Adding FieldsFrom within your database, go to Settings,

Customize

Create and Change fields





Click on Add Field

Change the Name from New Field to the field you want

The parameter field choices need to be set:

Type: This sets the type of data stored, Character, numeric, URL etc. Note: once you set the type, any changes can cause data to be lost.. such as changing a Char-acter field to a Numeric field will cause any field with characters in it to be blank.

Size: max is 254, once saved this cannot be changed except on the server. Default is 50. Initial: Set a field default only if necessary. This will cause the field to be popu-lated with the same information until changed.

Entry Rules: No rules, Only from drop down or Protected Note: Default is no rules, allows entry into every field.

Field cannot be blank: The record cannot be saved or navigated from unless data is in this field. Note: this makes it hard on the end user as they must put data in the field and they may not have it.

Primary Field: Field will be duplicated as one of the primary fields.

Generate History: Any change to field, the old data will be saved in notes Note: this is especially helpful for fields that are essential to your company

Block synchronization: Data will not be synchronized to Outlook or Smart Phones

Drop-down:

Allow Edit list—Able to edit list from within drop downAuto add new items to drop-down—any item typed will be added to drop down

Click on Save, a box will pop up regarding changes to field properties, click OK. (This is a warning that if you have made changes to the field type, you may lose your data. That change would be a change in data type.)

Repeat for all fields you need to add.





Change LayoutGo to Settings

Customize

First step—Download Layout Tool, save to your PC and execute. The tool will show up in your program files.

Second step—go to Customize Tabs & Layouts





Right click on Download Field Files.xml and do save link as to save it to your pc, (we sug-gest saving to a folder to find it easier)

Then right click on download for the layout you want. Contact.xml is the top half of the database screen

Open the SN layout tool Icon will look like this

The opened program looks like this





Go to File, then Open and browse to your downloaded layout files (Contact.xml,etc)

With the layout file open, click on File and Import Fields…. This will load the fields you have in your database to the layout tool.

To insert a new field, click on the F in the tool bar, this will allow you to insert a field.

Draw a small box anywhere on your layout by holding your mouse down and dragging to the right. This will pop up the box of available fields.





Pick the field you want to add. They are listed alphabetically. A field will not be in the list if it is already applied to the layout.

Once you have finished adding the fields click on the arrow button in the tool bar. This closes the field tool and allows you to drag your fields into place. The easiest way to move is to draw a small box over the label and the field. Do this by holding the left mouse down and draw a line over the fields and labels. This will put the box markers on the corners of your fields.

Now you can move them to where you would like to place them on the layout

To change the properties of the field or the label, double click on the field or label, a prop-erty box will open

This includes making it a text box or a check box.

How to rename fieldsWe can go to Settings > Customize > Create and Change Fields >

In the left listing, click and highlight the field that we want to rename > In the “Name” field/box, enter the new name you want the field to have, and after, click on the orange Save button below.

Once done, we need to re-download the XML layout file and the Field Files.xml for us to have a new copy of it since we just renamed the field.





Go to Customize Tabs & Layouts

We can then open/go back to the SN Layout Tool, go to File, then Open and browse to your downloaded layout files (Contact.xml,etc)

With the layout file open, click on File and Import Fields…. This will load the fields you have in your database to the layout tool.





Once you see your layout loaded in the SN Layout Tool, double click on the label of the field that you want to rename, a popup window should appear, and in the popup window, click on the “Text” tab and input the new name of the field in the blank and hit on the OK button.

After, we would also need to rename the label in three other places.





First we can go to the Contacts tab, once there, we can click on the green plus sign to the far right part of the screen.

In the popup window, click and highlight the field name, and click on the orange “Set Title” button to the right part of the popup window, and in the new popup window, enter the new name in the blank and click on OK.





We can also do the same process above for the columns that are on display in the Lookup tab.

For the advanced search area, we can click on the green plus sign, to the left of the label

“Contact” and the popup window should appear.

Once done editing the layout, we will upload the layout files back to the database.





To upload back to the databaseGo to Settings,

Customize,

Change tabs and layout,

Click on Upload

Browse to the file

Click on Upload File





NOTE: Do not change the name of the file as the name listed in the column called Layout file is the file the server matches to.

Log out and back in to see your changes. To view the changes, go to your My Record. If you need to make more changes, go back to your SN Layout tool, make your changes and upload again.

Once it is completed to the desired layout

Go to Settings,

Customize

Make My Screen Layout Active for All Users

Now all users will see your screen.

Note: If you add a new user, you need to click on Make My Screen Layout Active for All Users to make sure they have the latest changes.
