Context

• The problem defined in the previous assignment:

• The owners of "Minuto Frío” needs a best way to manage their documentation and warehouse, because they do not have a systematic, easy to use, reliable and effective approach, whose current situation presents a major threat to this new business.

Idea 1

1. To have a detail with the stock of each cooling machine: Because the company mainly sells frozen products, to know the stock on each cooling machine is very important and means a lot. Every time that they refilled with products, they must record the amount of the total products in the machine, but also every time that they sell one of these products, to have an updated record.

Prototype 1: To have a detail with the stock of each cooling machine

• Given the context of the company (small business), the elements of this prototype are:

Spreadsheet of refilling

Sticker at each machine

Spreadsheet to the stock of products and sales

• Spreadsheet of refilling: In an excel spreadsheet, the employees should record the initial stock of products in each machine.

• For each machine:

Prototype 1: To have a detail with the stock of each cooling machine

• Sticker at each machine: Each machine must have a sticker with the details of the products and the amount that contains each one. Every week, the employees must count the stock at each freezer.

Idea 2

2. Digital Record of purchase invoices from suppliers: To have a back-up of the documents related to suppliers and the purchases are the main resource to help to identify products that have entered into the store, so to have it scanned, we will sort them by different criteria, to access them quickly and from different locations.

• Given the context of the company (small business), the elements of this prototype are:

To scan the documents from suppliers

To save original files

To save digitized copies

Prototype 2: Digital Record of purchase invoices from suppliers

• To save digitized copies: In a Dropbox folder, employees must create a folder for each month, and inside of it, another folder for each supplier, and save the scanned file with the following name: SUPPLIER_DATE

deben crear una carpeta por cada mes, dentro

register and categorize all documents in folders, following the same system as digital copies (Sort by date and name of supplier).

Feedback

• In order to do the present assignment, for each of the prototypes, I consulted the same people involved in the "Empathize and Define“ assignment .

• Their opinion was that the prototypes are useful and feasible to implement. And they considered them as an initial tool to help improve and resolve the problem.

• For people without computer skills, in order to use Excel or scanner correctly, they must receive an initial training.

• It should be necessary to have the documentation associated to each prototype, to generate the main guidelines and directions to implement it by the current and next employees so they will be able to use them rightly.

Reflection

• Within the allocations made, it was possible to develop a real solution to a problem that we have identified in a company, and learned new tools and techniques, such as the empathy map.

• The identification of different ideas and the development of two prototypes have been able to generate two solutions that are complementary and both can be implemented in the reality.

• To continue with the initiative of the prototypes, the way to follow is to present them to all the employees, in order to know their opinion and then implement them!
