The purpose of this document is to describe how to connect Crystal Reports with BMC Remedy AR Systemusing ODBC.

Please Note: Configuration screenshots have been taken from a Windows Vista machine using CrystalReports 2008. Although the instructions would be very similar, the images maybe slightly different for otherversions of Windows and Crystal Reports.

1. Install BMC Remedy AR System

Install the latest Remedy User client and check the Crystal Reports ODBC tick box during installation. Clientand installation instructions can be found at http://www.ucl.ac.uk/is/remedy/windowsclient.php.

2. Adding the AR System ODBC Data Source

Open the Control Panel. This can normally be done by going to Start Control Panel or Start Settings Control Panel depending on which version of Windows you are using.

Open Administrative Tools.

Double click on Data Sources (ODBC). If you are prompted with “User Account Control. Windows needsyour permission to continue”, select ‘Continue’. The ODBC Data Source Administrator dialog will open.

Under the ‘User DSN’ tab, click on the ‘Add’ button.

The Create New Data Source window will appear.

Click once on the ‘AR System ODBC Driver’ and click ‘Finish’. A new dialog will appear.

Enter the following details in the AR System ODBC Setup window.

- Data Source Name: AR System ODBC Data Source- AR Server: ars-server.ucl.ac.uk- User Name: <Enter your UCL Userid here>- Password: <Enter your UCL Password here>

Leave all the other options are their default values.

Click on ‘OK’ to close the setup window and ‘OK’ again to close the ODBC Data Source Administratorwindow.

3. Configuring the Database Connection

Open Crystal Reports and select ‘File’ ‘Log On or Off Server’.

The Data Explorer will appear as pictured below. Click the plus symbol next to ODBC (RDO).

The ODBC (RDO) window will appear. Select AR System ODBC Source and click ‘Next’.

A new window will open asking for Connection Information.

Enter the following details.

- Server: AR System ODBC Data Source- User ID: <Enter your UCL Userid here>- Password: <Enter your UCL Password here>

Click ‘Finish’. This will close the window and go back to the Data Explorer window showing the connectionhas been set up.

Click on ‘Close’. The connection to AR System is now complete.

4. Creating and Configuring a Report

To create a report, go to ‘File’ ‘New’ ‘Standard Report’. The Standard Report Creation Wizard willappear.

Under ‘My Connections’, click the plus symbol next to ‘AR System ODBC Data Source’. The forms thatyou have permission to see will then appear on the left. Select the form that you would like to report from andclick the right arrow in between the ‘Available Data Sources’ and the ‘Selected Tables’. The form shouldthen appear in the ‘Selected Tables’ column. Click ‘Next’.

Please Note: If when attempting this you receive an error stating "220:Driver]Out of Range" you shouldinstall Crystal Reports 10 Service Pack 1. The ODBC driver in that Service Pack should fix the problem. Thefile in question is crdb_odbc.dll which is found in the directory C:\Program Files\Common Files\CrystalDecisions\2.5\bin. The version of the file that should fix this issue is 10.0.0.733. If your version of that file islower than that, you will probably experience problems connecting to certain databases in Crystal Reports 10.

The wizard will then proceed through a number of options.

- Fields: Choose the information to display on the report.- Grouping: Group the information on the report.- Summaries: Add summary information to the report.- Group Sorting: Sort the groups based on the summarised totals.- Chart: Include a chart on the report.- Record Selection: Select a subset of information to display.- Template: Select a template for the report.

Some of these options only appear based on selection in previous dialog. However all the options areavailable to add/modify/remove after the wizard is complete. If you wish to modify your report, you may do soeither in the ‘Design’ tab or the ‘Preview’ tab. From our experience it's a lot easier to see exactly what youare doing in the ‘Design’ tab.
