Productivity Pack 7 Update Guide

OverviewWith the Dentrix G4 Productivity Pack 7, now you can do the following:

• Schedule an operatory to be closed for a specified date and time range.

• Store multiple appointments on the Pinboard.

• Track the history of appointment changes.

• Update globally the charges for procedures on scheduled appointments when fee schedules are updated.

• Display additional patient information and appointment notes when you move the mouse pointer over a scheduled appointment or event in the Appointment Book.

• Print the week and month view, specify the number of copies, and select from multiple default views in the Print Appointment Book View.

• Include “Rejected” insurance claims for claims that still need to be processed on the Insurance Claims to Process report.

• Create custom formats for Quick Labels.

• Use a new Chat with Support option to make it easier for you to contact Dentrix Support and begin a chat session.

• Assess the overall financial health of your practice with the new Practice Advisor.

• Find answers to your Dentrix questions using a vastly improved Help system that combines the Help for all Dentrix components into a single, integrated Dentrix Help system.

• Run Dentrix on the following 64-bit operating systems: Windows XP Professional, Windows Vista (Business and Ultimate), Windows 7, Windows Server 2003, and Windows Server 2008. For questions regarding Dentrix compatibility with Windows 64-bit operating systems, please contact Dentrix Support at 1-800-336-8749. If you are planning an upgrade to 64-bit computers, contact Dentrix Support and request the latest Dentrix G4 Installation DVD.

Please be aware that some software products and third-party hardware drivers you may be using with Dentrix may not be 64-bit compatible. Some devices, such as printers, scanners, digital X-ray equipment, and intra-oral cameras, may not be 64-bit ready either. We strongly recommend that you verify that all software and hardware you use with Dentrix is 64-bit compatible if you install Dentrix in a 64-bit environment. The following eServices components have already been tested and found to be compatible with the Windows 7 64-bit operating system: eCentral, eTrans, and QuickBill. Ongoing testing and development is underway to ensure that other eServices products are 64-bit compatible. For questions, and the most up-to-date information regarding eServices compatibility with Windows 64-bit operating systems, please contact eServices Support at 1-800-734-5561.

Note: For information about using the new features in this Productivity Pack, refer to “Using the New Features and Enhancements” in this document.

Important:

• Beginning with Dentrix G4, Henry Schein Practice Solutions no longer develops solutions for or tests compatibility with Windows 2000. Dentrix G4 Productivity Packs 6 and 7 will not install on Windows 2000 or prior Windows operating systems.

Productivity Pack 7 Update Guide

Downloading and Installing Productivity Pack 7Dentrix G4 Productivity Pack 7 must be installed on each workstation that runs Dentrix G4. You can easily install the Productivity Pack using the Check for Updates feature of G4.

Note: If you have passwords enabled, password security rights should be assigned for upgrading users as follows: users who have the “Appointments, Delete” right should be assigned the “Appointment Events, Delete” right; users who have the “Appointments, Edit” right should be assigned the “Appointment Events, Edit” right; users who have the “Appointments, Schedule New” right should be assigned the Appointment Events, Schedule New” right; and users who have either the “Appointments, Setup Practice,” “Appointments, Setup Providers,” or Ap-pointments, Setup Schedule” right should be assigned the “Appointments, Setup Operatory” right.

Complete the following steps to check for updates and install Dentrix G4 Productivity Pack 7. If the update notification appears automatically, skip to Step 3.

1. Before installing Productivity Pack 7, you must install Productivity Pack 6. Instructions for installing Productivity Pack 6 are available in the Dentrix G4 Productivity Pack 6 update guide at the Dentrix Resource Center (www.dentrix.com/resource-center/).

2. Right-click the Dentrix Quick Launch icon in the notification area of the Windows task bar to open the Quick Launch menu. Next, click Updates and then click Check for Updates.

The Check for Updates progress message appears, followed by the Downloadable Updates dialog box.

If the Dentrix Quick Launch icon is not displayed in the notification area, you can check for updates by clicking About Dentrix from the Help menu of any module and then clicking the Check for Updates link.

Note: If there is a problem with your Internet connection, an error message may appear. Check your Internet connection and try to check for updates again.

3. Click Yes to download the Required Updates.

The Download Progress message appears while the updates are downloaded and installed.

If you do not have sufficient time to install the update, click the Install Later button and install the Productivity Pack when you have several minutes to an hour or more to dedicate to installing the Productivity Pack on the server and on each computer in the office.

4. Follow the on-screen instructions to install the Productivity Pack.

If you do not have access to the Internet, contact Dentrix Support to obtain a DVD of this productivity pack.

Installing Dentrix G4 Productivity Pack 7 on Other ComputersThis Productivity Pack must be installed on each workstation that runs Dentrix G4. Once the Productivity Pack is installed on one computer on your network, you can easily install it on any other computer on your network when you launch any Dentrix module.

When you attempt to open a module on a computer that does not have the required updates, a message appears, notifies you that updates need to be installed.

Important: You must install the required updates in order to use Dentrix on that computer because every com-puter on your network must run the same version of Dentrix.

To install the updates, click Install Now from the message that appears. All open Dentrix programs should close and an install status message box appears. The updates will install and you can then access Dentrix on that computer.

Note: During the Dentrix G4 Productivity Pack 7 installation, password security rights for Schedule Event will be added. If you have passwords enabled, you can assign these security rights after the upgrade is complete.

Productivity Pack 7 Update Guide

New Features and EnhancementsThe Dentrix G4 Productivity Pack 7 is not a comprehensive release and does not include all of the new features and enhancements that were included in previous service packs for Dentrix G4. However, the list below contains all the features that have been included in all service packs and Productivity Pack 6 since the Dentrix G4 release. New features and enhancements in this productivity pack are designated with the word “NEW!”

Appointment Book• NEW! You can schedule an operatory to be closed for a day or up to four weeks. Events can include such

items as staff meetings, vacation schedules, or holidays.

• NEW! You can store multiple appointments on the Pinboard where they can be viewed, moved, scheduled, or deleted.

• NEW! You can track the history of appointment changes and generate reports for a specific patient, date or date range, provider or range of providers, and operatory or range of operatories.

• NEW! You can globally update the charges for procedures on scheduled appointments when fee schedules are updated.

• NEW! A customizable Hover window displays patient information and appointment notes when you move your mouse pointer over an appointment or event in the Appointment Book.

• NEW! You can set up saved views that can be selected as needed; print views of a day, week, month, or any range of days; specify the number of copies you want to print; exclude the hours or days a practice is not open from being displayed or printed; select a view from multiple default views; and select a default view that loads automatically without clicking Load View.

• If you are using eCentral and you download eSync after the Productivity Pack 6 install, you can view a patient’s insurance eligibility status on his or her appointment in the Appointment Information dialog box and in the Appointment list.

• All future appointments for every family member appear on the Patient Route Slip.

• When you break or delete an appointment in the Appointment Book, the following information appears in the confirmation message: patient name, provider, appointment time, and appointment date.

Document Center • You can choose to have a copy of all billing statements added to the Document Center under the appropriate

patient.

• If you have eCentral and you download eSync after the Productivity Pack 6 install, you can view a patient’s latest insurance eligibility detail document in the Document Center.

• An Always On Top button has been added to the Unfiled Documents window. The state of the button is saved when the window is closed.

Family File • You do not need to close all Dentrix modules to edit family relationships.

• If you are using eCentral and you download eSync after the Productivity Pack 6 install, you can view a patient’s insurance eligibility status on his or her file.

• Patients’ Social Security numbers are not automatically populated in the Subscriber ID box, so you don’t have to delete them manually to comply with HIPAA regulations.

Ledger• You can access patient financing information, enroll to be a Citi Health merchant, and manage your merchant

account settings from the new Patient Financing button on the Ledger toolbar.

• You can select a new option called Family Appointment List to display all future appointments for every family member on the Family Walkout.

• You can select to include all family members, future appointments, and continuing care due dates on the Family Walkout.

Office Manager • NEW! “Rejected” insurance claims for claims that still need to be processed are included on the Insurance

Claims to Process report.

• You can create a library of custom notes for family alerts, billing statements, case note templates, insurance claim remarks, and procedure notes.

• You can more conveniently access the Practice Analysis Reports (Production Summary, Payment Summary, Adjustment Summary, and Patient Summary) from the Reports menu in the Office Manager.

• When you change or delete practice definitions, you will receive a detailed warning message describing the consequence of changing the definition and prompting you to create a new definition or replacement definition, where applicable.

• You can set up due dates to calculate automatically for billing statements regardless of whether a payment agreement has been set up.

• You can select a default age for Primary Dentition in the Patient Chart.

Patient Chart• You can select an option to use the simplified Select Patient dialog box by default instead of the new, more

advanced Select Patient dialog box.

• The margins of the printed progress notes have been expanded so that you can punch the printout with holes for a 3-ring binder.

• When you change the sort order of a patient’s progress notes, you can click a button to return the progress notes to the default sort order.

• You can set a default provider for signatures on clinical notes in the Patient Chart Setup.

• You can select a provider for a clinical note addendum in the New Addendum dialog box.

• You can select a patient in the Chart without having default procedures selected in the Progress Notes panel.

Perio Chart • You can undo and redo changes in the Perio Chart.

• The font size in the Perio Chart is larger and more easy to read.

Questionnaires• You can move responses from one patient to another in the Questionnaires module.

• You can set up a password security option for the Move Responses feature.

Treatment Planner• When you print the treatment case, you can select to have one of the following items as the prominent name

on the report: Provider Name, Practice Name, or Patient Name.

Practice Advisor• NEW! The Practice Advisor helps you assess the overall financial health of your practice. The Practice Advisor

analyzes practice details regarding production, collections, new patient analysis, continuing care, and schedule management for specific time periods.

Miscellaneous • NEW! You can create an unlimited number of custom Quick Label templates to suit your specific needs. You

can create these templates entirely from scratch or make a copy of an existing Quick Label template and customize it to meet your needs.

• NEW! A Chat with Support option has been added to make it easier for you to contact Dentrix Support and begin a chat session.

• NEW! • If you download eSync after the Productivity Pack 6 install and obtain a merchant account, you can process credit card payments with PowerPay LE.

• The Auto Dial feature and More Information dialog box have been combined and redesigned, so you can see patient contact information, family members, appointment history, continuing care due dates, and balance information and launch the auto dial feature all from the same dialog box.

• You can mask or hide patient Social Security numbers so that the numbers are not visible to staff members without password rights.

• Patient Social Security numbers are not printed on the payment plan coupon books.

• All major note fields have a spell check feature.

• You can search for a patient by mobile, work, home, or other phone number from the Advanced Search tab of the new Select Patient dialog box.

• During the install, you can add an area code to all phone numbers lacking an area code.

• The Downloadable Updates dialog box is more user-friendly. The background color of Required Updates is white to bring more attention to it.

• You can choose to postpone the installation of automatically downloaded updates until a later date.

• If passwords are enabled, you must have Utility Administration password rights assigned to your user account in order to download Dentrix updates and Productivity Packs.

• Quick Launch is put back in the notification area after you install a Productivity Pack.

Productivity Pack 7 FixesThe Dentrix G4 Productivity Pack 7 is not a comprehensive release and does not include all of the new features and enhancements that were included in previous service packs for Dentrix G4. However, the list below contains all the fixes that have been included in all service packs since the Dentrix G4 release. New fixes in this Productivity Pack are designated with the word “NEW!”

Appointment Book• The Select Patient dialog box is slow in returning search results and switching patients.

• The Appointment Book Production can be calculated incorrectly when using Auto Calculate if the posted fee is different than the Prov1 fee.

Document Center• You cannot print a single page of a multiple page image document in the Document Center.

• The Document Center attachment viewer takes too long to preview documents.

• Only the first page of a document is scanned into the Document Center when you use the HP ScanJet 5590 printer.

Family File• NEW! Even though no changes are made, Insurance Eligibility data is being cleared from the Primary Dental

Insurance dialog box.

• NEW! Customers who are enrolled in eServices but have cancelled the eSync 2.7 installation receive a message asking them to enroll in eServices.

• The Esc and Tab keys are not working in the Set Head of House dialog box because the Head of House list does not have focus when the dialog is initially opened.

• The Esc and Tab keys are not working in the Edit Family Relations dialog box because the patient list box does not have focus when the dialog is initially opened.

• When you perform certain steps to clear insurance from a patient, the Insurance Information dialog box will not open for patients attached to that insurance subscriber.

Ledger• NEW! The status of a cancelled eClaims attachment is sent rather than validated.

• NEW! The keyboard shortcut (ALT + P) for printing a Single Billing Statement does not work as it did in previous versions of Dentrix.

• An Invalid Code error message appears when posting a Procedure Code with a long ID and cannot edit because the Edit dialog box is blank.

• The Type field in the claim attachment is not set to “Supporting Information” by default when you attach a document from the Document Center.

Perio Chart• The Perio Exam Comparison Report does not have an indicator as to what information is being compared.

• When you install previous service packs, the Questionnaires module is not updated to build 97 (the most current build of the module).

Using the New Features and EnhancementsThe following information will help you understand how to use the new features and enhancements in the Dentrix G4 Productivity Pack 7 and the features of previous service and productivity packs.

Appointment Book

CLOSING OR BLOCKING OUT AN OPERATORY

You can schedule an event (a non-patient “appointment”) to block out time in the Appointment Book to close an operatory for a day or up to four weeks. Events can include such items as staff meetings, vacation schedules, or holidays.

To schedule an event

1. From the File menu, click Schedule Event. From the Schedule Event dialog box, select the operatories that you want to schedule an event for.

Note: If multiple operatories and/or days are specified for the Event, separate Events (one per day per operatory) will be created and displayed in the Appointment Book. The Event creation process may take several minutes depending on the date range specified, days of the week selected, the number of operatories selected, and the number of future appointments scheduled. While multiple operatories and/or days are treated as separate Events, they are linked. If you try to delete a linked Event, you receive a message asking you if you want to delete all events..

2. Specify a Start and an End time if the event will only last part of the day, or click Close Operatory (All Day Event) if the event will last the entire day; otherwise, specify the day or days when the event will occur.

Note: You may schedule events as much as one year in ad-vance. You may also select specific days within a range when you schedule an event.

3. Enter a description of and any notes that apply to the event, then click Event Color to select a background color.

Note: Selecting a color that is too dark may obscure the black text of the Event description and note. For example, black text will not be easily readable on a dark blue background.

4. Click OK to schedule the event and add it to Appointment Book.

Note: Scheduling an event that conflicts with an appointment or appointments in one or more operatories, generates a log file for the operatories that cannot be scheduled.

DISPLAYING ADDITIONAL PATIENT INFORMATION

You can view additional event, patient, and appointment information without double-clicking an event or an appointment or clicking More Information in the toolbar. To display this information in a Hover window, place the mouse pointer over an event or appointment.

The Hover window combines much of the information contained in the Appointment Information dialog box and the More Information dialog box. You can customize the information that appears in the Hover window in the Practice Appointment Setup dialog box.

To customize the information contained in the Hover window

1. From the Setup menu, click Practice Appointment Setup. In the Practice Appointment Setup dialog box, click Hover Detail Setup.

Note: From the Hover Detail Setup dialog box, you can choose what patient infor-mation you want to display, set how quickly the Hover window appears when you move the mouse pointer over an appointment, and disable the Hover window.

2. Click Hide or Show to specify what information you want to display in the Hover window.

A sample Hover window changes dynamically as you select each hide or show option.

Note: By default all detail informa-tion except SSN is visible.

3. Click the Hover Window Delay slider and move it to the right or the left to modify how quickly the Hover window appears over an appointment.

USING THE PINBOARD

You can place multiple appointments and events on the Pinboard where they can be viewed, moved, scheduled, or deleted. You can move one or more appointments to the Pinboard by clicking and dragging them, by clicking Pinboard in the Appointment Information dialog box, or by clicking Options menu and then clicking Move to Pinboard.

The Appointment icon contains the patient’s first initial and the first four letters of the last name. If the patient is new, the letters NP appear in blue in the upper-right corner of the icon.

To move an appointment to the Pinboard

Do one of the following to move an appointment to the Pinboard:

• Click and drag an appointment to the Pinboard.

• Double-click an appointment, and then click Pinboard in the Appointment Information dialog box.

• From the Options menu, point to Move to Pinboard, and then click the appropriate option.

To move multiple appointments to the Pinboard

1. From the Options menu, point to Move to Pinboard, and then click All Appts for Displayed Date.

2. In the message, select the appropriate option, and then click OK.

Note: While you can store as many appointments and events as you want on the Pinboard, stor-ing more than 30 may prove impractical.

To schedule an appointment from the Pinboard

• Click the appropriate appointment icon, drag it to the appropriate operatory and time, and click Yes.

To view the Pinboard list

• From the Appt Lists menu, click Pinboard List.

To delete an appointment from the Pinboard using the Pinboard List

1. From the Appt Lists menu, click Pinboard List, and then select the appointment you want to delete.

2. From the Appt menu, click Delete Appointment, and then click Yes.

To delete an appointment from the Pinboard with a mouse

• Right-click the appropriate appointment icon, click Delete Appointment, and then click Yes.

To delete an appointment from the Pinboard using the File menu

1. Select the appointment you want to delete on the Pinboard.

2. From the File menu, click Delete Appointment, and then click Yes.

• Position the mouse pointer over the appropriate appointment icon on the Pinboard.

To move a scheduled event to the Pinboard

1. Click and drag the event to the Pinboard.

2. In the message, select the appropriate option, and then click OK. The Event icon appears in the Pinboard.

UPDATING APPOINTMENT FEES

With Productivity Pack 7, you can globally update the charges for procedures on scheduled appointments when fee schedules are updated.

To update the scheduled appointment fee

1. From the Options menu, click Update Scheduled Amounts.

2. Click the Appointments Starting search button to set the appropriate date.

3. Click All to update the fees for every provider in the list, click a single provider to update that provider’s fees only, or click a provider and hold down SHIFT or CTRL to select additional providers, and then click Update.

PRINTING FROM APPOINTMENT BOOK

With Productivity Pack 7, the Print Appointment Book View dialog box now allows you to set up saved views that can be selected as needed, print views of a day, week, month, or any range of days, specify the number of copies you want to print, exclude the hours or days a practice is not open from being displayed or printed, select a view from multiple default views, and select a default view that loads automatically without clicking Load View.

To print from the Print Appointment Book View dialog box

1. From the File menu, click Print Appointment Book View.

2. In the Print Appointment Book View dialog box, select the Report Option you want, and then click Print.

Note: The first time you open the Print Appointment Book View dialog box, the Current Appt Book View is the only available option until you save a new Report Option by clicking Saved Options or save a default Report Option when the dialog box closes.

To manage a saved Report Option

1. In the Print Appointment Book View dialog box, click Manage Options.

2. In the Manage Saved Options dialog box, select a view from the Options list, and then click Rename or Delete as appropriate.

To modify a Report Option

1. In the Select Report Options list, select the Report Option that you want to modify, change any of the settings in Print View, and click Save Options.

Note: Changing a setting in Print View enables Save Options.

The Save Options list appears, and in the New Option Name field, [Modified] is appended to the name of the Report Option that you modified.

2. Click OK to save the changes you made.

VIEWING APPOINTMENT HISTORIES

With Productivity Pack 7, the Appointment Book keeps a history of any changes made to an appointment. You can also generate reports that allow you to view the history of appointments for a specific patient, date or date range, provider or range of providers, and operatory or range of operatories.

To view an appointment’s history

• In Appointment Book, double-click an appointment and in the Appointment Information dialog box, click History. In the Appointment Information History dialog box, the caption text turns red to indicate which items have changed.

Note: If an appointment has never been modified, the His-tory button is disabled.

SETTING UP QUICK LABEL TEMPLATES

With Productivity Pack 7, you can create an unlimited number of custom Quick Label templates to suit your specific needs. You can create these templates entirely from scratch or make a copy of an existing Quick Label template and customize it to meet your needs. You can preview a Quick Label as you create and edit it and specify the default label printer for Quick Labels for each workstation.

Note: The Quick Label button is available in any module that a patient can be selected from, and you must select a patient to enable the Quick Label button.

To set up a Quick Label template

1. On the Appointment Book tool bar, click the Quick Labels button to open the Quick Labels dialog box.

2. Click Setup to open the Setup Quick Labels dialog box.

3. Click New to open the New Quick Label dialog box and create a new Quick Label.

4. Enter a Label Name for the Quick Label you want to create.

5. Under Insert Merge Fields, expand an item in the list, select the merge field that you want to appear in the label, and then click the placement button.

6. Press ENTER to create a new line in the text box and then repeat Step 5 as necessary.

The text for the Quick Label appears in the Preview for selected patient text box.

Note: You must insert punctuation marks and spaces between the merge fields in the text box where necessary as, for example, in <<City>>, <<State>>.

VIEWING INSURANCE ELIGIBILITY

You can view a patient’s insurance eligibility status from his or her appointment in the Appointment Book, from the Appointment Information dialog box, Appointment List, or in the Family File. If you have eCentral and you downloaded eSync at http://core.ident.com/eSyncDownload (case sensitive) after the Productivity Pack 6 installation, this status is automatically updated. If you do not have eCentral, you can enter an eligibility status manually.

To enter an eligibility status

1. Open one of the locations listed above.

2. If you have eCentral, click the Eligibility icon.

• If you have the eCentral Insurance Manager set up, the Request Patient Eligibility dialog box appears.

• If you do not use eCentral, right-click the Eligibility icon, then click Enter Eligibility Status to open the Eligibility Status dialog box, and complete the following steps.

3. Click Eligible or Other.

4. In the Description box, enter a description of the status.

The description will appear in the tooltip when you position your cursor over the Eligibility icon.

5. Enter the Expiration Date of the eligibility.

6. If you want, enter a Note about the eligibility.

Note: You can visually recognize if a patient is eligible by the color of the Eligibility icon. If the icon is blue with a white background, that patient is eligible. If the icon is gray with a yellow background, the eligibility status is something other than eligible, meaning that the patient may not be eligible or that Dentrix does not have any eligibility information for the patient.

Document Center

VIEWING INSURANCE ELIGIBILITY DETAIL IN DENTRIX

If you download eSync after you install Productivity Pack 6 and you are using the Central Insurance Manager, you can send a copy of the patient’s insurance eligibility detail to the Document Center. In eCentral, open the eligibility detail and click the Send to Document Center button to send the detail to the Document Center.

Family File

SETTING A HEAD-OF-HOUSE USING FAMILY EDIT

With Productivity Pack 6, you do not have to close other Dentrix modules to run family edit. You can edit a family even if other Dentrix modules are open. However, you must not have any of the family members selected in another Dentrix module. You can set a Head-of-House in the Family File from the Edit menu.

To set a Head-of-House

1. From the File menu, click Select Patient.

2. Select the family member you want to set as the new Head-of-House, and then click OK.

3. From the Edit menu, click Set Head-of-House.

4. In the Set Head-of-House dialog box, select the family member you want to make the new Head-of-House, click Set HofH, and then click OK.

“HofH” appears next to the name of the patient who is set as the Head-of-House.

To move family members to a new Head-of-House

1. From the Edit Family Relations dialog box, select the patient in the Family 1 column you want to make the Head-of-House for a new family, and then click Move.

2. Click Set HofH 2.

3. Select a family member in the Family 1 column, then click Move to add that family member to the new family, and click OK to complete the changes.

EDITING FAMILY RELATIONS

You can also use the Family File to merge two families, move patients back and forth between two families as needed, or add patients to a new family.

To merge two families

1. From the File menu, click Select Patient.

2. From the Select Patient dialog box, select the patient whose family information needs to be changed, and then click OK.

3. From the Edit menu, click Edit Family Relations.

The selected patient’s family appears in the Family 1 column of the Edit Family Relations dialog box.

4. To merge two families, click Family 2.

5. In the Select Guarantor dialog box, select a guarantor from the list, and then click OK.

The guarantor and his or her family members appear in the Family 2 column on the Edit Family Relations dialog box.

USING INSURANCE CLAIM PROCESSING STATUS

With the Dentrix G4 Productivity Pack 7, you can include “Rejected” insurance claims for claims that still need to be processed in the Insurance Claims to Process Report.

The claim statuses in the Ledger and Batch Processor have been modified to clarify the processing state. The initial status of any claim sent electronically from the Ledger or Batch Processor is sent.

To view the status of an insurance claim

• From the Ledger Transaction Log, double-click a claim.

Note: The status of the claim is reflected in the Status box and the title bar.

To update the status of an electronic claim

• From Ledger, click Insurance, and then click Today’s Procedures–Send Electronically or Selected Procedures–Send Electronically.

To print a report of insurance claims that have yet to process

1. In the eClaims Validation dialog box, click Print Report.

Note: Alternatively, from Office Manager, in the Reports menu, point to Ledger, and then click Insurance Claims to Process. Please see the G4 User’s Guide for further information on processing insurance claims.

2. Click Dental Insurance Claims to Process.

3. From the File menu, click Print.

The Dental Insurance Claims to Process Report prints.

USING PATIENT FINANCING

You can access patient financing information, become a Citi Health merchant, and manage your merchant account settings from the new Patient Financing button on the Ledger toolbar.

To display all future appointments for each family member

1. In the Ledger, from the Print menu, click Walkout.

ACCESSING PRACTICE ANALYSIS REPORTS

You can access the Practice Analysis Reports (Production Summary, Payment Summary, Adjustment Summary, and Patient Summary) from the Reports menu in the Office Manager. You can still access those reports from the Practice Analysis in addition to the new location in the Office Manager.

• From the Reports menu, point to Management, and then click Practice Analysis Reports.

The Practice Analysis Reports dialog box appears from which you can run the Production Summary, Payment Summary, Adjustment Summary, or Patient Summary Reports.

SETTING UP AUTOMATICALLY CALCULATED DUE DATES FOR BILLING STATEMENTS

In the Billing Statements dialog box in the Office Manager, you can set up automatically calculated due dates that will print on billing statements regardless of whether a payment agreement has been set up. Or, you can print automatically calculated due dates only for accounts with a payment agreement or payment plan set up.

To set up automatically calculated due dates for billing statements

1. From the Reports menu, click Billing.

2. From the Billing Statements dialog box, click Print Due Date on Statements, and then click Only for Payment Agreements/Plans or All.

Note: If you chose to print due dates on all statements, set the number of days past the statement date you want to set the due date. The default is 15 days.

3. Click OK to generate statements with these settings.

USING CUSTOM NOTES

You can set up a library of custom notes for several types of notes in Dentrix. These custom notes function like note templates. When you are in the applicable note field, you can select one of the custom notes instead of having to type the same note several times. You can create custom alert notes, billing statement notes, case note templates, procedure notes, and insurance claim notes.

CREATING ALERT NOTES DEFINITIONS

To add an alert note

1. From the Maintenance menu point to Practice Setup > Custom Notes, and then click Alert Notes Setup.

2. Enter the Alert Note Text.

3. Click Add.

The new alert note is added to the end of the list.

Note: To change an alert note, select the note, make the desired edit, and then click Change. The change will affect all instances of the alert note that have already been as-signed to patient records. To delete a note, select the note and then click Delete. The note will no longer be available for selec-tion, and any existing alerts with this note attached will still have the note.

To create a custom billing statement note

1. From the Maintenance menu, point to Practice Setup > Custom Notes, and then click Billing Statement Notes Setup.

3. In the New Custom Billing Statement Note dialog box, enter a description of the note.

SETTING UP CASE NOTE TEMPLATES

To set up a case note template

1. From the Maintenance menu, point to Practice Setup > Custom Notes, and then click Case Note Template Setup.

2. In the Case Note Template Setup dialog box, enter a name for the case note template in the Template Name field.

3. Enter a description of the template in the Template Text field.

4. Click Add to save the template.

Note: To change the text of a template, select the tem-plate, make the desired change, and then click Modify. To remove any of the templates in the list, select the tem-plate, and then click Delete. You can also access these templates when you click the Template Setup button in the Settings section on the Treatment Planner panel in the Chart or in the Settings section on the left panel in the Treatment Planner.

CREATING CLAIM REMARKS

To create claim remarks

1. From the Maintenance menu, point to Practice Setup > Custom Notes, and then click Claim Remarks Setup.

2. In the Custom Claim Remarks Setup dialog box, click New to enter a new custom claim remark.

3. In the New Custom Claim Remark dialog box, in the Description field, enter a description of the remark.

This description will appear when you insert a custom claim remark into the Remarks for Unusual Services dialog box attached to an insurance claim.

4. In the Note field, enter the remark text, and then click OK to save the note.

Note: Click Edit or Delete to change or remove any of the notes in the list. You can also access these custom claim remarks when you click Claim Remarks in the Re-marks for Unusual Services dialog box.

SETTING THE DEFAULT AGE FOR PRIMARY DENTITION

In the Preferences dialog box in the Office Manager, you can specify a default age for primary dentition in the Chart. When you create a new patient record, any patients below the age you specify will have primary dentition set in the Chart by default. This setting will not affect current patients in your database; the setting will only be applied to new patients.

To specify a default age for primary dentition

1. Under Additional Options, select the age you want to set as the default dentition from the list.

All new patients that age and younger will have primary dentition set by default in the Chart. All new patients over that age will have adult dentition by default.

SELECTING REPLACEMENT DEFINITIONS WHEN YOU DELETE DEFINITIONS

When you delete any definitions from the Office Manager, you will receive a warning message before the definition is deleted. In some cases, you will be provided with a dialog box that allows you to select a replacement definition so that the stability of your database can be maintained.

To delete and replace a definition

1. From the Maintenance menu, point to Practice Setup, and then click Definitions.

2. In the Practice Definitions dialog box, select a Definition Type, such as Billing Types from the Definition Type list.

3. Select the definition you want to delete, and then click Delete.

One of two messages appear, depending on the status of the definition.

• For definitions that cannot be replaced, you receive a warning to that effect. If you click Yes, the definition is removed from the database permanently.

• For definitions that can replaced, the Delete Definition dialog box appears.

4. Click the Search button, and select a replacement definition.

5. In the Select Definitions dialog box, select the definition you want to use to replace the definition you are deleting, and click OK.

6. Click OK to close the Delete Definition dialog box and delete the definition.

Patient Chart

SORTING PROGRESS NOTES

You can sort a patient’s progress notes by any of the columns in the Progress Notes panel. You can return to the default sort order of the progress notes by clicking the Default Sort button.

To sort a patient’s Progress Notes

1. Click any column header to sort the progress notes by that column.

2. Click the Default Sort button to change the sorting back to the default setting.

SETTING A DEFAULT PROVIDER FOR CLINICAL NOTES

You can set a default provider for clinical notes signatures in the Chart so that you don’t have to select the same provider every time you sign clinical notes.

In all of the modules that have been redesigned since Dentrix 11 (Chart, Treatment Planner, Perio, Questionnaires, and Document Center), you can select an option in the Chart to use the simplified Select Patient dialog box by default instead of the new, more advanced Select Patient dialog box.

1. In the Chart, from the Setup menu, click Use Simple Select Patient.

USING CHAT WITH SUPPORT

With Productivity Pack 7 installed, you can initiate an online chat session with a Dentrix support technician with one mouse click. You can begin a chat session from the Help menu in the Office Manager, Family File, Ledger, Appointment Book, Patient Chart, Treatment Planner, Questionnaires, Document Center, and Office Journal modules.

To initiate a chat session

1. In any Dentrix module menu, from the Help menu, click Chat with Support.

You are connected through your default browser to the Dentrix support site, and the Required Information dialog box appears.

USING POWERPAY LE

If you download eSync at http://core.ident.com/eSyncDownload after you install Productivity Pack 6, you can process credit card payments through PowerPay LE. PowerPay LE is a free credit card processing application that works with Dentrix so that payment balances are posted in the Ledger. You must obtain a merchant account through Moneris in order to use PowerPay LE.

To process credit card payments through PowerPay LE

1. On the Ledger toolbar, click the PowerPay button.

2. Select a Transaction Type.

If you click Prompt for Security Code in the PowerPay LE settings and you select Credit, you are prompted to enter your security code.

3. Enter a payment Amount, and swipe the card through the card reader.

4. If you want to print a customer copy of the receipt, select Print customer receipt.

5. Click Process to process the payment.

USING THE SPELL CHECK FEATURE ON NOTES

With Productivity Pack 6, you can check the spelling of text in the note fields throughout Dentrix.

USING MORE INFORMATION/AUTO DIAL

The Auto Dial feature in Dentrix has been expanded and combined with the More Information dialog box. Now you can dial patients directly from a dialog that contains family information, appointment information, continuing care due dates, balance information, and personal information. The new More Information dialog box appears in place of the old Auto Dial dialog box in all applicable Dentrix modules, sub-modules, and dialog boxes.

1. Click the new More Information (Dial) button, or click More Info in the Select Patient dialog box to open the More Information dialog box.

2. View the patient’s information.

• Double-click the name of a family member to open the More Information dialog box for that family member.

• Double-click an appointment to start the Appointment Book and open the Family Appointment List dialog box.

• Double-click anywhere under Continuing Care to start the Continuing Care module with the patient highlighted.

• Click Ledger to start the Ledger for the current patient.

• Double-click anywhere under Personal Information to start the Family File for the current patient.

• Click any phone number to use the Auto Dial feature to dial the number.

Note: As with previous versions of Auto Dial, you must have modem dialing set up to use this feature. If the dial is successful, a “phone call” journal entry type is added to the Office Journal.

• Click the e-mail address to open the e-mail client installed on your system and send an e-mail to the patient. A “message” journal entry type is added to the Office Journal.

• Click Add Journal Entry to open the Office Journal for the current patient.

HIDING OR MASKING SOCIAL SECURITY NUMBERS

To protect your patients’ privacy, you can hide or mask their Social Security numbers in the software and prevent them from printing on Payment Plan Coupons.

To hide or mask a patient’s Social Security number

1. In the Office Manager, from the Maintenance menu, point to Practice Setup, and then click Preferences.

2. Click Hide Social Security Number, and then select the way you want to hide them:

• Hide Completely removes the number from view. The Social Security field appears blank.

• Mask Completely replaces the digits of the number with the number symbol.

• Mask all but last 4 digits replaces the first seven digits with the number symbol, but allows the last four digits to be displayed.

You will still be able to view the Social Security number from the Patient Information dialog box in the Family File and Update Patient Information dialog boxes in the Questionnaires module.

ALLOWING DENTRIX TO CHECK FOR UPDATES AUTOMATICALLY

Dentrix can check for updates automatically and notify you if updates are available for your system. You can control whether or not Dentrix performs that check in the Preferences dialog box in the Office Manager.

1. Click Automatically Check for Updates. (This option is selected by default.)

2. Click OK to save your preferences.

SETTING UP SMART UPDATES

After updates are downloaded automatically (when Updates > Check for Updates was not selected from the Quick Launch menu) and an attempt is made to open a Dentrix module on any computer, a message box appears and prompts you to install the update(s).

• Click Install Now to install the checked update(s) or Install Later to postpone the installation.

Note: The Install Later button is disabled if the update(s) displayed have been installed on at least one computer in the office. In this case, you must install the update(s) before you can use Dentrix. If you defer the installation, you will not be prompted to install the update(s) again until the following day or until at least one computer in the office installs the update(s)—whichever comes first.

You can install a deferred update manually at any time, even if the daily reminder has been bypassed. From the Quick Launch menu, point to Updates, and then click Install Available Updates. If any updates are installed on one computer, the same updates must be installed on all the other computers on the network that use Dentrix before you can access Dentrix on any of those computers too.

Practice AdvisorThe Practice Advisor helps you to assess the overall financial health of your practice. The report shows practice details regarding production, collections, new patient analysis, continuing care, and schedule management for specific time periods.

Setting Up the Practice Advisor and Running the ReportBefore running the Practice Advisor, you can set up how providers, adjustment types, payment types, benchmarks, the active patient base, and continuing care patients are to be used for the Practice Advisor. The Practice Advisor comes with default benchmarks, but those settings might not be ideal or even applicable for your practice. It is recommended that you discuss the benchmarks with a consultant to determine if you need to customize the Practice Advisor to meet the needs and goals of your practice.

After you generate the report, you can view how your practice is doing relative to benchmarks for several key areas.

For complete details about setting up the Practice Advisor and running and understanding the Practice Advisor report, refer to the Dentrix G4 Help files. For an overview of the Practice Advisor reports and all other reports, see the Dentrix G4 Reports Reference. To set up the Practice Advisor and run the report

1. In the Office Manager, from the Analysis menu, click Practice Advisor to open the Practice Advisor dialog box.

2. Click Practice Advisor Setup.

3. From the Practice Advisor Setup dialog box, set up the following options:

• Designate the hygienists and doctors.

• Designate the adjustment types for collections and production.

• Designate the over-the-counter and non-over-the-counter payment types.

• Designate the benchmarks for increased profitability.

Note: Dentrix Productivity Pack 7 installs industry standard benchmarks from top dental consultants. It is recommended that you discuss the benchmarks with a consultant to deter-mine if you need to customize any of the values.

• Indicate how the active patient base is calculated.

• Indicate how the number of patients who comply with continuing care is calculated.

4. Click OK to save the changes.
