SCOPE

This manual is written for new and experienced Team Managers in the Warrandyte Junior Football Club (WJFC). It is a collection of information to be used as a reference, that contains all or most of what a Team Manager will need to know during a season. It also directs Team Managers to other sources of information.

The manual is set up in three main sections: 1. Pre-season2. During the Season and;3. Post-season

There are Appendices that contain forms and other useful examples of things Team Managers may need. The Club aims to give you the tools you will need, so that you won’t have to spend too much time setting up (especially if you have taken on the role recently). We recommend using the tools and formats supplied so that you don’t reinvent the wheel. There are also electronic versions of the tools for you to use.

TEAM MANAGERS COORDINATORThe Club has appointed Team Managers Coordinator. Broadly, this role supports the Team Managers in the set-up of all activities outside the game day. The Team Managers Coordinator will endeavour to answer any questions from Team Managers or parents. The Team Managers Coordinator can be contacted:

Martin Rakuscek e: [email protected] p: 0417581518

TEAM MANAGERSPlease read through this manual thoroughly. If you have any questions regarding the content of this manual, or find any errors, please contact Team Managers Coordinator.

The Team Manager is a vital link between the committee and your team. All information to be passed on to your team will come through to you, generally via the Team Managers Coordinator.

Similarly, if you have any queries or issues that need to be addressed, please refer them to the Team Managers Coordinator as a first point of call. Do not make contact with the YJFL directly.

Team managers can familiarize themselves with all the club policies and philosophies via the website: www.warrandytejfc.org.

SECTION 1 - PRE-SEASON

GENERALA lot of work goes on behind the scenes after the season ends. Normally the selection of coaches takes place in October/November and the WJFC Annual General Meeting would have been held. Equipment is checked and replacements are purchased. Registrations commence on-line in December and usually a Sunday Meet the Coaches held in mid-February, where kids and parents get a chance to meet their coach and other team officials as well as WJFC committee members.

Pre-season training commences, as determined by your coach. Training sessions are a great opportunity to catch up with parents (to remind those slow to complete registration), and pass on information from the Club. During this time we receive information about season dates, ground use restrictions due to drought, and changes to rules are some examples.

The club posts a lot of information on the Club website: www.warrandytejfc.orgPlease reference this site in communication to parents, and encourage the families in your team to do the same. The WJFC website also has links to other important websites.

The Yarra Junior Football League (YJFL) www.yjfl.com.au is the League our Club is part of and is currently the largest junior football league in Australia. This website includes fixtures, ladders, special meetings and so on.

WJFC must enter team lists and match day scores online to the YJFL via the Sports TG Passport Account that is setup by our Registrar for all Team Managers. Also found on the YJFL website: List of grounds with Melway reference and phone numbers. Rules and Regulations that apply, with information that Team Managers need to know

REGISTRATION

The Registrar will email all Team Managers a spreadsheet containing players who have registered for the upcoming season prior to the season commencing. All Coaches and Team Managers need a final list to work with. The list must be in agreement with the Club Registrar’s list.

The list will include details of player’s age, address, parents’ names, email and telephone contact details, medical information, games played, whether the player has completed both WJFC and YJFL registration forms and birth certificate (copy, does not need to be certified), and paid their registration fee. Note: Birth certificate is only required on a child’s first registration.

REGISTRATION DETAILS TO BE RECORDED BY THE CLUB REGISTRAREach player must be registered with:

WJFC (done on the WJFC website), and All new players must have submitted a photocopy of their birth certificate. Passports and student cards are also acceptable

as proof of age. If a player transfers from another club, the record of how many games they have played will come across as this

contributes to their total game tally (if played in the YJFL).

SUPPORTING THE CLUB REGISTRARIf all of these details were not completed at registration, the Team Manager must chase them up prior to the commencement of the season. All registrations close on June 30 at 7pm.

GENERAL BEHAVIOURPlease ensure that Warrandyte supporters behave themselves in an acceptable manner (particularly towards the umpires). Umpires cannot be approached by parents for discussion about the game. If a parent has an issue it must be dealt with through the Team Manager. Team Managers are the only people who are allowed to approach the umpire/s. The league will fine the club heavily if we are reported for bad behaviour. All club policies including Codes of Conduct are available on our website.

NO ALCOHOL IS TO BE CONSUMED AT ANY OF THE GROUNDS WHILST JUNIOR TEAMS ARE PLAYING OR TRAINING (afterwards at club organized Family nights is acceptable).

WEBSITEEmail anything you want posted on the website to [email protected] may include: Photos Recognition of milestone games or other special achievements (including photos and a short report or player profile) Anything you want advertised on your team page Any funny stories or items of interest

TEAM KITSEach team is issued with a full kit of gear at the beginning of the season. The Coach and Team Manager are responsible for the kit issued – it represents a lot of money to the Club. A checklist will be provided with the team manager’s kit to reconcile all items from the end of the previous season (Appendix 1). Please check all items are included when you receive the kit. Work out with the Coach who will look after what at the start of the season.

JUMPER CHECKLISTA checklist will be provided to record players’ names against their jumper number. This is to be used to reconcile the return of jumpers at the end of season (Appendix 2). The Team Manager will arrange the jumper presentation at the beginning of the season in conjunction with the Coach.Once the jumper presentation is complete, the Team Manager will provide the Team Managers Coordinator with a Jumper checklist matching players’ names to jumper numbers. The Team Manager is responsible for collecting the jumpers from ALL players on the last day of the team’s season. Please inform your team lists that jumpers will be collected on the last game day. Players are to bring along alternative clothes to change into.

UNIFORM AND PLAYER KIT REQUIREMENTSThe following uniform is required for each player: Mouthguards MUST be worn at each game – no mouthguard – no game. Players provide their own shorts, socks, boots and mouthguard. The Club will provide game jumpers (to be returned). Helmets are compulsory and provided by the Club up until and including U12’s. However, individuals are encouraged to

purchase their own. Skins shorts or tops may be worn under the club shorts or jumpers. Skins must be WHITE or SKIN colour. Shorts

White shorts are to be worn for away games, and red shorts at home. In 2013 the YJFL introduced YJFL branded red shorts with the YJFL white shorts introduced in season 2014. All current and new players are required to wear the new YJFL branded shorts.

A spare pair of red & white shorts and a pair of socks are kept in the TMs kit for emergency. If you need to order apparel, please place it through the WJFC website. Once the order has been received, it will be given

to the team TM and handed out at training.

It is necessary that the players wear correct uniform as the club can be fined for infringements.

COMMUNICATION ABOUT SEASON COMMENCEMENTOnce you have details about the season, update the Parents Information Kit (Appendix 3) and issue it to all families in your team (via email and/or via handout at training). Details to be added include:

o Trainingo Practice matcheso Season Fixture (first four rounds)o Roster (see Pre-game for details)o Team list with players & parents’ names and phone numbers – for distribution to parents. N.B. Do not include

anyone who has NOT GIVEN EXPRESS PERMISSION (refer to Privacy details area on spreadsheet)

As soon as you are ready liaise with your coach and email parents with details of training sessions.

RISK MANAGEMENTWe are all required to be risk managers. Be aware of risk situations and try as much as possible to encourage everybody to minimise these risks. This basically requires a level of common sense. If you see something that is not right - do something about it. The overwhelming consideration is the safety and wellbeing of the players and spectators at all times.

It is the home team’s responsibility to do ground’s audit on the morning before games (an example of this is available on our website). If you are playing away and feel there are issues of safety then you must take it up with the opposition. For example if there is no goal post padding, this would need to be fixed before any game commences. If it is our home game then you will need to take it up with a member of the executive committee.

This is particularly important in respect of any training or team functions that are out of the ordinary. It is important that we take all appropriate measures to ensure the safety of our players.

Check with the executive committee before organizing any team events to ensure that the club is aware of what is happening, that they have approved it and that the appropriate level of risk management is adopted.

WORKING WITH CHILDREN CHECKSWorking with Children Check (WWCC) cards are required for all WJFC Executive Committee, and anyone with regular contact with the players by June 30, 2017.WWCC can be applied for through any Australia Post Office. A current passport photo is to be supplied at application. Please contact WWCC (either online or by phone) and have WJFC added to your card.

In 2018, a new website “Everproof” is being used to monitor for current WWCC checks. Names of people filling the following roles will be added to the database. The website contacts each person asking them to join and enter their WWCC details. These are verified against the Victorian Gov’t WWCC website.

Club positions requiring current WWCC include: Executive Committee Coach Assistant Coach Team Manager Trainers Runners Canteen Manager

The Secretary works with the Team Manager Coordinator to ensure required compliance is achieved.

MEDICAL CONDITIONSSome players have medical conditions that require rapid response in the event of certain health hazards (for example - severe allergy to bee sting, peanuts, or asthma). The Club views that the primary responsibility for the care of those players who have elevated risk medical conditions resides with their parents. The club does NOT take on this responsibility during training or matches. Team Managers are to ask Parents to work with Coaches and Team Managers to ensure that a suitable emergency plan is in place and understood. Where such parents cannot be present, a person must be delegated by the parents who understands and can carry out the required emergency procedure.

The Team Manager identifies any children with medical conditions from the Club Registrar’s team list and must supply a list to the Trainers of your team to keep on hand. A list of children with medical conditions can be kept in the first aid box for the Trainers to use as a quick reference.

Where a player comes to training or a match with an injury or illness, consider with the Coach whether that player should train or play. The Team Manager is to check with the player’s parents to confirm that they are aware of the player’s condition.

TRAINED FIRST AID PERSONNELThe Club aims for at least one “sports first aid trained” person to be represented within each team. YJFL can organize this training. Contact Team Managers Coordinator to arrange training of team representatives willing to take on the role of trainer, but require training.

ROSTERThe Team Manager compiles a roster of parents to undertake game day duties. Without a parent roster, games cannot be played as the YJFL requires and fines may be imposed against the Club. It is recommended to set a roster for the whole season (when the full fixture is released) to give parent helpers a chance to plan ahead.

Following is a list of parent duties on each match day:

Goal Umpire (all games)

Boundary Umpire (all games),

Time Keeper (all games)

Trainer – (all games)

Second trainer- optional

Runner (all games) Note: Not permitted for U8s and U9s mixed and U10 girls

Water carrier (all games)

Umpire’s Escort - (all games) - Note: Not required for U8s, U9s and U10s mixed and U10 girls

Oranges & Snakes (all games)

Canteen (must be two people for home games) Note: if playing on the small oval and a game is also played on the big oval, canteen roster is not required.

Ground Setup (two people from EACH home team, except the team playing last, as they are rostered for clean-up).THIS IS MOST IMPORTANT – IF THIS IS NOT DONE, GAMES CANNOT PROCEED.ROSTERED PARENTS MUST BE AT THE GROUND NO LATER THAN 8:00AM.

Ensure someone is responsible for writing an article for the “Junior Bloods Diary”. This should be emailed to the Team Manager for forwarding to the Diary Editor – Rosie Matheson before 11.00pm Monday after the game. Please send to [email protected]

NB. It is important that whoever fulfils each of these roles on game day knows exactly what they are doing. Each Team Managers KIT has a laminated summary of each of the match day roles with an explanation of the requirements. Please ensure the parents read this first before completing their duty.

TIME ON GROUND POLICYIt must be emphasized that the Club policies focus on players having an enjoyable and rewarding experience playing football. One aspect that can, from time to time, be a matter of concern to parents is the amount of time spent on-ground during a match. Football Operations have game-time policies that are supported by the WJFC Committee. Coaches should explain that policy to any concerned parents. Please be aware of this policy which can be located on the Club website.

PRE-GAME DUTIES OF THE TEAM MANAGER At home games , provide one match ball to the umpire (and retain one match ball with the Team Managers or Coach)

before the game. Make sure you get the balls back after the game. (Please don’t leave match balls with your team kit as they have a habit of disappearing). Sort out with your coach who will look after them and give them to the umpire at home games.

Ensure that all players are correctly attired (shorts, socks & jumper). The Club will be FINED if this is not adhered to. All players are required to wear a properly fitted mouthguard or they will not be allowed to take the field. Players up to and including under 12’s mixed and U12s girls are also required to wear a club supplied helmet (mandatory). Ensure there is a parent helper present for each of the rostered game day duties.

WARRANDYTE JUNIOR FOOTBALL CLUB INC. Team Manager Manual 2019

UMPIRES WJFC Football Operations will organize supplementary umpires for U8s, U9s home games during the season and also

U10s mixed and U10 girls home games (unless an official umpire is provided by the League). In the unlikely event that a league umpire does not arrive in time to start a game on schedule, there are league rules that

apply for appointment of an umpire from personnel (parents) at the ground so that there is no undue delay to the game schedule.

LEAGUE RULES – EVENING UP OF PLAYERSThe League expects that all Club Officials, especially Team officials, understand and ensure that the evening up of numbers rule is adhered to.

The aim of the rule is to ensure that all players available to participate in a match shall have the opportunity to play in as much of that match as possible. Under 8 to Under 12 mixed and girls teams, Clubs MUST loan or accept the number of players required to even up the teams. Please check the YJFL Rules Book as each year this may change.

Basically, the team that has the greater number of players available shall lend as many players as possible so as to equalise the playing numbers on the field. Team Managers are expected to play the main role to ensure player “transfer” with swapping of jumpers occurs efficiently.

There are exceptions to the evening-up rule Please check the YJFL Rules Book as supplied with your Team Manager KIT.

GAME DAY DUTIESA game day checklist can be found in Appendix 4.

JUNIOR BLOODS DIARY/ORANGES PICK-UP Collect the copies of the Junior Bloods Diary and oranges in team batches at 19 Beaufort Rise, Warrandyte on Saturday after 2pm, before game day. The Team Manager (or parent helper) is to pick-up and distribute the Junior Bloods Diaries to the parents on each game day and cut up oranges for the game.

CANTEEN Two rostered people must work in the canteen for the duration of your home game. They are to remain in the canteen until relieved by those on duty for the next game. For younger teams playing on the bottom oval, please check with the Canteen Manager if parents are required. This will depend on whether or not the games overlap.

GROUND CHECKTwo people from each home team are required to help prepare and check the grounds on the morning of the game - except if you are the last game for the day when two people are required to help clean up. For those preparing the ground in the morning they will be required to be there no later than 8.00am. It is critical not to miss this task as it is a key risk management activity. If this is not done, games cannot proceed.Rostered parents must sign in with the Grounds Manager. Parents who do not turn up for set up duty will be rostered again the following week. The Grounds Manager will direct requirements on the morning.

The last fixtured team do not do ground set up as they are required to pack up the ground and clean up the rooms at the end of their game.

TEAM SHEETS Select Players & Team Officials & print 2 team sheets. Have Opposition Team Manager sign the Team Sheet before the players do Players to sign both team sheets prior to game Both team sheets to be taken to Umpire’s Room at half time One copy to be given to opposition Team Manager and one copy to the Umpire After the match, Team Managers are to return to the Umpire’s room (with Goal Umpire and Time keepers Cards) to confirm

Lee Tindale medal to be awarded (Team Manager to keep record). Other player awards for each game if supplied (Team Manager to keep record) Team List update online by midnight of game day Match results to be entered online before 6:00pm on SUNDAY (game day)

BEST AND FAIREST VOTESAll players participate in 2 'best and fairest' competitions. The first competition is internal to the Club with the 'best on ground' votes being used to determine a number of awards handed out at the end of the season. An example is listed in Appendix 8.It is the responsibility of the Team Manager to select two parents plus a coach every week to determine who is the 'best on ground' for that match. The system we use is to score the top 5 players on a 5,4,3,2,1 basis (5 being the best player, 4 being second best etc..). It should be shared each week to help eliminate any bias.

The definition of best on ground is left to the respective teams. It does not necessarily mean the player who gets the most kicks or who kicks the most goals. A player stopping his opponent from getting the ball, one who follows instructions perfectly, one who uses the ball the most effectively or one who continually feeds the ball to set up his team mates are all things that should be considered when selecting vote getters.

It is imperative that they be done after each game and handed to the Team Manager. These votes are kept secret and are all counted together at a night later in the season (by the coach and Team Manager/s) with the results being used to determine Team awards.

The other competition is conducted by the League with the Umpires casting votes in their best and fairest. These votes accumulate into the end of season Yarra Junior Football League season’s awards.

the parents to make a banner for such player(s) to run through on the day of their milestone. If there is more than one player involved, their parents might like to coordinate one banner between them all.

The YJFL will provide the player with a medallion for 100 and 150 games. YJFL recognizes all games played within the League, and this means players transferring from another club (within YJFL) need to inform the Club of how many games have been played with other club/s within YJFL.
