What is the process of

reserving my wedding

ceremony and reception

or wedding reception

only at Hensville?

Congratulations on your engagement as this is such an

exciting time in your life! After you schedule a time to tour

with your Sales & Event Coordinator and you decide on a

date and venue space, your Sales & Event Coordinator will

ask for information to fill out your Booking Contract and

send it to you for your signature and to secure the non-

refundable deposit. Your Booking Contract will depict

your date, venue space, time frame, food and beverage

minimum and any rental fees that may apply. To lock-in

your date, the booking contract will need to be signed

and returned with the deposit.

QUESTION 2

Is there a deposit due to

hold my date? If so, what is

the amount and how can I

make payment?

Yes. A $3,000 deposit is required for the Holy Toledo

Room and $3,750 for The Armory. Deposits are non-

refundable, but they are applied to your final balance.

Hensville accepts cash, check, certified funds or the

following credit cards (MasterCard, AmericanExpress and

VISA). Please make all checks out to “Toledo Mud Hens

Baseball Club” and send to the attention of your Event

Coordinator to the following address: Toledo Mud Hens

Baseball Club (406 Washington St. Toledo, OH 43604).

QUESTION 3

If I am hosting my

ceremony at Hensville am

I able to have a rehearsal

and who is responsible for

overseeing/running it?

You are permitted to have a one (1) hour block for a

self-guided rehearsal. You will be granted access to

the space to meet and greet your family and friends

and execute your rehearsal. No extension of time will

be permitted on-site. You are responsible for providing

someone to coordinate your wedding ceremony (day-of

coordinator, officiant, family member, etc.) Depending

on other events that could be taking place the day before

your wedding, your rehearsal may be held in a separate

location than where your wedding ceremony will take

place on the day of your wedding.

QUESTION 4

When can we schedule our

ceremony rehearsal?

You can schedule your wedding rehearsal thirty (30) days

prior to your wedding date with your Event Coordinator.

Most brides and grooms host their wedding ceremony

rehearsal the day before their wedding date.

QUESTION 5

Can I host my rehearsal

dinner at Hensville?

Absolutely! We have private banquet spaces that can

accommodate your rehearsal dinner with our in-house

caterer. Your Sales & Event Coordinator would be happy

to assist you with the details of planning your rehearsal

dinner. We also have two restaurants that

can accommodate rehearsal dinner parties.

What is all included in

the food & beverage

minimum at Hensville?

We are happy to provide and assist with the following

items for your Big Day!

• Five (5) hour reception with a five (5) hour open bar

• 85” Black or White Linens

• Black or White Linen Napkins

• China, Silverware & Glassware

• Professional Uniformed Banquet Staff

• Bartender(s) – The number available will depend on the

final guest count

• Dance floor

• Tables

• In-house banquet chairs

• Cake Cutting by Hensville Staff

QUESTION 7

How many bartenders

are included in the

wedding package?

Two bartenders are including in the price of your wedding

package. If you would like to request a 3rd bartender you

must do so at least one month prior to the date of your

wedding. A $185 labor fee will be added onto your final

invoice. This amount is NOT applicable to count towards

your Food & Beverage minimum.

QUESTION 8

Can I bring in my own food

and alcohol at Hensville?

We do not permit any outside food or beverage to be brought onto the property as we are able to provide all food and beverages with our in-house caterer. However, the exception to this rule is we do allow you to bring in a wedding cake from a third-party vendor. Please refer to your Booking Contract regarding further explanation on our Food and Alcohol policies.

QUESTION 9

Is there a tasting provided

to try the menu items?

If so, how many people

can attend?

We provide (2) group tastings a year to accommodate the various schedules of our Bride & Grooms. We offer a tasting so you can sample all of the items on our wedding menu to better help you decide what you’d like to offer your guests and so you have the opportunity to ask our Banquet Team any questions you may have. Bride & Grooms are invited to attend ONE of the two tastings offered. If you are unable to attend either date then you can send up to two people in your place. An email invite will be sent at least three to six months prior to the date of the tastings with the date, location, and times. It is your responsibility to make accommodations to attend these events if you do wish to sample the wedding menu prior to the date of the wedding.

How long will my reception

last and if I wanted to

extend my reception am

I permitted to do so?

All receptions are five (5) hour room rentals and have a firm end time of 11:00pm. You have the option to host your wedding reception from 5:00pm-10:00pm OR 6:00pm-11:00pm.

No on-site extension of the reception will be permitted.

If Bride & Groom would like to extend their reception one (1) hour, that needs to be requested and approved by their Sales & Event Coordinator no later than two (2) weeks prior to event date.

• Bar service will NOT be extended. All bars are five (5) hours maximum.

• Maximum reception time is six (6) hours, no exceptions.

• Bride & Groom will be permitted to add on the extra hour at the front end of their reception, making their reception run time 5:00pm-11:00pm.

• A fee of $750.00 will apply for the extra hour. This fee cannot be applied towards the food and beverage minimum.

• For six (6) hour receptions, the Bride & Groom will need to inform their Sales & Event Coordinator when they would like their bar to close for one (1) hour during the reception.

What if there is a specific

alcohol that is not part

of the bar package?

We are more than happy to accommodate any requests

for specific alcoholic beverages, based upon availability

from our distributors. Any special requests must be made

known to your Sales & Event Coordinator at least one (1)

month prior to your event date. An upcharge per guest

may be applied for any special requests.

Is any leftover food and/or

beverage permitted to be

taken home with us at the

end of the night?

Due to health code restrictions, leftover food or beverage

cannot be taken from the reception. If you would like to

take home any leftover cake, you will need to provide the

proper containers the day of your event to do so.

When are final menu

selections and counts due?

All final menu selections, counts, details pertaining to

the venue, etc. are due to your Sales & Event Coordinat

or no later than 14 business days prior to event day.

We would like to have

a plated meal, are we

permitted to offer

our guests a choice

for their entrée?

You can offer your guests two (2) entrée selections

for their plated meal. However, each of the items below

are mandatory to execute dinner service:

• Assigned Guest Seating with Seating Chart

• Escort Cards with Guest Entrée Choice Clearly Marked

• Final Count with Selections for All Guests

Each Table with Name of Guest and their

entrée selection

• We also offer a Mixed Grill option for an additional $2

per guest. Your Sales & Event Coordinator will be able to

provide additional details regarding this option.

Are you able to

accommodate any guests

that have any dietary

restrictions/ food allergies?

We are more than happy to accommodate any dietary

restrictions, food allergies, etc. for guests to the best

of our ability. If you have any guest(s) who need special

accommodations please make sure you notify your

Sales & Event Coordinator when you confirm all details,

menu selections, etc. 14 business days prior to event day.

Do you offer a meal option

for children?

A children’s meal is available for any child in attendance

12 and younger. A kids’ meal includes: Chicken Fingers,

French Fries and Pepsi products from the bar for

$16.95/ per child.

QUESTION 17

Do you provide a discounted

meal for vendors?

Absolutely! Vendors Meals are provided at a discounted

rate of $30.00/ per vendor. All vendors need to be

included in final meal counts and will have the same meal

that is being prepared for your guests.

QUESTION 18

Does Hensville provide

an officiant for wedding

ceremonies?

Hensville does not provide an officiant for wedding

ceremonies that are hosted on-site. It is the responsibility

of the bride and groom to secure an officiant for their

wedding ceremony. Your Sales & Event Coordinator will

be happy to provide a list of Preferred Vendors for your

reference upon request.

Do you have any

restrictions for any

outside vendors?

We do not have restrictions for the use of any outside

vendors. Brides and grooms are more than welcome

to use whomever fits best in their budget, style and

personality. Your Sales & Event Coordinator will be happy

to provide you with a list of Preferred Vendors for your

reference who have worked weddings at Hensville before

and have done a phenomenal job!

QUESTION 20

Does Hensville have

any restrictions

regarding décor?

You are permitted to decorate your venue space along

the lines of your vision and personal style to make your

wedding beautiful and unique! You are not allowed to use

the following items which include but are not limited to:

tape, nails, pushpins, command strips, etc. Much of the

façade that makes Hensville unique is historic and those

items can damage the walls, ceiling, floors, fixtures, etc.

All candles must be enclosed in a glass container/votive

holder and be provided by the bride and groom. Silly

string, confetti, and glitter of any kind is not permitted to

be used on the property. Hensville is not responsible for

the décor, and all personal items/décor must be removed

at the conclusion of your reception.

Hensville does not provide a Full-Service Day-Of

Coordinator/Wedding Planner to assist you with the

planning of your wedding.

Information” section to explain in detail the difference

between your Hensville Sales & Event Coordinator and

Full-Service Day of Coordinator/Wedding Planner and

how they work together to ensure you have the Best Day!

Who will be my contact

the day of my wedding at

Hensville if I need anything?

Your Sales & Event Coordinator or a Designated Hensville

Representative and Hensville Banquet Manager will be

your contacts the day of your wedding should you need

anything pertaining to the venue!

QUESTION 24

When will I have access

to the venue to decorate

and setup?

You can contact your Sales & Event Coordinator to

finalize date(s) and time(s) for access and setup of the

venue. Hensville typically provides access beginning at

1:00pm the day of your event for all setup. The venue will

be available for one (1) hour immediately following your

reception for teardown of all personal items/gifts/décor.

You and the vendors you’ve hired for your wedding are

responsible to remove all items during the one hour peri-

od following your reception. Please make sure to let your

vendors know this information when you’re signing con-

tracts with them. Hensville is not responsible for any items

left in the venue following the set tear-down timeframe.

tour the venue spaces?

You can schedule a tour by appointment by calling our

Hensville Sales & Event department at 419-725-4392.

Normal office hours are Monday–Friday 9am to 5pm.
