Overview

SuccessFactors provides an interactive tool called Interview Central. This tool allows users given the role of an interviewer the opportunity to rate candidates he or she has interviewed within the system.

The use of Interview Central in SuccessFactors is not required. Please verify with your Hiring Coordinator that the open position for which you are serving as an interviewer is in fact utilizing this tool. The instructions in this guide are specific to using Interview Central.

Interview Central is available within the desktop platform of SuccessFactors as well as a mobile-optimized version so you may rate candidates through your smartphone or tablet. This Quick Reference Guide outlines what notifications and information you will receive as an Interviewer, as well as how to access the system so you may rate candidates.

Notification of Interview Role

Before being added as an Interviewer in SuccessFactors, there are a few steps required.

1. The Hiring Coordinator for the position will confirm you are able to serve as an Interviewer.

2. When candidates are selected to interview, the Hiring Coordinator will search for your availability to interview candidates through your Microsoft Outlook calendar.

Please ensure your calendar is up-to-date to expedite this process.

The Hiring Coordinator may also discuss your availability in-person or with an assistant, if applicable.

3. The Hiring Coordinator will set up your interview date(s) and time(s) within the SuccessFactors system for each candidate.

4. If the Hiring Coordinator chooses the option to email you within the system, you will receive a confirmation email including:

NOTE: This guide is only for those positions that are utilizing Interview Central in SuccessFactors. If the position for which you are an interviewer will be utilizing a different process, you will not need this guide.

a. Interview date and time.

b. Candidate’s name and position to which the candidate applied.

c. A direct link to sign into SuccessFactors to rate the candidate or review information on the candidate and position prior to the interview.

d. Any attachments the Hiring Coordinator has included for your preparation, such as the resume & cover letter, this Reference Guide, the job description, interview questions, additional candidate documents uploaded, and other tools you may find helpful.

Logging into SuccessFactors

1. There are two ways you may access the SuccessFactors system:

a. Click the hyperlink found in the confirmation email you received (#4c on page 2).

b. Navigate to the SuccessFactors website and click on the SuccessFactors portal button.

2. The SuccessFactors Log In screen will appear. Enter your UC Username and Password (same as you use for email and UCFlex), and click [LOG IN].

3. The default page upon login is the Home screen.

There are two ways to access candidates to be rated:

Within the To Do Tile on the home screen (below), or

Through the Interview Central tab on the Recruiting page.

NOTE: This email will not automatically add the date and time to your Outlook calendar. Please ensure you have reserved the appointment within Outlook if an Outlook invitation was not sent.

Accessing Rating Through To-Do Tile

Recommended if:

You prefer a task list to quickly access Interview Assessments.

You have only a few positions in which you are serving as an Interviewer.

1. From the Home page, locate your To Do tile.

2. To access candidates awaiting review,

look for the “group” icon ( ) and click the [POSITION TITLE].

The icon will remain on your To-Do Tile until the position has been filled and closed.

3. The Interview Assessment page will open.

4. For instructions on rating the candidate, refer to the “Rating the Candidate(s)” section.

Accessing Ratings through the Interview Central Tab

Recommended if:

You have several positions for which you are serving as an interviewer.

You want access to all pertinent documents for the interview, including resume/cover letter, job description, interview questions, and competencies the candidate will be rated on in one location.

1. After logging into SuccessFactors (see instructions here), select Recruiting from the Home drop-down menu in the upper-left corner.

2. Click the [INTERVIEW CENTRAL] link.

3. The Interview Central screen will open and will display:

a. The Job Title for all positions for which you have been added as an interviewer.

b. The position’s Requisition ID number: if you are an interviewer for multiple positions with the same Job Title, this can serve as a means to identify individual positions.

c. The Position Manager for the position.

d. Job Description for each position: click [JOB DESCRIPTION] to view the job description for the position in a pop-up informational bubble. This is the same job summary that appears on the career site.

4. To view more information about a position, click the

arrow to the left of the Job Title to expand ( ).

To collapse the information, click the arrow again ( ).

5. The position information section provides additional information:

a. A list of Candidate(s) you will be interviewing for the position.

b. Your scheduled Interview Date & Time, if added by the Hiring Coordinator.

c. The Team of Interviewers for this candidate. To view other interviewers in a pop-up bubble, click the number under the Team column.

d. The Overall Rating will show the interviewee’s cumulative ratings from interviewers.

e. To rate the candidate, click [RATE NOW] to enter the Interview Assessment screen (see the “Rating the Candidate” section). You may also adjust previously entered ratings if necessary.

f. The link to the Print and Go! Pack (see #6 for more information).

6. The Print and Go! Pack provides a quick and simple way to access the information you need to prepare for your interview with each candidate. To access this information, click the [PRINT AND GO!] icon next to the candidate’s name (step #5f above).

a. Click each document listed at the top to open and print the documents. The documents will open in the same format in which they were uploaded (Word, PDF, etc). These are the same documents attached to your confirmation email, if sent.

b. Confirm the date and time of the interview and the candidate’s name.

c. Review the job description for the position. This is the same job summary that appears on the career site.

d. If others are set up as interviewers, you will be able to see their names and interview date/time as well.

e. Review the competencies which you will be rating the candidate on. Use this information to target the kinds of questions you may ask so you may appropriately rate the candidate.

f. To print this window, click the [PRINT] icon.

Rating the Candidate(s)

Upon opening the Interview Assessment screen from the To Do tile, or by clicking [RATE NOW!] in Interview Central, you will follow this process to rate your candidate(s).

1. Candidate name(s): listed from left-to-right along the top.

2. Competencies: the knowledge, skills, and abilities against which each candidate is rated; listed top-to-bottom on the left-hand side.

3. Rating: each candidate is rated on a scale of 1-3 for each competency:

1 = Low Fit

2 = Moderate Fit

3 = High Fit

4. You may also leave Competency-related Comments to help support the rating you gave the candidate for that competency. This may be an example or story the candidate shared.

5. DO NOT USE the Interview notes feature. Any comments you wish to make may be added to the competency-related comments section (see #4 above).

6. DO NOT USE the “Overall Rating”. This section is not utilized. UC is not using the “thumbs up/thumbs down” feature of this system given the subjective nature of such indicators. Therefore, you will not see the “thumbs up/thumbs down” ratings in the stack ranking or candidate summaries.

7. The Overall Rating Comments section should only be utilized by those with the assigned role of Hiring Coordinator or Search Committee Chair. These roles may use this field to capture information required for the Good Faith Effort statement. No other roles should utilize this field.

Hiring Coordinators, Search Committee Chairs, and Position Managers: Please remember that these comments are discoverable and exercise prudence in leaving your comments.

REMINDER: Comments you leave about the candidate are “discoverable”. This means they may be used in a court of law. Please take caution to ensure any comments recorded are objective, based on examples provided by the candidate, and do not contain language that may be discriminatory or exclusive.

NOTE: It is highly recommended to rate candidates as you go, rather than waiting until all interviews have been conducted. Rating as you go ensures accuracy and timeliness.
