TKA Knights – Shutterfly Team Websites

This document will not go into detail describing how to setup and maintain the Shutterfly Team website.

There is a lot of useful information on Shutterfly’s websites. I’ve included some useful links at the end of

this document. I will cover some basics and how they relate to us and the www.tkaknights.org website.

There are a lot of benefits to the Shutterfly website over the built-in team website in the TKA Knights

website, via the Blue Sombrero platform. The Shutterfly websites are much easier to setup and manage.

It is a private site that only team members can view. You can invite whomever you like to be a member

including friends and family.

Each member of the website must create a Shutterly account to gain access. I know it is another

account players and parents will need but the benefit far outweighs this.

Each website will have an administrator from the sport committee or team.

The main features are:

Customizable home page and pages

o You can add many sections to your pages to customize it the way you like.

o Colors – Try to stick with TKA Knights colors (Maroon, Navy, or Gray/Silver).

Photos and Videos page

o You can set it up so any member can upload photos. This is the default permission.

Roster

o Unfortunately the roster is currently not integrated with the TKA Knights registration

system nor is there a way to import a roster from a file.

o You will need to enter your roster manually.

o When you add players and parents to the roster you will be prompted to add them as

website members.

Members

o Will include players and parents.

o Owner

A special type of member that has permissions to make changes to the website.

Think of it as the website administrator.

Can add additional members such as friends and family. Note: only the Owner

of the website can invite members. If parents would like to include family they

will need to contact the website Owner.

Calendar

o You can very easily enter calendar events (games, practices, and meetings).

o Members will receive an email notification 1 day in advance of the event.

o You can optionally invite them to add photos after the event.

o Any changes to the event, including canceling or deleting, will prompt you to notify the

members via email.

o Map feature.

o For games you can enter the score.

The overall won/loss record will display on the home page.

o Subscribing to the calendar

The overall sport calendar will subscribe to your team calendar and

automatically pick up any events you add.

The overall TKA Knights calendar will subscribe to your team calendar and

automatically pick up any events you add.

With that mind, you may not want to enter practices on the calendar since they

will show up on the above calendars, possibly cluttering them up.

Changes to your team calendar may take up to eight hours to sync to the overall

Sport and overall TKA Knights calendars.

Availability

o Players can indicate their availability to games so you and coaches will know at a glance

if anyone will miss a game.

Emails

o You can very quickly email all members.

o As mentioned above calendar additions or changes will get sent via email notifications.

o Members can optionally receive a daily, weekly, or monthly digest email with a

summary of changes that have happened on the team website.

Devotion sign-up sheet.

o Shutterfly has a Snack sign-up sheet. I changed to call it Devotion schedule so folks

could volunteer for devotions for games or other events.

o Shutterfly does not send out text alerts. We will continue to use RainedOut.com for text

alerts.

There is a lot you can do and a lot of ways to customize it.

Calendar

Adding and editing a calendar event Keep in mind that the Event title will show up on the overall Sport and TKA Knights calendars on the TKA

Knights website, along with events from other sports. So, be as descriptive as possible and include the

team name so everyone can distinguish them.

Event title format suggestions:

Home games: Team name vs Opponent name (e.g. HS Girls Soccer vs Atlanta Girls School)

Away games: Team name at Opponent name (e.g. HS Girls Soccer at Atlanta Girls School)

Tournament games: Team name vs Opponent name (Tournament name)

I would suggest not putting practices on the calendar. If you want you can add another calendar page to

your website for practices.

Map

Pictures Since Shutterfly is a photo processing site primarily they make it very easy to create albums and upload

photos.

Edit Toolbar

Scoreboard The scoreboard provides a way for you to record the wins and losses through the season. By default, on

the website is a scoreboard on the right hand side to record the result from recent games. Games must

be entered on your calendar before you can record results.

Click on “Add result”.

Then simply enter the score.

You can also record the result from the calendar view by editing the event.

Then record the result in the edit window.

The result will show in the scoreboard area.

If you would like the result to also show on the TKA Knights website calendars you can update the event

title like this.

Links to your team websites on the TKA Knights website I will create a page that has links to your team sites. Below is an example of the soccer links page.
