ARMA International Tidewater Chapter #45

Volume 46, Issue 4

TIDAL WAVES

This year’s theme is to Be the Driving Force in our organizations by motivating, cultivating and advocating records management and information governance best practices. There is a plethora of articles, blogs and research on motivating co-workers that can provide ideas that you may want to incorporate into your RIM program.

One suggestion is to make your business a pleasant place to be; this can range from the strictly aesthetic bright paint and lighting to up-to-date technology. Replace things that your co-workers want to throw out the window in frustration. As RIM leaders, we should look at the tools we provide and the procedures we advocate with an open mind from our users’ perspective. Is there something we can change to make it easier for them to adopt records management best practices? Are you inundating people with forms to complete for records management? Critically review the forms to see if you can simplify them or stop requiring them. Is there a better way to collect the information using automation and technological tools?

Don’t forget to celebrate successes. It is easy to point out when someone is not following the rules, but we often forget to praise those who consistently do things the right way. An annual assessment of your program or a unit’s performance is an ideal place to provide feedback and

training but also highlight what people are doing well.

Be transparent. Having insight into how a program works and why we ask people to do certain things in a certain way makes participants more invested. With the right motivation, people will follow your training and processes because they understand the benefits they will gain and the risks to the organization of not doing things in a certain way.

How do you motivate your co-workers?

President’s Message Greetings!

Dr. Mary Jo Burchard started the program year off right with a great presentation on effective communication. This month ODU Vice Provost Brian Payne will discuss cyber security. I hope you join us for this important topic impacting our businesses, government, and personal lives.

Thank you to our volunteers. The success of the chapter depends upon you. Taking on one small task helps immensely. Please reach out to any Board member or to the [email protected] email to let us know you want to help.

Please let Darlene Barber know if you are attending ARMA Live! This year. We would love to have a photo of our chapter mem-bers at ARMA Live! If you attend and would like to share your experience in next month’s newsletter, please let me know.

See you on October 16th!

Some people may think they can’t be a leader because they are introverted and don’t like to talk in front of large groups. That is not an acceptable excuse. We look to leaders to teach us, guide us and help us understand the vision and mission. Introverts can do this if they have confidence in their abilities and knowledge. As a RIM professional, you are the expert in your organization on records and information best practices.

Extroverts often appear to be natural leaders because they exude confidence and draw energy from engaging in larger groups. However, Harvard Business Review research has shown that introverts are more effective leaders in complex and unpredictable settings. Quite leadership is often critical to an organization’s long-term success.

Introverted leaders gain satisfaction from maintaining the team’s productivity and high-quality work rather than public accolades. While not overly conversational in larger groups, the introvert often develops deeper, meaningful connections in one-on-one settings. This can make the introverted leader more in tune with what each team member needs to succeed and can build great loyalty and respect between the team and leader. Introverts draw their energy from within so they are often able to more easily tune out the commotion surrounding them. This ability enables them to focus on the task and concentrate on developing a solution despite the noise around them. So stop making excuses and be the RIM leader in your organization.

Why Volunteer for your Chapter? By Susan Marziani, Chapter Vice President

By now you have heard from many members of your Board of Directors asking for volunteers to assist the Chapter with committees, programming, education, and more. And you may say to yourself “I just don’t have the time” or “I have no skills to offer.”

Merriam-Webster describes a Volunteer as “a person who voluntarily undertakes or expresses a willingness to undertake a service…” People choose to volunteer for a variety of reasons. For some it offers the chance to give something back or to make a difference. For others, it provides an opportunity to develop new skills or build on existing ones (and maybe some you didn’t know you have?). Other reasons to volunteer are to feel involved, connect with col-leagues, meet new people/make new friends, strengthen your resume, and use your skills in a productive way. I joined ARMA in 2006 when I was asked to supervise the city’s records management pro-gram. Not knowing much about ARMA at the time, I was happy to just attend the annual con-ference to get some ideas. I had no interest in attending monthly chapter meetings or serving on a committee due to what I considered to be a huge time investment. At work, I had to teach myself (for professional survival) to be in front of people, train those people, and interact with my city co-workers at all levels, from a newly hired clerk to a department director or even to the City Manager. Records Management was becoming more of a presence in my city ver-sus an afterthought or emergency. Our services became more visible, more significant, and more essential. As the world of RIM changed constantly around me, I needed to know how to move my pro-gram forward. Then I asked myself - how was I putting those membership dollars to use? How could I learn more, do more, provide more to my program? Get Involved – that’s how! In 2015-16, I took a chance on myself and asked to be put on the ballot as Secretary. Seriously, how hard could it be to take notes at meetings – right? Well, it wasn’t hard at all. And by do-ing so, I made new friends, learned from my colleagues (YOUR colleagues) about best prac-tices, issues we all have in common, and how we can foster growth, learning and development in our organizations. It was a great learning opportunity and I’m glad I did it. Since that time I have held the office Vice President twice and Secretary once. Yes – being a Board member takes commitment. Yes – being on a committee takes commit-ment. You may have to travel through the tunnel crossings on occasion (which can be a big pain) and sometimes you may not get home quite as early as you’d like. Yet, by becoming a volunteer, you will increase your awareness of our industry, gain knowledge and learn from your colleagues. You will make new friends, you will grow, and you will have a place in chap-ter history. You have skills or you wouldn’t be in the RIM industry and we welcome the opportunity to work with you and explore those skills together. Invest in yourself. There are many reasons to volunteer and I’m sure one feels right for you. So, I ask - how will you help?

October is national cyber security month. Did you know: 1 in 3 homes with computers are infected with malicious software? 47% of American adults have had their personal information exposed by cyber criminals? 65% of American s who went online received at least one online scam offer. 44% of millennials have been victims of crime online in the last year. 83% of millennials agree that cyber-security awareness programs in school and at work are

important. The Department of Homeland Security offers two programs focused on cyber security. The #BeCyberSmart campaign tries to raise public awareness of cyber vulnerabilities and how to protect against them. The program aims to educate the public about how to take personal responsibility for online security. The website https://www.dhs.gov/be-cyber-smart offers les-sons and facts to increase your knowledge about the types of attacks that occur and how to secure your home and office. It includes important information about common scams and where to report them, as well as short, educational videos that you can share as part of the campaign. The Stop. Think. Connect. Campaign tries to raise public awareness about safe online habits.

This campaign includes toolkits designed for students, young profes-sionals, older Americans, businesses and government to use to edu-cate their constituents about online security. It include best practice tips, a social media guide, cybersecurity tips while traveling and short, educational videos that you can share. Check it out at
