Post title: Conference and Events Manager Reporting to: The Domestic BursarGrade: 7 (£30,434 to £37,394 pa depending on experience)

The College

Brasenose College is one of the older foundations in the University of Oxford. Originating in one of the medieval halls of the University, the gate of which was presumably adorned by the still-surviving ‘brazen nose’, or sanctuary door-knocker. It was founded by royal charter as the King’s Hall and College of Brasenose in 1509.

Nearly five centuries later the College is still thriving. It has some 370 undergraduates and about 170 graduates, a fellowship of around 40 and a similar number of lecturers. There are approximately 110 support staff. It is thus one of the medium-sized Oxford colleges, with a very friendly atmosphere.

The College is a self-governing institution. The ultimate authority for all decisions rests with the Principal and Fellows. The Governing Body is serviced by a structure of committees, chiefly the Academic Committee, concerned with academic policy and administration, and the Finance Committee and the General Purposes Committee, concerned with other aspects of the management of the College.

JOB DESCRIPTION

Responsible for developing and delivering conferences and events to maximise net revenues for college during vacations.

Duties to include:

• Overall responsibility for planning, organising and co-ordinating all internal and external conferences and events from initial enquiry to invoicing, including initiating new and creative proposals

• Provide a strong customer focus and service which includes welcoming customers to the College, offering a first-class service with excellent attention to detail

• Develop, produce and distribute marketing information• Develop and implement a rolling 3 year marketing and business development

strategy for conferencing and events. Proactively seeking new business to maximise income using the available facilities and any future developments.

• Create, review and control the conference and event budget in order to maximise profit now and in the future to ensure value for money

• Produce financial and written reports for the Domestic Bursar relating to conference operations

• Facilitate customer feedback to ensure continuous improvement of the conference services

• Communicate with the managers of other departments to provide an overview of the conference business to ensure the smooth running of the conferences and hospitality aspect of College life during the vacation period, ensuring high service delivery standards are met

• Manage the Conference and Events team (events co-ordinator and Administrator) • Responsible for managing tour business to the College along with filming requests

for College and Radcliffe Square in conjunction with the neighbouring institutions • To obtain best value through negotiation with suppliers• Organise staff events including the Childrens’ Christmas party and Annual staff party• Recruit, interview induct and manage the conference helpers
