All 10’x10’ and 8’x10’ booths include: • 8 ft. high background drape and 3 ft. high side-rail drape.

Literature TableThe Literature Table is available for distribution of your company literature including pamphlets, brochures, cards, leaflets, magazines, and similar materials. It will be displayed prominently in the exhibit hall so that all visitors to the exhibit hall can help themselves. These materials will be replenished by AACAP staff regularly.

We recommend 200–1,000 copies of each item for display. Unused materials cannot be returned. A sample of each piece to be displayed must be submitted with your application and payment to allow for pre-approval.

A fee of $350 for for-profit companies and $175 for non-profit companies (501(c)(3) status only) applies for each style or type of literature displayed. Materials should be delivered to the address below and must arrive no later than September 27, 2019. After September 27, you will incur a fee of $400 for for-profit companies and $200 for non-profit companies. Any packages sent directly to the hotel will be at your own risk, and you will be responsible for any package handling fees from the hotel.

Meet the AuthorPromote your book at this year’s Annual Meeting! Join us at our “Meet the Author” table in the Exhibit Hall. Sign up for a one-hour time slot to promote your book. We include a 50-word description on a flyer distributed to all attendees as well as a listing in the Annual Meeting Program Book. Limited time slots are available beginning on Wednesday, October 16 and ending on Friday, October 18.

Pricing: $300 per hour

Acceptance of sign-up is based on availability. All applications need to be submitted by August 20 to have a listing printed in the Annual Meeting Program Book. Any application received between August 21 and September 23 will be listed on the Meet the Author flyer only.

exhibition rules and regulationsEligibility for ExhibitingAACAP strives to maintain a professional atmosphere for all the attendees and exhibitors. To demonstrate this, rules and regulations have been established to govern the Exhibit Hall.

All exhibits planned for AACAP’s 66th Annual Meeting must be in keeping with the intent of the meeting and must be clearly related to child and adolescent psychiatry. Notwithstanding the foregoing, AACAP has the sole and exclusive right to accept or to refuse space to any company who has failed to fulfill its financial obligation(s) to AACAP and/or whose products or services, in the judgment of AACAP do not meet the educational, scientific, or practice needs of our members of attendees.

Upon request, exhibitor must submit a photo of the products and provide detailed descriptions to AACAP and receive written approval from AACAP. If exhibitors register and make full payment without clarifying the product category, AACAP has the right to reject the application and make full refund. If the products demonstrated in the exhibit hall are different from what was approved, AACAP has the right to remove the booth onsite. The standards apply to commercial firms and other organizations, including not-for-profit organizations.

AACAP reserves the right to require any exhibitor to remove an exhibit or any part of an exhibit which, in the sole judgment of AACAP, is misleading or deceptive, in poor taste, or unsuitable to or not in keeping with the character and objectives of the conference. AACAP also reserves the right to refuse space to any organization, individual, company, etc. that it deems inappropriate.

AACAP reserves the right to reject any application for an exhibit booth and to revise, add to, or abandon any booths shown on the floor plan where AACAP believes it necessary, to revise the assignment of a booth to an exhibitor for betterment of the show.

Liability and InsuranceAACAP is not responsible for injury, loss, or damage that may occur to exhibitors, their employees, agents, or property prior to or during this meeting. The exhibitor, upon signing the application form, expressly releases AACAP and its employees and agents from liability, and the exhibitor further agrees to indemnify same against any and all claims due to such injury, loss, or damage. Each exhibitor must provide for safeguarding of their goods, materials, equipment, personnel, and display at all times. General security will be provided by AACAP for the set-up and duration of the exhibit show. AACAP strongly recommends that each exhibitor secure a rider to its insurance policy for items during transportation to and from this meeting, as well as during installation, exhibit show days, and dismantling.

Hold HarmlessThe Exhibitor assumes responsibility and agrees to indemnify and defend AACAP and its respective employees and agents against any claims or expenses arising out of the use of the exhibition premises. The Exhibitor understands that AACAP does not maintain insurance covering the Exhibitor’s property and it is the sole responsibility of the Exhibitor to obtain such insurance.

Hotel GuidelinesExhibitors shall be fully responsible to pay for any and all damages to property owned by Hyatt (HYATT REGENCY CHICAGO), its owners or managers which result from act or omission of Exhibitors.

Exhibitor agrees to defend employees, subsidiaries and affiliates, from any damages or charges resulting from Exhibitors’ use of the property. Exhibitors’ liability shall include all losses, costs, damage, or expense arising from, out of, or by reason of any accident or bodily injury or other occurrence to any person or persons, including

the Exhibitor, its agents, employees and business invitees which arise from or out of the Exhibitor’s occupancy and use of the exhibition premises, the Hotel or any part thereof.

The Exhibitor understands that neither AACAP nor the Hyatt Parties maintain insurance covering the Exhibitor’s property and it is the sole responsibility of the Exhibitor to obtain such insurance.

PaymentApplications without full payment will not be processed. Payment must be received with your application. Payment by credit card can only be made when registering online.

No Show and Early DeparturesExhibitors must be present to man their booths for the entirety of the meeting. A penalty of 20% of your booth cost will be charged to any exhibitor who leaves the conference early or does not set up on time.

CancellationBooth reservations may be cancelled, and a refund issued, less 50%, prior to August 9, 2019. Cancellation after August 9, 2019 obligates the exhibitor to pay full rental. No refunds will be made after this date unless the space has been resold. In the event the space was able to resold, a 50% refund will be issued.

Exhibitor SalesSales are permitted in the exhibit area. It is the responsibility of vendors making sales in the AACAP exhibit space to comply with state, local, and federal regulations and to pay appropriate taxes, including local sales taxes.

GiveawaysAll demonstrations, sales activities, and distribution of circulars and promotional materials must be pre-approved by AACAP in writing, and confined to the limits of the exhibitor’s booth, except that which is specifically authorized by AACAP. Any advertising premium or novelty giveaway must be items that can be used in the professional activities of the booth visitor and must be of modest value. Exhibitors must display only goods manufactured or dealt within their regular course of business, unless otherwise approved by AACAP. Please visit the Exhibitor Service Center (a customized link will be emailed with your exhibit confirmation) to submit giveaways. Please note that bags of any kind, stick-on decals, and balloons are not permitted.

Raffles and PrizesExhibitor must provide information about the Exhibitor’s company, products and/or raffle prize. Exhibitor is responsible for providing the raffle prize. The drawing and awarding of prizes should be open to all attendees instead of limiting to any specific target group of attendees.

Food and BeveragesOnly food and beverages purchased from Hyatt may be served on Hotel property. The Hotel reserves the right to cease service of alcoholic beverages in the event that persons under the state mandated age limit are present at the function and attempt to receive service of alcoholic beverages. Hotel further reserves the right to deny alcoholic beverage service to guests who appear to be intoxicated. Please contact AACAP Meetings and Exhibits Manager for prior approval of food distribution. No selling of food or beverage is permitted.

Chicago Labor RegulationsAll exhibit and display work in the Chicago area must be done by Union Labor. There are six (6) unions that have jurisdiction over trade shows.

Official Service ContractorTo assure orderly and efficient installation, operation and removal of the displays, and to minimize confusion by the presence or solicitation of unknown or unqualified firms, Shepard Exposition Services (“Shepard”) has been designated as the official service contractor by AACAP. An outside contractor to set-up and dismantle the exhibit must submit its requests in writing to Shepard and list the

names of all display company representatives working in the exhibit area along with proof of liability insurance.

Other Rulesa. In the event the exhibitor fails to install the display by

Wednesday, October 16 at 10:00 am, or fails to pay the full space rental at the time specified or fails to comply with any provisions concerning the use of display space, AACAP will have the right to take possession of the said space and resell it, or any part thereof.

b. Exhibits which include operation of audio-visual equipment or any noise-making machines may not operate the equipment in a manner that will disturb other exhibitors and their patrons. If an exhibit is determined to be disruptive by AACAP, the exhibitor will be asked to cooperate in resolving the disruption. If proper action is not taken by the exhibitor, AACAP reserves the right to take disciplinary action.

c. No copyrighted music will be played at this event. Additionally, no filming or photography of meeting attendees is permitted without prior approval by AACAP.

d. Exhibitors are not permitted to dismantle or abandon their booths before the show officially ends.

e. See AACAP’s Operating Principles for Extramural Support of AACAP Meetings and Related Activities on www.aacap.org for detailed regulations.

f. All island booths must submit a floor plan to AACAP for pre-approval by September 6, 2019.

g. Signs, Decorations or Banners may not be affixed to any surfaces in the building. No holes may be drilled, cored or punched into the building. All equipment used must be stable without bolting or anchoring to floors or walls. Decorations may not include, crepe paper, cellophane, confetti, cotton, cornstalks, leaves, evergreen boughs/trees, glitter, sheaves of grain, streamers, straw, paper, vines, etc. The use of single sided or double stick foam tape, single sided or double stick cellophane tape, or masking tape is prohibited on any floor surface in the Hyatt Regency Chicago.

h. Children under 16 are NOT permitted on the show floor during move-in and move-out times.

i. The name, logo, designs or any representations of AACAP and its activities may not be used without the explicit, written permission of AACAP.

j. The acceptance and/or presence of an exhibit for participation in an AACAP meeting never implies the endorsement or support of the exhibitor or its product or services.

Shipping and StorageShipments should be received and stored by Shepard Exposition Services prior to the Annual Meeting. Delivery of the shipment to the booth, removal of the empty crates to storage, return of empty crates at the close of the show, and delivery of your shipment to the loading platform will be provided by Shepard Exposition Services at the prevailing rates. A drayage information rate sheet will be included in the exhibitor’s kit. It is the exhibitor’s responsibility to mark and label their own crates/boxes.

Hotel Poacher InformationAACAP does not utilize third-party brokers for its hotel bookings unless indicated on its website. While it is not illegal for a travel firm or booking agent to solicit potential customers, it can be difficult to determine the legitimacy of offers from these organizations and guarantee that a room will be reserved at the hotel. If you don’t make your housing reservations directly with the meeting hotel as instructed by AACAP, we will not be able to assist you. Agreement to RulesThe Exhibitor, for itself and its employees, agrees to abide by the AACAP Annual Meeting Rules and Regulations set forth in this Agreement or posted on AACAP’s website, and any other rules, policies or regulations of the Hyatt Regency Chicago and by amendments that may be put into effect by AACAP, Hyatt Regency Chicago, and its contracted decorating company.
