Newsco ERP Implementation

Project Timeline

May / June 2013 – I put together a Fit Gap Analysis of the Oracle ERP implementation to date for Gerard to review

July 2013 – Based upon the details outlined in the Fit Gap Analysis for Oracle it is determined with Board Approval to discontinue the Oracle implementation

July 2013- I presented to Gerard possible solutions for a new ERP system August 7th – Gerard and I meet with Jory Lamb from VistaVu Solutions looking into SAP Businesss One as an ERP

solution August 8th – We are provided a proposal from VistaVu regarding SAP and it is determined to be the best choice

for a solution August 13th – Initial Kickoff Meeting with VistaVu and the Core Newsco ERP Team August 20th- VistaVu presents an overview of the SAP Business One ERP and Fieldvu add on to Core Team and all

system users are invited (great turnout and positive feedback) August 21- 30 – Scoping exercise begins with group interviews to expedite the timeline and maintain focus

System Overview

Phase 1 - SAP B1 (Financials. Purchasing, Inventory, Asset Management, FieldVu baseline components) Phase 2- FieldVu (Job Master, Preventative Maintenance, Job Costing) Phase 3- further plugins via NIIS (Jean-Yves software solution)

To ensure that the ERP system is implemented in a timely and cost effective manner it has been determined that an out of box with minimal to no SDK (software development kit) customizations are to be part of the initial phase – the best practices (processes) that the system is based upon should be suffice and after an initial period of 3 – 6 months of user. Additionally we require a Terminal Server and SQL software to meet system requirements.

Project Activities

Scoping Exercise including interviews and document to be signed off on August 20 – September 20 th est. (this will greatly help flush out the timeline – the bottleneck will be the Inventory – Data – BOM cleanup)

System Install and Configuration Data Sorting Data Transfer Customizations - should be minimal (reports, user defined fields) CRP – Conference Room Pilot – Demo of the configured environment to ensure product meets requirements User Training Opening Balances User Acceptance Training Go-Live / Onsite Support Phase 1

Tentatively there is 2 potential go-live dates for Phase 1 (Dec 1 – most likely unrealistic due to the data corruption, and as discussed with the implementation partner, Feb 1 – so that is doesn’t interfere with year-end activities)
