We understand that there are many different platforms and services for you to choose from. Our expert teams have their favorites and know which options work best in different scenarios. We are here to not only help you navigate through the confusion, but also to help you put on a distinguished virtual event that focuses on a streamlined experience for 3 groups; the organizers, the presenters, and the audience. Here are some quick descriptions of services we offer to help you plan your virtual experience.

Virtual Events TechnologiesAn online gathering of people in separate physical spaces sharing a virtual experience together.

Virtual MeetingA virtual meeting is when people around the world, regardless of their location, use video, audio, and text to connect on-line. Virtual meetings allow peo-ple to share information and data in real-time.

SlidecastA slidecast is a type of podcast that combines audio with a slideshow presentation. It is similar to a videocast in that it combines dynamically generated imagery with audio synchronization, but it is different in that it uses presentation software, such as PowerPoint to create the imagery and the sequence of display separately from the time of the audio podcast’s original recording.

Hybrid EventA hybrid event that often involves people physically gathering in the same space and adds the element of live streaming (broadcasting) to a large audience across the internet.

Webinar A webinar is a seminar that utilizes Internet-based products/services for real time communication. This is an engaging online event where a speaker, or small group of speakers, deliver a presentation to a large audience who participate by submitting questions, responding to polls and using other available interactive tools.

Virtual Reality EventsVirtual reality is a technology that lets you figuratively step inside a computer-generated 3D world with a mix of engaging tools where people can access an event from anywhere in the world. This technology allows content live-streaming, comments and interactions from attendees, avatars, sponsor booth design, analytics and check-ins.

Live Webcast or Live Stream This is a live, internet based broadcast originating from a single destination to be viewed by many people. While there can be polling and gamification, this experience does not typically include A/V interaction.

PodcastA podcast is a pre-recorded digital audio file made available on the internet for downloading to a computer or mobile device. Often a podcast is presented as a series, where new installments can be received by subscribers automatically if preferred.

Virtual TradeshowA virtual trade show is an interactive, on-line version of an event where goods and services for a specific industry are exhibited/demonstrated. The format can be as simple as a basic online directory or as complex as a virtual 3D interactive experience. The 3D interaction with a virtual tradeshow booth allows the viewer to navigate through the booth, click on specific areas of interest and gather pertinent information.

What are you trying to accomplish? This is the most important step. Start by understanding your vision for your events’ interactvity, reach, and efficacy. How are you

calculating the success of this event? What are your expectations for what your audience will walk away with? Ask yourself this at

each point and ask if this program is actually accomplishing your goals, and make sure to communicate this to your vendors.

What is the value to attendees? It’s important - now more than ever - that we consider an empathy-driven approach to the design of these programs. What

problems are we solving for attendees with these events? What value will they extract from participating?

When do you want to host this event?Your pre-production lead-time even for a simple event takes time -- at least a few days. While great vendors can move quickly, for

high-quality production value you will want a minimum of at least 4 weeks of pre-production for a polished webcast.

What is your vision for content? The more different types, the more complexity and more time to produce.

What is your virtual event marketing plan?As the old saying goes, “If a webinar falls in a forest with no one around for miles, did it matter which platform you used?”

I will be capturing attendees for my event through?Free Registration | Paid Ticketed | Multiple tracks (running simultaneously or separately) | Invite Only | Apply to attend | Waitlist |

Integrated into your other systems | Complex questions or logic on form

Which data points are important to capture as part of this experience? Will you be integrating that information into your existing systems?

Does your team have any other important considerations for this event?Recording and packaging up the content for sharing later | Whitelabeling the experience | Security and privacy | Paid vs. free

event | Gating access based on registration status, payment or password | Consistency across all event touchpoints | Integrating

with existing technologies | Hosting a virtual event across multiple days| Compliance

What event format are you hoping to replicate online? What is your vision for the event? How do you see this event taking place? Just a roundtable or a fireside chat? Figuring this piece

out will help you think of creative solutions to make the event a success, as well as selecting the right technology to support the

event format.

What level of service do you need? What roles/capabilities do you have in-house? If you have none of these services in-house you will want to find an end-to-end

full A/V solution provider. If you have some of these roles in-house, you may be able to work directly with some of these service

providers or find freelancers to supplement roles.

Questions to Ask

These are the questions we need answered to get started. We will schedule a follow up call as soon as you are ready to start planning your virtual experience!
