Understanding Terminal Operating Modes

You can operate the Series 400 Timekeeper terminal in any of the following fivemodes:

� Employee mode—Used for employee functions, including punching anddepartment and labor account transfers. In employee mode, the terminalaccepts punch data entered using its badge reader or keypad, if enabled.

� Supervisor mode—Used by specific individuals who possess codedsupervisor badges to perform restricted functions and commands, such asediting employee punches, adding employee punches, and overridingrestrictions to allow employees to punch.

This Supervisor’s Referenceexplains how to use the terminal in supervisormode. For instructions on entering and exiting supervisor mode andperformingsupervisor functions, see Chapter 2, “Performing SupervisorMode Functions.” For instructions on performing supervisor commands, seeChapter 3, “Performing Supervisor Mode Commands.”

� Guard mode—Used by specific individuals who possess coded guard badgesto perform entry management tasks, such as opening a gate for an individual,opening a gate for a period of time, and producing an on-premises report. ThisSupervisor’s Referenceexplains how to use the terminal in guard mode. SeeChapter 4, “Performing Guard Mode Commands.”

� Maintenance mode—Used by specific individuals who possess codedmaintenance badges to perform diagnostic tests for troubleshooting terminalproblems and to enter program mode. For more information on maintenancemode, see theSeries 400 Terminal Maintenance and Troubleshooting Guide.

� Program mode—Used to configure the operating parameters of the Series400 terminal. Program mode is accessed through maintenance mode. Formore information on program mode, see theSeries 400 TerminalConfiguration Guide.

How the terminal is configured and the mode in which it is operating determinethe features and functions available for use by employees and supervisors. Forexample, when the terminal operates in supervisor mode, asupervisor can use asupervisor badge to enter supervisor mode and add a punch for an employee whoforgot to punch.

What Are Supervisor Mode Functions?

You use supervisor functions to do the following:

� View employee information, such as punch status, schedules, and hours totals.

� Perform transactions for employees, such as labor account transfers, pay codetransactions (adding or subtracting hours from pay codes), and payrolldeductions.

NoteThe difference between supervisor functions and supervisor commands is thatfunctions allow you to view and edit employee data, while commands allow youto perform administrative tasks such as creating and editing gate schedules,printing reports, and overriding punch restrictions. For more information onsupervisor commands, see Chapter 3, “Performing Supervisor Mode Commands.”

In supervisor mode, you initiate functions using the terminal’s function keys.Which functions are initiated by which function keys depends on how yourterminal has been configured. For instructions on how to program your terminal’sfunction keys, see theSeries 400 Terminal Configuration Guide.

Most function key-initiated functions can be performed in both employee andsupervisor modes. Some function key-initiated functions behave in a slightlydifferent way when the terminal is in supervisor mode.

The following is a list of the supervisor functions you can perform using theSeries 400 Timekeeper terminal:

Entering and Exiting Supervisor Mode

To enter supervisor mode:

1. Swipe your supervisor badge through the badge reader, or if the personalidentification number feature (PIN) is enabled, enter your PIN. The passwordprompt appears on the terminal’s display.

2. Enter your 5-digit password. (The digits you enter do not display as you enterthem.) The date, time, and the wordsSUPERVISOR MODE appear on thedisplay.

3. If the PIN feature is not enabled, press the asterisk key once. If the PINfeature is enabled, press the asterisk key two times. TheENTER COMMANDNUMBER prompt appears on the display.

4. Type the number of the command you want to execute. If the command isassociated with a function key, you can also press the function key to initiatethe function.

To exit supervisor modewhen the display is in its idle state (displays the date,time, and the wordsSUPERVISOR MODE):

1. If the PIN feature is not enabled, press the asterisk key once. If the PINfeature is enabled, press the asterisk key two times. TheENTER COMMANDNUMBER prompt appears on the display.

2. PressENTER. The terminal reverts to employee (normal) mode.

NoteIf you do not perform the procedure for exiting supervisor mode, the terminalreturns to employee mode if no keystrokes are performed for a specific interval oftime. You can set this time-out interval using Procedure 40, Step 1, of theTimekeeper terminal program. If you do not set a time-out interval, the terminalautomatically times out after 45 seconds.

Using Function Keys in Supervisor Mode

By pressing the Series 400 terminal's function keys while it is operating insupervisor mode, you can perform some or all of the functions explained in thischapter. The functions you can perform at a particular terminal are determined byhow the terminal is configured.

Note the following:

� To perform a supervisor function, you must first enter Supervisor Mode. (See“Entering and Exiting Supervisor Mode” on page 2-4.)

� When you respond to a prompt by typing an entry using the keypad, alwaysfinish the entry by pressingENTER or #. The exceptions are when you press afunction key to initiate a function, or press a special character.

� Some of the functions allow you to specify a memory scan interval thatsearches the terminal’s memory for all data that is time stamped within thespecified interval.

� Most functions described in this chapter have a loop feature that causes theterminal to prompt for additional badges after the first badge input. Thisfeature allows supervisors to apply the function to multiple employeeswithout having to press the function key multiple times. If looping is availablefor a function, it is noted as part of the procedure for that function.

NoteIf a terminal is configured to allow functions with a loop feature to be used inboth employee and supervisor mode, looping is disabled. For instructions onsetting up functions to work in both employee and supervisor modes, see theSeries 400 Terminal Configuration Guide.

� If your terminal is configured to prompt for a supervisor comment code, enterthe three-digit code, which is enabled using Procedure 5, Step 5. A supervisorcomment code represents a comment to accompany supervisor-initiatedpunches at the terminal. Refer to theSeries 400 Terminal ConfigurationReferencefor more information.

� The prompts used in this guide may differ from those used at your site.Because prompts are configurable, your terminal might be configured todisplay different prompts.

� Some functions allow receipt printing, but only if the Series 400 Terminal isconnected to a serial printer and receipt printing is enabled. The informationprinted on the receipt is the same as thatdisplayed on the screen. Supervisorfunctions that allow receipt printing are noted in this chapter.

� If your terminal is configured to use 12-hour time, you must enter all timesusing theAM andPM keys.

Performing Functions

This section presents instructions for performing functions at the Timekeeperterminal while it is in supervisor mode. Functions are presented in alphabeticalorder.

Cancel Meal Deduction

Description

This function allows you to cancel an employee's automatic meal deduction.(Some host software has the ability to deduct meal time automatically from shifttime.) With this function, you can create in the terminal’s memory a record of theoverride of the automatic meal deductions.

Procedure

To cancel an automatic meal deduction:

1. Press the function key configured with this function.

The prompt for the function temporarily appears, followed byWORKEDTHROUGH MEAL. Then the promptENTER BADGE appears.

2. Swipe the badge of the employee whose automatic deduction you want tocancel, or enter* and enter the badge number using the keypad and pressENTER. The terminal displays the employee’s name or PIN.

3. If looping is ineffect, the terminal prompts again for a badge. To cancel mealdeductions for more employees, repeat step 2 until you have completed allcancellations.

If looping is not ineffect, go to the next step.

4. PressCLEAR to exit the function.

Pay Code Transaction

Description

At many sites, the terminal is configured to collect information that affectshoursagainst pay codes stored on the host. For some host software, employees orsupervisors can record hours associated with a pay code. Many sites use pay codesto record nonproductive time, such as vacation and sick time.

Procedure

To perform a pay code transaction:

1. Press the function key configured with this function.

The function’s prompt appears temporarily, followed by the promptENTERDAY.

2. Enter the two-digit day of the month associated with the transaction.

For example, if you are using the function to record an employee’s sick timetaken on October 1, enter01.

The terminal responds with the promptENTER TIME.

3. Enter the time associated with the transaction.

Enter the time in the formathh:mm. You can make the hours a one-digit ortwo-digit entry; always make the minutes a two-digit entry. For example, ifthe time associated with the transaction is 8:15, enter 815.

4. Respond to theENTER PAY CODE prompt by typing the pay code.

Note that pay codes are referenced by numbers in the host software. Your sitemay use a default value for the pay code; if so, skip this step.

Your terminal responds to your pay code entry by displaying the text for thespecified pay code followed by the promptENTER HOURS (see step 6) orENTER BADGE (see step 7), depending on how your terminal is configured.

5. Type the number of hours for the transaction.

Use the minus key (-) for entering negative hours. Some terminals areconfigured for a default value for the hours. In those cases, the terminal skipsthis step.

The terminal promptENTER BADGE appears.

6. Swipe the employee’s badge or press* and type the employee’s PIN.

If looping is in effect, repeat step 6until you have completed all of thenecessary pay code transactions.

If looping is not ineffect, go to the next step.

7. PressCLEAR to exit the function.

Delayed Department or Labor Account Transfer

Description

This function allows you to specify the day and the time of the department orlabor account transfer. The terminal is capable of having separate function keysconfigured to represent different departments or labor accounts.Alternatively, theconfiguration can require that the employee enter labor account numbers ordepartment numbers.

Procedure

To perform a delayed department or labor account transfer function:

1. Press the function key configured for the Department or Labor AccountTransfer function.

The terminal responds with the promptENTER DAY and displays the currentday of the month.

2. Enter the two-digit day of the month on which the transfer occurred.

For example, if the transfer occurred on November 3, enter 03 as the day.

The promptENTER TIME and the current time appear.

3. Enter the time of the transfer.

Enter the time in the formathh:mm.Note that you can enter the hour as a one-digit or two-digit time, but you must enter the minutes as a two-digit entry.For example, to enter 8:01, enter801.

If the employee isworking an unscheduled shift (and the employee is not restricted from doing so),the displayed start time is the time of the actual in-punch. Likewise, the displayedout-punch is the in-punch time plus the employee's unscheduled shift length. Forexample, suppose John is working an unscheduled shift and he punched in at 5:00P.M. If the company’s shifts are normally eight hours, the end time would displayas 1:00 A.

However, the Display Next Schedule function candisplay schedules regardless of the employee’s punch status. Review Stored Punches

Description

This function allows you to review an employee's punch records that are in theterminal’s memory. You can step forward through the punch history using the plus(+) or NEXT key, starting with the oldest punch record and proceeding to the mostrecent punch.

You can also step back through the punch history by pressing the minus (-) orPREV key. There is a step back limit of nine punches (a “window” of 10 punches).If you have stepped forward more than nine punches and want to review a punchmore than nine punches in the past, pressCLEAR and swipe the badge (or enterthe PIN).

For example, assume you are reviewing 15 punches. After reviewing the oldest tothe newest punch, you are on the 14th punch from the end. You decide to reviewthe punches, that is, go from 14 backward to the oldest punch. You can press the -or PREV key and review the 13th punch from the end to the 4th punch from theend. To review punches 2 through 1 from the end, you must pressCLEAR andreinsert the employee’s badge or PIN.

While you review punches, you may, in some cases, notice a second line on thedisplay. This line can include additional information, such as the amount of a tipentry. Press the# key to toggle the display of the second line of information onand off.

Start Activity

Description

This function allows you to designate a shift as a special activity shift for which anemployee is paid differently than the normal rate. Therefore, hours worked on anactivity Shift must be made to accrue in a special pay code so that the employee ispaid correctly for the shift. For example, if employees work the late night shift,they may be paid at a different rate than when they work the dayshift.

Procedure

To perform a start activity:

1. Press the function key configured for the Start Activity function.

The terminal promptsACTIVITY CODE.

2. Enter the two-digit activity code that is associated with the shift.

The terminal displays the text associated with the activity. For example, if youentered10 for night shift, the terminal might displayNIGHT.

3. If prompted for a labor field or department, perform this step. Otherwise, goto the next step.

a. If prompted for a department, enter a valid department number.

b. If prompted for a labor field, you can swipe a labor account badge, swipean appropriate labor field badge, or manually enter a valid labor fieldnumber.

If you use the labor field badge or manual entry methods, you may beprompted for more labor fields, depending on how the terminal isconfigured. Complete all labor fields.

View Acknowledged and Unacknowledged Messages

Description

This function allows you to view messages assigned to employees. Depending onthe configuration, these messages might be acknowledged or unacknowledged.Alternatively, you can have two separate function keys configured, one foracknowledged messages and the other for unacknowledged messages.

Note the following:

� Each employee can have up to two messages at a time. Two examples ofpossible messages areSEE YOUR SUPERVISOR andREPORT TO WORKCENTER 5.

� If your terminal has receipt printing, you can use it with this function.

Procedure

To review an employee’s acknowledged or unacknowledged messages:

1. Press the function key configured for either View Acknowledged Messagesfunction or View Unacknowledged Messages functions.

The terminal prompts ENTER BADGE.

2. Swipe the employee’s badge or press * and type the employee’s PIN.

The display shows either of the following:

– The employee’s acknowledged or unacknowledged messages (whicheverare displayed). If there are two messages, the first is displayed and is thenfollowed by the second.

– YOU HAVE NO MESSAGE is displayed, indicating the employee has nomessages. If you receive this prompt, go to step 4.

What Are Supervisor Commands?

You use supervisor commands to perform activities such as managing gateschedules overriding employees’ punch restrictions, and printing reports. With theterminal in supervisor mode, you initiate supervisor commands by entering thenumber of the command to execute.

NoteThe difference between supervisor functions and supervisor commands is thatfunctions allow you to view and edit employee data, while commands allow youto perform purely administrative tasks. For more information on supervisorfunctions, see Chapter 2, “Performing Supervisor Mode Functions.”

Executing Commands

This section presents instructions for performing supervisor commands at theTimekeeper terminal while it is in supervisor mode. You initiate all supervisormode commands by pressing the * key and then entering the number of thecommand. Your terminal may be set up to associate function keys with specificcommands.

Note the following when using supervisor mode commands:

� You must first enter supervisor mode before performing anysupervisor modecommands. See “Entering and Exiting Supervisor Mode” .

� Once in supervisor mode, press the * key. You are promptedENTERCOMMAND NUMBER. Respond by typing the number of the command youare executing and pressENTER.

� Follow entries made on the keypad by pressingENTER. The exceptions arewhen you enter special characters, such as*, #, +, NEXT, - or PREV.

NoteThere is also a supervisor mode command 0, which is used for exiting supervisormode.

Command 2: Single Home Employee Restriction Override

Description

Command 2 enables you to configure the terminal to ignore an individual homeemployee restriction. This is useful when some home employees need to punch ata time when they are normally restricted from punching.

The terminal keeps track of restrictions using 0 and 1 as follows:

� A 0 indicates the employee is restricted from making a punch during arestriction period. This is the default unless it is changed by a supervisor.

� A 1 indicates the employee can make the punch even during a restrictedperiod. A 1 level of restriction is also referred to as a restriction credit. Onlysupervisors can set an employee’s restriction credit to 1.

You can temporarily change the 0 status to 1, giving the employee a creditrestriction. When the employee punches, the restriction status changes back to 0.The maximum restriction credits for any employee is one. Once the employeeuses the restriction credit by punching, the employee has used the allotted numberof restriction credits and the credit restriction is reset to 0.

Likewise, you can change a restriction of 0 to a restriction of 1. Again, the changelasts for only the next punch and then reverts to the original setting.

Procedure

To change an individual home employee punch restriction:

1. In supervisor mode, enter 2 at theENTER COMMAND NUMBER prompt, andpressENTER.

2. At theENTER BADGE prompt, swipe the badge or press * and type theemployee’s PIN for the employee whose restriction you want to override orpress* and type the PIN.

The terminal then displays the employee’s current restriction credit.

3. If the restriction credit is set to 0 (meaning the employee is restricted), andyou want to remove the restriction, type 1. Otherwise, pressENTER to acceptthe setting.

If the restriction credit is set to 1 (meaning the employee can make the punchat restricted times), and you want to restrict the next punch, type 0. Otherwise,pressENTER to accept the setting.The terminal responds in all cases with thepromptENTER BADGE.

4. Swipe a different badge or press * and type the employee’s PIN to edit anotheremployee's restriction credit, or pressENTER again to exit the command.

Command 3: Global Home Employee Restriction Override

Description

Command 3 enables you to override the punch restrictions for all home employeesat a particular terminal. When you execute the command, all home employeerestrictions in the terminal are overridden until you use the same command toremove the restriction credit or until the length of the override expires. The lengthoption can be specified only for restriction overrides (credit = 1). Maximumlength = 100 hours (unless indefinite).

You might use this command if you have to have all home employees work on arestricted shift, such as having them all work on Saturdays.

You and the employees can determine from the punch when global overrides areenabled as follows:

� A plus sign (+) is displayed between the date and the time on all terminaldisplays when global home employee override restrictions are enabled, forexample,

MO 10-JAN-00 + 12:25P.

� An asterisk (*) is displayed when both home and non-home global restrictionoverrides are in effect, that is, Command 3 and 4. (See “Command 4:GlobalNon-Home Employee Restriction Override” for more information.) Thefollowing example shows the restriction override for both home andnon-home employees:

Use of Commands 3 and 4 together is sometimes referred to as putting theterminal in “snowstorm mode,” because it is often done before or during asnowstorm to allow all employees to punch out for an early release.

Procedure

To change the restriction credit for all home employees:

1. In supervisor mode, enter 3 at theENTER COMMAND NUMBER prompt, andpressENTER.

2. If you want to disable the global home employee override, type0 and pressENTER. This exits you from the command.

If you want to extend the global home employee override indefinitely, pressENTER. This exits you from the command.

If you want to specify a length for the override, press# and go to the next step.

3. For theENTER LENGTH prompt, enter the length of the restriction overridein the format hh:mm.

For example, enter1200 if the override is to be for 12 hours. The maximumlength is 24 hours.

4. PressENTER to exit the command.

Command 4: Global Non-Home Employee Restriction Override

Description

Some Series 400 Terminals are configured to restrict badges whose numbers havenot been sent from the host. Command 4 enables you to lift this restriction on allnon-home (cross-punching) employees.

You can make the override period indefinite, that is, until a supervisor removes theoverride, or limit it for a specified amount of time. The maximum length of thespecified override period is 100 hours (unless specified as indefinite). Thiscommand is helpful in the event that one terminal fails and employees must punchin at another terminal until their home terminal is repaired.

You and the employees can determine from the punch when global overrides fornon-home employees are enabled as follows:

� An “x” displays between the date and the time when a non-home employeeglobal override is in effect, for example:

MO 10-JAN-00 x 12:25P

� An asterisk (*) displays when both home and non-home global restrictionoverrides are in effect, that is, Commands 3 and 4. (See Command 3 for moreinformation.) The following is an example display of a home and non-homeglobal restriction override:

Command 5: Single Non-Home Employee Restriction Override

Description

Command 5 enables you to override a cross-punching restriction and add a punchfor one or more individual non-home employees. Use this command wheneveryou have one or more individual non-home employees who are restricted frompunching at a particular terminal, and you want to add a punch for the employees.For example, if there are three non-home employees who need to punch whencross-punching is not allowed, you can use this command to allow each of thethree employees to punch.

Procedure

To override a punch restriction for one or more individual non-home employees:

1. In supervisor mode, enter 5 at theENTER COMMAND NUMBER prompt andpressENTER.

2. Respond to theENTER BADGE prompt by swiping the non-home employee’sbadge or press* and type the employee’s PIN.

The terminal displaysXPUN followed by the employee’s PIN to indicate thatthe restriction override for the non-home employee is ineffect. The terminalthen prompts for more badges.

NoteThe terminal displays09 HOME EMPLOYEE if a home employee badge orPIN is entered.

3. Repeat step 2 until you have completed all the necessary non-home employeerestriction overrides.

4. PressCLEAR to exit the command.

Command 6: Ring Bell

Description

Command 6 allows you to ring immediately the bell system attached to theterminal. The bells continue ringing for the number of seconds specified in thecommand.

Note that to execute Supervisor Command 6, the terminal must be configured tomanage a bell. Otherwise, when you execute the command, you receive themessage62 NOT INSTALLED.

Procedure

To ring the bell:

1. In supervisor mode, enter 6 at theENTER COMMAND NUMBER prompt andpressENTER. The promptSPECIFY INTERVAL appears.

2. Type the desired bell ring duration in seconds. You can enter a value from 1 to9 seconds. The default is 2 seconds.

3. PressENTER. The terminal automatically exits the command.

Command 7: Silence Bell

Description

Command 7 enables you to silence the bells system attached to the terminal. Notethat the terminal must be configured to manage a bell rather than a gate.

Procedure

To execute the silence bell command, in supervisor mode, enter 7 at theENTERCOMMAND NUMBER prompt and pressENTER. The bells immediately stopringing.

NoteIf you execute this command at a terminal that is not configured for bells, theterminal displays62 NOT INSTALLED.

Command 8: In/Out Punch Type Display Enable/Disable

Description

Showing the status of a punch is called punch typing. If the terminal’s punchtyping is turned on (set to 1), anIN, OUT displays when an employee punches. Ifthe punch typing is turned off (set to 0), the punch status does not display.Command 8 allows you to enable or disable the display of an employee's punchstatus (IN, OUT).

An option for this command allows you to specify how long the display of punchtypes is disabled. Press the# key to set the LENGTH option as described in thefollowing procedure. The length option disables the display of punch types for aspecified period of time. The maximum length is 100 hours.

Procedure

To disable the punch type display:

1. In supervisor mode, enter 8 at theENTER COMMAND NUMBER prompt andpressENTER.

2. If you want to turn punch typing on, check the punch typing status number onthe display. If the setting is1, pressENTER. If the setting is0, type1. Youhave completed this procedure.

If you want to turn punch typing off indefinitely, check the punch typingstatus number on the display. If the setting is0, pressENTER. If the setting is1, type0. Both turn off the in/out status display for an indefinite period oftime. You have completed this procedure.

If you want to turn punch typing off for a specified time period, press the#key. The terminal responds by promptingENTER LENGTH. Go to the nextstep.

3. Type the length of time that you want punch typing disabled. Enter the time inthe format hh:mm. For example, if you want to disable punch typing for 12hours, enter120.

Command 10: Display Badge Contents

Description

Command 10 tests the operation of the terminal’s integral swipe badgereader oroptional remote swipe badge reader by reading a badge and displaying itscontents. The information that displays includes:

� Type of badge (Kronos standard badge or generic badge)

� Reader used to read the badge

� Number of characters encoded on the badge

� Barcode symbology used by the badge

� Badge contents (numeric or alphanumeric)

When you swipe a standard Kronos badge, or press * and type the employee’sPIN, a nine-digit employee ID appears. If necessary, leadingzeroes precede thebadge number. When you swipe a generic badge, all data encoded on the badge isdisplayed, using both lines of the display if necessary. A generic badge cancontain up to 32 alphanumeric characters.

If an “S” Supervisor or “G” Guard badge is read, only the last two digits of thebadge number display for security reasons. Reading a Maintenance Badge causesthe command execution to terminate.

The following is an example of information that appears when you execute thiscommand:

The following explains how to interpret this information:

� “K” indicates a standard Kronos badge.

� “1” indicates that the badge was read by the first remote reader.

� “18” is the number of characters encoded on the badge.

� “I 2OF5” indicates the barcode symbology.

� “123456789” are the contents of the badge.

Procedure

To display badge contents:

1. In supervisor mode, enter 10 at theENTER COMMAND NUMBER prompt andpressENTER.

2. Respond to theENTER BADGE prompt by swiping the badge to be read.

The terminal responds by temporarily displaying the contents of the badgefollowed by the promptENTER BADGE.

3. Continue to test badges until you are done.

4. PressCLEAR to exit the command.

Command 21: Edit Timekeeper Terminal Off-Times

Description

Command 21 enables you, the supervisor, to edit the terminal’s off-times of bothhome and non-home employees. A terminal’s off-time is a period of the day whenall employees are restricted from punching. If off-times are configured, they applyevery day of the week (Sunday through Saturday). During off-times, the terminalshows the time but not the date on the top line of its display, and it shows themessageOFF-TIME on the second line of its display.

If an employee attempts to punch during an off-time, the terminal displays themessage07 OFF TIME and does not record the punch. (The terminal can readSupervisor and Guard badges when it is operating in an off-time.).

Procedure

To edit a terminal’s off-time:

1. In supervisor mode, enter 21 at theENTER COMMAND NUMBER prompt andpressENTER.

2. If you want tocreatean off-time, respond to theOFF TIME prompt byentering the time of day to begin the off-time. Enter the time, in the formathh:mm. For example, if the off-time is to begin at 1 P.M., type100 and pressthePM key or type1300 if the terminal uses a 24-hour clock. Then, pressENTER.

If you want toedit an off-time, you can change either the time that theoff-time begins, or the length of the off-time. Note the following:

– If you are changing the time the off-time begins, respond to theOFFTIME prompt by enter the new time for the off-time to begin.

– If you are satisfied with when the off-time begins, pressENTER to acceptthe current setting.

If you want todeletean off-time, type 000.

In all cases, the terminal responds by promptingENTER LENGTH.

3. If you arecreating or changingthe off-time, type the duration of the off-timein the format hh:mm, for example120 for an hour and 20 minutes.

If you are satisfied with the duration of the off-time, pressENTER.

If you aredeleting off-times entirely, type 000 and pressENTER.

You are promptedOFF TIME for the terminal’s second off-time.

4. To add, edit, or remove the second off-time, repeat this procedure beginningwith step 2.

Command 27: Add/Edit/Delete Modem Off Schedule Times

Description

Command 27 allows you to create or edit a schedule for when the modemconnecting the terminal to the Polling PC is on and off.

Specifically, this command allows you to specify:

� The times when the modem is off (off-time)

� The times when the modem switches back on (on-time)

� The days of the week on which the on and off periods are not ineffect.

This command is useful, for example, if you want to keep a phone line openduring the day and want to transmit data only at night to and from the Polling PC.

You can store up to seven different on-time and off-time schedules with thiscommand. You can also delete or edit an existing off-time using Command 27.Specifically, you delete an existing off-time by making the on-time match the off-time.

NoteWhen using Command 27 in supervisor mode, you must enter all times using theAM andPM keys if your terminal is configured to use 12-hour time.

Any schedules set up with Command 27 can be erased entirely using Command28 (see Command 28).

Procedure

To add, edit, or delete modem off schedules:

1. In supervisor mode, enter 27 at theENTER COMMAND NUMBER prompt andpressENTER.

2. If you areadding or editing the modem off-time schedules, respond to theMODEM OFF TIME prompt by entering the time at which you want themodem to switch off. Type the time in hh:mm format. For example, if theterminal uses 12-hour time format, type1000 and press theAM key. If theterminal uses 24-hour time format, type1000. After you enter the time, pressENTER.

If you are retaining or deleting modem off times, respond to theMODEM OFFTIME prompt by pressingENTER.

The terminal responds by promptingMODEM ON TIME.

3. Toadd or edit the modem on time schedules, enter the time you want themodem to turn back on. Type the time in hh:mm format. For example, if theterminal uses 12-hour time format, type900 and press theAM key. If theterminal uses 24-hour time format, type2100. After you enter the time, pressENTER.

To retain the currentMODEM ON setting, pressENTER to accept the entry.

Description

Use Command 41 to display the number of days the battery is capable ofsupplying backup power. The number of days varies according to the amount ofmemory you have in your terminal, as shown in the following chart:

Each time external power is restored to the terminal after it has been operating onlithium battery backup, the terminal checks the amount of time the terminal hasbeen operating on lithium battery backup and the amount of RAM installed. Theterminal displays the messageLOW LITHIUM BATTERY if the battery is within 14days of its limit.

NoteWhen the terminal is cold-started (that is, both its DC wall supply and lithiumbattery are removed, then reinstalled), it prompts for entry of the lithium battery'slife. Command 50: Add a Punch

Description

Use Command 50 to add punches when employees forget to punch in or out.

Command 50 is generally used to add punches in the past. You can, however, addpunches for the next day, although changing theeffective date of the edit mustconform to the expectations of the host software. If you do add punches for thenext day, be aware that employees receive the error message04 REPUNCHRESTRICT when attempting to punch. This error occurs until the terminal’sinternal clock indicates that it has passed the date and time of the added punch.

Command 50 affects the employee's in/out status. If, for example, someemployees forget to punch in, they are then restricted from punching out unlessyou add their in-punches using Command 50. After you enter their in-punches,they can do a normal out-punch.

Procedure

To add a punch for an employee:

1. In supervisor mode, enter 50 at theENTER COMMAND NUMBER prompt andpressENTER.

2. For theENTER DAY prompt, type the date of the month for which you want toadd the punch.

You can enter a date from 1 to 31, for example,14 for the 14th of the month.

Use Command 51 to delete an employee’s punch. You can use this command todelete an in or out punch when the employee made the punch with the wrongbadge. However, before you use Command 51, you must ensure that your terminalis configured to support it.

Unlike Command 50, the employee's in/out status at the terminal is unaffected byCommand 51. Some host softwarereflects the deleted punch only after collectingthe punch data from the terminal.

Procedure

To delete a punch for an employee:

1. In supervisor mode, enter 51 at theENTER COMMAND NUMBER prompt andpressENTER.

2. Respond to theENTER DAY prompt by typing the date of the month for whichthe punch should be deleted.

Command 52 allows you to add hours to or subtract hours from a pay code for anemployee. You can execute Command 52 only if your terminal has beenconfigured to support it. The pay codes used in this command are referenced bynumber in the software application.

NoteIf you need to add a decimal amount to a pay code, you must use Command 55.

Procedure

To add or subtract hours from a pay code for an employee:

The report indicates the timeof day the bell rings, how long the bell rings, the days of the week that it rings, andwhether or not a warning bell is rung prior to the actual bell.

The Bell Time Schedule Report uses a 40-column format. The following is asample printout:

Description

Use Command 62 to adjust the terminal’s time forward or backward one to 99minutes.

CautionAdjusting time in the negative direction often causes problems—especially if thetime is adjusted across midnight (00:00). Be aware that you can also adjust theterminal’s time from the host.

This command affects repunch restrictions for scheduled (home) employees; itdoes not affect repunch restrictions for cross-punching (non-home) employees.

Procedure

To adjust the terminal’s time forward or backward:

1. In supervisor mode, enter 62 at theENTER COMMAND NUMBER prompt andpressENTER.

2. Enter the two-digit number of minutes by which to adjust the time.

By default, the command assumes you are adjusting the time forward unlessyou enter a minus sign (-) before the two digits. For example, to adjust thetime six minutes ahead, type06, and to adjust the time eight minutes back,type -08.

Command 65: Edit Bell Schedule

Description

If your terminal is configured to manage a bell, this command allows you to add,change, or delete the times at which the bell rings and to specify the duration ofthe ring. You can schedule up to 48 times for the bells to ring and 96 if warningbells are included.

Procedure

To edit the bell schedule:

1. In supervisor mode, enter 65 at theENTER COMMAND NUMBER prompt andpressENTER.

2. Respond to theENTER TIME prompt by typing the time you are adding for abell to ring, or the time you are deleting from the bell schedule.

For example, to add to the bell schedule a bell at 4:00 PM, enter400 and pressthePM.

The terminal promptsSPECIFY INTERVAL.

3. Todeletea time from the bell schedule, set the interval to 0 and pressENTER.You have finished deleting the time from the bell schedule.

To add a new time oredit an existing bell time, type the number of secondsyou want the bell to sound and pressENTER. The default is two seconds,which is the value set when you respond to the prompt only by pressingENTER. The terminal responds by promptingSPECIFY OPTIONS.

4. Using the following table, add up the desired option numbers and type thetotal at the terminal.

This cancelsthe bell for the days it is currently running.

Use Command 69 to change the supervisor password to which you have access.Supervisors can use supervisor passwords in one of three ways, depending on howthe terminal program has been configured:

� List—Both guards and supervisors can use any of the passwords.

� Group—The last digit of your supervisor or guard number indicates which ofthe 10 passwords you can use.

� Unique—The last two digits of your supervisor or guard number indicatewhich of the 98 passwords you can use.

Procedure

To change your supervisor password:

1. In supervisor mode, enter 69 at theENTER COMMAND NUMBER prompt andpressENTER.

2. Respond to theENTER OLD PASSWORD by typing your current password.

3. Type your new password.

Remember that it must be five characters long.

Overview of Guard Mode

Guard mode is accessible only to those who possess a specially-coded badge andwho know a unique configured password. You use guard mode at the Timekeeperterminal to execute commands related to entry management applications. In theseapplications, the terminal manages the opening of a gate or door that is connectedto it via a relay.

Whoever configures your terminal must first modify your Timekeeper terminal’sconfiguration to meet your company's security requirements. These parametersmanage the gate that is wired to the terminal to prevent unauthorized personnelfrom entering a specified area.

You can configure the terminal for one of three levels of entry management:

� Perimeter management

� Gate entry

� Turnstile entry

This section describes each of these levels of entry.

Perimeter Management

Perimeter management is the most restrictive level of entry management and isavailable only on Gatekeeper terminals (model 420, with the optional Input/Output board).

The primary features of perimeter manage are the following:

� Your location can manage entry into a restricted area by requiring employeesto swipe a badge or type a PIN, which is then validated through a Gate List.

� You can have the system tied to a motion detector or a floor mat. The terminalcan then operate a door strike,which allows the door it manages to be openedwithout requiring any action. People can, therefore, open the door withoutfirst swiping their badges or entering their PINs.

� This features allows for easy exiting from a restricted area.

� You can have the terminal tied into an audible alarm system that alerts thesystem of an entry violation. This alarm can also include sounding an alarmwhen the door to a restricted area remains open too long.

� You can wire the terminal to override the alarm system for a time you set,thereby allowing the employee to open the door and pass through, with thedoor closing behind the employee.

� You can have the terminal configured to sound an alarm when the doorremains open too long.

You can configure any number of terminals for some or all of these features.

Gate Entry

Gate entry is the next restrictive level of entry management for the Series 400Terminals. When the terminal is configured for gate entry, its memory has twolists of employee IDs:

� Gate List 0

� Gate List 1

NoteIf your terminal is configured for gate entry, it may be set up to manage one orboth gates. If you are not sure, check with your system administrator or Kronosrepresentative.

The host application may use only Gate List 1. The terminal accepts punches fromhome employees and cross-punching employees. However, only employeesincluded on Gate List 1 are allowed entry to the secured area when they punch.

Turnstile Entry

Turnstile entry is the least restrictive of the three levels of entry management.When the terminal is configured for turnstile entry, the terminal can do thefollowing:

� Accept punches from home employees and cross-punching employees.

� Open the gate for employees who possess badges that are encoded with thecorrect company code.

Typically, you install a terminal configured for turnstile entry near a company exitto allow all employees of the company onto the premises when they swipe theirbadges or type their PINs. However, employees without badges or PINs arerestricted from entering the premises.

Entering and Exiting Guard Mode

To enter guard mode:

1. Swipe your guard badge through the badge reader, or if the personalidentification number feature (PIN) is enabled, enter your PIN. The passwordprompt appears on the terminal’s display.

2. Enter your 5-digit password. (The digits you enter do not display as you enterthem.) The date, time, and the wordsGUARD MODE appear on the display.

3. If the PIN feature is not enabled, press the asterisk key once. If the PINfeature is enabled, press the asterisk key two times. TheENTER COMMANDNUMBER prompt appears on the display.

4. Type the number of the command you want to execute.

If the command is associated with a function key, you can also press the functionkey to initiate the function.

To exit guard modewhen the display is in its idle state (displays the date, time,and the wordsGUARD MODE):

1. If the PIN feature is not enabled, press the asterisk key once. If the PINfeature is enabled, press the asterisk key two times. TheENTER COMMANDNUMBER prompt appears on the display.

2. PressENTER. The terminal reverts to employee (normal) mode.

NoteIf you do not perform the procedure for exiting guard mode, the terminal returnsto employee mode if no keystrokes are performed for a specificinterval of time.You can set this time-out interval using Procedure 40, Step 1, of the Timekeeperterminal program. If you do not set a time-out interval, the terminal automaticallytimes out after 45 seconds.

Command 14: Open Gate for a Length of Time

Description

Command 14 allows you to open a gate for an indefinite period of time or for alength of time you specify. The command also enables guards to close a gate. Forexample, you might want to open a gate for moving equipment through a gate orto allow many official visitors through a gate, and then close the gate.

If the terminal is so configured, this command can also generate a record to bewritten to the terminal’s memory.

Procedure

To open a gate for an indefinite period of time:

1. In guard mode, enter14 at theENTER COMMAND NUMBER prompt, andpressENTER.

If the terminal manages one gate only, the gate opens. You have completedthis procedure.

If the terminal manages two gates (1 and 2), go to the next step.

2. The terminal prompts you to specify which gate to open. Type1 or 2, asappropriate, and pressENTER. The gate opens.

To open a gate for a period of time you specify:

1. In guard mode, enter14 at theENTER COMMAND NUMBER prompt, andpressENTER.

2. If the terminal manages one gate, theENTER LENGTH prompt appears. Go tothe next step.

If the terminal manages two gates (1 and 2), the terminal prompts you to enterwhich gate to open. Type1 or 2, as appropriate, and press #. TheENTERLENGTH prompt appears.

3. Enter a length of time, in hh:mm format, and pressENTER. For example, ifyou want the gate to stay open for 1 hour and 45 minutes, enter0145.

Command 15: Perform a Guard Transaction

Description

This command allows you to enter or edit employee-specific data at the terminalrather than from the host application. The terminal writes the transaction intoFIFO memory, as a type 2 record.

NoteCommand 15 is not available with the model 420G (Gatekeeper terminal).

To use Command 15, the host software must have transaction codes defined toperform specific tasks. For example, a transaction code could be defined to addhours to an employee's sick time. Each code can be up to six digits in length.

To add or edit employee-specific data at the terminal:

Command 16: Door Open Warning Override

Description

Command 16 applies only to Gatekeeper terminals. Whenever a gate or door isleft open for longer than the prescribed length of time, the terminal alarm sounds.Use Command 16 to cause the alarm shunt to ignore the open door or gate. Themaximum length of time for an open door warning override to be in effect is 100hours. You can also use the command to exit the override.

Procedure

To enable the door open warning override:

1. In guard mode, enter16 at theENTER COMMAND NUMBER prompt.

2. If you want to enable the override for an indefinite period of time, pressENTER. The override is now effect until either 100 hours pass or you end theoverride (explained in the next procedure). You have completed thisprocedure.

If you want to specify a period of time that the override is in effect, press #.TheENTER LENGTH prompt appears.

3. Enter the amount of time you want the override to remain in effect. Make yourentry in hh:mm format. For example, for a 30 minute override, enter0030.

NoteThe maximum length of time that you can enter is 9960 (100 hours).

To end the override:

1. In guard mode, enter 16 at theENTER COMMAND NUMBER prompt, andpressENTER.

2. Press the # key and enter0000.

3. PressENTER.

Command 17: Add/Edit Gate Open Schedule

Description

Use Command 17 to create or change a schedule that defines times and days forunrestricted entry through the gate or door. During these gate open times,employees do not have to swipe badges.

This command allows you to create and edit up to seven gate open time periodsfor each gate that the terminal manages. The time periods you define for a gateconstitutes the “gate open schedule” for that gate.

NoteIf the terminal is configured for 12-hour time, you must enter all times using theAM andPM keys.

Procedure

To add or edit a gate open schedule:

1. In guard mode, enter 17 at theENTER COMMAND NUMBER prompt, andpressENTER.

2. If the terminal manages only one gate, go to the next step.

If the terminal manages two gates (1 and 2), the terminal prompts you tospecify a gate. Type 1 or 2, as appropriate, and pressENTER.

3. TheENTER TIME prompt displays. Enter or change the start time of the gateopen time period and pressENTER. TheENTER OFF TIME prompt displays.

NoteIf a gate open time period beginning at the time you enter already exists, itsoff time, or gate closing time, displays at this prompt.

4. Enter the end time of the gate open time period and pressENTER.

1. In guard mode, enter 18 at theENTER COMMAND NUMBER prompt, andpressENTER.

2. If the terminal manages only one gate, go to the next step.

If the terminal manages two gates (1 and 2), the terminal prompts you tospecify a gate. Type 1 or 2, as appropriate, and pressENTER.

3. PressENTER at theARE YOU SURE? prompt to clear the gate open schedulefor the gate you specified.

4. To exit the command without clearing the gate open schedule, pressCLEAR.

Command 19: Display Employees on Premises

Description

Use Command 19 to display how many employees have swiped in and have yet toswipe out. You can also choose to display the ID of each of these employees. Theterminal displays the IDs of those employees still on the premises at a ratedetermined in the terminal’s configuration.

The in/out status is determined by the information stored in the terminal at thetime you execute the command. Therefore, the status may not agree with the datain the host application if the terminals have not been updatedrecently.

Procedure

To display the number of employees on premises:

1. In guard mode, enter 19 at theENTER COMMAND NUMBER prompt, andpressENTER.

The number of home employees on the premises displays. For example, ifthere are 1124 employees still on the premises, the terminal displays thenumber000001124.

2. If you want to display the ID of those home employees still on the premises,pressENTER. The terminal then displays the IDs one at a time.

If you do not want to display IDs, pressCLEAR to exit the command.

Command 20: Display Gate Open Schedules

Description

Use Command 20 to review the number and the detail of Gate Open Schedulesthat are still in effect. These are the schedules that you can create with Command17. (See “Command 17: Add/Edit Gate Open Schedule” for information on howto create and edit gate open schedules.)

Procedure

To display gate open schedules:

1. In guard mode, enter 20 at theENTER COMMAND NUMBER prompt, andpressENTER.

2. If the terminal manages only one gate, go to the next step.

If the terminal manages two gates (1 and 2), the terminal prompts you tospecify a gate. Type 1 or 2, as appropriate, and pressENTER.

3. The terminal displays the number of active schedules. If you want to displaythe detail of the schedules, pressENTER and go to the next step. Otherwise,pressCLEAR to exit the command to complete this procedure.

4. Use the+ and- keys or theNEXT andPREV keys to scroll through the entireschedule.

5. Use the# key to display the day or days of the week the schedule is not ineffect.

6. PressCLEAR to exit the command.
