WORKFLOW ADOPTION SESSIONSWorkflow Adoption Sessions are a key milestone in the implementation of Epic as they are an opportunity for Collaborative Design Session (CDS) participants to experience how the agreed upon workflows look and function within the Epic system using UMass Memorial Health Care content. This allows them to confirm that the decisions they made are the correct ones and/or make necessary adjustments to workflows before the build is complete.

During the sessions, there will be a demonstration of the complete workflow for each application. Following the review of the workflow, participants will be asked if they agree that it should be implemented as currently designed or if adjustments need to be made.

The April Workflow Adoption Sessions will take place at the DCU Center, while the June and July sessions will be at the University and South Street campuses.

PLEASE NOTE: Effective September 2, 2016, there will be no changes or updates made to any systems that will send to, or receive from, Epic. The Epic team will be conducting testing during this period to ensure a smooth Epic implementation.

RECENT STEERING COMMITTEE DECISIONSAs of April 7, 99% of approximately 2,500 Collaborative Design Session decisions have been resolved. Any outstanding decisions are being reviewed by Epic Partnership Councils and Integrated Work Groups. If these governance committees are unable to reach a decision, that decision is escalated to the Epic Executive Steering Committee for resolution. Following are the most recent decisions made by the Epic Executive Steering Committee:

The existing Dose Response system for anticoagulation management will be used in the Anticoagulation Center; however all other clinical areas will use anticoagulation functionality in Epic

The MyCareTeam diabetes application will used to pull data from patients’ home glucometers. The Epic Project Team is exploring how this information will be integrated with Epic

ED physicians will not be required to sign Licensed Independent Provider (LIP) notes unless they are directly involved in the patient’s care

ED physicians will not be required to sign Mid-Level Provider notes unless they are directly involved in the patient’s care

The Epic Welcome Kiosk, a touch-screen kiosk that provides patients with a variety of self-service options, such as checking in, will be piloted at Hahnemann Family Health, Memorial Pre-Surgical Evaluation and the Surgical Clinic

The ACR Select application will provide decision support to providers ordering Radiology imaging studies and will be integrated with Epic

The Curaspan system will be used for discharge planning purposes; however all other case management documentation will be done in Epic

An Ophthalmology Picture and Archiving and Communications System (PACS) will be part of the Epic implementation; however system selection has yet to be determined

A Cardiology PACS will be part of the Epic implementation; however selection of that system is to be determined

Paceart, a system that organizes and archives cardiac data, will be extended to Clinton and Marlborough hospitals

A third-party identification authentication vendor will be used for MyChart, Epic’s patient portal

UMMHC will connect to the eHealth Exchange, a group of non-Epic organizations and government agencies, via Epic’s Care Everywhere application

The Care Enhance Review Manager Enterprise (CERMe) application will interface with Epic’s Case Management module

Embossed printers and “blue cards” will be retired when Epic is implemented
