Rhenus Logistics Limited appreciates the importance of Health and Safety in the workplace. It is our policy, so far as is reasonably practicable, to ensure the health and safety of our employees and anyone else that may be affected by our work activities. The minimum standard we adopt is to be compliant with legal requirements and appropriate codes of practice. As a transport company we also adhere to all legal and moral requirements for our vehicles, the Highway Code, awareness of the vehicle and load, defensive driving and awareness of other road users. Our aim will be to fulfil the spirit of the law and not just comply with technical requirements. We will assess the risks from our work activities and we will operate according to the procedures that best promote health and safety at work. We accept our responsibilities for health and safety and are committed to giving health and safety equal importance with other business matters. We will ensure that sufficient resources are provided as necessary to achieve the objectives of this policy. We will actively promote an open attitude to health and safety, encouraging our staff to identify and report any hazards so that we can all contribute to maintaining a safe working environment. We will communicate and consult with our staff on issues affecting their health and safety and in doing so bring this policy to their attention. It is their duty, as an employee, to follow the standards and procedures as laid down by us. Employees are also made aware and understand their responsibilities with regards to health and safety. We will maintain our equipment to a standard that ensures that risks are effectively managed and to provide adequate training on the use of this equipment where relevant. We will provide suitable and sufficient training, instruction, information and supervision to ensure the health and safety at work of our employees and others and we will ensure personnel are competent to undertake their activities. Any other training and instruction necessary to ensure that you know how to work safely will also be provided. Where exposure to hazards cannot be prevented by any other means, appropriate personal protective equipment will be provided and instructions in its use and maintenance given. Safe access to and egress from our premises will be maintained, in order to protect all users of the premises. Suitable facilities for your welfare at work will be provided and maintained, as will arrangements to enable you to obtain first aid. As a business we have set, and monitor, health and safety objectives to continually improve performance including accident, incident and near-hits and to take positive action to prevent reoccurrence. We will conduct an investigation into all accidents, incidents and near-hits in order to establish the root cause. The Board of Directors have ultimate responsibility for health and safety within Rhenus Logistics Limited. Other responsibilities for health and safety matters have been assigned to managers and supervisors as appropriate. The Board of Directors will oversee an annual review of this policy and associated procedures to ensure their continued effectiveness. Where necessary, to ensure legal compliance and promote continuous improvement, the policy and associated procedures will be amended. Any amendments will be brought to the attention of all persons that need to know. Duties & Responsibilities of the Board of Directors The Board of Directors have overall responsibility for:

Appointing a Director Responsible for Health & Safety

Ensuring the development of the Company’s Health & Safety Policy and the setting of goals designed to achieve the stated objective;

Monitoring of performance in achieving the goals and objectives set down in the Company’s policy statement;

Prioritisation of actions and allocation of resources;

Receiving reports on investigations into serious incidents;

Promoting the development of, and commitment to, a Health & Safety culture within the Company;

Ensuring that adequate (Employers Liability) insurance cover which addresses both statutory and general Health & Safety requirements is in place and maintained at all times. Copies of insurance certificates are to be displayed in each workplace and retained according to regulatory requirements.

Duties & Responsibilities of the Director Responsible for Health & Safety The Director Responsible for Health & Safety has responsibilities for:

Duties and Responsibilities of the Group Health & Safety Co-ordinator The principal responsibility for the implementation of the Company’s policy and adherence to the requirements of relevant Health & Safety legislation rests with the Group Health & Safety Co-ordinator who will endeavour to ensure that sufficient resources are available to achieve these objectives. The Group Health & Safety Co-ordinator will set a personal example in all aspects of good Health & Safety matters. To assist them in the above, the Group Health & Safety Co-ordinator will request the appointment of Local Health & Safety Co-ordinators with specific duties and responsibilities for Health & Safety matters. The Group Health & Safety Co-ordinator is particularly responsible for ensuring that:-

A statement outlining the Company’s policy on Health & Safety at Work is posted on a notice board in the main office or that appropriate means of bringing the Company’s policy to the attention of all employees are put in place.

An up-to-date Health & Safety Policy Manual is maintained and copies are available for all employees.

An appropriate organisation structure, with clear lines of responsibility, exists to compliment the policy.

Proper safety standards and procedures are in place.

Effective fire precautions are in place.

Risk assessments and Health & Safety audits/inspections are carried out in a timely fashion.

Problems and defects brought to light by risk assessments and audits are rectified without undue delay.

There is an effective programme of Health & Safety training and instruction.

Accidents are reported and investigated promptly.

Fire wardens are nominated who are aware of their responsibilities.

There is good communication on Health & Safety matters throughout the Company.

Ensuring that employees are given correct information and training for them to do their jobs effectively.

Ensuring that plant and machinery, equipment and materials for use in the Company are suitable for their intended purpose, safe to use, and without risk to health.

Duties and Responsibilities of the Dangerous Goods Safety Adviser The company is obliged under the Transport of Dangerous Goods (Safety Advisers) Regulations 1999 to appoint a Dangerous Goods Safety Adviser (DGSA). Duties and Responsibilities of First Aiders The company will ensure that there are an adequate number of suitable trained first aiders are available at all premises and during all shifts/holiday periods. The company will arrange suitable training (either full courses or “appointed person”) dependent upon the needs of the site and ensure that refresher training is provided as necessary. First aiders have specific duties to:

Ensure there are sufficient notices posted at the site identifying the first aiders, the location of the first aid kits and the accident book.

Administer first aid in accordance with the training given.

Call (or instruct a colleague) to contact the emergency services as necessary.

Make arrangements for injured parties to be transferred to hospital as necessary

Ensure they are familiar with the reporting requirements under The Reporting of Injuries, Diseases & Dangerous Occurrences Regulations 2013

Complete the accident book and advise the Local Health & safety Co-ordinator of any incidents which might fall under the requirements of RIDDOR.

RIDDOR reporting forms (F2508) are available to be completed online at the HSE website https://extranet.hse.gov.uk/lfserver/external/F2508IE

Check the first aid kits monthly and completes the checklist accordingly, ordering replacement items as necessary.

First aiders MUST NOT:

Administer any drugs, sprays or creams.

Under any circumstances put themselves in any danger to administer 1st Aid

Undertake any emergency procedures for which they have not been trained.

Allow persons to self administer items from the first aid kits (except plasters).

Allow persons to make their own entries into the accident book.

Duties and Responsibilities of Fire Wardens

The company will ensure that there are an adequate number of fire wardens are available at all premises and during all shifts/holiday periods. The company will arrange suitable training (either in-house or external) dependent upon the needs of the site and ensure that refresher training is provided as necessary. Fire Wardens have specific duties to:

Ensure fire exit routes are kept clear and that fire extinguishers are not removed from fire points

Report any activation of fire extinguishers to the local Health & Safety Co-ordinator

Follow agreed evacuation procedures and undertake roll-calls as necessary.

Duties and Responsibilities of All Employees Each employee has a duty to look after their own well being, but they are equally responsible for the Health & Safety of others who may be affected by their behaviour at work. There is a specific duty to:

Read and understand the Company’s Health & Safety policy and carry out work in accordance with requirements so as not to endanger themselves or any person who may be affected by their activities.

Read and comply with all safety notices, signs and instructions.

Co-operate with the Company by following safe systems of work, using appropriate equipment, guards and safety devices, and wearing suitable protective equipment.

Enter the site through the main gates and enter the buildings through the defined entrance routes

Ensure that their clothing and footwear is suitable for the work place. When in the warehouse or yard area employees MUST wear ‘hi-vis’ vests at all times.

Request assistance if required to enter an unfamiliar area (such as office staff in the warehouse).

Develop sufficient knowledge of the relevant Health & Safety legislation to enable them to discharge their duties safely.

Ensure that they receive adequate training and are informed about relevant Health & Safety matters and procedures – hazardous substances, first aid, use of equipment, works procedures, etc.

Use only approved equipment and materials, and enter only in those areas for which they have authorisation.

Duties and Responsibilities of All Employees (cont)

Report any defects in equipment or machinery to their Local Health & Safety Co-ordinator or the Group Health & Safety Co-ordinator.

Not leave unattended machinery in motion unless authorised to do so.

Not clean machinery or equipment whilst it is in motion.

Not carry out any maintenance or repair work unless authorised to do so

Not misuse or interfere with safety equipment or safety devices.

Dispose of all rubbish and waste safely and in the designated receptacles.

Clear up spills safely and promptly

Not dispose of any waste substance or chemicals into water courses or drains

Know the location of first aid facilities and the identity of the first aiders.

Use all substances in accordance with instructions and return them to their safe storage location when not in use and at the end of the day/shift.

Know the evacuation procedure in the event of a fire or other emergency.

Report the use of any fire fighting equipment

Report any accident or damage, however minor, to their manager or supervisor.

Encourage colleagues to adopt a positive approach to safety.

Report, promptly and co-operate in the investigation of, accidents or dangerous incidents.

Ensure working areas are maintained in a clean and tidy condition and passageways and fire exits are kept clear.

Any employee who is guilty of wilful unsafe acts (Gross Misconduct) may be liable

to summary dismissal. It should also be noted that reckless behaviour could lead to

prosecution by Enforcing Authorities under the Health & Safety at Work, etc. Act

1974.
