    NABJ is an organization of journalists, students and media-related professionals that provides quality

    programs and services to and advocates on behalf of black journalists worldwide.

    Founded by 44 men and women on December 12, 1975, in Washington, D.C., NABJ is the largest

    organization of journalists of color in the nation.

    Many of NABJs 3,000+ members also belong to one of the dozens of professional and student chaptersthat serve black journalists nationwide.

    NABJ is committed to the following:

    Strengthening ties among black journalists;

    Sensitizing all media to the importance of fairness in the workplace for black journalists;

    Expanding job opportunities and recruiting activities for veteran, young and aspiring black journalists,

    while providing continued professional development and training;

    Increasing the number of black journalists in management positions and encouraging black journalists

    to become entrepreneurs;

    Fostering an exemplary group of professionals that honors excellence and outstanding achievements

    by black journalists, and outstanding achievement in the media industry as a whole, particularly when

    it comes to providing balanced coverage of the black community and society at large;

    Working with high schools and colleges to identify and encourage black students to become

    journalists, and to diversify faculties and related curriculum; and

    Providing informational and training services to the general public.

    NABJ holds an annual convention and career fair each summer with dozens of plenary sessions and

    workshops for professional development. The careers fair draws hundreds of recruiters and is among

    the best means of nding a job in the industry. The annual Salute to Excellence awards and special

    recognition honors (Lifetime Achievement, Journalist of the Year, Community Service, etc.) are bestowed

    at each convention.

    Each year NABJ awards thousands of dollars in scholarships and internships to college and high school

    students nationwide, as well as fellowships for seasoned professionals.

    The NABJ Media Institute provides professional development and technical training for black journalists

    at venues across the country.

    NABJ is headquartered on the campus of the University of Maryland-College Park in Knight Hall, The

    Philip Merrill College of Journalism.

    The Student Multimedia Projects provide an extraordinary

    opportunity or approximately 50 college journalism students to

    receive invaluable, real-world newsroom experience by working

    closely with 25 seasoned NABJ members that volunteer their

    time to serve as mentors. The students and their mentors

    produce daily coverage o events at NABJs annual convention,

    as well as newsworthy events in the conventions host city

    New Orleans. Students are selected rom a national pool o

    candidates to research, report, write, edit, and shoot or the

    NABJ-TV

    Students majoring in broadcast journalism to produce

    daily newscasts which air on a closed circuit channel in the

    NABJ Monitor

    This student-produced 8 12 page daily newspaper is available

    to all convention attendees. Students cover the convention and

    NABJ Online

    Students maintain the convention website with content

    J-Space is the go to area or students during the convention

    RULES AND REGULATIONS

    National Association o Black Journalists hereinater reerred to as NABJ is the sponsor o the 37th Annual Convention & Career Fair.

    1.) PAYMENT. Contract will not be processed or space assigned without the required payment.

    2.) CANCELLATION OF CONTRACT. Exhibitors may cancel their exhibit space, by sending a written notice o cancellation by May 15, 2012. Additionally, NABJ will charge a $200cancellation ee, even i the canceled space is subsequently resold. Complimentary registration passes will be invalid.

    3.) COMPLIANCE WITH REGULATIONS. I an exhibitor ails to abide by the regulations o the convention as set orth, then the contract between NABJ and the exhibitor will beterminated. The exposition regulations constitute a portion o the contract between NABJ and the exhibitor. Thereore, any ailure on the part o the exhibitor to comply with theregulations represents a deault on, and termination o the contract. Should the contract be terminated in this manner, the exhibitor shall oreit the amount paid or space rental,regardless o whether or not NABJ enters into a urther lease o the space involved. Interpretation and application o the regulations are within the sole discretion o NABJ anddecisions o NABJ are fnal.

    4.) MAINTENANCE OF EXHIBITOR SENIORITY. Participation in the 2012 show is considered to be exclusive o any other NABJ related events and thereore will not aect senioritystatus or other events.

    5.) ELIGIBLE EXHIBITS. NABJ reserves the right to determine eligibility o any company or product to participate in the exposition. NABJ can reuse rental o exhibit space to anycompany whose display o goods or services is not, in the opinion o NABJ, compatible with the educational charter and objectives o the exposition or is otherwise inappropriate.

    6.) ALLOCATION OF SPACE. Whenever possible, space assignments will be made by NABJ in keeping with the preerence specifed by the exhibitor. NABJ, however, reserves the righto make the fnal determination o all space assignments in the best interest o the exposition.

    7.) SUBLETTING OF EXHIBIT SPACE. Exhibitors may not assign, sublet or share their exhibit space with another business or frm unless approval has been obtained in writingrom NABJ. Exhibitors must show goods manuactured or dealt in by them in the regular course o business. Should an article o a non-exhibiting frm be required or operation ordemonstration in an exhibitors display, identifcation o such article shall be limited to the usual and regular nameplates, imprint or trademark under which same is sold in the generalcourse o business.

    8.) LIABILITY. NABJ, its members, the representatives and employees thereo will not be responsible or any injury, loss or damage that may occur to the exhibitor, exhibitorsemployees, agents, contractors or property rom any cause whatsoever, or which may be sustained by any person who may be on the premises leased to the exhibitor or watching,observing or participating in any demonstration or exhibit o the exhibitor, unless such injury, loss or damage is caused by the sole gross negligence or willul misconduct o NABJ.Exhibitor and exhibitors contractors and its insurers will not subrogate against NABJ or thet o, loss o or damage to exhibitors or exhibitors contractors property while in transit towithin, and in transit rom the confnes o the hall.

    The exhibitor and exhibitors contractors shall deend, indemniy and hold NABJ, its ofcers, members, agents and employees, harmless against any and all claims, lawsuits, judgmentscosts, and expenses (including attorneys ees) or injury (including death), property damage or other harm or which recovery o damage is sought that may arise out o or beoccasioned by exhibitors perormance o the contract, breach o any o the terms or provisions o the contract, or by any other act or omission o exhibitor, its ofcers, agents,employees, or subcontractors, in the perormance o this contract; except that the indemnity provided or in this paragraph shall not apply to any liability resulting rom the sole grossnegligence o NABJ, itsofcers, members, agents or employees.

    9.) INSURANCE. The exhibitor and exhibitors contractors shall, at their sole cost and expense, procure and maintain through the term o this contract the ollowing insurance: a.

    Commercial General Liability Insurance against claims or bodily injury or death, property damage as well as personal and advertising injury occurring in or upon or resulting rom thepremises leased. Such insurance shall include contractual liability and products liability coverage, with combined single limits o liability o not less than combined total o $1,000,000per occurrence.

    b. Workers Compensation insurance as required by statutory law and Employers Liability with limits not less than: Bodily injury by accident $100,000 each accident Bodily injury bydisease $100,000 each employee Bodily injury by disease $500,000 policy limit c. Commercial Auto Liability Insurance-limits o liability not less than $1,000,000 combined singlelimit. Coverage or all required lines must be placed through a licensed carrier authorized to conduct business in the State in which the convention is being held. All carriers providingcoverage must have an A.M. Best Rating o not less than A-, VII.

    Exhibitor shall obtain and urnish to NABJ upon request a certifcate o insurance evidencing the required coverage to NABJ and its agents, employees, assigns and successors asadditional insureds to such coverage to be stated as primary without contribution rom any other source. I the exhibitor uses a nonofcial contractor, it too must comply with theabove coverage provisions. All property o the exhibitor and the exhibitors contractors is understood to remain under its custody and control in transit to, within, and in transit romthe confnes o the hall.

    10.) DISABILITY PROVISIONS. Exhibitor shall have sole responsibility or ensuring that their exhibit is in ull compliance with the Americans with Disabilities Act and any regulationsimplemented by that Act. 11.) DAMAGE TO PROPERTY. The exhibitor is liable or any damage caused to building oors, walls or columns, or to standard booth equipment, or toanother exhibitors property or the Hilton New Orleans Riverside.

    12.) LABOR. Exhibitors are required to observe all contracts in eect between service contractors and labor organizations.

    13.) CONFLICTING EVENTS DURING SHOW HOURS. The exhibitors agrees not to extend invitations, call meetings, hospitality events or otherwise encourage the absence o industryproessionals rom the exhibit hall and meeting rooms during the hours o all education and show activities. All requests or meeting rooms, hotel suites and special unction roomsmust be approved by NABJ. I an exhibitor cancels exhibit space, the opportunity to use any approved meeting rooms, hotel suites or special unction rooms will be invalid.

    14.) INSTALLATION. The start time or installation o exhibits is 9:00 AM, Wednesday, June 20, 2012. No exhibits should arrive at the exhibit location earlier than this date. Exhibitdisplays must be ully set up and ready by 5:00 PM on Wednesday, June 20, 2012. Ater that time, any unattended booths will be set up at the discretion o NABJ and all expenses willbe charged to the exhibitor. In the best interest o the exposition, NABJ reserves the right to re-assign any un-set exhibit space ater 5:00 PM on Wednesday, June 20, 2012.

    15.) EXPOSITION GUIDELINES. The guidelines have been adopted to ensure that each exhibitor can eectively use the assigned space without inringing on the rights o neighboringexhibits. No exhibits will be permitted which interere with the use o other exhibits or impede access to them or impede the ree use o the aisle. Booth personnel, includingdemonstrators, hostesses and models, are required to confne their activities within the exhibitors booth space. Apart rom the specifc display space or which an exhibiting companyhas contracted with NABJ, no part o the exhibit location and its grounds or public property may be used by any organization other than NABJ or display purposes.

    a. Sound. Sound systems will be permitted i tuned to a conversational level and i not objectionable to neighboring exhibitors.

    b. Lighting. NABJ reserves the right to restrict the use o glaring lights or objectionable light eects. The use o ashing electric signs or lights is not permitted.

    c. Attire. Representatives should be conservatively attired to maintain the proessional and business-like climate o the show.

    16.) ADMITTANCE DURING NON-SHOW HOURS. Booth personnel will not be permitted to enter the exhibit oor earlier than 8:00 AM on a scheduled show day, except on openingday, June 20, 2012, where they can access the exhibit oor at 7:00 AM, and other personnel will not be permitted to remain on the exhibit oor ater closing hour each evening, withthe exception o Saturday, June 23, 2012. Exhibitors that require additional time must obtain permission in writing rom show management prior to the show day.

    17.) DISMANTLING. Exhibitors displays must not be dismantled or packed in preparation or removal prior to the ofcial closing time o 12:00 noon, Saturday, June 23, 2012. Everyexhibit must be ully staed and operational during the entire show. The deadline or the dismantling and removal o displays will be 12:59 PM, Saturday, June 23, 2012. At this time, allexhibit displays or materials let in the booths without instructions will be packed and shipped at the discretion o NABJ and all charges will be applied to the exhibitor.

    18.) BADGES. Ofcial show badges will be required or entry into the exhibit hall at all times. Badges are not transerable and those worn by other than the person to whom the badgeis issued will be confscated. Business cards are not to be used in badge holders. Exhibitors will be granted an allotment o one (1) ull convention registration per contracted exhibitspace. Registration needed in excess o this allotment must be purchased at the published rate.

    19.) FEDERAL COPYRIGHT RESTRICTIONS. Exhibitor agrees to assume ull responsibility with the ederal copyright restrictions applicable to exhibitors, including but not limited to,any music perormance agreement between NABJ and exhibitors or meeting, conventions, trade show and expositions. Exhibitor urther represents and warrants that it shall obtainany additional license or grant o authority required o exhibitors under the copyright laws and be prepared to present NABJ, with a copy o such license or grant no less the (30) daysprior to the start o the exposition.

    20.) ORDINANCES AND REGULATIONS. Each exhibitor is charged with knowledge o all ordinances, regulations, and fre laws pertaining to health, fre prevention and public saetywhile participating in this exposition. Compliance with such laws is mandatory or all exhibitors and the sole responsibility is that o the exhibitor.

    21.) EQUIPMENT POSITION WITHIN BOOTH. To ensure the saety o all show participants, all machinery and equipment shall be positioned so that no portion is closer than 12 inchesrom the aisle. 22.) RELOCATION OF EXHIBITS. NABJ reserves the right to alter the location o exhibit spaces, at its sole discretion, in the best interest o the exposition.

    23.) PHOTOGRAPHY AND SKETCHING. Cameras may be carried in the exhibit area, but under no circumstances may photographs be taken without expressed authority o theexhibitor concerned in each case. Sketching or drawing machinery or products on display is prohibited.

    24.) EXPO DEADLINES. Exhibitor agrees to adhere to all published deadlines related to the production and promotion o the NABJ Career Fair and Exhibits.

    25.) FAILURE TO HOLD SHOW. Should the exposition be cancelled, postponed or abandoned, the limit o claim or damages and/or compensation by the exhibitor shall oreit theamount already paid or the space or the specifc event. Should the exposition be curtailed or abandoned in part, the limit o claim or damages and/or compensation by the exhibitoshall be that return o the prorated amount the exhibitor already paid or space or the canceled portion o this specifc event. However, exhibitors will not be reimbursed i theexposition is canceled, postponed, curtailed or abandoned due to an act o war, act or threatened act o terrorism, insurrection or radioactive contamination.

    26.) AMENDMENT OF RULES. NABJ reserves the right to make changes, amendments and additions to these rules at any time, and all changes, amendments and additions so madeshall be binding on the exhibitor with the provision that all exhibitors will be advised o any such changes.
