ACTION CARD Version 9 updated 28 August 2019 Ninewells Clinical Area contingency actions for IP and Analogue telephone failures
IP failure - New phones
1. Revert to Analogue phones (Location in list attached)
2. Switchboard to inform Chief Officer Acute Services (or deputy) or
Executive On call and Duty Manager (out of hours). Switchboard
to cascade to Nursing Bleep holders and H@N to ensure all areas
are aware to use clinical area Analogue phone (old phones)
3. If no Analogue phone in the clinical area locate one in adjacent
clinical area
IP, Analogue, Bleep and 2222 failure
(New and Old phones)
1. When staff become aware that the phones or bleep system is not
functioning, staff must collect the allocated Emergency Radio for
their Primary Area from Main Reception Desk
2. Revert to Radios for Emergency communication
3. Switchboard to inform Chief Officer Acute Services (or deputy) or
Executive On call and Duty Manager (out of hours)
4. Bleep holders to ensure all areas are aware to use Radios and the
Primary Areas collect Radios from Main Reception and know how
they work (Radio operating manual attached as appendix 1)
5. The Main Reception Desk will check whether all Radios have been
collected
6. Invoke buddy system for non Primary Areas to use Radio when
required
7. Once resolved – all Radio phones must be returned to the Main
Reception Desk to be charged

FAST TEAM – Stroke Ward 33
1
• When a telephony failure has been announced and contingency plans evoked the co-ordinator in Ward 33 will inform the FAST response team and record their mobile phone numbers
2
• When the FAST team are required a member of staff will go to the nearest Primary Area and use the radio stating:
• “EMERGENCY CALL FOR WARD 33 FOR FAST POSTIVE”
3
• The co-ordinator in Ward 33 will then contact the FAST Team on their mobile phones to attend the clinical area concerned
4
• If no response the clinical area must invoke the buddy plan by sending a member of staff from a buddy ward to Ward 33
5
• Once Resolved - The co-ordinator in Ward 33 will communicate "Stand down" and must return the Radio to Main Reception to be charged

CARDIAC ARREST - Coronary Care Unit (CCU)

• When a telephony failure has been announced and contingency plans evoked the CCU co-ordinator will inform the Cardiac Arrest Team and record their mobile phone numbers.

• After the emergency buzzer is pulled in the clinical area a member of staff will go to the nearest Primary Area and use the radio stating:
• “EMERGENCY CALL FOR CCU FOR CARDIAC ARREST”

• The co-ordinator in CCU will then contact the Cardiac Arrest Team on their mobile phones to attend the clinical area concerned.

• If no response the clinical area must invoke the buddy plan by sending a member of staff from a buddy ward to CCU
5
• Once Resolved - The co-ordinator in CCU will communicate "Stand down" and must return the Radio to Main Reception to be charged

• When Blood Products are required a member of staff will go to the nearest Primary Area and use the radio stating:
• “EMERGENCY CALL FOR TRANSFUSION LAB FOR MASS HAEMORRHAGE”
2 • If no response the clinical area must invoke the
buddy plan by sending a member of staff from a buddy ward to Blood Transfusion Laboratory on Level 6, Ninewells Hospital
3 • Once Resolved - must return the Radio to Main

• When a telephony failure has been announced and contingency plans evoked the co-ordinator in Ward 18 will inform the on call Consultant Orthopaedic Surgeon and the Advanced Nurse Practitioner on for Major Trauma and record their mobile phone numbers
2 • The coordinator in Theatre Main Suite will contact the on call Anaesthetist for
Major Trauma and record their mobile phone number

• When the Major Trauma team are required a member of staff in ED use the radio stating:
• “EMERGENCY CALL FOR MAJOR TRAUMA”

• The co-ordinator in Ward 18 will then contact the on call Consultant Orthopaedic Surgeon and the Advanced Nurse Practitioner on for Major Trauma
5 • The co-ordinator in Theatre Main Suite will contact the on call Anaesthetist on
their mobile phone to attend ED for Major Trauma

• If no response ED must invoke the buddy plan by sending a member of staff from a buddy area to Ward 18 and Theatre Main Suite to contact the on call Consultant Orthopaedic Surgeon and the on call Anaesthetist

• When the Obstetric Emergency team are required a member of staff will go to the nearest Primary Area and use the radio stating:
• “EMERGENCY CALL FOR OBSTETRIC EMERGENCY”

• The co-ordinator in Labour Suite will then contact the Obstetric Emergency Team on their mobile phones to attend the clinical area concerned
4 • If no response the clinical area must invoke the buddy plan by
sending a member of staff from a buddy ward to Labour Suite

FIRE
1 • When a fire occurs in a clinical area the nearest
fire alarm is raised

• A member of staff will go to the nearest Primary Area, if safe to do so, and use the radio stating:
• "EMERGENCY CALL FOR SWITHCBOARD FOR FIRE"
3 • Switchboard will alert the Fire Emergency Team
4 • Any member of staff must telephone 999 and
state Emergency Fire and the location

Operating Instructions for Vertex Standard EVX-531 2-Way Radio

Quick Start Instructions:
Turn the top panel’s VOL/PWR knob clockwise to turn the radio on.
Turn the top panel’s CH Selector knob to channel 1.
Rotate the VOL/PWR knob to set the volume level.
To transmit, monitor the channel and make sure it is clear.
Press and hold the PTT switch. Speak into the microphone area of the front panel grille in a
normal voice level. To return to Receive mode, release the PTT switch.
