2020 Cement Concrete Producer User Manual

For the submission of Prequalification Documentation for MassDOT Approval

MassDOT RMS 12/09/2019

The purpose of this document is to establish a procedure for the Cement Concrete Producer submission of Prequalification Documentation. The following is a step by step procedure Producers must follow to ensure all required Prequalification Documentation is submitted by the Producer and is received by MassDOT Research & Materials (RMS).

1 HOW TO ACCESS THE “MASSDOT CEMENT CONCRETE PRODUCER SHAREPOINT SITE” (EXISTING SHAREPOINT USERS)

Cement Concrete Producers that have been granted access to the “MassDOT Cement Concrete Producer SharePoint Site” (including last year) are to access the “2020 MassDOT Cement Concrete Producer SharePoint Site” by clicking on the link provided below and entering their user name and password into the “Windows Security” dialog box (see Figure).

Please note that the producer is to enter pc\ before the username. Also, please notice the difference between “/” (forward slash) versus the required “\” (back slash) when entering pc\ before the user name. The “back slash” symbol can be found above the Enter key. Passwords are case sensitive.

Cement Concrete Producers requiring access to the “MassDOT Cement Concrete Producer SharePoint Site” are to request access to Aidan Bates, via email ([email protected]), and provide the following contact information:

Plant Name First and Last Name Title Work Email Address Work Phone Number

The Cement Concrete Producer requiring access to the SharePoint site will receive an email notice to obtain access to their respective SharePoint location (see Figure). The email provides the Producer with the following:

Please note that your password will expire every 90 days. Producers are to manage and change their respective passwords every 90 days by accessing the following link: https://projectcontrolspw.massdot.state.ma.us/SitePages/Home.aspx

On the left side of the web site, under the heading “Mix Design Approval Submittals”, the Producer is to verify that their respective plant is listed. Cement Concrete

Producers who cannot locate their SharePoint library are to contact [email protected] for access.

Once verified, the Producer is to click on their respective plant to access their SharePoint site “Library” (see Figure).

Please note that the Figure does not represent what the Cement Concrete Producer would be viewing as the screenshot was taken by an administrative user with special viewing capabilities. Producer SharePoint Libraries are only accessible and visible to their respective username. Producers will not be able to access or view other Producers’ SharePoint libraries.

5 WHAT PREQUALIFICATION DOCUMENTATION SUBMISSIONS TO UPLOAD INTO YOUR RESPECTIVE SHAREPOINT SITE LIBRARY

The Producer is to upload all of the required Prequalification Documentation into their respective Producer SharePoint Site Library. Such Prequalification Documentation may include the following:

The Cement Concrete Producer is to open the “Cement Concrete Persons of Contact Template.xlsm” (found in “Forms Library”) and complete all entry fields. The Producer is responsible for entering in three (3) contacts (see Figure).

If the Producer’s “PLANT NAME” is not found in the drop down menu, please contact [email protected] to have the “PLANT NAME” added.

7 HOW TO SAVE A COMPLETED “CEMENT CONCRETE PRODUCER PERSONS OF CONTACT.XLSM” TEMPLATE FOR NEW SUBMISSION

The Cement Concrete Producer is to save the “Cement Concrete Producer Persons of Contact Template.xlsm” by clicking the “PRODUCER SHAREPOINT SAVE BUTTON” (see Figure). This button automatically creates the required file naming convention. The Producer is to not modify the file name.

The Producer is to click “Yes” to initiate the “Save As” Dialog Box to Producer’s SharePoint location (see Figure).

The Cement Concrete Producer is to click “Save” to save the file into the Producer’s SharePoint location (see Figure). The Producer is to not modify the file name that has been generated automatically.

The Cement Concrete Producer is required to enter in “Required Properties” in order to save the file into SharePoint (see Figure) by clicking on “Edit Properties”.

The Cement Concrete Producer is to select the correct “Document Type” found in the drop-down menu. The “Document Type” is a required field and is denoted by the asterisk (*). The file cannot be saved until the Producer makes the selection. The drop-down menu contains various types of Prequalification Documentation:

The Cement Concrete Producer is to select correct Document type (“Persons of Contact (Excel)”) from the drop-down menu.

Once the “Document Type” is selected, the Cement Concrete Producer is to click “Retry Save” (see Figure).

11 HOW TO EXIT THE FILE

Once the “Required Properties” are entered in and the “Retry Save” is successful, the Producer may exit the file.

The Cement Concrete Producer is to open the “Cement Concrete Producer Standard Shop Drawing Checklist.xlsm” (found on the “Home” Page, as described earlier) and complete all entry fields. The Producer is to enter “X” into the “Drawing on File” column, for all the “2017 MassDOT Construction Standard Drawings and Standard Drawings for Traffic Signals & Highway Lighting” the Producer has on file, listed in the “Drawing Description” column (see Figure).

The Cement Concrete Producer is to save the “2020 RMS 043 Cement Concrete Mix Design Sheet.xlsm” by clicking the “PRODUCER SHAREPOINT SAVE BUTTON” (see Figure). This button automatically creates the “Mailing Address” entry fields, “Identification No.” entry field and the required file naming convention. The Producer is to not modify the file name. Please verify that the “Mailing Address” entry fields are correct. If entry fields are not correct, please contact [email protected] to have the “Mailing Address” corrected.

23 HOW TO EXIT THE FILE

Once the “Required Properties” are entered in and the “Retry Save” is successful, the Producer may continue entering in data into the required entry fields or exit the file.


24 HOW TO LOCATE YOUR “2020” UPLOADED PREQUALIFICATION DOCUMENTATION IN YOUR SHAREPOINT SITE LIBRARY

The Producer is to access the SharePoint site and locate the document’s file location on SharePoint by clicking on the Producer’s “Library”. The Producer is to then click “Document Type” to unhide the “grouped” “Document Types” (see Figure).

SharePoint files are grouped by “Document Type”, which is required to be entered in by the Producer when saving documents to SharePoint. To access a grouping, click the “Document Type” and the grouping will reveal itself (see Figure).

25 HOW TO OPEN AND EDIT DOCUMENTS

The Producer is to navigate to “Edit” by clicking on the “three dots”. The “three dots” is a place holder for navigating to certain file options (see Figure). Please note when accessing “.xlsm” files that this is the procedure that needs to be followed. Clicking on the file link will cause an error to be generated.
