Install, Configure, and Manage

the Mailbox Role: Create and Configure Mail-Enabled

Objects

Create and configure mail-enabled objects

This objective may include but is not limited to:

– Configure resource mailboxes and scheduling

– Configure team mailboxes (aka site mailboxes)

– Configure distribution lists

– Configure moderation

– Configure a linked mailbox

•Company: Collaboration Station – Their motto: Why Work Alone

– They use the latest technology to ensure complete collaboration on all projects

•Problem: – They have Exchange 2013 in their

environment, as well as SharePoint and Lync 2013, but they need help configuring important collaboration objects

•Goal: – Demonstrate various mail-enabled objects like

resource mailboxes, site mailboxes and so forth

Scenario: Collaboration Station

Page 2: 3653_Create and Configure Mail Enabled Objects

Resource mailboxes include room mailboxes and equipment mailboxes

– Simple concept: Exchange is great for scheduling with regard to people… so why not use it to schedule rooms (conference, training, etc…) and things (projectors, laptops, etc…)

Once you have the resource mailbox in place you can configure how it will respond to booking

requests (ie. delegates or automatic) and can configure booking options

Resource Mailboxes and Scheduling

Site Mailboxes require Exchange 2013 and SharePoint 2013

They enhance the concept of collaboration having the site mailbox access Exchange email and

SharePoint documents through the same end-user clients (Outlook and/or SharePoint)

Team Mailboxes (aka Site Mailboxes)

Distribution Groups are static and are either mail-enabled universal distribution groups or mail-enabled universal security groups

– Note distribution groups are only used for mail distribution whereas security groups are used for giving permission to resources in Active Directory

You can configure important elements like whether

membership is open or closed to self-signup, how messages will be delivered and if there will be moderators

Distribution Groups

Along with moderation of distribution groups you can also configure a moderated recipient

With moderation Exchange can make sure all messages go through an approval process

– With moderation there is an arbitration mailbox used to store the original message for approval

– The arbitration mailbox is set up during the setup of moderated transport and is used for all moderated recipients (although you can add additional ones for load balancing if necessary)

You can use transport rules to moderate messages

Moderation

First introduced with Exchange 2003 a linked mailbox is a mailbox accessed by users in a separate, trusted forest

Linked mailboxes allow for Exchange to be centralized in one forest while allowing access from one or more additional (trusted) forests

Scenarios to utilize linked mailboxes: – Two companies prefer to secure identity and keep email addresses and login

info the same

– Two companies planning to manage one datacenter with a resource forest that has Exchange

Linked Mailboxes

We’ve mapped out various collaboration features in Exchange 2013 and discussed to a degree how SharePoint might also come into play

Our recommendation in a real-world environment is to avoid site mailboxes due to their setup complexity and go with public folders and/or shared mailboxes

Collaboration Station doesn’t require linked mailboxes for their environment however they do like the idea of using distribution groups and assigning moderators
