Ceremony and ReceptionOur Adirondack-styled Bristol Room (2,175 sq. ft.) can accommodate 130 guests and features our rustic x-back chairs, antler chandeliers and a timber-beamed ceiling. The adjoining covered, open-air Bristol Terrace and Bar can accommodate an additional 60 guests. A few more steps brings you to our Bristol Ceremony Lawn, complete with a paved aisle and hand-crafted arbor and panoramic views of Canandaigua Lake.

Our Seneca Ballroom (4,475 sq. ft.) can accommodate events as large as 260 guests. It is a more formal setting featuring a working stone fireplace and a custom built-in bar. An entire wall of glass doors leads to the Seneca Terrace - a 3,500 sq. foot stone terrace which offers breathtaking views of Canandaigua Lake. The Seneca Terrace can accommodate up to 260 for your ceremony or cocktails with a custom arch framing the Lake and Bristol Hills. When tented with our 60 x 40’ deluxe tent with clear top and sides, it can accommodate an additional 100 guests for your seated dinner. The lower Seneca Ceremony Lawn, with paved walkway and staircase, is situated on the lakeside grounds of our newly renovated 31-room hotel and offers an open air ceremony site, perfectly designed to behold the spectacular view!

The Seneca Lawn - a variety of tenting for ceremonies or cocktails may be arranged.

Additionally, we have an elegant Bridal Suite for your wedding party preparations, a custom-built stone fire pit for late night story-telling and Adirondack chairs throughout the property for relaxing. Our Robert Trent Jones 18-hole golf course is sure to keep your guests active; Finger Lakes winery tours, spa treatments, yoga classes, and water sports can be arranged nearby.

Exclusive Wedding OptionOur Exclusive Wedding option gives you the opportunity to be the only wedding held at Bristol Harbour on your special day, and allows you to book the Bristol Room and Terrace, Seneca Ballroom and Terrace, and Bridal Suite, so you can enjoy exclusivity, privacy, and the ability to customize your celebration. Please see page 21 for additional details. Please note: The Tavern at the Point Restaurant, Bernie’s Cafe, Golf Shop and Golf Course are not available with the Exclusive Wedding option and are open to the public during Weddings.

Bristol Harbour is honored to provide our 60 x 40’ deluxe tent with clear top and sidesfree of charge to all Seneca Ballroom weddings.

Our permanently installed clear tent preserves the breathtaking views of Canandaigua Lake from inside the Seneca Ballroom and from the Seneca Terrace, while offering protection from the

elements if needed. The clear sides can be put in place upon short notice, if desired. Due to theunpredictable nature of inclement weather, the tent will ensure you have use of the gorgeous

Seneca Terrace in the event of unexpected storms.

The deluxe clear tent can accommodate up to 100 guests for your seated dinner, and up to 260 for your ceremony or cocktail reception.

Is a deposit required to book my wedding at Bristol Harbour? Yes, we require a non-refundable $5,000.00 deposit for the Bristol Room and Seneca Ballroom at the time of booking to reserve the date for your event. A second non-refundable deposit of $10,000.00 is due six months prior to your wedding date.

When is my final payment due?Final payment for all charges and unpaid balances is due 21 days prior to your wedding date.

What types of payment are accepted for deposits and payments at Bristol Harbour?PLEASE NOTE THAT BRISTOL HARBOUR IS A CASHLESS FACILITY. A personal check or bank cashier check is accepted for payment of deposits and final payments. Your on-site guests may pay for their accommodations with Visa, MasterCard, Discover, or American Express. We ask that you please notify your guests in advance that cash is not accepted for payment anywhere in the facility.

When are my final guest counts due?Final guest counts are due 21 days prior to your wedding date.

Vendors who are provided meals must eat in the designated vendor break room in the Main Lodge basement or in Bernie’s Cafe, at the discretion of Bristol Harbour Management. Vendors may not be seated at tables in the reception room or any other room in the facility except the two designated areas mentioned above, unless the bride & groom make advanced arrangements to have them seated in the reception room. What is the cost for guests under age 21?The cost for guests ages 11 - 20 will be calculated by subtracting the bar cost from your selected package price. If you have selected Enhanced or Duet Entrée options for your package, the cost will be calculated by subtracting the bar cost from your selected package price + the Enhanced or Duet Entrée upcharge. The price includes all food selections offered in your package such as passed and/or stationary hors d’oeuvres, soup and/or salad, entrée, and soft drinks. Please advise our Wedding Coordinator of the number of guests ages 11 - 20 and their meal selections when submitting your final guest count. In accordance with state and federal laws, individuals under the age of 21 are not permitted to consume alcohol.

What are the meal options and cost for children ages 10 and under?We offer a choice of children’s meals for guests ages 10 and under for $10.00 per child:Your choice of Macaroni & Cheese OR Chicken Fingers, served with french fries and fresh fruit cup.Please advise our Wedding Coordinator of the number of children ages 10 and under and their meal selections when submitting your final guest count.

How do we arrange our Farewell Brunch Buffet?The final guest count for your Farewell Brunch Buffet is due 21 days prior to your wedding date and may not be adjusted after this due date. There is a 20 person minimum for the American Brunch Buffet, and a 35 person minimum for the Finger Lakes Bounty Brunch Buffet. Your Farewell Brunch Buffet is applied towards your required Food and Beverage Minimum for the Diamond, Elegance, and Classic Packages.

Full payment for your Farewell Brunch Buffet is due 21 days prior to your wedding date along with your final payment. All Farewell Brunch Buffet charges are subject to change. All invoices are subject to New York State sales tax (p. 28). Brunches run from 9:30 a.m. - 11:30 a.m., and are typically held in the room your reception is held in, based on availability. Bristol Harbour reserves the right to determine the location of brunches in the event that the reception room is unavailable at time of booking.

May I use vendors other than those on your Approved Vendors list? (located on pages 29 & 30)Our Approved Vendors list is provided to assist you in selecting reputable vendors that we have worked with previously. Other vendors may only be permitted on a case-by-case basis at the discretion of management; Bristol Harbour reserves the right to deny the use of any vendor not on this list. Please discuss your intended vendors with our Wedding Coordinator prior to making vendor deposits or reservations. You will be responsible for providing an accurate list of all vendors and contact info to our Wedding Coordinator prior to your wedding date to assist in the day-of coordination of your event. If you receive approval to use vendors that are not on our Approved Vendors list, those vendors will be required to sign our Vendor Policy Form at least 21 days prior to your event.

Is there on-site parking?Yes, there is a large, complimentary parking lot in front of the Main Lodge building, and a complimentary parking lot adjacent to the Inn building for overnight guests. We do not offer valet service.

Where will my outdoor wedding ceremony be held in case of inclement weather?Bristol Harbour reserves the right to move your outdoor ceremony to an indoor or covered location in the event of serious inclement weather. The location of your indoor ceremony will be based on availability and is at the discretion of management. Please ask our Wedding Coordinator for additional information.

When must I have all of my items out of the reception room?At the conclusion of your event, it is your responsibility to remove all items from the reception room, including but not limited to gifts and cards, decor, floral arrangements, audio/visual equipment, etc. No items may be left in the reception room at the end of the night. Any items stored in the Bridal Storage Room will be discarded if not claimed within 48 hours of the conclusion of your event.

Do you offer on-site accommodations for overnight guests, and will I receive a block of rooms?Yes, Bristol Harbour has a 31-room, on-site Inn located adjacent to our Main Lodge building that can accommodate your overnight and out-of-town guests.

Weddings in the Bristol Room and Seneca Ballroom will receive a block of 15 rooms upon receipt of your first deposit. This includes the complimentary Deluxe Room for the bride and groom. Your guests will receive a 10% discount on their rooms. Rooms in your block will require a 50% credit card deposit at the time of booking to hold the reservation. All rooms in the block that do not have deposits 30 days prior to your wedding date will be released and become available for general reservations at regular seasonal rates on a first-come basis. Deposits placed on rooms for wedding guests can only be transferred or refunded until 30 days prior to your wedding date. Any room cancellations made within 30 days of your wedding date will result in a forfeit of the deposit. Any cancellations made within 24 hours of the day of check in will be billed in full for the total cost of the reservation.

FOOD AND ALCOHOL SERVICESNew York State regulates that no food and beverages will be brought into or on our premises. The exception is made for licensed wedding cake bakeries.

FOOD AND BEVERAGE MINIMUMS Please note that Rehearsal Dinner food, beverage and room rental fee, Bridal Suite food, beverage and room rental fee, Ceremony Site rental fee, House-baked Wedding Cakes and Desserts, and Farewell Brunch also apply toward your required Food and Beverage Minimum.

ENTERTAINMENT/DECORATIONS/DISPLAYSYou may arrange for your own entertainment. Management reserves the right to limit the volume of your entertainment to acceptable levels and hours. Due to the Town of Canandaigua ordinance, all musical entertainment must end no later than 11 p.m. in our Bristol Room and 12 a.m. in our Seneca Ballroom.

Any special requirements for receiving or setting up of displays, decorations, floral arrangements, computers, etc., should be discussed with the Wedding Coordinator in advance.

No material or decorations may be attached to walls, wood trim, or the ceilings by nails, pins, staples, tape or glue.

Confetti, glitter, birdseed, and fake flower petals are not permitted.

Candle floral arrangements must be approved in advance. If using candles, the flame must be contained.

All decor must be removed from the facility within 48 hours of the conclusion of your wedding. Any items left at the facility more than 48 hours after the conclusion of your wedding will be discarded. Bristol Harbour is not responsible for items that are discarded after 48 hours.

Fireworks, sparklers, sky lanterns, or pyrotechnics of any kind are not permitted on Bristol Harbour property.

Indoor and outdoor lighting equipment must comply with the city mandated guidelines and may not interfere with the views or enjoyment of our hotel and restaurant guests. All indoor and outdoor lighting fixtures must be approved by the Management.

RENTAL ITEMSIf you are renting outside equipment and/or structures, including but not limited to tents, arbors, arches, furnishings, etc., from a vendor not on our Approved Vendor List, a copy of our Vendor Policy Form must be signed by the vendor and submitted to our Wedding Coordinator at least 21 days prior to your event. Due to the preservation of views for our guests, all staging, tents, arches, or any other structures or equipment must be approved by the Management.

Rental tents, structures, etc. are only permitted on the lower Seneca Ceremony Lawn if they are removed at the conclusion of the event, and placement is subject to prior approval by the Wedding Coordinator.

The removal deadline for all other rental tents, structures, etc. is at the discretion of the Wedding Coordinator based on other events scheduled the following day, and must be discussed and agreed upon with the Wedding Coordinator at least 21 days prior to the event. Failure to adhere to the agreed upon removal deadline will result in a fee of $1,000.00.

HOLIDAY POLICY FOR PACKAGE FOOD AND BEVERAGE MINIMUMSThe Friday and Saturday Food and Beverage Minimum will be applied to events held on Sunday if Sunday is a holiday. (Example: If July 4th falls on a Sunday, the Friday and Saturday Food and Beverage Minimum will apply to events held on that Sunday). If a holiday falls on a Friday, the Friday and Saturday Food and Beverage Minimum will be applied to events held on the Sunday following the Friday holiday (Example: If July 4th falls on a Friday, the Friday and Saturday Food and Beverage Minimum will apply to events held on Sunday, July 6th).

If a holiday falls on a Monday, the Friday and Saturday Food and Beverage Minimum will be applied to events held on the Sunday prior to the Monday holiday and on the Monday of the holiday. (Example: If July 4th falls on a Monday, the Friday and Saturday Food and Beverage Minimum will apply to events held on Sunday, July 3rd and Monday, July 4th).

VENDOR POLICIES

GENERALIf you receive approval from our Wedding Coordinator to use a vendor not included on our Approved Vendors list (p. 29 & 30), the vendor must:

Sign and return our Vendor Policies Form at least 21 days prior to working at Bristol Harbour.

Vendors will not be permitted to work at Bristol Harbour unless the appropriate documentation is submitted in advance.

LOAD IN/LOAD OUTVendors are responsible for bringing anything needed for set up and/or removal of your equipment, including but not limited to: staff, dollies, carts, ladders, screwdrivers, hammers, nails, screws, staplers, scissors, tape, etc. Any requirements for receiving displays, decorations, floral arrangements, computers, etc., should be discussed with the Wedding Coordinator in advance. Bristol Harbour is not responsible for providing any materials for set up, repair, or removal of vendor equipment. Bristol Harbour Lodge & Golf Club is not permitted to move equipment that is not ours.

All set up, clean up and sound/equipment checks must be completed 30 minutes prior to the event start time.

ENTERTAINMENT/DECORATIONS/DISPLAYSManagement reserves the right to limit the volume of entertainment to acceptable levels and hours. Due to the Town of Canandaigua ordinance, all musical entertainment must end no later than 11 p.m. in our Bristol Room and 12 a.m. in our Seneca Ballroom.

No material or decorations may be attached to walls, wood trim, or the ceilings by nails, pins, staples, tape or glue.

All decor must be removed from the facility within 48 hours of the conclusion of your wedding. Any items left at the facility more than 48 hours after the conclusion of your wedding will be discarded. Bristol Harbour is not responsible for items that are discarded after 48 hours.

Confetti, glitter, birdseed, and fake flower petals are not permitted.

Our Approved Vendors list (p. 29 & 30) is provided to assist you in selecting reputable vendors that we have worked with previously.

Other vendors may only be permitted on a case-by-case basis at the discretion of management; Bristol Harbour reserves the right to deny the use of any vendor not on

this list.

Please discuss your intended vendors with our Wedding Coordinator prior to making vendor deposits or reservations.

You will be responsible for providing an accurate list of all vendors and contact info to our Wedding Coordinator prior to your wedding date to assist in the day-of coordination of your event.

Please review the following policies for vendors working at Bristol Harbour. Upon making your first deposit, you will be asked to sign & return the last page of this

document acknowledging you have reviewed and agree to our vendor policies.

FIRE SAFETYCandle floral arrangements must be approved in advance. If using candles, the flame must be contained.

Fireworks, sparklers, sky lanterns, or pyrotechnics of any kind are not permitted on Bristol Harbour property.

It is not permitted to cover, remove, or otherwise obscure any exit signs, smoke detectors, fire alarm handles, fire extinguishers, sprinkler heads, or vents.

TEAR DOWNTear down is to begin at the conclusion of the event and must be completed in a timely, quiet and safe manner. Bristol Harbour staff is not responsible for collecting, packaging, and/or facilitating the removal or tear down of any vendor items.

The removal deadline for all rental tents, structures, etc. is at the discretion of the Wedding Coordinator based on other events scheduled the following day, and must be discussed and agreed upon with the Wedding Coordinator at least 21 days prior to your event.

The event space should be left in a neat and clean condition, free of any equipment and/or garbage. There is a $250.00 fine which will be collected from any vendor who leaves equipment and/or garbage at the facility upon completing tear down, including excessive fallen flower petals, etc. Vendor is responsible for any damages incurred by the facility directly resulting from set up, use of, and/or removal of vendor equipment.

STORAGEBristol Harbour Lodge & Golf Club does not provide any storage prior to or following an event. All equipment and elements for an event must be delivered and picked up on the day of your event.

RENTAL EQUIPMENTIf you are renting outside equipment and/or structures, including but not limited to tents, arbors, arches, furnishings, etc., from a vendor who is not on our Approved Vendor list, a copy of our Vendor Policy Form must be signed and submitted to our Wedding Coordinator at least 21 days prior to your event.

Rental tents, structures, etc. are only permitted on the lower Seneca Ceremony Lawn if they are removed at the conclusion of the event, and placement is subject to prior approval by the Wedding Coordinator.

The removal deadline for all other rental tents, structures, etc. is at the discretion of the Wedding Coordinator based on other events scheduled the following day, and must be discussed and agreed upon with the Wedding Coordinator at least 21 days prior to your event. Failure to adhere to the agreed upon removal deadline will result in a fee of $1,000.00.

ATTIRE & CONDUCTAll vendor staff must be dressed neatly with identification badges and/or uniforms before, during and after the event. Shirts, shoes, and appropriate attire are required during set up. Any change of clothing will take place in our restrooms.

Vendor appearance and behavior is an important part of the overall event experience. All vendors working at Bristol Harbour must conduct themselves in the manner in which Bristol Harbour Lodge & Golf Club deems appropriate. Please respect the facility, rules, and most importantly our staff and guests. All vendors are asked to follow any instructions given by our Management team before, during, and after the event.

FOOD & BEVERAGEVendors are not permitted to consume alcohol at the facility before, during, or after your event. Bristol Harbour reserves the right to remove from the premise any vendors who are found drinking or appear intoxicated.

Vendors who are provided meals must eat in the designated vendor break room in the Main Lodge basement or in Bernie’s Cafe, at the discretion of Bristol Harbour Management. Vendors may not be seated at tables in the reception room or any other room in the facility except the two designated areas mentioned above, unless the bride & groom make advanced arrangements to have them seated in the reception room. Please check with the Wedding Coordinator as to where vendor meals will be served.

No outside food or beverage is permitted with the exception of licensed wedding cake bakeries.

SMOKINGBristol Harbour is proud to be a smoke-free facility. Designated smoking areas are for guests only. Staff and vendors are not permitted to smoke anywhere on the property. Failure to comply will result in a $250.00 fine.

LIABILITYBristol Harbour is not responsible for any injury, loss, or damage that may occur to the vendor, the vendor’s employees, or property, or to any other person, during or subsequent to the period covered by the vendor contract provided said injury, loss, or damage is not caused by the willful negligence or wrongful act of an employee of Bristol Harbour. Each vendor expressly releases Bristol Harbour from such liabilities and agrees to indemnify Bristol Harbour against any and all claims for such injury, loss, or damage.
