The mandate is to represent the interests of regional associations at the national level, assist in the exchange of information between associations, support the implementation of services, and promote national standards in fire prevention, education, and suppression within Indigenous communities across Canada. To further its goals AFAC in cooperation with the Government of Canada initiated the National Indigenous Fire Safety Council (NIFSC) Project. Over the next two years, the NIFSC Project will be developing more than seventy programs ranging from public fire safety education to custom support services for indigenous fire departments across Canada. Currently, the NIFSC Project is seeking a contract Administrative Assistant who will be responsible for assisting both the Program Development and Program Delivery Teams with a range of administrative tasks in order to keep communication flowing, work organized, and team member efforts tracked. Please note that this is primarily a remote position however candidates must be located in the Vancouver area as attendance at the Vancouver office will be required for some tasks. This role will provide part time hours to start however may increase in the future based on project demands. Main Responsibilities Include: > Gathering, scanning, filing, and tracking home safety assessments; > Working with Delivery Specialists, tracking program deliveries and delivery schedules; > Responding to incoming calls and emails from internal and external partners regarding general program information and program delivery; > Gathering and tracking work estimates, invoices, and expense reports from contractors assigned to the development and delivery teams for approval by the department leads; > Organizing community visits and booking travel arrangements for team members; > Assisting team members in submitting expense reports; > Planning meetings and taking detailed minutes; > Assisting in the preparation of regularly scheduled reports; > Coordinating, organizing, and filing documents in SharePoint; > Reviewing, editing, and formatting Microsoft Office documents; > Other administrative duties as assigned. Core Required Competencies: > Intermediate proficiency in Microsoft 365 (Word, Excel, PowerPoint); > Familiar with SharePoint; > Demonstrated experience in providing administrative support to teams / departments and on projects and around project deliverables; > Demonstrated experience working with Indigenous communities; > Self-motivated, productive, and efficient; > Excellent analytical, problem-solving, and time management skills and the ability to prioritize work; > Attention to detail; > Excellent interpersonal and communication skills (oral, written, intercultural); > Strong organizational skills with the ability to multi-task; > Ability to handle confidential and sensitive information with discretion, maintain strict confidentiality and exercise initiative, diplomacy, tact and mature judgment;

Minimum Education, Certification, & Experience: > At least three (3) years of demonstrated work experience in the core required competencies. > Post-secondary education or courses in office assistance, administrative services, or similar.

Preferred Qualifications: > Bilingual English and French. > Knowledge of the Firefighting Industry.

This is anticipated to be a contractor role initially starting September 15, 2020 and concluding March 31, 2021 and is on a part-time basis.
