Firstly, hello, and thank you for requesting a Families First pack!

We’ve filled it with fundraising ideas, hints and tips to make your event as successful as it can be.

But before you get stuck in, we’d like to tell you about ourselves… just who are we and what does the charity do?

About Norwich 99.9 and Families First…

Norwich 99.9 went on air in June 2006, and we’re proud to be the only commercial station dedicated to Norwich and it’s people.

Our charity, Families First, launched in September 2007, and aims to:

“Improve the lives of individuals and groups living in Norwich and the surrounding area by providing donations to drive education, health, welfare, ability and opportunity”.

Through fundraising activity, we aim to make donations to a wide variety of charities - not just the larger well known organisations, but the smaller causes too.

The charity background and how it all works

The Norwich 99.9 Families First charity is part of the Tindle Radio Trust. The Trust runs charities associated with each of its radio stations and guarantees that all money raised in the station's area will stay in the station's area.

Grant Boards are made up of local people and radio station representatives, who meet two or three times a year and award grants that particularly focus on the needs of individual disadvantaged children. The needs are varied and can take many forms from providing specialist equipment for the child, support in some way for the family, through to respite breaks. The Grant Boards will also consider grant requests from organisations supporting families with children and children's groups, if the funds needed will directly improve the lives of the children they support now and children they will support in the future.

How has Families First helped local groups and organisations in Norwich?

• Purchase of a mobility scooter to enable a disabled single parent to take his daughter to and from school and out of school activities.

• Funding towards a visit by a USA autism specialist who taught her daughter to chew.

• Money towards a weekend break away for a family with two young boys with a terminally ill mother.

• Donation to purchase a 'Paletto' - a communication / sound device - at The Clare School - a Specialist Physical / Sensory Special School.

Step 1

Fill in the Fundraiser Form

This way, we’ll know about you and can give your event publicity on air and online. We can also supply you with posters and we might even be able to send our Roadrunner team along.

If you are creating your own publicity materials, remember to state:

“Radio Norwich Families First is registered charity number 1120317”

Please remember that we must approve all materials before they are printed.

Some further advice when choosing an event…

Simple ideas work best. Don’t try anything that is too risky.

When planning, make sure your event doesn’t clash with a key event such as a pop concert or big footy game.

Make sure you create a plan and factor in enough time so you don’t find yourself panicking at the last minute.

Make sure your venue is big enough. Don’t forget about disabled access. What about seating? Electricity? Heating? Is there enough car parking?

Always stay safe. If you are unsure about people’s safety, check with your local authority.

Carry out a risk assessment and check what public liability insurance the venue operator/owner has. It should cover things like injury due to a roof collapse etc.

Other ways to raise money with your friends for Families First…

Why not get your workmates together to raise cash?

Staff fundraising is a great opportunity to develop team skills and improve morale. What’s more, 86% of consumers have a more positive image of a company that supports a charitable cause.

You could even nominate Families First as your charity of the year.

Norwich 99.9 can work with you to develop press and PR opportunities. Talk to us to find out more details.

We also want younger people to feel part of Families First.

If you are under 18, please check with a parent/guardian before you get started. Also, please note that under 16s should be accompanied by an adult if collecting money from the public.

School teachers and Youth Workers should always obtain written permission from parents/guardians prior to fundraising and before any press or publicity is generated.

Take extra care when working with children and be vigilant.

Step 3

Finances

Be realistic as to how much you think you’ll raise. Nobody wants to be disappointed.

Always keep proper financial records.

Remember to factor in a deposit for the venue and/or hiring items such as tables, chairs, costumes, CD players etc.

If you are fundraising at work, ask if your firm operates a matching scheme in which every £ you raise is matched.

Keep your costs low. Try and secure as many items you need for free by using your contacts.

We can provide you with posters to advertise your event. Make sure you put them up in busy areas but always ask permission first.

We can also e-mail you a copy of our logo for additional flyers/invites you are putting together. Please do not change the shape or layout and please let us approve the material before it’s printed.

Step 4

Have fun!

Always remember - Fundraising should be FUN!

You’ll no doubt want to let everyone see how much fun you had. Please e-mail us your pictures (address below) so we can place them on our website.

Newspapers always love to hear about community events. Call your local paper and talk to the Features Editor or send them a Press Release. Let us know if you need help putting one together.

Additional info you need to know…

Collections

Families First does not encourage street collecting. If you wish to collect in the street you must obtain a permit from your local council. These are issued up to 6 weeks later and must be carried with you when collecting.

Collecting on private property must be approved by the landlord, owner or manager (i.e. pubs, shopping centres, fields, restaurants).

Raffles, Tombolas, Lotteries

Please be aware this is governed by the Lotteries and Amusements Act 1976.

A lottery, raffle, or tombola does not have to be registered so long as tickets are sold and results announced at the event.

There should be no cash prizes and no more than £50 spent on prizes. There is no limit to the value of donated prizes.

If you are unsure or your event does not meet this criteria, talk to your local authorities.

Additional info you need to know…

Quizzes

If you are organising a quiz, there is no limit to the prizes that can be offered.

Food

Anyone cooking, serving or selling food should do so safely, following the Food Safety Act 1990. Make sure food is cooked to the correct temperature and all surfaces kept hygienic. If using nuts, unpasteurised milk or raw eggs, this should be clearly marked. If selling food that has already been defrosted, label it warning people against refreezing.

Alcohol, Dancing, Singing

Check with your local authority first – you may need a Public Entertainment Licence/Liquor Licence if your venue doesn’t hold one.
