Please Note: Companies are Added on the Server and Activated on the Workstations
To Add Company (On the Server):
1. Once you have opened Pastel Version 14, click on File | Open at the top of the screen.
2. On the Open a Company screen click on either Manage or Add Company.
3. On the Sage Registration screen, you will see your registered ‘registration server’. Click on Add Company as shown below.
4. On the Browse for Companies screen, click on your company data and then on OK.
5. Note that your company data will be listed under the registered server. Click on Close to view the Open a Company screen.
6. On the Open a Company screen, you will see your data in the list of companies available for you to open.
To Activate Company (On the Workstations):
1. Once you have opened Pastel Version 14, click on File | Open at the top of the screen.
2. On the Open a Company screen click on either Manage or Add Company.
3. On the Sage Registration screen, you will see your registered ‘registration server’. The companies will be listed, but will have red crosses next to them, meaning that they need to be activated.
4. Click on the company that needs to be activated, and click on Activate Company.
5. On the Browse for Companies screen, select the mapped drive to the Server.
6. Click on your company data and then on OK
7. Note that your company data will be listed under the registered server, without a red cross, meaning that it is now activated. Click on Close to view the Open a Company screen.
8. On the Open a Company screen, you will see your data in the list of companies available for you to open.
Adding a logo to a form:
Most companies prefer having their company logo printed on the documents they send out, and consult with other companies to get this done for them. We have simplified this procedure in order for you to be able to personally customize your documents at your convenience. To do this, follow the steps below.
·∙ The company logo has to be a bitmap (.bmp), Jpeg (.jpg/ .jpeg), icon (.ico) or Windows Metafile (.wm) image.
·∙ This logo needs to be formatted to the required size prior to inserting it into your stationery layout as you will not have the capacity to alter the logo in the Pastel forms designer. If the image area is larger or smaller than the image itself, Pastel will shrink or stretch it to fit.
·∙ Save this file into your C:\Pastel (or Xpress)\Custom\Forms folder and into the relevant company folders. This is because you may have several companies on your books that all require their own letterheads and printouts.
·∙ Determine the type of paper that you are printing to and the relevant file that is going to be customized. You will need to know this in order to determine the file which needs to be edited.
·∙ For example, if you are printing to single plain A4 paper you would need to customize the file called csdocsp.eng for all customer and supplier documents, and csmthsp.eng for all customer and supplier statements and remittances.
Please refer to our Help files within Pastel for more information on these form file names.
·∙ Open your company in Pastel.
·∙ Click on the Utility Menu, and then select Forms Designer.
·∙ Click on File...Open and then select the relevant .eng file to be customized.
·∙ Once you have decided where you would like your logo to appear on the form, click on the Insert menu and select Picture.
·∙ Your cursor will change to a cross. You will be able to draw a box with this cursor, by clicking and dragging the mouse to the specifications of your logo image.
·∙ It will insert a blank box in the area where you would like your logo to appear.
·∙ At the bottom right hand corner of the screen, you will see a Properties List, where there are a few options where you are able to set the exact length, width and height of the box.
·∙ There is also a Picture option. Click on this and then click on the radio button that allows you to browse [the button that appears with three .’s -‐ …].
·∙ Browse for and select the image that you have saved into your C:\Pastel (or Xpress)\Custom\Forms.
·∙ This will insert the logo image onto the form. Note: This image cannot be re-‐sized once it is inserted onto the form in Pastel (It will only be shrunk or stretched to fit into the assigned area). This will need to
done in a program that facilitates for image editing e.g. MS Paint.
·∙ Once you are satisfied with the form, you will need to save it.
·∙ Click on File... Save As and select your company directory from the drop-‐down list, to save this form into the specific company folder. It is important that the logo and the form are saved in the same location i.e. your company directory.
·∙ The filename will change from .eng extension to an .enz which denotes customized forms.
·∙ The first time you print the form after having edited it, you might need to select the form. On the Print menu, tick the box “Use custom layout”, and then browse for the form.
·∙ You will need to open that specific .enz file in future, when adjusting the form again.
Backup Errors (530/506/507)
Close Pastel, and then register the following files:
1. Go to Start, Run and type in:
regsvr32 xceedzip.dll then click on OK button
If the registration was successful, it should bring up a window like this:
2. Go to Start, Run and type in:
regsvr32 ssa3d30.ocx then click on OK button
If the registration was successful, it should bring up a window like this:
Now go back into Pastel and you should not have the error anymore.
If any of the files fail to register, run a repair on Pastel.
To run a repair on Pastel, please do the following:
-‐ Insert the Pastel CD into the computer
-‐ Once the Auto play menu has loaded, click on Install > Product
-‐ Once the installation begins a Program maintenance screen will open prompting you to choose to either run a repair, modify or remove pastel
-‐ Select Repair and click on Next
-‐ Once the maintenance is complete,
-‐ Click on Finish
The purpose of this document is to guide the users with regards to applying the correct procedure after running the year end.
Debtors Manager stores its data on the SQL database, which a user creates before using Debtors Manager.
In most cases when users run the year end and create a new company, this new company will be where they will continue processing.
Users will need to point the newly created company to the company database that was created in SQL in order to retrieve all the notes that were done previously.
To do that Open up the old database that was used on the prior year. And go to File... Locate a Pastel Company.
Then browse to the New Company and click on OK
If the steps above were followed correctly, the screen below will pop up. Please click the OK Button.
Open Batches found when running the year-end.
a) The first thing is to ensure that there are no batches showing under View…Open Batches. If any are showing, you need to update these batches.
b) Please note that if client has deleted updateable documents they still need to update the batch so that the invoice will not show on Open Batches.
c) If there are no batches showing on Open Batches screen, you need to go to the company folder and search for files with the names accbtn*.*, accsjctl*.*, accbsj*.*,
acctgrid*.* - If any are found, delete the files that show under the company fo lder that is giving the error.
d) If the client does not use Point of Sale and the system shows POS open batches when you go to View…Open batches you can move the file “Documents.mdb” as shown below out of your company folder.
e) If you have open batches for customer or supplier documents showing under View…Open Batches but it does not show which user, please open your company folder and check you have a file with the name ACCINV.032. If you have the file, you need to create user 32 as shown below and then you can check if you can access the credit note batch. You can then delete this user after you have accessed and updated the batch.
Please note that the file might have a different number. If it as different number, you need to create a user with the corresponding number.
f ) Also search for accbtr*.* which is recurring batches, if found, rename them to
accbtr.o ld.. Do not delete them, unless client does not use recurring batches.
g) After all this has been done and client still has the error, you will need to get the data in for datafix.
If you have followed all the steps to update POS batches and you still get the message for
POS open batches, please open the file Documents.mdb using Microsoft Access and
ensure that updated is ticked on all documents under the “tblDocumentHeader” table as
shown below. Please ensure that you have a valid backup before deleting or changing
any files. I have attached documentation to assist with processing a backup.
Please note that you only do this if these documents show when viewing on Pastel Partner.
Runtime Error 53 when running a Year End:
This problem will happen when you are running your year-‐end in a new company folder from the workstation.
Firstly, make sure the Year-‐End procedure is being performed on the server machine.
If the problem persists, create a copy company and after this continue to perform the year-‐ end in the copy company.
Steps to create a copy Company
• Open your Pastel Partner
• Go to File| New
• Select the Copy another company
• Give a copy company a name and create

A. Remove the read only Attributes
B. Delete the diropen.dat file
C. Access Rights
Runtime error 70/ 75:
This error has to do with permissions.
I listed the possible solutions below to solve this problem. Please note these are not necessary to be done in any particular order. Anyone of these solutions might solve this help.
A. Remove the read-‐only attributes.
• Go to Windows Explorer
• Click on the Pastel folder e.g Pastel05, Pastel07, Pastel09 or Xpress05, Xpress07, Xpress09/ Pastel Version 11/ Xpress 11.
• Click on the Company folder
• Click on the first file press CTRL+ A on your keyboard – this will highlight all the files for you Keep the SHIFT key in and right click on the file. Go to Properties and then take the tick out of Read Only and change it to Archive. It will ask you if you want this for all the files and sub directories – select yes.
B. Delete the diropen.dat file.
• Close Pastel
• Click on Start... Search/ Find... Files or folders
• In the "named" field, type diropen.dat
• Click on Browse and select the C:\ drive as the location to search within
• Click on Search Now/ Find Now
• Upon finding the file, namely diropen.dat, which would be in the Pastel 2005\2007\2009 / Pastel Version 11/ Xpress 11 program folder, i.e. C: Pastel 2005\2007\2009 / Pastel Version 11/ Xpress 11? Delete it
• Then try accessing Pastel
C. Access Rights
• Check that the Pastel05, Pastel07, Pastel09 or Xpress05, Xpress07, Xpress09/ Pastel Version 11/ Xpress 11 directory is fully shared. Reset the sharing. Set the folder not to be shared and then share the folder to full sharing.
• Also check the user permissions on the Pastel05, Pastel07, Pastel09 or Xpress05, Xpress07, Xpress09/ Pastel Version 11/ Xpress 11 folder. By default is you add a user the user do not have full sharing rights. Make sure that the permissions are set to full sharing.
• Another problem with windows XP is that the users must have Admin rights on the computer where the data is stored. You will need to click on Start...Settings...Control Panel...Administrative Tools...Computer Management...Local Users and Groups...Groups...Administrators. All the users that are set to Administrators will be listed. Make sure that the users that log onto Pastel are in the list. If they are not, you need to add them.
• Set the working directory in the Pervasive Control Center. You must click on “Start...Run” type in “PCC”. The Pervasive Control Center will be opened. Click on “Pervasive.SQL V8, V9 or V10 Engines...Computer Name...Configuration...Server...Directories...Working Directory”. Click on the three dots and then navigate to the C:\PVSW directory and click on OK to save the changes.
This error will occur when you select your tax type when processing a transaction. The reason for this being that the tax type has reached its expired date.
• It can be corrected following the easy steps below: • Go to Setup... Tax. • Click on the Percentages tab. Here you will find a list of all the tax types’ setup for your company. For
each one of the tax types, you have a start and end date. • The end dates that have expired, needs to be changed to a date in the future, e.g. the year 2020.
Once you have made all the necessary changes, please click the OK button to shave your changes.
