Main Purpose

US Federal Regulations• Meet US Federal regulatory requirements to only allow a

student to receive US Federal Title IV funds for courses that count towards their degree/certificate

• Institutions outside of the US who disburse US Federal Title IV Direct loans must also comply with these regulations

Requirement 1

Provide ability to identify if a course in the student’s registration applies to his degree/certificate• US Federal regulatory requirements to only include courses that

count towards a student’s degree/certificate for the calculation of enrollment• Evaluation of courses which apply towards degree/certificate using

• CAPP• Degree Works

• Supported by Student


Requirement 2

Provide the ability to identify eligible remedial courses and count the number of remedial hours attempted


Requirement 3

Provide ability to identify English as a Second Language (ESL) courses


Requirement 4

Provide the ability to identify a course being repeated and the number of attempts of the course• Count includes Withdrawals• Count excludes Withdrawals• Consideration of courses which are legitimate repeats

• e.g. Thesis


Requirement 5

Provide the ability to store the evaluation of the course for counting in program, remedial attempts, repeat attempts with date/time stamp for audit purpose


Requirement 6

Provide the ability to keep the student’s registered course evaluations current• When accessed by process or on-line (ROAENRL), evaluation must

be current as of that point in time


Requirement 7

Provide the ability to calculate the Financial Aid Enrollment based on rules• Include only courses in the student’s program(s)• Number of remedial course hours that may be included in the calculation

of enrollment• Include/exclude ESL courses towards calculation of enrollment• Number of attempts a student may have of a previously passed course• If attendance must be verified (currently within Financial Aid)• Calculations of enrollment must continue to work with current baseline

enrollment evaluations: Excluding course by registration status, grading mode, level, and specific course sections


Requirement 8

Provide the ability to display results of course evaluation on the Financial Aid Enrollment Form (ROAENRL)


Requirement 9

Ensure modifications are non-destructive to current/past enrollment calculations within Financial Aid when release is applied


Requirement 10

Improve performance within Financial Aid processing such as Disbursement by removing continual repeat evaluation using Academic History from Financial Aid and evaluating in Student processing once then only when changes occur


Requirement 11

Provide the ability for administrator to override the determination of the course evaluation process


Requirement 12

Provide Administrators, Registrars, Bursars, Advancement ability to view if courses are included in the student’s program


Requirement 13

Provide the ability for the student to view course evaluations for Financial Aid eligibility in Self-Service or Mobile device


Requirement 14

Provide the ability for Administrator or Student to evaluate impact of Course/Program changes to Financial Aid eligibility
