either delivery method after it has been successfully added. 

 

11. Enter the passcode received in your message from ATB and click Submit to complete the phone 

verification process. Enhanced Security passcodes are time-sensitive and are one-time use only. 

A. If your passcode is validated as correct, a Success page will appear. Your Enhanced Security enrolment is now complete.

B. If your passcode has been entered incorrectly, a Verification Failed message will appear. Click Send New Passcode to generate a new passcode or click Cancel to leave the enrolment process. 

 

C. If your passcode has expired, a Passcode Expired message will appear. Click Send New Passcode to generate a new passcode or click Cancel to leave the enrolment process. 

 

12. Once you’ve successfully entered a passcode, click Next to display the Account Summary page.

If you have employees in your business that need to access ATB Online Business, read the “Roles and users” section. 

Roles and users 

Before any users can access ATB Online Business you as the administrator must create a role, then add the user’s information. 

Manage roles 

Add a new role 

1. Click Administration; then click Add a new role 

 

 

Remember to click Copy if you already have a role created that you’d like to use as a template for the next role you’re creating. 

 2. Add a Role Name and description. 3. Select the entitlements under Account Access and Activity Access the role should have.

Note: If you don’t see a service in the Account Access table, use the scroll bar at the bottom to move the table left and right. 

 Refer to Entitlements for details on what each entitlement does.   4. Click Next. 5. Complete the Role Details by adding the actions, approval level and limits the role should have. Click Save Role.

6. Verify the entitlements you have assigned to the role; click Save Role. ➢ You’ll see a message confirming the role has been created successfully or that it has been 

submitted for approval if applicable.  

 

 

Repeat the above steps if you’d like to add more roles with different entitlements. Or go to Manage Users if you are ready to assign the role you’ve created to a user.   

View or edit a role 

1. Click Administration, click the name of the role you’d like to view or edit.

2. Make changes to the Account Access or Activity Access or click Next if the changes needed are to the Role Details. Click Save Role when you’ve made all the changes you require. 

3. Verify the the changes you made; click Save Role again.  

 

 

Remember that any users with the same role will also have their role updated with the changes.  

Delete a role 

 

1. Click Administration, click the name of the role you’d like to delete.

2. Click Delete Role. 3. Verify the role name and description; click Delete Role to confirm. 

Manage users 

Remember that before any users can access ATB Online Business you as the administrator must create a role, then add the user’s information.  

Users can be active or disabled, but once created they can never be deleted from ATB Online Business. If a user is active they can perform all the actions you have given them entitlements to through their role. If a user is disabled they will no longer be able to access ATB Online Business with the User ID the business has assigned to them. If you disable a user, remember to clear alerts from the View/Edit User page.  

Add a user 

1. Click Administration; click Manage Users. 2. Click Add User; follow the on-screen instructions and complete all the required fields. 3. Select from the drop down menu the role you’d like to assign to the user. These are the roles you 

as the administrator created. You can click View Roles to review the entitlements assigned to each existing role, or to create a new role.

4. Click Add User. A message confirming the User ID was successfully added or that the user has been submitted for approval(s) if required.  

 

Note: If you create a user without assigning a role, the user will only have access to Client Services.  

 

 

Edit a user 

If you need to change the entitlements of a user’s role see View or edit a role in this user guide. If you would like to change a user’s role or give a user a new role, create the new role or change the role assigned to the user on their user profile.    

1. Click Administration, then click Manage Users.  2. Click the User ID of the user whose profile or role you’d like to change. You can also reset the 

user’s password and clear alerts from the View/Edit User page.  

Note: If you are changing a user’s role the role must be created prior to assigning it to a user.

3. Once you’ve made the necessary changes, click Update User.  

 

 

➢ Click View Roles to review the entitlements assigned to each existing role, or to create a new role.  

 4. Verify the changes to the user’s profile; click Confirm to save the changes. A message 

confirming the updates to the user were made or that the updates have been submitted for approval(s) if required.  

Delete a user 

Users can’t be deleted from ATB Online Business once they have been created and saved. The administrator or a user with the entitlement of User/Role Administrator can disable a User ID. If a user is disabled they will no longer be able to access ATB Online Business with the User ID the business has assigned to them. Remember to click Clear Alerts if you disable a user so any alerts they have subscribed to will no longer be sent to their email address.

View users assigned to a role 

 1. Click Administration, then click View Users in the Users Assigned to Role column next to the 

role in question to view all users assigned to that role.   

 

 

 

 

Resetting passwords, challenge questions and answers and IA questions for the administrator and users  

At ATB, we make your banking security a top priority. We maintain strict security standards to prevent unauthorized access to your accounts and your financial information through ATB Online Business. Please refer to your ATB Online Business Access and Services Agreement for further details.

Resetting passwords 

Administrator password changes 

1. Click Client Services; under Security Preferences click Change Password. 2. Enter your Current Password and your New Password.  

Your password must be six to 32 characters in length with no spaces, include upper and lowercase characters, and/or at least one number. Your password may also contain special characters like “*,” “#” and “^.” Your password is case-sensitive and shouldn’t be similar to your User ID.  

3. Click Submit. A confirmation message will appear after the change has been accepted.

Resetting user passwords  

1. Click Administration, then Manage Users.  2. Do one of the following:  

a. If the user is locked out, click Reset Password. Type in a new password, click Reset Password. 

 

  

b. If the user is not locked out, click the User ID. The user’s status may be Disabled; ensure the Status radio button is set to Active for the new password to work. Type in a new password, click Reset Password.

Remember to give the user the password you just reset. The next time they sign in, the user will be prompted to change their password. 

 3. A message confirming the password was reset successfully will appear.  

  

Note: If you are approving changes to a user’s profile who was locked out due to inactivity, multiple failed sign in attempts, or their status is being changed from Disabled to Active you will be prompted to reset their password upon approval. 

Administrator challenge questions and answer changes 

 1. Click Client Services; under Security Preferences click Change Challenge Questions and 

Answers.

2. Click Modify for the challenge questions you’d like to change the answer to. You can also change the challenge question in this way. 

3. Type your new answer to the challenge question or select a new question and create the corresponding answer. Click Submit. 

 

Resetting Intelligent Authorization (IA) questions for users 

 

Note: The user must have a role assigned to them before resetting IA questions.  

 1. Click Administration, then Manage Users.  2. Click Reset IA Questions for the user whose questions you want to reset.

 3. A message confirming the IA questions were successfully reset and a temporary password for the user will appear. This temporary password must be used the next time the user signs in. They will be prompted to change their password after this.  

 

Alerts 

Alerts are automatic email notifications that will enable you to react faster and avoid missing key deadlines for important transactions and day-to-day banking activities. The administrator has access to the Alerts screen to manage and create alerts. A user’s role must have alerts entitlements (Alerts Management and/or Alerts) to subscribe to or create an alert. Check out the Alerts User Guide to set up email alerts. 

Auditing user activity  

The Audit function allows you to view the activities and transaction of all users with access to ATB Online Business.

2. Enter the search criteria and click Download or Search. 

 

Service Statements Service Statements summarize the service fees associated with your accounts for the products and services in which your business is enrolled. If the administrator doesn’t have access to Service Statements your business my not be enrolled in the service. Contact ATB to subscribe.  

1. Click Administration, then click Service Statements.  2. Enter beginning and end dates for the period in which you want to see the statements. Click 

Display. 3. Click the statement you want to view.

ATB Business Mobile call admin feature Users can download the ATB Business Mobile app from their phone’s app store. Users will have the same entitlements as they do in ATB Online Business for the accounts, products and services that are available in ATB Business Mobile. 

Should users have any problems while using ATB Business Mobile, the app will prompt the user with the “Call Admin” feature. By using this feature, the app calls the phone number that is designated in the Who should your users call for Support? section of your corporate administrator user profile in ATB Online Business.  

To change this number: 

1. Click Administration; then click View Users beside the role Corporate Admin.

3. Complete the Who should your users call for Support? section. ATB advises you, as the administrator, to use your own name and phone number. 

 

How ATB Online Business protects you Secure web pages and data encryption 

ATB Financial adheres to industry-standard security and encryption practices to protect your banking.                         Your account information is encrypted as it travels between our computer system and your Internet                             browser during your banking transactions. ATB Online Business uses 128-bit encryption to secure your                           financial information. 

In addition, your ATB Online Business banking session will automatically sign you out after a 15 minute period of inactivity. 

ATB Online Business is an Entrust Secured website. 

Intelligent Authentication 

ATB Intelligent Authentication makes your ATB Online Business experience even more secure. Intelligent Authentication examines the access behaviour of visitors to ATB Online Business and determines when it is necessary to block or challenge suspicious visitors.

How you can protect yourself 

We recommend that you adopt the following security practices to increase your own level of protection: 

Choosing and protecting your password 

● Your ATB Online Business password guards your security. Never tell anyone your password, including ATB representatives. ATB Financial will never ask you for your password. We can reset the password only for the administrator.

● Only your administrator can reset user passwords for ATB Online Business.● Choose a password that you will remember but that is not easy to guess. Passwords containing

combinations of letters, numbers, and capital letters (for example, 45GC7kt9y) are usually more secure.

● The password for ATB Online Business is case-sensitive and needs to be alphanumeric and between six and 32 numbers.

● Your password for ATB Online Business should be unique.● Change your password on a regular basis.● Do not write your ATB Online Business User ID together with your password.● Do not write down or tell anyone your challenge questions and answers.● Disable your browser from remembering all sign-in details. 

Keeping your computer secure 

● Equip your computer with the latest antivirus and firewall protection. Download virus definitionsand updates regularly to ensure you have the most up-to-date versions of your software.

● ATB Financial does not recommend accessing ATB Online Business from Internet cafés andother public-access wi-fi sites.

● Check for an Internet protection symbol in the bottom right corner of your browser.● Be sure to sign out of ATB Online Business once you have completed your banking session.● Never sign in to ATB Online Business from an email message or link. ATB will never send an

email message linking you to the ATB Online Business site. Always sign in directly from yourbrowser to avoid being directed to a false site.

● ATB will never ask for your personal and financial information by email. If you receive an emailmessage asking for your ATB banking information or redirecting you to an alternate ATB OnlineBusiness site, delete it immediately and call ATB Financial.
