Three Steps to a Successful Migration

Introduction
• Cross platform migration challenges are often related to understanding the complexity of dealing with the wide variety of data types found in legacy systems and the transformation required for its use in the new system

Three Basic Steps to Migration
• Data Extraction• Validation• Data Import

Step One: Data Extraction• Typically accomplished via:
Standard reporting Queries or Manual Export
• Discrete data tends to be easier to extract than unstructured data such as historic patient chart data with free text fields
• Extracted data needs to be organized Made identifiable to the target system via file name indexing
• Availability and importance Documents not available via reporting or queries will require manual
extraction Consider usefulness of data selected to migrate, especially within
single massive unstructured data documents

Step Two: Validation – Avoiding ‘Garbage In’• Assuring accuracy structurally or logically
Structural validation is identifying the patterns of data and arranging them for the new system’s use
Logical validation requires humans to review and create a ‘crosswalk’ or listing of the old code and its equivalent in the new system
• Follow specifications to predict how the new system will behave
• Plan for validation testing• Look out for the cross-section of business needs and technical
needs Have a clear understanding of what is required from all constituents

Step Three: Data Import
• Vendors may not be able to help you fill gaps: Where the data cannot be loaded and must be
typed manually Where the data may have been loaded but must
be cleaned up» Historical patient data such as allergies, immunizations,
medical/surgical history, medications, vaccines, and vitals
Appointments, orders, registrations, facilities, physicians, users

Benefits of Healthcare Automation Software
• Eliminates the risk of human error associated with manual entry
• Eliminates the costs associated with increased staffing
• Maintains project timeline and budget• Helps drive adoption of the new system

Automating Data Extraction with Boston WorkStation
• Boston WorkStation allows a user to apply filters and rules to data that is extracted allowing more usable, actionable information in the new system
• Boston WorkStation allows for on-the-fly data quality checks that prevent data quality issues

Automation and the Validation Process
• Once logical validation is applied to creating crosswalks, data can be very quickly and accurately validated
• Boston WorkStation can quickly identify structural or logical data errors

Automating Data Import Using Boston WorkStation
• Boston WorkStation is configured to perform the exact work a person would do
• Boston WorkStation will comply with the exact same data quality rules that a person would use and never deviate

Handling Large Volumes
• Boston WorkStation can be installed on innumerable virtual machines
• Boston WorkStation avoids ‘stuffing’ data into the new system by allowing a staged load where a subset of records can be tested for proper configuration and testing

Conclusion
• Some type of migration or conversion will occur in every organization
• Export, Validation and Import are consistent with all migrations
• Automation using Boston WorkStation provides extracting, filtering and importing of data – but many times faster and with 100% accuracy
