25/11/14 Job Description Role Young People’s, Family and Communities producer Location Rich Mix, 35-47 Bethnal Green Road, E1 6LA Responsible to Head of Programming Hours 24 Hours Per Week Salary £20,000 - £22,000 pro-rata depending on experience Probation 6 months Deadline: 5pm, Monday, 28th September 2015. Interview date: During week commencing 5th October 2015. Role of Young People’s, Family and Communities producer Working closely with the Head of Programming, the Young People’s, Family and Communities producer is responsible for the smooth running of the artistic programme for young people, families and the communities that Rich Mix wishes to reach. This dedicated position will require the producer to be responsible for the relevant events acting as the first point of contact for artists, promoters and partners. Rich Mix’s Young People’s, Family and Community programmes are an integral part of our Arts and Cultural programme of live music, theatre, dance, visual arts, spoken word, comedy, festivals and special events. Our offer consists of workshops for young people and families; family festivals; workshops and theatre shows; cultural events for young people and events hosted by local community organisations. The Young People’s, Family and Communities producer will work closely with the Head of Programming to deliver an increasing offer for local young people, families and community groups, at the core of the role will be event producing, management and delivery. The role will have responsibility for the complete delivery of the Young People’s, Family and Community events; for managing the relationships with local community groups; for recruitment and management of Rich Mix’s Young Ambassadors programme; for programming of the annual Rich Mix Youth Takeover Festival. The Young People’s, Family and Communities producer will also work closely with Rich Mix marketing and box office teams to ensure the Young People’s, Family and Communities activities are promoted fully. Young People’s Programme Programming and project management of major projects to include August’s Youth Takeover Act as first point of contact for partner organisations delivering large scale young people’s events and community based activities Management of Rich Mix Youth Ambassadors scheme to include recruitment, managing meetings, and creating an annual programme of activity. Management of Youth Programming as directed by Head of Programming, to include managing partner events including somewhereto, Music for Youth and Grand Union. Development of Youth Programming by creating new partnerships and networking Management of Pitch to the Mix programme in partnership with somewhereto Support with work for local nurseries, primary and secondary schools as identified by Head of Programming and Schools Officer to include arranging mentoring sessions, organising ticket offers, marketing our family and young people’s arts offer and developing new strands and managing regular events of work. Event Production Lead producer of all Young People’s, Family and Communities events to include Family Sunday activities, youth programmes, workshops (100 plus events per year)

• Scheduling all Young People’s, Family and Communities producer events on booking system Artifax.

• Producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets).

• Ensuring legal, health and safety obligations are adhered to • Booking equipment and furniture. • Coordinating and leading on staffing requirements and staff briefings. • Liaising with all Creative Learning artists and programme partners to gather practical

information for their events, to include running orders, technical riders, hospitality riders, guest-lists, venue layout, parking, arrival times.

• Ensuring all practical information required is received in a timely fashion, passed on to colleagues and completing proformas for all events.

• Ensure operations staff are aware of the events requirements at weekly events meetings to brief technical, front of house and box office staff about events’ practical requirements. Responsibility to ensure the events requirements are met

• Arranging and meeting with artists where necessary to coordinate all practical requirements.

• Arranging any special one-off requirements such as accommodation, travel, food, work permits, late licenses, and security.

• Attendance at major events on weekends and evenings when required by Head of Programming.

• Liaising with box office, sending sales reports to artists and calculating box office splits so companies can invoice once the event has finished.

• Receiving and signing off invoices within agreed budgets Data and Reporting • Organise and maintain data collection for all Young People’s, Family and

Communities activities. • Develop methods for monitoring and evaluating success of Young People’s, Family

and Communities programming. • Writing reports for funders of our Young People’s, Family and Communities activities. • Update Rich Mix’s Child Protection policy as required. Additional • Assist wider Rich Mix Team with the promotion of the Young People’s, Family and

Communities programme to local schools, community organisations as directed by Head of Programming and Head of Marketing.

• Act as first point of contact at Rich Mix for work experience pupils • Support and management of the Arts Assistant Intern as directed by Head of

Programming Person Specification To join the team you will need to be positive, be able to multi-task, be able to work independently and be keen to use your own initiative in an extremely busy arts environment. Essential skills • Experience in producing large scale, complex events for multiple stakeholders. • Working with peoples at all levels of seniority. • Knowledge of educational frameworks and progression routes • Basic knowledge of Oftsed and Curriculum requirements • Safeguarding knowledge • Ability to capture and evaluate data • Basic technical knowledge for events. • Contracting artists. • Knowledge of risk assessment, food hygiene, equipment hires and health and safety. • Experience of delivering workshops • Good knowledge of East London and Tower Hamlets, ideally with experience of

working in the area • Managing and organising events • A proven track record of working with young people • Up to date knowledge of Child Protection legislation • Experience of working with schools
