DELEGATIONS Moira Gibson -Tall Tale Media- Cultural Roundtable Sponsored Video Review Presented videos with emphasis on visual assets with a focus on the cultural aspects of Wellington North. There are ten participants at this time with some still a work in progress.

Penny Renken introduced Paula Solway, President of the Mount Forest Museum and Archives. The Committee was given a tour of the newly renovated Mount Forest Museum and Archives.

BUSINESS ARISING FROM MINUTES

Planning Updates from subcommittees: o Communications

Vision was presented and will bring two "Action Items" to focus for the next meeting. Rob Matisse from the radio station, 88.7 The River will be invited to the meeting for his expertise in media communications and opportunities available on the commun ity station for the Cultural Roundtable.

o History and Story Telling Next steps were discussed and the top two will be prioritized for the next meeting.

o Heritage and Buildings Jim Taylor brought forward the main items to review and narrowed to two. A "Tool Kit" is available on the "how to's" for establishing a Historical Committee at a cost of $39.00

for 5 booklets which will be ordered. The Blacksmith Shop has formed a sub- committee of four to create a business plan and will present to Wellington North Council in September. The question of separating the house from the blacksmith shop will also be looked at. A presentation on the Blacksmith Shop was well received at the County Historical meeting last week and Penny Renken will bring the presentation to the next Cultural Roundtable Meeting on March 17th.

Two action items from each subcommittee to be sent to April by March 4th to compile and present a motion to advance at the next meeting.

NEW BUSINESS

Report from the Chair Jim Taylor

Community An imator Update April per Trish Wake Looking at presenting a four session workshop series to community organizations that support volunteers, to build on volunteer engagement capacity. The workshop series is to be presented by the Town of Minto and Township of Wellington North Cultural Roundtables, with Mount Forest's Community Animator. The total cost for the facilitator is $1400 and will be divided between Minto and Wellington North, with Wellington North's being split again between the two. Two sessions will be hosted in Mount Forest and two in Minto, 3 hours each and charge a minimal cost to participants.

ANNOUNCEMENTS There is a new Agricultural Exhibit at the Arthur Historical Society. The next Arthur Historical Society meeting will be on Tuesday, February 23, 2016 at 7:30. Campbell Cork will be speaking and there will be a presentation on the Blacksmith Shop. There will be a Cultural Roundtable display at showcase.

MEMBERS PRIVILEGE Wellington North, Minto and Southgate have signed an agreement for the Butter Tarts & Buggy: Explore the Simpler Life tourism initiative. Local Museums and Archives are encouraged to create a display in coordination with the theme, to provide visitors the opportunity to learn more.

RECOMMENDATION

THAT the Township of Wellington North Cultural Roundtable receive for information report ED0-2016-08 being a report on the Wellington North Cultural Roundtable Action Plan

AND FURTHER THAT the Wellington North Cultural Roundtable recommend that the Council of the Townsh ip of Wellington North support the attached Action Plan 'Schedule A' in an effort to continue efforts to fulfill the vision of 'preserving, promoting and developing Wellington North's unique cultural resources to build a vibrant community and a prosperous economny. '

BACKGROUND

The Township of Wellington North recognizes the practice of cultural planning as an essential economic development tool. Cultural planning is essentia l to supporting Wellington North in attracting investment, supporting creative talent, and boosting tourism. The Municipal Cultural Plan, developed in 2013, provides a strategy and recommended actions to leverage local cultural resources to grow the economy, to improve quality of life, and to build and sustain a sense of community cohesion and pride.

The Cultural Roundtable has been using the Municipal Cultural Plan's associated Goals and Actions to drive initiatives and have found success in furthering the following efforts:

• Broaden Municipal Roles and Partnerships

• Leverage Cultural Resources to Grow and Diversify the Economy • Buld a Shared Identity and Increase Collaboration • Increase the Vibrancy and Aesthetic Appeal of Downtowns

Direct Actions implemented to date include:

• Investigating the Establishment of a Wellington North Municipal Heritage Committee • Creation of an interactive web-based map (Cultural Map) and associated content • Support to the Wellington North Farmers' Market and promotion of Local Food • Annual participation in Doors Open Ontario and Culture Days Promotion • Strengthen Volunteers

The Municipal Cultural Plan was created with the intent not to become a static document. In 2015, the Cultura l Roundtable underwent several planning exercises to review the Municipal Cultura l Plan Actions. The review included a review of what has been done to date for each action; what is being covered by other stakeholders; identifying where there is opportunity.

The following attached Action Plan 'Schedule A' has been developed as an outcome of the exercises. Divided into three overarching categories, these actions will guide future achievements and serve as a measuring tool to determine success.

FINANCIAL CONSIDERATIONS

The Cultural Roundtable has a $6,000.00 budget within the Economic Development Department Budget to utilize for the above noted initiatives. Volunteer time will be the heavily replied upon to execute these initiatives .

Communications

Bu ilding on the Simply Explore program, the overall goal is the development of a series of one­day, themed, adventure/day trips. These self-d irected tours will profile our unique cu ltural assets throughout Wellington North, and will be supported by readily ava ilable postcard maps, website content linked to the Cultura l Map and en-route directional signage. Potential themes might be 'treasure hunts', nature & recreation, history, architecture, agricu lture, and studio tours.

Target Audience:

• Res idents • Visitors (those who come to see a resident) • "Accidental" visitors • Tourists (long-term)

Action:

• Develop first brochure targeted at IPM one-day adventures for IPM visitors • Work with University of Guelph or other academic institution to design campaign and

brochures, including evaluation • Provide feedback to appropriate group re: lack of food establishments and bakery • Expand the presence of the Ta ll Tale business videos on the cu lture map • Develop local radio content, social media content and explore other media opportun ities • Promote brochures to those who are new to the community or from "out of town";

distribute to residents • Ask Chamber of Commerce in each community to profile one-day adventures in a

section for loca l points of interest to ensure we are "selling ourselves"

Oral History I Storytelling

Every community has a rich array of stories that express its unique identity. The power of stories in our community is rich. Undertaking a Wellington North wide oral project will provide an opportunity for a number of organizations to come together in a col laborative effort.

• Identify individuals with experience in storytelling practice • Create a guide with basic information on effective storytelling

Measures of Success:

• A shortlist identifying interviewees whose stories need to be captured as soon as possible

• A working list of people willing to tell stories for radio, web or print • Identification of first group of interviewers and individuals willing to help storytellers • Completion of guides to assist interviewers and storytellers' helpers • Establishment of information sessions for participating helpers and interviewers

• Completion of recording sessions • Positive public response to storytelling items

Action:

• Create a guide for interviewing/helping that includes, M·: using equipment; providing a comfortable situation for the interviewee/storyteller; sample questions; a template release form. This can be done with the help of already established guides online.

• Establish criteria, format and process for choosing interviewees/storytel lers: M.: for oral history: age, availabi lity, willingness to discuss the past: for storytelling: recognized faci lity for telling past or current life stories; ease in being recorded.

These steps help to insure that the initiative can move forward efficiently, resulting in an oral history record of value to the community and to the broader Canadian public; and stories that will appeal to those who hear, read, or view them . Once they are completed, the real business of recruitment and interviewing can start.

Heritage and Buildings Strategy

The objective is to play a leading role in conserving important cu ltural heritage resources in our community. The scope of activities to include preservation of built heritage, heritage education, interpretation and promotion in the community.

2016 Events

• Doors Open Wellington North, September 17, 2016 This will be our third year for this event. This year's theme commemorates Ontario's Medical Science and Innovation . Sites such as hospitals, laboratories, commemorative plaques or homes of notable doctors and medical innovators may be profiled as part of this year's theme. We hope to get great participation from our healthcare sector and manufacturers, in addition to the traditional cu ltural and heritage site participation.

• Volunteer Recruitment and Retention Training, May, June, October & November. In partnership with the Minto Cultural Roundtable and the Mount Forest Chamber of Commerce I Community Animator, we will provide a four part training and consulting series to maximize volunteer engagement. Customized sessions are developed and involve participants in the learning process and ensure opportunities for sharing information and bui lding on best practices
