When you choose to participate in CO-OP, you are choosing to be an Ambassador of the University of Ottawa, a professional representative involved in a diverse and exciting labour market, be it local, national or international. As a CO-OP Ambassador, you will have the opportunity to engage with employers and share your fresh ideas. You will also have the opportunity to connect with a growing number of students and alumni who, like you, have made the decision to seize opportunities. We invite you to connect with this Community of Excellence either in person or online. Keep in mind that your CO-OP career won’t be limited to employment in the local community. WHAT IS THE VALUE OF CO-OPERATIVE EDUCATION? The University of Ottawa Co-operative Education Programs is an educational strategy that directly impacts student engagement and learning (NSSE, 2011). From a practical perspective, CO-OP is important to student employability and success. By working in jobs related to their program of study, students gain valuable work experience—experience that enables them to develop a network of contacts, add marketable skills to their resumé, and offset the cost of higher education. From a pedagogical perspective, CO-OP is important to student learning and development. CO-OP students, at the undergraduate and graduate levels alike, alternate between periods of work and periods of study. This gives them the opportunity to reflect on their experiences in the academic and professional settings and, consequently, to integrate both theory and practice. This integration deepens and enriches the overall educational experience.

CONSIDERATIONS FOR YOUR FIRST WORK TERM:

• See it as the start of your professional life • Not all work terms are ideal or dream jobs • Use your first experience as a springboard to success in future work terms • Maximize networking opportunities, build relationships and learn more about your field

Remember: Any work experience can be valuable. Make the most of it!

DURING YOUR TIME IN CO-OP You will benefit from:

CO-OP is your gateway to professional development You will gain experience in your field and have opportunities to work in different environments and labour market sectors. This will give you a better idea of what you enjoy and what you don’t. Developing a professional network of people working in your field while in CO-OP will help you with your job search for future CO-OP work terms and for future jobs after graduation. Many students manage to pay off their student loans while enrolled in the CO-OP program.

Many students hold professional jobs when they graduate largely due to experience gained in CO-OP. A recent study showed that CO-OP students are more likely to earn higher salaries and to obtain prestigious positions after graduating than students who did not choose the CO-OP option.

Our programs are CAFCE accredited. What does that mean?

The University of Ottawa Co-operative Education Programs are accredited by the Canadian Association for Co-operative Education (CAFCE). To obtain accreditation, several quality standards must be met:

• a commitment from the institution; • a commitment to quality program delivery; • a commitment to evaluation and monitoring; and • a commitment to structural features, which facilitate the co-operative education learning process.

The CO-OP work-term report The work-term report is an important part of quality co-operative education programs and is an essential requirement to obtaining accreditation with CAFCE. The work-term report is much more than an opportunity to develop communication skills—it is a means for students to reflect on their experience with their CO-OP employer and on how the experience relates to their learning. Ideally, the report enables the integration of theory and practice. CO-OP IS A COURSE WITH FEES

• CO-OP is a mandatory academic program that promotes learning both inside the classroom and beyond it, in a professional work environment.

• Students have responsibilities: The work term must be successfully completed in order to continue in your program of study.

• You must observe key dates and deadlines, and follow the relevant procedures and guidelines.

NOTE: Your uOttawa financial account, including CO-OP participation fees, must be in good standing at all times in order for you to remain within your program of study.

THE ADMISSION AGREEMENT Read the “Admission Agreement” carefully and completely before accepting the offer – it is a KEY DOCUMENT to understanding the CO-OP requirements. For one thing, you must follow your work-study sequence.

• This enables your faculty to plan courses so they are offered when you need to take them.

We offer opportunities for you to do your work terms during the summer, fall and winter sessions, providing you with different experiences that allow you to see the workplace at various times throughout the year.

ACTIVE PARTICIPATION IN THE PLACEMENT PROCESS The study term preceding your work term is the time during which you:

• confirm your placement intentions: participate in placement, find your own job, or both • prepare or update your resumé • register for and attend all mandatory workshops (most before your first work term and one

immediately following it), and complete all online workshops and activities • attend appointments with your Professional Development Specialist • apply to a reasonable number of jobs • take note of, prepare for, and attend all interviews

• rank jobs and comply with the matching agreement

PROGRAM SEQUENCE AND ENROLLMENT STATUS

• To graduate from your program, you need to remain a full-time student throughout your CO-OP sequence.

o You cannot fast-track the CO-OP process (students must complete a minimum of 12 credits per study term, including the last term).

o You cannot study part-time

• While on a work term, you must be enrolled as a full-time student at the university; this ensures your continued access to student discounts for public transportation, the uOttawa library, including the Virtual Career Library available at http://uOttawa.ca.libguides.com/vcl.

• You can continue to access the uOttawa gym as well while on a work-term but you will have to pay part-time fees (check with Sports Services about this).

o However, you are not recognized as a full-time student by Revenue Canada; therefore, you must pay all required taxes.

NOTE: While participation in the CO-OP program does not affect scholarship holders per se, it may affect when holders receive their funds – contact the Financial Aid and Awards Service for more information:

CO-OP FEES

• CO-OP fees are due during the session before your first work term and subsequently for every work term, up to and including the final one.

• The fee for the upcoming academic year is $670. • CO-OP fees are participation fees paid throughout your active involvement in the CO-OP program.

NOTE: The busiest CO-OP period is during the study term prior to a work term.

• CO-OP fees are due no later than the date your tuition fees are due. Please check the list of

important dates and deadlines on the University’s website to confirm this date http://www.registrar.uottawa.ca/Default.aspx?tabid=2671.

NOTE: If you are matched in the second round, after the date fees are due, you should pay your fees on the day you are matched to avoid incurring any late fees.

• Fees are set by the Registrar’s Office and are reviewed annually. • Fee schedules can be changed only once a year, typically in May. • You can also check your statement of account to see when your fees are due or call the CO-OP

Office at 613-562-5741 during office hours if you have questions.

NOTE: Fees are only charged if you have a work placement position. Fees paid prior to your first work term will not be reimbursed.

IF YOU RECEIVE OSAP

• While on work terms in the winter or fall sessions, or in school summer terms, Financial Aid [and thus the National Student Loans Service Centre (NSLC)] may not have you listed accurately, since you are not following the typical fall/winter schedule.

• Consult the Financial Aid and Awards website to verify your status: http://www.registrar.uottawa.ca/Default.aspx?tabid=2654

THE U-PASS

• Typically, everyone at uOttawa has to pay for this regardless of use.

• STO students are an exception – make sure you have not been charged by mistake. Check your account statement and let the U-PASS Office know if you have been charged for the pass before the exemption deadline.

• Students sent abroad or elsewhere in Canada will be charged as well, but the Student Federation receives a list, created in consultation with our office, indicating who is on a work term, out of the area or the country, so that they can be reimbursed.

YOUR ACADEMIC STANDING Satisfactory academic performance (CGPA)

• Admission to CO-OP • Be registered full-time • Must be in good academic standing (based on Faculty of Engineering policies - minimum 4.5 CGPA) • Follow the CO-OP sequence and the faculty course sequence

NOTE: Participation in the first CO-OP work term is conditional until fall grades have been assessed in January.

ONCE YOU ARE OFFICIALLY ADMITTED

• If your CGPA drops below the accepted minimum after admission, you have two study terms to bring it back up to the required level based on your program requirements.

• To graduate from your program, you must remain in good academic standing throughout the length of the program, including your last study term.

WHAT IS EXPECTED OF YOU

• Complete your work terms (generally last 15-17 weeks). • For each work term, complete a work-term report that is:

o similar to an end-of-term essay or exam o graded by the CO-OP academic coordinator in your faculty (www.coop.uOttawa.ca/en/en-

contact-us/en-cc.asp)

NOTE: A pass does not affect your CGPA; however, a failing grade will affect your CGPA. Two failed work terms will result in withdrawal from your program of study.

• CO-OP credits are accumulated to obtain your degree.

LABOUR MARKET REALITIES

• Government jobs are the norm in Ottawa-Gatineau.

• Security clearances are required to work for the government and the departments may find it difficult to obtain one for you, particularly if you have lived or travelled outside of Canada, or if you are a permanent resident, international or Visa student. International students and new permanent residents should obtain a police check from their home country if possible to facilitate the security clearance process.

• ***Canadian Citizens who’ve lived/studied/worked abroad for 3 months or more should try to get a Police Certificate from the country they resided in as soon as possible to speed up Canadian Security Clearance process in the event that they are offered a position with the Federal Government”.***

• Get mobile!! Great opportunities await you! Moving about within this country or moving to another one will enrich your CO-OP experience and make you more marketable. Enhance yourself by being open to these opportunities.

• Moving to do a placement in another country can benefit you in your career-many employers now look for international experience.

• You may need a car for some work positions, even in the Ottawa-Gatineau area.

• We are currently developing more positions in the private sector for students who have greater

difficulty accessing work in the government (i.e. international students or permanent residents).

• Knowing the labour market can help you better succeed! “Realities of the Job Market” online workshop (Virtual Campus) can be of help to you. We want to help you better understand the labour market before you accept your offer.

Start thinking about specific employment barriers that you face, as well as your areas of strength: can you easily obtain a security clearance? Are you bilingual? Do you have experience in your field? BEING ABLE TO COMMUNICATE IN CANADA’S OFFICIAL

Communication skills are essential. If you (or we) feel that language courses would be a benefit to you, we will point you in the right direction.

• You must prepare a resumé, which then needs to be approved by a Professional Development Specialist (PDS).

• You may need to meet individually with your PDS – typically students will have at least two appointments with a PDS.

• You will need to reserve some time for submitting job applications and for researching potential employers, as students who do this have more success than those who do not show this initiative.

• You will need to spend time preparing for interviews, and you must be available for interviews during interview periods.

The time you invest will determine your success in the CO-OP program.

THE CO-OP ADMISSION AGREEMENT Mandatory CO-OP Programs Admission Agreement

As a CO-OP student, I am representative of the program and of the University of Ottawa. I will therefore deal in a professional way with any issues that may arise. By accepting this CO-OP placement, I agree to the following conditions and I understand that I must maintain my good academic performance in order to begin the CO-OP program.

ACADEMIC REQUIREMENTS

I agree that I am not allowed to change my CO-OP work-study sequence, including the number of work terms, without the written permission of the CO-OP Office. I understand that this sequence has been pre-established and approved by my faculty and by the Senate of the University and can only be modified for exceptional reasons.

Depending on my program of study, I agree to register as a full-time student (i.e. for a minimum of 12 credits at the undergraduate level or 6 credits at the graduate level) for each scheduled academic session.

I agree that if I have been admitted into the CO-OP program with advanced standing (several courses credited), I will comply with the CO-OP regulations requiring me to register full time for each academic session.

I agree to maintain my CGPA above the minimum required for my program, and that if I fail to do so, I will be subject to the probation measures that apply to my program.

I agree that I am entitled to take one night course during a work term. However, this should not prevent me from registering full time for subsequent academic sessions. Any exceptions to this rule will require the permission of the CO-OP Office.

I authorize the CO-OP Office to register me for my work term courses prior to each placement period.

I agree to submit my work term report on time to the CO-OP Office (see calendar of activities on the CO-OP website) and to follow the work term report guidelines.

WORK TERM PLACEMENT

I agree that I am responsible for regularly checking the deadlines posted on the CO-OP office website at www.coop.uOttawa.ca .

I agree to meet all the deadlines indicated in the CO-OP calendar (date for applying for jobs, submitting choices and ranking forms, etc.).

I agree to attend all mandatory workshops, to meet all placement process deadlines, and to accept the job assigned to me during the matching process. I agree that once I have been matched with an employer, I will stop searching for another placement and will report for work with the assigned employer.

I agree to authorize the investigation of all statements contained in my resumé. I understand that misrepresentation or omission of facts on my resumé and during interviews shall be sufficient cause for cancellation of placement or consideration for employment. In extreme cases, I could be assigned an F (Failure) for my work term placement.

I agree to allow the CO-OP Office to submit my resumé and my academic transcript to potential CO-OP employers.

If a job for which I am interviewed requires a security clearance, I agree to allow the CO-OP Office to immediately send to employers the information they need to initiate this process.

I agree that during the placement process and interview periods, I will check the website every day for any new information sessions or interviews that may have been scheduled for me. I will be available during the entire process and will attend all scheduled information sessions and interviews.

I will maintain satisfactory job performance and follow all my employer’s policies. I will contact the CO-OP Office before dealing with any problem issues that may arise.

I understand that while I am on a work term, scheduled university break periods, such as Reading Week, do not apply and that I am expected to work full time for the duration of the established contract.

POLICIES

I agree to pay the CO-OP fees set every spring by the Registrar’s Office.

CO-OP fees CO-OP students begin paying CO-OP fees during the session that precedes their first work term and then for every work term thereafter, including their final work term.

I agree to comply with all the CO-OP policies and procedures outlined in the document titled Regulations and Procedures Governing Mandatory Co-operative Education Programs.
