Recent surveys conducted by the City of Kamloops (Food and Urban Agricultural Plan, Community Plans, Public Engagement and the Environment) express increased interest and demand for sustainable practices. The Green Living Expo is set for April 28, 2018, from 10am-4pm at the Sandman Centre in Kamloops, BC. The event features free general admission, a family-friendly kid zone, demonstration gardens, a speaker series on a variety of sustainability topics, as well as locally-sourced food and beverages. The City is inviting applications from interested vendors, businesses and entrepreneurs that promote sustainability through their products or services. We expect this to be a popular event and space is limited - vendors are encouraged to apply early. Approval is not guaranteed and exhibits must be of high quality, and the sustainability. Terms and Conditions

1. The Green Living Expo is designed to expose attendees tonew products and services. The City will review the productsand/or services of each Exhibitor and approve for inclusiononly those that are: (a) sustainable; and (b) promote theExpo as a fresh and exciting event.

2. The City reserves the right to alter or change the spaceassigned to the Exhibitor. The Exhibitor may not sublet suchspace without the City’s prior written consent.

3. The Exhibitor agrees to confine its presentation to withinthe contracted space only and within the maximum height setby the Expo Rules and Regulations, and to maintain a staffmember in its booth space during the Expo hours.

4. All electrical equipment used in exhibits must have CSA orequivalent provincial authority approval.

5. In the event the Exhibitor’s contracted space is renderedunusable, the Exhibitor will pay only for the period duringwhich the space was or could have been used, as determinedby the City. In the event the Expo is not held, the City willrefund all monies paid by the Exhibitor for the space.

6. The Exhibitor may not dismantle displays nor removegoods during the entire run of the Expo, and all such itemsmust remain intact until after the closing hour of the last dayof the Expo. The Exhibitor also agrees to remove its exhibit,equipment, and appurtenances from the Expo building by thefinal move-out time, failing which, the Exhibitor agrees to payall removal fees imposed by the City.

7. The City reserves the right to, at any time, alter or removeexhibits or any part thereof, including printed materials,products, signs, lights or sound, and to expel Exhibitors andtheir staff if, in the City’s opinion, their conduct orpresentation is objectionable.

8. The City may, at its sole discretion, change the date ordates upon which the Expo is held, and in no event will it beliable for any loss or damage incurred by the Exhibitor as aresult of such change.

9. The City assumes no responsibility for any loss or damageto any goods, whether before, during, or after the Expo.

10. Goods must not be shipped to the Expo with shippingcharges payable on arrival. No such delivery will be acceptedby the City.

11. The City is not liable for any delay or failure to observe orperform its obligations regarding the Expo if such delay orfailure is directly or indirectly caused by or is a consequenceof any fire, storm, flood, war, insurrection, riot, civilcommotion, labour disruption, or any cause beyond thereasonable control of the City, whether similar to or dissimilarto those enumerated above.

12. The City may cancel this agreement and withholdpossession of exhibit space if the Exhibitor fails to performany material term of this agreement or refuses to abide bythe Expo Rules and Regulations, in which case, the Exhibitor

is deemed to have forfeited as liquidated damages all spacerental payments made and any further occupancy of suchspace.

13. The Exhibitor agrees to abide by and conform to allapplicable federal and provincial laws, as well as all bylaws,policies, rules, and requirements of the City; and theExhibitor will not do or permit to be done anything which mayin any way conflict with the terms or conditions of anyenactment or agreement to which the City is subject,including any policy of insurance, service agreement, orlabour or employment agreement. The Exhibitoracknowledges and agrees that the City has the finaldecision-making authority to adopt any rule or regulation itdeems necessary for the Expo, whether prior to, during, orafter the event.

14. The Exhibitor may use The Green Living Expo logos topromote only its participation at the Expo. The logos cannotbe used in any way that is perceived as the City’s or theExpo’s endorsement of the Exhibitor’s company, product,and/or service.

15. The Exhibitor may not distribute literature or promotionalmaterial from a third party without the City’s prior writtenconsent.

Cancellation Policy

This agreement may be cancelled by either party, provided that written notice is received as follows:

• Before March 1, 2018, in which case all monies paid by the Exhibitor will be refunded.• After March 1, 2018, and before April 1, 2018, in which case the Exhibitor will be liable for 50% of the total contracted

space costs.• After April 1, 2018, in which case the Exhibitor will be liable for 100% of the total contracted space costs.

In the event this agreement is cancelled, the Exhibitor is deemed to have forfeited: (a) the fees enumerated above, as liquidated damages; and (b) all right or claim to the allocated space. The City is thereafter entitled to rent the space to others.

The Exhibitor, by its authorized signatory(ies), acknowledges and agrees that: (a) it has read and understands these Terms and Conditions; and (b) it will abide by all rules and regulations adopted by the City (Green Living Expo).
