Corporate sponsorships provide a fundamental source of financial support to Heartland Pride by helping to cover the costs associated with the annual Parade and Festival. The Parade and Festival are not only a cultural celebration raising awareness, outreach, and support, but they serve as our largest fundraising campaign. Funds raised from the Parade and Festival help fund our programs, provide college scholarships, and are shared with smaller LGBTQ+ not for profits in the area through our Community Action Grant Program. In return, sponsors receive significant marketing benefits and opportunities to showcase their support of the LGBTQ+ community in the greater Omaha and Council Bluffs area. Vendors will be located on the Holland Ice rink. Vendors catering to an “over 18 crowd” will be located in the press box of the Baxter Arena. Each vendor booth consists of one 10x10 space, one table, 2 chairs, and 4 vendor pass-es. Additional passes can be purchased through the box office.

What are we doing?

We are asking your organization to come up with, provide, and facili-tate some type of interactive activity in which festival patrons can par-ticipate. In return, your organization will receive a FREE booth at the festival and will receive a share of the fundraising profits.*

Why are we doing this?

The Heartland Pride festival is HLP’s largest fundraising event. Profits from the festival are put into our Community Action Grant Program (CAGP) which funds scholarships and sponsorships which help to promote the LGBTQ+ community! The more successful the festival is, the more we can put back into the community!

What’s next?

Contact Heartland Pride and let us know that you want to be part of this awesome experience! We will send you an application with all the details. We will not duplicate interactive entertainment ideas, so it will be “first come, first serve” for groups choosing their activity. If you can’t think of an idea, we have some!

What do I need to know now?

We will send you a complete list of the rules, but please choose something that the majority of our patrons can enjoy. The Pride Alli-ance Area will be indoors on the arena floor and outdoors in the park-ing lot 25. It will be open for most of the day (we will close it before headlining acts take the stage).

*Profits means Festival income after all expenses are paid, including the contribution to the CAGP. Participants in the Rainbow Alliance will receive 5% of those profits. In 2017 the profit was about $10,000!

PRIDE FESTIVAL BOOTHS DETAILED INFORMATION

ALL VENDORS:

· The event runs from noon until midnight. Booths must be available to patrons from noon until 7pm. The vendor area will close before the main acts take the stage.

· No organization is allowed to serve, sell, or give away pop or water. No food items can be sold within the arena.

· You are responsible for getting vendor passes to your team PRIOR to them arriving at the gate, or providing a list of names to HLP prior to the event for gate check-in. All people will need a ticket/pass to get in.

· We generally sell out of booth space each year, you will want to book early to ensure your spot!

· NEW THIS YEAR! We will allow your to choose your booth location. This will be done on a first come, first serve basis, and no spot will be guaranteed until payment is received in full.

· Set up will be available the evening before the event or one hour prior to open the day of the event. More details to come. Food vendors may set up the morning of, as early as 9 a.m.

· Electricity will be available on a first come, first served basis, with a limited number of booths available for electrical service. (Not available for Food Vendors, please see below.)

FOOD VENDORS:

· A Food Vendor is a business selling food items.

· A Food Vendor permit from the City of Omaha (Douglas County Health Department) is required and is the vendor’s responsibility.

· No organization is allowed to serve, sell, or give away pop or water.

· All Food Vendors will be outside the arena, in the parking lot nearest the main gate. Food Vendors must provide their own truck/tent, as well as power source/generator.

CANCELLATION POLICY: 100% refund prior to May 1st. No refunds after May 1st. Heartland Pride Festival is a rain or shine event!

PRIDE PARADE ENTRIES DETAILED INFORMATION

For the safety of parade participants, spectators and the general public, and to ensure the parade is in line with the values of the Heartland Pride organization, parade participants MUST agree to the following terms & condi-tions:

· Applications are subject to approval by the Heartland Pride Parade Committee. Heartland Pride reserves the right to reject any application it believes would be inappropriate given the nature of the event.

· The parade coordinator will send out a line-up and further instructions at least one week prior to the parade. The parade will start promptly at 10:00am.

· All registered groups/individuals must be in their designated line-up position by 9:00am on day of parade. At this time the parade’s judges will be walking through the line-up area for a preview of all the units.

· Entrants are responsible for the set-up and cleanup of their vehicle before and after the parade.

· All units agree to follow the direction(s) of the Heartland Pride Parade Coordinator, Heartland Pride Parade Security,and the Local Police Department at all times.

· Heartland Pride is a family-friendly, inclusive celebration of community. No signs, banners, or groups promot-ing or showing profanity, sexual acts, or obscene material will be permitted.

· All state and local ordinances regarding nudity will be strictly enforced. All costumes and other apparel worn during the parade (during line-up or the actual parade) must comply with the obscenity statutes of the State as well as the public decency ordinances of the City. No jock straps, G-strings, bras, or panties will be per-mitted to appear in the parade, also no “see-thru” clothing will be permitted. All decisions as to the propriety of attire to be worn in the parade will be made by the parade coordinator.

· The throwing of objects is NOT permitted under any circumstance. It is OK to hand out candy along the pa-rade path but throwing of any and all objects is prohibited.

· No alcoholic beverages or drug use will be permitted. Consumption of alcoholic beverages or illicit illegal drugs during line-up or the actual parade is grounds for immediate expulsion from the event.

· No animals will be allowed in the parade without approval by the parade coordinator.

PRIDE PARADE ENTRIES DETAILED INFORMATION (continued)

· All entrants with a motorized vehicle must carry proof of insurance with them in the parade. All motor vehi-cles, including motorcycles, must abide by posted speed limits during the parade route. Operating vehicles in close proximity to spectators is dangerous and NOT permitted. Operators of automobiles must possess a valid driver license. Operators of motorcycles must possess a valid driver license with motorcycle endorse-ment.

· It is the responsibility of any entrant to help immediately remove vehicle(s) that become disabled. If you are unsure about your own vehicle, please plan ahead for any towing needs you may have. Any fees associated with towing, repairing, and tickets issued by law enforcement agencies for abandoned vehicles will be the responsibility of the entrant. The Heartland Pride Parade is not responsible for any damages to any unit be-fore, during or after the parade.

· At no time, and for no circumstance, shall a unit stop in or along the parade route once the unit has stepped off, with exception to the direction of Heartland Pride Parade Staff or Local Police Officers or in the event of an emergency of any kind

PRIDE ADVERTISING DETAILED INFORMATION

· Please see attached specifications from the Baxter Arena for the “Jumbo Tron”, arena ribbon, and tele-vision displays.

· All submissions for the advertisement will be reviewed by the Heartland Pride Board, and the board reserves the right to reject any ad.

· If your sponsorship includes an advertisement opportunity, Heartland Pride will need the all approved logos and advertisements by May 1st. Advertising opportunities are not guaranteed if received after the deadline.

· Banners for the banner sponsorships will be purchased by Heartland Pride using your company’s or organization’s approved logo/artwork. If you have a banner that you would like us to use, Heartland Pride will review said banner for size and appropriateness prior to use
