Exec Meeting Wed, Jan 21 st , 2014 Start at: 2:59pm Involvement Fair

o Jewel updated the exec board of the date & location of the event (Jan 27th @ 5-7pm at the BPSC)

The exec board will Meet in office around 4:30pm Wear polo, nametag, nice jeans (no holes)

Tiffany may not be available; Connor will be late due to class. Cynthia will make a small sheet for PD &Secretary & dates.

Spring/Committee Retreat (February 20-22nd)o Jacob stated that he has three options for external locations:

Sky Ranch (Van, TX)- 212 Miles roundtrip ($530=bus rate); submitted an inquiry for facility rate

Camp Olympia (Trinity, TX)- 150 miles roundtrip ($375= bus rate); submitted an inquiry for facility rate

Camp Shiloh (Pittsburgh, TX)- 262 roundtrip ($560= bus rate); There is a retreat already scheduled for another group on the weekend we would like to host.

o Jacob also stated that each hall will be allowed to take 2 Hall Council execs (preferably President & VP), plus 6 Execs, Committee Chairs & Advisers (to exceed no more than 50 people)

o He will follow up with the locations on tomorrow or Friday of this week. Banquet Theme (May 3rd)

o The group submitted 6 ideas: Wizard of Oz theme Circus theme Arabian nights theme Studio 54 theme Under the Sea theme Masquerade theme

o Theme: Wizard of Oz (won 3 votes to 2 votes against Under the Sea with Jewel being the tie breaker)

BWE Events (April 27th-May 1st) o The group submitted 7 program ideas:

Scavenger Hunt/Amazing Race Dizzy Dodgeball Hunger Games

SplatterBeat Zumba-thon Karaoke/RHA Idol Silent Library (Jacob)- Tuesday

o Order of activities and the execs who will be in charge of the events include: Zumba-thon (Tiffany)- Monday Silent Library (Jacob)- Tuesday Dizzy Dodgeball (Cynthia)- Wednesday Scavenger Hunt/Amazing Race (Connor)- Thursday Splatterbeat (Jewel)- Friday

o Jewel confirmed that this event is not going to happen this year Basketball Games

o Kory Blandford (Ararmark concessions manager) has given us the following games: Saturday, January 31st Mens/Womens @2pm (Jewel & Cynthia) Thursday, March 5th @ 3pm Mens/Womens (Tiffany & Jacob)

o Jewel will be going to the Concessions meeting next week (January 29th) @ 3pm at East College Cafeteria

o We may have additional games pending some replacements for the ones that were scheduled during our Monday GA meeting & Spring Retreat.

Meet and Greet will be held Monday, January 26th @ 6pm, Miller Science 139o The order of the event is as follows (with execs who are responsible for each slide):

o Send slides to Cynthia by 5pm on Friday; Cynthia asked about the super raffle (everyone agreed); Roll call will be discussed on Monday.

o Connor will be going to the store to get food for the Meet & Greet.o Attire: polo, name tag, jeans

T-Shirtso Cynthia brought up a design for t-shirts & the following ideas for distribution:

Have halls sponsor shirts; they will have the opportunity to purchase extra shirts HC Presidents, Execs, Committee Chairs, & HDs will get a shirt at no charge Shirt color will be dark charcoal

General Reminders o Courtney reminded the execs about office etiquette, making sure to return items to their

proper places, working on the work in while they are in the office, and keeping everyone informed (especially if they are in need of assistance).

Exec Reports President Jewel – Will be talking to Lacey, will talk to Carol to reserve VP Tiffany – Care packages come in on February 3rd, getting addresses ready for Care

Packages HCC Jacob– emailed HDs HC exec/committee elections ; pricing venues for Spring

Retreat; cleaned desk area; will start newsletter in February Marketing Coordinator Cynthia – Fixed the check-out binder; printed reservations/placed

on calendar (highlighted dates on printed reservation); 2 year Service Pin plan to have application for service pin award in order to avoid not including deserving RHA members; Hall of Fame should follow the same format.
