About the 17th ITS Asia Pacific Forum 2020 Brisbane AustraliaHosting a technical tour is an opportunity to showcase your ITS solutions in a real-world context, demonstrating the value proposition of your organisation.

ITS Asia Pacific seeks to facilitate Intelligent Transport Systems (ITS) cooperation and coordination between countries/areas in the Asia Pacific region, taken to mean Asia and Oceania, irrespective of political, industrial, cultural or institutional barriers. ITS Asia Pacific offers its members opportunities for networking and information-sharing through assistance in the coordination of the region’s involvement in the World Congress on ITS, and hosting the ITS Asia Pacific Forum.

ITS Asia Pacific plays a key facilitation and liaison role for its members within the Asia Pacific region and with related organisations in other regions. Members are encouraged to develop ITS for application across the Asia Pacific region and to assist each other with information to enable this.

Held each year in a different location, the ITS Asia Pacific Forum is an Asia Pacific region meeting regularly attracting 800+ attendees, rotating through Asia Pacific.

ITS Australia will be hosting the 17th ITS Asia Pacific Forum in Brisbane from Monday 25 – Thursday 28 May 2020 on behalf of ITS Asia Pacific.

Brisbane is a vibrant, friendly, lifestyle city - home to four universities, Australia’s largest medical research centre, and a thriving industry hub located in the heart of Australia’s premier tourist region. As host to the 2014 G20 Leader’s Summit and the more recent 2018 Gold Coast Commonwealth Games, Brisbane is Australia’s powerhouse city and capital of Queensland, with a worldwide reputation as a leader in science and technology.

Brisbane’s ideal location as the capital of Australia’s premier tourist region presents the ideal opportunity for delegates to enjoy a microcosm of Australia’s iconic experiences. World heritage listed rainforests, amazing beaches, islands, wineries and the internationally famous Australia Zoo – home of the Crocodile Hunter – are all easily accessible within an hour of the city. You can even do day trips to the Great Barrier Reef from Brisbane Moreton Bay.

Surging growth in international demand will ensure that this will be the largest gathering of ITS researchers, developers and users in the Asia Pacific region. The 2020 theme will be to showcase ITS Innovation Creating Liveable Communities. Brisbane is the perfect venue to demonstrate this theme, offering a world-class convention infrastructure in a dynamic, compact, affordable, accessible via public transport and welcoming city that offers visitors an authentic taste of Australia.

Liveable communities are enhanced by each of the key areas of ITS innovation, in the delivery of safe transport operations, the support of efficient and productive networks and the improvement of environmental outcomes. We will demonstrate Australian capabilities in each of these areas and invite our ITS colleagues from across the globe to share their advances in delivering desirable liveable outcomes for the community.

Australia is at the forefront of development and deployment of ITS innovation in many fields. With a unique landscape Australia’s ITS industry has risen to the challenge of delivering solutions to enhance liveable communities. Our population is clustered in big cities with large urban areas where ITS innovation such as connected and autonomous vehicles, traffic signal management, emergency vehicle priority, managed motorways and free flow tolling are being leveraged to maintain the mobility of our growing cities. Long transport distances across our vast country encourage innovation and adoption of

technology across our heavy vehicle fleet to enhance safety and efficiency. Australia has a strong and innovative mining sector that has embraced ITS technology such as driverless trains and driverless vehicles to improve efficiency and safety in tough economic conditions. Similar to other countries, the important contribution that ITS can make to minimising harm from natural disasters has been recognised and is increasingly being deployed to great effect.

Australia is a world leader in transport safety and technology. All Australian States and Territories are conducting rural and urban, on and off-road initiatives to ensure people and freight can move safely, efficiently and sustainably. With government support, industry collaboration and research centres of excellence, the Australian ITS industry leads advanced trials, tests transport technology capabilities across the unique Australian landscape and shares outcomes with the ITS community.

In collaboration with ITS Asia Pacific ITS Australia is working to prepare an engaging program. There will be plenary, scientific, technical and interactive sessions, a dynamic exhibition plus technical demonstration and tours that showcase the applications of the latest ITS technology. This will be an opportunity for policy makers, practitioners, researchers and ITS providers to share information on social needs, opinions and technical developments addressing modern transport issues.

By 2020, living in an ever-connected world, these themes will be even more pressing in our busy cities and communities. This ITS Asia Pacific Forum will be Australia’s opportunity to foster further international cooperation in unleashing the power of ITS.

Overview for organisations

The 17th ITS Asia Pacific Forum in Brisbane will take place in and around the Brisbane Convention & Exhibition Centre (BCEC).

BCEC has been named the World’s Best Convention Centre in 2016 by the International Association of Congress Centres. Host venue for the G20 Summit, acknowledged as the ‘Best Ever’, BCEC is Australia’s most flexible meetings venue offering unprecedented choice with an impressive portfolio of meeting rooms and event spaces, with capacity for plenary sessions of up to 8,000.

The Information for technical tours has been developed by the 17th ITS Asia Pacific Forum Technical Tours and Demonstrations Committee and comprises the following broad process:

ɠ Part A - Storyboard Application (Complete first and submit to Technical Tours and Demonstrations Committee)

ɠ Part B - Detailed Application (Only complete after acceptance of the Storyboard Application)

ɠ Agreement Execution (not included herewith - to be provided post Storyboard Application)

The purpose of the Information for Technical Tours is to ascertain whether your organisation is interested to propose a technical tour and to collect a general description of what your organisation may be considering conceptually. In order to facilitate planning, the Technical Tours and Demonstrations Committee needs to better understand the nature of the intended technical tour and ascertain basic logistical requirements.

Technical tours are proposed to be held within the Greater Brisbane area. A pick-up/drop-off zone will be designated at the BCEC.

It is anticipated that the nominated organisations will host the proposed technical tour(s) at their facilities and arrange the site visits – where applicable. Further details will be provided in the Detailed Submission Form.

Submission of this Storyboard Application will serve as your organisation’s intent to participate. At this time, information submitted will be considered your best summation at a possible technical tour. Please provide as much information as possible. It is understood that this submission is subject to change. A Detailed Submission Form and Agreement Execution process will occur at a later date. Submission of this Storyboard Application will allow your organisation earlier access to the planning process (to include teleconferences, face-to-face meetings, and information dissemination).

Whilst it is not mandatory to propose a technical tour which follows the predefined themes, the Technical Tours and Demonstrations Committee has decided to propose the same themes as the 17th ITS Asia Pacific Forum. The reason of this is essentially to create a synergy between the different forum elements which are the technical program, exhibition, demonstrations, technical visits and ancillary events.

These themes are only suggestions to help you in your choice and description of the technical tour you want to propose. Your technical tour does not have to fit into these themes so feel free to propose them if they don’t fit in a predefined topic.

Application guidelines and Technical Tour feeIf your organisation is invited to officially participate in providing a technical tour, post Detailed Submission Form, you will have to commit to the key following requirements through an executed Agreement:

ɠ Appoint one dedicated point of contact to serve as a representative that from time to time will attend the Technical Tours and Demonstrations Committee meetings. This individual should have the best possible combination of technical and logistics understanding of your company’s technical tour so that they can serve as a capable liaison for your organisation. Additional representatives will be permitted/encouraged at certain committee planning meetings especially where technical expertise is warranted.

ɠ Appoint one dedicated marketing and business representative that from time to time will attend the marketing committee meetings. In addition, your organisation will be asked to provide marketing images, video clips, or other media in support of the advanced promotional campaign for the technical tour event and 17th ITS Asia Pacific Forum in general. Your return on investment will increase significantly with better promotion.

ɠ The Technical Tours Fee associated with undertaking a technical tour is:

ɠ Inclusive as a part of a specific Sponsorship that your organisation may have entered into with ITS Australia as part of the 17th ITS Asia Pacific Forum, or

ɠ AUD10,000 (exc. GST) and purchase floor space in the exhibition hall equivalent to a minimum of 18 sqm. This fee covers a number of important items that ultimately provide a larger return on your investment and are common among all participants (see below). All exhibition space and location within the demonstration areas are subject to availability, and based on “first in, first served”.

Technical Tours marketing ɠ Promotion via the 17th ITS Asia Pacific Forum

marketing tools, including on the 17th ITS Asia Pacific Forum website and inclusion of technical tour activities in the official program,

ɠ Comprehensive informational collateral available in advance, and distributed onsite to participants and media partners.

ɠ Integrated advertising with other 17th ITS Asia Pacific Forum promotional activities.

Technical Tour staging and operations ɠ Signage in the 17th ITS Asia Pacific Forum venue

making it easy to find and access the technical tours. ɠ Multiple registration for your technical tour(s) through

the 17th ITS Asia Pacific Forum website and onsite at the Forum Registration Desk.

ɠ A mobile application which will provide information on your technical tour and guide participants to the technical tour area (final mobile app functionality remains subject to organiser project planning and approvals).

ɠ Bus transfers to/from the BCEC to your technical tour staging area, as necessary for the specific tour.

What’s not included ɠ All activities and associated expenses associated

with your technical tour not covered as part of the Technical Tours Fee shall be your organisation’s responsibility. Examples of this include, but not limited to:

ɠ All set up, removal, own staffing and own operational costs of your specific technical tour, including catering/refreshments, official testing and rehearsals.

ɠ Any specific technical tour security of product and systems and insurance costs.

ɠ Marketing and presentations undertaken by your organisation pertaining to your technical tour.

ɠ Overall security of products and systems and related insurance costs (eg. equipment/venue damages, public liability etc.)
