ASSIGNMENT/CONFIRMATION OF FUNCTION SPACE: Agreement indicates the space that is

tentatively being held for you and will be held on a definite basis upon signing of this Agreement by

both parties. If for any reason the function space reserved is not available for your Event, you agree

that we may substitute space of appropriate size and comparable quality for your Event. Our

understanding of your schedule of events is outlined in this agreement. You agree to confirm with us

the assigned function space before printing any materials listing specific meeting or function

locations.

MENU SELECTION: Plan to give your menu selection two weeks prior to your scheduled function. All

food and beverage must be purchased exclusively from the DoubleTree by Hilton Salt Lake City

Airport. Guests may neither bring in nor remove food from the meeting space. Special menus for

dietary, religious, or other reasons may be arranged with your catering contact. Special or customized

menu options must be outlined and pre- arranged with your catering contact; prices are based on

guest count.

GUARANTEE OF ATTENDANCE: We require that our food and beverage department be notified of

the exact number of attendees by noon at least three (3) business days prior to the scheduled event.

Once given, this guarantee is not subject to reduction should your numbers decrease. The hotel will

automatically set up and prepare for 5% over the guarantee for groups up to 300. If the guaranteed

amount is not received by the due date, the original estimate of attendance will become the final

count. The hotel will charge for the guarantee or the actual number served, whichever is greater.

LEFTOVER FOOD: At the conclusion of the function, non-consumed food becomes the property of

the DoubleTree by Hilton Salt Lake City Airport Catering Department. Leftover food or beverage

may not be removed from the function area.

BANQUET EVENT ORDERS: Please contact the Hotel at thirty (30) business

days prior to the scheduled event to review and confirm the details, including

menus, decorations, entertainment and beverage service. Upon review of your

Event details a Banquet Event Orders (BEO) will be sent to you to confirm and

sign with all final arrangements and prices, which will serve as a part of this

Agreement. If you do not advise Hotel of any changes on the BEOs by the date

requested by Hotel, you agree that the BEOs will be considered accepted by

you as correct and you will be billed accordingly. Function rooms are for times

stated on the agreement and BEOS only. If group remains past this time

without prior approval from the catering contact, additional room rental will be

charged at a rate of $100 for each additional ½ hour.
