day when it comes to your professional life. During my years as a working

adult, I’ve observed many successful as well as many troubled co-workers.

Marisa Beekman is the leader of the Nebraska chapter, a group that is starting their

second year of meetings and gaining momentum.

“We have had three meetings so far, and I have received positive feedback on all,

especially on the sessions with the subject matter experts,” says Marisa. “My goal is to

bring in an expert on various subject matters for each meeting so our members can

learn as much as possible and get their questions answered.  I am excited to see what

the future will bring for our chapter and the meetings.”

One of Marisa’s personal goals for 2015 is to host a post-meeting social at her

organization, Outlook Nebraska, Inc. (ONI), a provider of employment and workplace

training, as well as other opportunities, to the blind and visually impaired.

“We were recognized as the Greater Omaha Chamber’s 2014 Innovator of the Year

and we’re the largest employer of the blind and visually impaired in Nebraska and the

only agency of its kind in a seven-state region,” says Marisa. “One of the things that

I love most about our organization is that we provide independence and confidence-

building services for our associates and the community, including social activities,

education, training and health and wellness programs.”

Viola Shoell, who is spearheading the Washington chapter, is our up-and-

coming leader this issue. An average of 15 Members attend the quarterly

meetings, sharing knowledge from year-end procedures to why IT and Users

need to work together.

It’s the knowledge-sharing atmosphere that Viola loves most about leading

the Washington chapter. “The sharing of knowledge between Users is absolutely

incredible at each and every meeting. In addition to learning a ton about

Microsoft Dynamics GP, we learn about modules we may or may not like to use.

In the end, Members have valuable information as well as a greater perspective

to take back to the office.”

Viola shares that one of the major takeaways she’s learned along with other

attendees is the importance of IT working directly with Users. “They may be

separate entities, but IT can no longer be the people hiding in the basement.

IT needs to get involved to understand the Users, and Users need to share the

reasons behind the changes they seek from IT.” Viola continues, “It’s rewarding

to see the light come on for Users when we discuss the relationship between

them and IT.”

South Adams County Water & Sanitation District (SACWSD) is a water and waste-water

utility providing sewer services in the Commerce City, Colorado area to 60,000 residents.

Mark Huff is responsible for the management of the organization’s Microsoft Dynamics GP

solution as well as the coordination of SACWSD’s IT systems. SACWSD has 105 employees

working across four different facilities within Commerce City, and 25 of those employees are

Microsoft Dynamics GP Users.

Microsoft Dynamics GP handles all of SACWSD’s core financials, including Payroll, HR, AP, and AR.

The company also has an ISV solution from Diamond Municipal Software to assist with its utility billing

of 15,000 customers per month.

SACWSD is on the current version of the solution, Microsoft Dynamics GP 2013 R2, as it needs to

keep compliant for government records. “Every version that is released has new features, so each upgrade

requires massive evaluation on whether those features will be helpful to us or not,” Mark says. “The upgrade

from Microsoft Dynamics GP 2010 R2 to Microsoft Dynamics GP 2013 was definitely one of those mass

upgrades that took some due diligence.”

As the new leader of the Upgrade Special Interest Group (SIG) for

GPUG®, Mark has the experience to help his organization and others

make the upgrade process successful and less painful. “Not painLESS.

Less painful,” Mark points out. “It’s important that Users don’t assume

upgrades are an easy task. It takes time, work, and testing to make it

run smoothly.”

Over the course of two months, Mark directed his team on the

path to a successful upgrade with three key factors in mind:

» “Always know what you have to start with. Customizations and

multiple ISV products. You need to know all the parts you’re

using and whether you should still be using them after the

upgrade. For example, SACWSD got rid of two customizations

because they became part of the product. Functionality changes,

so always be on the lookout for those.”

» “Test, test, and test again. In Microsoft Dynamics GP 2013, we

immediately found things that didn’t work quite the same either

visually or functionally. 2013 was a huge visual change for my

Users, so we had to address how we should handle it. Do we deal

with it or change it? Give your Users an environment to try out

and see their processes in action. Make them part of their testing

process. At SACWSD, we tested it multiple times within our IT

group and then had end-Users come in to test and evaluate. That

phased approach made it much more streamlined.”

» “Finally, hold their hand when they’re ready to go. Knowing

support is there is a big confidence booster for Users and another

reason the GPUG community is so valuable today.”

Mark is excited to be heading up the Upgrade SIG in 2015. “I look

forward to getting more people involved and reenergizing the SIG, as

there’s so much value by learning from other people’s brain damage.”

Mark’s “brain damage” can be summed up in two great pieces of

advice:

» Don’t rush it. Take your time to do it right.

» Work with your end-Users. Don’t just push it through the power-

Users or IT; make sure to get everyone’s point of view.

If there is one thing that is true for all upgrades, it is that there

will be hiccups along the way. “You’re not alone on these,” Mark says.

“Other people have been through what you’re going through. Reach

out to the MVPs, All Stars, and other GPUG community leaders. You

should never feel alone on an upgrade.” GPUG

GPUG®: What are your initial thoughts about the release of Microsoft Dynamics GP 2015? Christina Phillips (CP): There are some great new bells and whistles, but bigger pieces came from the

Microsoft Dynamics GP 2013 R2 release.

Belinda Allen (BA): I don’t have any Customers on it yet and am just getting more familiar with it myself.

My initial thoughts are unless Users need a specific Workflow process or enhanced Services Orientated

Architecture (SOA), they can hold off upgrading for now.

Charles Allen (CA): This has been more of a quiet release for Microsoft Dynamics GP 2015. People are

saying, “Oh, there’s a new version, how about that!” I think we’re all just getting used to new features every

six months, and that’s going to change how we address upgrades for this release and moving forward.

BA: I like Charles’s terminology: It has been a quiet release, but with two giant boulders, additional

Workflow and Services Orientated Architecture. I think that these terms are also so new that many Users

are wondering what they actually mean for their business.

GPUG: Why should (or should not) Users upgrade to Microsoft Dynamics GP 2015?CP: If Users are on an older version than 2013 R2, they should definitely plan the upgrade to 2015 soon.

BA: Payables batch approvals is important for us and will be for quite a few of our Customers. Microsoft

supports two versions, so a good rule of thumb is to never be older than two versions. Maybe you don’t

need to upgrade every time, but you do every other time. If you don’t, upgrades become

much more complex, therefore more costly.

Why (or Why Not) Microsoft Dynamics GP 2015?

CA: Yes, there’s a difference from upgrading version to version versus making huge leaps. The more up-to-

date you are, the easier it is.

BA: Not only do Users need to stay current on Microsoft Dynamics GP, but they also need to stay current

on Office as well. The easiest and most cost-effective way to do that is Office 365.

GPUG: Given this, who should be first in line for Microsoft Dynamics GP 2015?CP: If Users aren’t already on Microsoft Dynamics GP 2013 R2, they should implement Microsoft

Dynamics GP 2015. Workflow also previously scared people off because of the different SharePoint

requirements, but that is now native in Microsoft Dynamics GP 2015. So people who want more

Workflow functionality, but don’t want to invest in ISV solutions, can achieve this pretty quickly right

out of the box.

CA: Business Portal and SharePoint are not fun at all to implement outside of Microsoft Dynamics GP. It’s

certainly a lot better to have it all in-house instead of going out to SharePoint.

BA: Yes, it really depends on how old of a version you’re running. Anyone who hasn’t already implemented

ISVs like KwikTag or ReQlogic can benefit from 2015 because of the new document management and

accounts payables batch approvals.

GPUG: What should Users know in terms of cost and licensing for Microsoft Dynamics GP 2015? CP: If they’re still on 2010 and going to go to 2015, then there’s a licensing transition from Module Based

Licensing or Business Ready Licensing to a Perpetual Licensing Model. With Perpetual Licensing, Users

get unlimited Management Reporter (MR) viewer licenses, which makes it easy and cost-effective to get

financial data out to the entire organization. They also get unlimited Users on Microsoft Forecaster and

unlimited employees if they already own Payroll. These little cost-savings nuggets can add up to a lot of

benefit for Microsoft Dynamics GP Users.

BA: Microsoft Dynamics GP 2015 also has a $60 per User read-only option, and that’s a huge savings and

benefit to Users.

GPUG: You’ve touched on a few features and benefits, but what’s your #1 favorite new feature in Microsoft Dynamics GP 2015 and why?CA: There’s a whole lot more HR functionality that’s now part of the package deal in Microsoft Dynamics

GP 2015. As far as time savings, I think that’s a huge win all-around.

BA: My favorite so far is the Business Analyzer (BA) app now available on iPad that allows Users to see Excel

and Management Reporter reports or statements via the app instead of in a PDF view. I show Customers

this, and their jaws drop. They immediately say, “I want this.”

CP: I agree, Belinda. The very fact of having one comprehensive place and centralization for financial

documents in a mobile view is going to be really cool.

CA: Yes, just the other day, we had a client wanting to email Microsoft FRx statements to their managers, and

we’re working with them to provide a mobile delivery mechanism instead of making them log in to the network.

GPUG: What are Customers already raving about in terms of Microsoft Dynamics GP 2015?BA: I would say Workflow is the hot ticket item. I’m anxious to get more people on Workflow in Microsoft

Dynamics GP 2015. A lot more is possible with Payables Batch Workflow and General Ledger (GL) Batch

Workflow. The Excel refreshable report from SmartList Builder is another very cool feature that I’m excited

to play around with.

CA: Yes, there’s a ton of good opportunity there. I know they’ve added functionality around Excel reporting

and SmartList designer, and I think that will meet a lot of employee self-service needs for Microsoft

Dynamics GP Users. It seems like there’s a good marriage of using Web Client and the new built-in

functionality of time sheet data entry and employee self-service versus using Business Portal.

BA: I feel like there’s still a window before the functionality of Microsoft Dynamics GP 2015 is commonplace,

and that’s forward-thinking on Microsoft’s part. It gives us time to play with it before Customers demand

it. For example, it took a while for people to fight over SmartLists because Users didn’t see the value right

away, but now they love it.

CA: Yes, they definitely see the value now.

BA: The little tweaks in SmartLists for Microsoft Dynamics GP are minor changes, but they can result in

huge time and cost savings. For example, Users complained about defaulting credits before debits, and now

that’s changed in this release.

GPUG: What should Microsoft Dynamics GP Users be aware of when planning their upgrade?CA: Make sure your third parties are available and custom work is supported, which is something Users

should do for every upgrade. Finally, test, test, and test.

BA: Yes, and if you test upgrade, then you know whether your third parties are or aren’t available.

Make sure hardware and software requirements are met and products are ready. Don’t make the

assumption they are!

CA: This may be wishful thinking, but having a separate test environment is also ideal.

BA: Azure makes that easy enough, so there are no excuses for Users; test before you upgrade! You

don’t need to test all your features, just the ones you want to work. (That was a joke. So, yes, test

(SEFL) is a company of quality.

The less-than-a-truckload freight

company provides service to

customers predominantly in the Sun Belt as well as

Kentucky, Texas, and Puerto Rico. Shawn Dorward,

senior financial systems analyst at SEFL, says, “As

a purely service-based operation, we measure all

we do using high standards of quality.”

As one of last year’s GPUG® All Stars, Shawn

keeps quality in high regard while ensuring the

financial system health for the company. By

leveraging Microsoft Dynamics GP, Shawn serves

as a liaison for the IT department and develops

best practices and procedures for Users along

the way. “In addition to financial systems health,

I make sure security measures are met and

upgrades go smoothly by providing project plans

for our team members as well as conducting User

testing, creating documents with key points, and

conducting internal trainings with Users,” Shawn

says.

Speaking of upgrades, SEFL is currently

undergoing its technical readiness assessment for

a Microsoft Dynamics GP 2015 upgrade and plans

to go live before the end of August this year. “We’re

excited about a ton of the new features from 2013

and 2015, but we’re most excited to be on the most

current version and stay mainstream,” says Shawn.

“By being part of the Microsoft roadmap, we can

be proactive instead of reactive as a company and

get the biggest benefit out of our investment.”

Clean and Lean

As a large company with more than 6,000

employees to pay every week, SEFL has an

efficient payroll process with little customization.

“Other than leveraging Integrity Data HR and

Payroll Add-Ins, we have no ISVs or custom

code,” Shawn shares. “Keeping the code as lean

as possible is a factor in what has helped us cut

the eight-plus hour process down to four hours

each week.” By ensuring that only applicable codes

are used on the employee level, and combining

with fast/reliable hardware, SEFL streamlined its

processes immensely. Shawn adds, “Our company

is constantly growing, and we can’t just postpone

paychecks. Keeping things lean ensures we stay on

a tight timeframe.”

On the security side of things, Shawn has

implemented a revered role-tailored security

policy for his associates. “One of our controller’s

key concerns is security. To ensure controls

throughout the User population are current and

necessary, we leverage Fastpath’s ConfigAD tool

With the introduction of Microsoft Dynamics GP 2013 R2,

Microsoft delivered support for application database  backups

onto Windows Azure blob storage service (http://azure.microsoft.

com/en-us/documentation/articles/storage-dotnet-how-to-use-

blobs) from within Microsoft Dynamics GP itself.

Azure Blob storage is a service for storing large amounts of

unstructured data, such as text or binary data, that can be accessed

from anywhere in the world via HTTP or HTTPS. You can use Blob

storage to expose data publicly to the world or to store application

data privately. Common uses of Blob storage include:

» Serving images or documents directly to a browser

» Storing files for distributed access

» Streaming video and audio

» Performing secure backup and disaster recovery

» Storing data for analysis by an on-premises or Azure-hosted

service

In turn, Microsoft Dynamics GP takes advantage of capabilities

introduced in SQL Server 2012 SP1 CU2 to  enable SQL Server

backup and restore directly to the Windows Azure Blob service. See

for more information.

NOTE: Starting with SQL Server 2012 SP1 CU4, you can also

use Windows PowerShell to back up to and restore from Windows

Azure Blob storage services.

As part of the backup and restore process, Microsoft Dynamics GP calls

the syGPAzureBackupRestoreProcess system database stored procedure.

Instructions

To take advantage of Windows Azure Blob storage service,

you must begin by setting up an Azure storage account, which

is the starting point for all storage services. The storage account

requirements are fairly straightforward: Set up a URL prefix,

associate a location or affinity group for your storage account, and

determine the type of replication. See http://azure.microsoft.com/

additional information on replication options.

Microsoft Dynamics GP Backups with Windows Azure Blob Storage Service

NOTE: The full URL will be the URL prefix followed by blob.core.

windows.net.

Upon creation of the storage account, the storage account name

and its access key properties are required to authenticate to the

Windows Azure Blob Storage service and its components.

Following the creation of the account, you will need a storage

container. A container provides a grouping of a set of Blobs, and can

store an unlimited number of Blobs. To write a SQL Server backup

to the Windows Azure Blob service, you must have at least the root

container created.

Click on the Containers tab to set up a new container. Enter a name

for the container, and select the type of access that will be provided

to the container.

container has been set up, you should see your new container listed.

Return to the storage account dashboard and click the Manage

Access  Keys option at the bottom of the window for the storage

account you set up. You can copy the primary access key, which will

be used to set up Microsoft Dynamics GP.

In Microsoft Dynamics GP, go to Microsoft Dynamics GP >

Maintenance > Backup to open the Back Up Company window.

Follow these instructions:

» Select the company you wish to back up.

» Choose Use Microsoft Azure storage as the destination for your

backup.

» Enter the storage account name you created in Windows Azure.

» Paste the access key from the previous section.

» Enter the URL to the container. The URL format is as follows:

https://storage-account.blob.core.windows.net/container-name

» Click on Verify account to validate your account settings and

connectivity to the container, then click OK to continue. The

backup performance will depend on your Internet connection

Unless you’ve been heads down (synonymous with “living under a rock”) for the last

couple of years, you’ve heard about “Azure” (and no, they likely weren’t talking

about the color blue).

But do you know what it is?By definition, Microsoft Azure is a global, enterprise-grade cloud platform offering

compute, storage, data, networking, and app services.¹

GPUG®: When you look back at your history with Microsoft Dynamics GP, what stands up as the most revolutionary feature to date?Jeff Trosen (JT): The most revolutionary

feature to me was the introduction of the

Microsoft Dynamics GP web client. So much

of the innovation for the web client was behind

the scenes as we transformed our Microsoft

Dynamics GP platform to a multi-tenant

server architecture that scales well for cloud

deployments while maintaining ease of use for

on-premises deployments.   We introduced new

security models for Windows Active Directory

and Microsoft Azure Identity Management. 

We provided a smooth transition for our ISVs

to bring their solutions to the web client and

introduced mixed mode usage where Users can

use the desktop client at work and the browser

client at home.  And we continue to evolve the

User experience for the web client by leveraging

User interface innovations for Windows 10 and

Office 365.

GPUG: In your opinion, what has been the biggest “stand-out” feature in Microsoft Dynamics GP 2015? Why?JT: It is hard to pick just one standout feature

because the broad selection of features in

Microsoft Dynamics GP 2015 appeals to different

people in an organization. 

All employees benefit from the new self-service

features where you can order a new computer,

enter your time and project hours, view your W2,

update your employee profile, and other common

tasks all through a secure browser experience.  

The Users responsible for audit control really

enjoy the configurable workflows with approval

levels tied to the Active Directory profile and the

ability to approve workflow items from their email. 

Keeping an eye on the overall health of your

business is also achieved through a wealth

of business intelligence features, including

refreshable Excel reports, Office 365 dashboards

you can view on your smartphone, and the all-

popular Business Analyzer now available for Apple

and Android devices.  

And on yet another hand, IT managers are

thrilled with the introduction of our service-based

architecture that provides the ability to create

apps on any platform and integrate them to the

Microsoft Dynamics GP business logic directly

through secure .NET operations.

GPUG: How does Microsoft Dynamics GP fit into the mantra of cloud-first, mobile-first by Microsoft CEO Satya Nadella? JT: The evolution of Microsoft Dynamics GP

over the last three years has been focused on our

GPUG: You have a solid team with lots of talent. What is one of the key things to keeping a highly performing team together, working at an accelerated pace, and continuing to do good work?JT: It’s really about trust and

collaboration.  Our team members

trust each other to make the right

decisions on behalf of Customers; we

don’t waste time second-guessing each

other’s decisions. Everyone knows the

work they need to accomplish, pitching

Here are some of the formulas I use in Microsoft Excel most

frequently (other than add/sum, subtract, multiple, and divide).

Please note that I currently use Office 365 Excel (the equivalent to

Excel 2013 Professional Plus), and those are the depicted screenshots.

Text

TEXT “mmm”

Frequently I want the result of my formula to display a portion of

the date and display as text (rather than a number formatted as text).

Depending on what I am doing with the data, it is sometimes easier

to have it show as text.

» “mmmm” will display the entire month name (e.g. March, April, etc.)

» “ddd” will display the day abbreviated (e.g. Mon, Tue, etc.)

» “dddd” will display the entire day name (e.g. Monday, Tuesday, etc.)

» “y” will display the last two characters of a year in text format

(etc. 16 for 2016 and 17 for 2017)

» “yyyy” will display the year in format using all four characters

(e.g. 2016, 2017 etc.)

Favorite Excel Formulas – Part 1by Belinda Allen

In some of the out-of-the-box Excel refreshable reports comes

“drillbacks”. (Note: eOne has a tool that allows you to create these

drillbacks.) A drillback is a URL of the inquiry window that displays

that record in Microsoft Dynamics GP. For this link to work, you must

be logged into Microsoft Dynamics GP on the machine on which you

are using this Excel report. In the above window, I have created a

column that displays the Journal Entry Number (Friendly_name). By

clicking on the result on a specific row, the Journal Entry window will

open (based on the “Link_location”) in Microsoft Dynamics GP AND

opens the Journal Entry number for that row.

I would then typically hide both columns used in the hyperlink

formula to make this table easier to use.

Logical

IF

This is probably the formula I use most often with payables and

sales/receivables documents. Since Microsoft Dynamics GP stores

all transactions for the purchasing and sales series as positive

documents and not as a net effect to a

specific module (for example, a payment

would show as a negative number since

it reduces both payables and receivables),

to have a report in Excel that nets out the

module rather lists documents, we need to

make some fields negative. The IF formula

allows us to do that. To make payments

appear as negatives, I first ask Excel: “Is

the document type a “Payment?” If it is a

payment, I place a “-” sign in front of the

amount to make it a negative amount. If it

is not, I simply enter the amount, leaving

it positive.

Since both the purchasing and the sales

series have three types of documents that

can be negative (payment, returns, and

credit memos), we’ll have to account for

all three types of documents. To do this

well, “nest” IF formulas. This means we

will place an IF statement inside another

IF statement.

In the previous image, I start an IF

statement performing a “Logical_test”

to see if the Document Type is a “Credit

Memo” as I did before. If it is, I make the

value a negative amount. If is NOT a credit

memo, rather than entering the amount

again, I enter the entire IF statement,

except for the “=” at the beginning that

I created for the “Payment.” You would

need to create a nest like this again for

“Returns.” In Excel 2013, you can have up

to 64 nested statements in one formula.

IMPORTANT NOTES

ABOUT THIS

STATEMENT:

This formula is looking at text, so if

there are two blank spaces after the word

“Payment” in your Excel table/worksheet,

there must be two blank spaces in the formula. You’ll notice I have several spaces in each

formula. Also, since this is text, it must have quotation marks around the text. GPUG

Knit, usually, but lately I’ve been spending a lot of time

working with Mark Polino (apologies to our spouses, Dara

and Richard). He was nice enough to co-author my/our BI

book so I/we could get it out!

The best advice I ever received…

If you haven’t already started thinking about upgrading to Microsoft Dynamics GP 2015, now is

the time. Keep these 10 important upgrade tips in mind:

Test, test, test

A test upgrade is one of the most important steps in any upgrade process. Besides testing the

Microsoft Dynamics GP upgrade itself, you will also want to ensure that your third-party products (if

applicable) are working as you would expect on the new version/build of Microsoft Dynamics GP. This will

also give you a benchmark in regard to how long the upgrade will take in the LIVE environment.

Backup, backup, backup

Plan to make full backups of all databases at key points of the upgrade so that you can always revert

back to those if need be. This includes full database backups prior to kicking off the upgrade as well as full

database backups immediately after the upgrade has completed.

Upgrade manual and upgrade hot topic

Please review our Upgrade Manual (https://mbs.microsoft.com/Files/customer/GP/Downloads/

ProductReleases/Upgrade.pdf) and Upgrade Hot Topic (https://mbs.microsoft.com/customersource/

northamerica/GP/support/hot-topics/HOT_TOPIC_MDGP2015Upgrade) to prepare and make yourself

aware of all of the known issues that can arise during your upgrade. A link to the manual can be found

within the Document folder in your Microsoft Dynamics GP code folder.

Install all features that are currently being used

Install all features that are currently being used and also any new features that you want to use in the

new release. The necessary features must be installed prior to running Microsoft Dynamics GP Utilities

to ensure that each feature is upgraded.

Upgrade multi-lingual databases with matching client code

language install

If you have Spanish-Latin American or French-Canadian translation databases, make sure that you

upgrade those databases with the appropriate client installation.

Truncate the DU000030 table

Run this script BEFORE kicking off your upgrade against your system Database: Delete DU000030

(NOTE: You do not want to run this script if your upgrade is already in a failed state.)

Speed up the upgrade

If you have a large number of company databases, you can start the upgrade from multiple machines/

workstations, selecting a subset of companies to upgrade on each one. Ensure that you are keeping in mind

the specs of the SQL Server so that you do not overload it.

Ignore the “white screen”

During the upgrade, ignore the “white screen” or “Not Responding” messages that you may see or

receive from within Microsoft Dynamics GP Utilities. The upgrade is not locked up. For details, visit

Upgrade Modified Forms and Reports.dic files

After upgrading your Microsoft Dynamics GP SYSTEM and Company Databases, you need to remember

that if you have any modified forms or reports.dic files, those need to be upgraded as well.  This article

is for Microsoft Dynamics GP 2013 R2; however, the same steps apply for Microsoft Dynamics GP 2015:

Are you upgrading to Microsoft Dynamics GP 2015, upgrading

to a newer version in general, or installing a service pack for

Microsoft Dynamics GP? Are you tired of watching the updating

databases process take forever? Here is a trick to decrease the amount

of time it takes to update the Microsoft Dynamics system and your

company’s database(s).

Start Microsoft SQL Server Management Studio and connect to

your SQL database server.

Right click on the Microsoft Dynamics (system) database and go to

Task >> Shrink >> Files. Before you ask: No, we will not be shrinking

the files. What we are looking for is information. See the following

screenshot:

What this tells us is that on the Data “MDF” file, it is 500 MB in

size, but 55% of it is actually free space. Now, change the file type to

Log “LDF” file.

This tells us that the LDF file is just under 300 MB in size, but 98%

of it is free space not currently in use. Please keep in mind that when

you are in full recovery, the amount of free space should change over

time from something like we see above to a very low amount just

before a transaction log backup occurs.

Speeding Up the Upgrade Processby John Lowther

There are multiple other ways of getting this information;

personally I use this method only because of my next steps.

Let us round the MDF file’s 278.94 MB to 300.00 MB and multiple

by four (four is an arbitrary amount; feel free to use a larger number).

Therefore, we end up with 1200.00MB. Also, let us round up the LDF

file from 292.05 MB to 300.00 MB (the size it gets right before the

transaction log backup), and multiple that by four as well. Therefore,

we end up with 1200.00 MB.

Now, click Cancel as we really do not want to shrink anything. Then

right-click on the database again, but this time go to Properties >> Files.

On this screen,

change the Initial Size (MB) to the numbers we calculated above so

that we end up with this:

Then click the OK button.

This action “grows” the MDF and LDF files and gives us lots of free

space for the database update process.

Now, right-click on the database again, go back to Properties,

and select Options. Here you want to change the Recovery model

to Simple. Yes, that is right, Simple. This also implies that during

the upgrade, you need to make multiple backups because you can

no longer do a point-in-time restore, but the advantage is that the

database update process runs a lot faster.

Repeat the above steps for every company database on your system.

Also, look at the TEMP system database and grow it as much as

you possibly can, depending on disk space.

After you have finished the upgrade or service pack install, change the

recovery models back to Full. Make another backup, and if you want,

shrink the files back to somewhere near but no less than where you started.

So, with those tips in mind, happy upgrading! GPUG

I am super excited about Microsoft Dynamics GP 2015 for two major reasons,

Workflow and Service Oriented Architecture (SOA).  Workflow offers immediate

value by providing improved processes involving entering and posting of items. This

in turn should make data available for reporting much faster, thereby improving

business intelligence (BI) and operational decision making. 

The SOA should allow Microsoft Dynamics GP to become even more of a “custom

User experience” than it already is.  I cannot wait to see how Users across all markets

will use this.  We’ve already started working on replacing a few custom apps for our

Customers to make for a truly integrated experience.

I have been active since early 2011. In the beginning, I was only minimally active: I attended a meeting or two. As I saw the benefits of membership, I increased my involvement over time.

Learning from others. So many people contribute to the community, and this creates a large knowledge base to draw from. It’s wonderful!

The opportunity to learn from the great webinars and articles. This allows them to learn at their pace on the topics relevant to them.

Continued GPUG growth, not only in number of Members, but also growth within each person that is part of the community. I am also looking forward to an awesome GPUG Summit in Reno this October. And, finally, I look forward to seeing the new talent that will step up and share their experiences with the community.

Rich Beliveau, director of Academy, shared the stage with

Betsy Whaley during GPUG® Summit’s closing session to

present the inaugural Richard Whaley Academy Award

to Bob McAdam of Dynamic Communities, Inc.

Richard Whaley, a frequent instructor of GPUG

Academy courses, was a valued member of the GPUG community

and a GPUG All Star. Many in the Microsoft Dynamics GP

community benefitted from his numerous presentations during

courses, webinars, and past Summit conferences. He combined his

passion for education with his love of Microsoft Dynamics to help

all be better Microsoft Dynamics Users.

“The Richard Whaley Academy Award was created as a way to

honor Richard and carry on his legacy,” says Rich. “Through the

years, Richard selflessly contributed countless hours of his time and

talents. An award in his honor is a way for GPUG and the community

to recognize others who have been influenced by his example.”

classes were asked to submit their

nominations and vote for the

award recipient.

In the words of one of his nominators: “Bob is an exceptional

instructor. I was lucky to have the opportunity to take two of his

classes, and his professionalism was very impressive. He went

above and beyond to help with my questions about the SmartList

Builder and helped solve a problem I had at work. Bob is amazing,

and he deserves to be the winner of the Richard Whaley Academy

Award.”

Bob is the vice president of finance for Dynamic Communities,

Inc. He presents between 15 and 20 virtual Academy courses

annually in addition to courses and sessions during Summit.

He regularly contributes to the community via Bob’s BloGPipes

(www.gpug.com/blogs/bob-mcadam) and is the co-founder of

Dynamics Podcast (www.dynamicspodcast.com).
