1) The system of communicating messages in electronic form is called electronic mail or e-mail in short.2) The electronic mail system required a communication network, besides Equipment for sending & receiving mails.

It is believed that the first e-mail was sent by Ray Tomlinson, an engineer, in 1971.

WHAT IS ELECTRONIC MAIL?

• Messages communicated through telex, fax, and computer called

Electronic mails. • The concept of paperless office was evolved in the

year1960s.• Sending and receiving mails through computer

systems aim tomake this concept a reality, besides providing an easy

and economicalMeans of communication.

ADVANTAGES OF E-MAILS

1) Messages through e-mail can be in different forms such

as text, image, sound, database, spreadsheet or an

application.

2) This is very fast and it reaches its destination within a

seconds, unlike conventional postal system.

3) Online availability of the recipient is not required when

sending e-mails.

4) If message cannot be delivered within a reasonable time

limit, they will return back to their sender indicating the

reason for non-delivery. Mails that are returned are

called bounced mails.

An e-mail message is typed by the sender on his computer.

The message has an address that it can be sent directly to the right computer

The message is sent to a server which is connected to the internet.

Server

Router

The e-mail is passed by the router to the server connected to the recipient's computer.

The e-mail is sent to a router by the server. The router sends the messages to another router.

The server reads the address and passes the e-mail to the correct computer.

Routers are connected to each other by telephone lines and cables.

MAIL TRANSFER PROTOCOLS

1) Transmission of message through different computer

networks is standardized through special protocols called

Simple Mail Transfer

Protocols or SMTP in short. This protocol is used for transferring

mails. Actual process of transmitting messages is done by

computer programs

called Transport Agents.. Incoming mails is manages by POP

Post Office Protocol.
