Effective immediately for the 2013 lodge officers, lodges must complete the Official Lodge Officers report on the lodgesofficer page on www.myfraternalweb.org , and submit along with their annual calendar of events. Since the lodge officer reportis now in electronic form, lodges will no longer need to complete the paper Lodge Officer Report, Form 8172 that waspreviously submitted with the annual lodge financial reports. Form 8172 will not be sent to lodge secretaries with the financialreports.

On the Lodge Officer page, the date of the officer election must be entered, and the individual who is submitting the officerreport must electronically sign the report by entering their name. The officers that are required to be recorded according to theLodge By-Laws, Article 2, Sec. 1 are the president, past president, vice president, secretary, treasurer, and three trustees. Allother officer positions are optional.

In addition, three new Web positions have been introduced. These positions are the Lodge Reporter (previously the Webcoordinator), Lodge Web site Administrator , and Social Media Coordinator . Each lodge should work to recruit members (orofficers) to fill these very important roles in order to give your lodges more online presence. An officer or a lodge member canserve in one or all three of the Web positions. These positions should be identified and entered on the new lodge officer pagebut are not required to submit the calendar: The Lodge Reporter (formerly the Web Coordinator) is responsible for entering events, completing the officer list,

submitting the calendar and making sure the post-event details have been entered and submitted. Lodge Website Administrator to upload stories and

photos of lodge events. Lodges have been challenged to create and maintain a Lodge Facebook Fan Page in which a Social Media Coordinator is

responsible for posting notices or follow-ups to events and posting pictures.

These changes present many benefits to you and your lodges: No paper forms to copy and send to the Home Office Officer lists accessible to COM/FCs, State Office and Home Office 24 hours a day/7 days a week Ability to view previous years officer reports And coming soon, the ability to generate a variety of reports

With this change comes the need to enter all of the required officer information on the new page, including first name, lastname, telephone number, email (if they are to have access to MFW), and officer position. Users will not be able to search foran individual as in previous years. This is due to a new database being built. Ask lodges to print off a copy of the 2012 officerpage to make entering the information easier. As officers are elected each year, the newly elected officer information must beentered and electronically signed each year (even if the officer roster is the same as or similar to the previous year).

As a reminder, lodges should submit their 2013 calendar to the State Office by November 15, 2012. In order to submit thecalendar, a lodge must complete the officers list. The following is required: Complete the Official Lodge Officer Report Record the names of all required positions, including first name, last name, and telephone and/or email. If the optional

officer positions are filled, record the names of those individuals as well. If an individual needs access to the lodgesdashboard an email must be entered.

Record the first and last name, telephone and email of the three new Web positions (Lodge Reporter, Web siteAdministrator, and Social Media Coordinator) if these individuals have been appointed. These positions are not requiredto submit the calendar, and can be entered or changed at any time.

Click the notification of election box. Select the date of the election. The individual who is completing the form and verifying the elected officers must electronically sign the document by typing

his or her name. Click Save

If a lodge has already submitted a calendar to the State Office without completing the new lodge officer page/official lodgeofficer report (it would be in your calendar waiting for approval queue), you will need to contact the individual who submittedthe calendar and ask them to unsubmit using the unsubmit button at the bottom of the calendar overview page. They shouldthen complete the new officer page and re-submit the calendar to the State Office.

If a lodges officer election will take place after November 15, encourage the lodge to have all of their events and specialmessages entered, and then complete the officer page as soon as possible, and then submit their calendar. Lodges shouldstrive to have elections in September or October in the coming years so the officers can be submitted by the November 15 th

deadline.
