CATERING POLICIES & PROCEDURESThe following policies explain the basic guidelines for The Reserve and will assist you in the planning stages of yourevent. Specific details pertaining to menu selections, room and table arrangements, entertainment and other matterswill be discussed and established prior to the event. Every effort will be made by the Staff and Management of TheReserve to ensure a successful event. A well planned and successful event requires a review of the following policies.

1. ROOM RENTAL CHARGESThe Grand Reserve $1,000.00Ceremony Fee $500.00

2. PREVAILING LAWSAll Federal, state and local laws with regard to food andbeverage purchase and consumption are strictly adhered to.The Reserve reserves the right to inspect and regulate allprivate meetings, banquets and receptions in accordance withestablished policies and laws.

3. FOOD AND BEVERAGEThe Reserve must provide all food and beverage, with theexception of special occasion cakes, which must come from acommercial bakery. A $2.50 per person cutting and servingfee will apply. No shots will be served at the bar. Pleaseinform The Reserve at least two weeks prior to your event ifthere are any dietary restrictions or food allergies. If thisinformation is not communicated to us two weeks prior The Reserve is not liable.

4. ADVANCE PAYMENTFor all general events, a deposit of $2,500 shall be paid to The Reserve at the time of signing the contract. We require50% of the estimated total six (6) months prior to thefunction date and 100% of the remaining estimated bill bepaid no later than ten (10) working days prior to the functiondate. Any remaining balance is due in full at the conclusionof the event.

5. DEPOSIT POLICY AND EVENT CANCELLATIONAll deposits and advanced payments are non-refundable.Should your event cancel or significantly decrease yourcontracted food and beverage, liquidated damages will beprovided to The Reserve based upon the following schedule:

From date of acceptance to six months prior: Fiftypercent of the contracted minimum revenue requirements.

Within ten business days: One hundred percent of thecontracted minimum revenue requirements.

It is understood that The Reserve will make reasonableefforts to re-sell cancelled functions and will credit anyrevenues due for re-sold food and beverage.

Should client book less than six months prior to the eventdate, 50% of the food and beverage minimum will be due asa deposit upon booking.

6. CORPORATE CREDIT APPLICATIONAll credit applications for corporate function must be receivedand approved no later than thirty (30) days prior to thefunction date. Advance payment of fifty percent (50%) of theestimated master account will be due at that time. Paymentwill be required upon receipt of the billing statement.

7. SERVICE CHARGES AND SALES TAXA twenty percent (21%) service charge will be applied to all foodand beverage revenue. The six percent (6%) sales tax (or currenttax rate) will be applied to all food and beverage charges. Statetax is also applied to service charge. Groups requesting taxexemption must submit a tax exempt certificate thirty (30) daysprior to the function date, or tax will be applied to the final billand will not be refunded. (Further information will be suppliedto our tax-exempt customers.)

8. FUNCTION SPACE GUARANTEETo confirm function space on a definite basis, the group mustprovide The Reserve with written authorization on The Reservecontract or a confirmed Banquet Event Order. The Reservereserves the right to release function space which has not beenconfirmed in writing and/or for which no deposit has beenreceived.

9. BANQUET SETConfirmation of the final number of attendees of any functionmust be submitted to the Catering Department no later than 14 business days prior to the function date. The guest countcan be increased after this date, but not decreased. The Reservewill be prepared to serve five percent (5%) in excess of theguarantee. Should the guarantee exceed five percent (5%) ofthe original estimated number of attendees, The Reservereserves the right to make a substitution for the original entréeordered. All charges will be based upon the final guarantee, orthe actual number of guest served, whichever is larger. If therequired final count guarantee is not submitted to the Cateringdepartment, the original attendee figure on the banquet EventOrder will be considered the final count.

10. MENU SELECTIONSAll menus must be finalized thirty (30) days prior to yourevent. All menu selections shall be considered definite andnot subject to change ten (14) working days prior to thefunction date. Once selections are finalized, a banquet eventorder will be provided and must be signed by client no laterthan 5 days prior to the event. Items listed on our menus areby no means the only items available. The Reserve CateringManager will be most willing to discuss alternate menuselections specially requested for your event.

11. SERVICE FEESCoatroom service is available at a charge of $75.00 percoatroom attendant. Coatroom attendents are required for all events booked September through May. Valet parkingis available at $7.00 per car and is based on the number ofcars parked the day of your event. Culinary chefs for foodstation presentations are available for $100.00 per chef. Box delivery and storage is available for $2.00 per box.

12. MARKET FLUCTUATIONSAll prices are subject to change due to market fluctuations,unless such prices are confirmed in writing. Confirmed priceswill be quoted no more than one hundred twenty (120) daysprior to the scheduled function. No greater than a 7%increase of menu pricing at signing will occur.

13. LIQUOR SERVICEOpen Bar: All charges incurred in relation to bar sales will bethe responsibility of the group or individual hosting the event.The Reserve facility reserves the right to refuse serviceto any minor, or person who cannot provide proof ofage, per Michigan State law. The Reserve, at its owndiscretion, may discontinue beverage service if Michiganlaws are not obeyed.

14. PACKAGES AND SHIPPINGDue to limited storage space, materials cannot be received atThe Reserve more than two (2) days prior to the meeting/event.The Reserve does not at any time guarantee the security of anyitems left in the function rooms or stored on site. Loss ordamage to group displays, decorations, or other propertybrought into The Reserve will be the sole responsibility of thegroup, with The Reserve assuming no liability.

15. ELECTRICALElectrical requirements for meetings and exhibits must bediscussed in advance to ensure that the proper number ofoutlets and power is provided. Additional power must bereserved through our Catering Department. For display set-ups, arrangements must be made in advance for rental ofelectrical equipment.

16. AUDIO-VISUALThe Reserve can provide any audio-visual requirements, at anadditional cost. The Reserve must be notified in advance ofany outside company or producer coming on property, andreserve the right to advance approval, restrict or deny.

16. TELEPHONEShould your group require a house phone, DID phone,speakerphone or conference call, these needs will be coordinatedin advance by an outside company at an additional cost.

18. CONDUCTThe host is responsible for the conduct of all persons inattendance and for any damages incurred upon The Reserveor its guests by individuals associated with or representingthe group's organization.

19. ACT OF GODIf, for reasons beyond our control, including but not limitedto, labor strikes, accidents, government restrictions orregulation on travel, acts of war or acts of god, The Reserve isunable to perform its obligations, then such non-performanceis excused with no other liability upon return of deposit. Inno event shall The Reserve be liable for consequentialdamages for any reason whatsoever.

20. SECURITYThe Reserve requires security personnel for all groups whosesize, program or nature indicates such need, at the solediscretion of The Reserve Management. The SecurityCompany hired is at the discretion of the group, and must bea reputable and licensed guard or security agency approved byThe Reserve Management. If the Security Companycontracted by the group does not meet The Reserve'srequirements, The Reserve at the group's expense shallcontract additional security services.

21. SIGN POLICY AND DECORATIONSAll signs must be professionally printed or painted, and mustbe approved through the Catering Department. No pins, tacksor adhesives of any kind are permitted on any of The Reservewalls or doors. Flowers, balloons or any otherdecorations are not provided by The Reserve and aresubject to our approval. No taper candles, confetti typedecor, glitter, sand, fog or smoke machines or fake snowis allowed.

22. GIFTS AND PERSONAL ITEMSThe Reserve is not responsible for any personal items, giftsand/or gift envelops brought into the building. It is theresponsibility of the contracted party to secure any personalitems or gifts and remove them after their event.

22. TENT USEThe use of the tent connected to The Reserve is included inthe rental fee. The tent is used year round as the pavers inthe tent are heated. The tent is not able to maintain theheated temperature if the temperature outside is below zero.In no event shall The Reserve be liable if the tent cannot beused due to the weather.
