The Concept of Modular Mailroom Furniture The furniture selection and planning lay-out of “The Post Room” is overlooked to your detriment. Mailrooms, Facilities Hubs or Office Services Environments, are the glue that keep an office running effectively and the larger the organisation the more essential the efficiency and ergonomic effectiveness of the back office. A well-planned mailroom can improve document flow,monitor activity levels, provide supplementary facilities services such as stationery or consumables distribution, provide a location and a labour resource for remote reprographics and in-house document publishing, or act as the hub for electronic document management digitising, direct marketing control, customer relationship management or office security. As the pressure of internal and incoming postage distribution diminishes, owing to the use of e-mail or cloud-based templatecompletion, it is easy to imagine that the volume of work in a Mailroom has commensurately decreased. However, the development of new communications methodologies in the general office have often coincided with a decrease in labour capacity in the mail room and an increase in additional functionality and responsibility for the remaining employees. This puts pressure on the efficiency of Office Services and in turn demands an optimum lay-out plan.

In these challenging and changing times new technological breakthroughs appear almost on a weekly basis that threaten the construct that physical post is still an important part of the communications equation. Of course for all companies the proportion of physical to electronic post has certainly changed, although the required space required to efficiently sort, distribute, collect, frank and send information through a physical information flow may not have done so. The volume may have diminished, but the actions required still remain. There is now all the more reason to select a furniture layout that is flexible, reconfigurable, recyclable and robust enough to be re-usable by moving from location to location. The alternative? Perhaps you could build a permanent set of joinery-contracted workstations and benches for contemporaneous requirements…………and then knock them down and re-build them in a year’s time when advances in technology change the method of document flow once again. This would of course be a costly waste of resources. However, for any workplace it is important to have an understanding of The Document Flow Cycle.

Planning the efficient Mailroom

The Office Services or Mailroom space plan requires a careful consideration of mail routings in order to maximise efficiency. Planning the furniture and equipment in different ways can affect productivity significantly. Illustrated below are examples of ‘Bad Work Flow’ (left) where the mail and staff cross back and forth, to be compared against ‘Good Work Flow’ (right) where the mail flows smoothly and unobstructed through the mailroom from start to finish. In this example we are showing a large and regularly-proportioned room although many companies are unable to provide this consideration. Take time to consider a simple equation by calculating time saved from good workflow and good ergonomics; two minutes saved every hour saves more than one week of total time every year. Appropriate furniture and a good layout can help to realise this equation, reduce costs, increase efficiency or productivity and maintain order in a safe and tidy environment.

Rough Sort Waterfall Units For a non-mobile, semi-permanent rough sort area, many customers prefer a banked row of down-sloping baskets on a waterfall rough sort unit. The baskets are removable and can be quickly swapped onto post trolleys for internal deliveries once rough sorting is completed – perhaps for delivery to a departmental or office hub for fine sorting, or for collation of outgoing branch mail. Rough Sorting is the process of dividing the total post received into large sub-sections or batches; for onward distribution and fine sorting at other branches, mail hubs or into ancillary fine sort compartments. Larger offices might devote specific furniture or locations to Rough Sorting, as opposed to using free space on a bench.

Construction Bench frames are a bolt-together assembly using M10 high tensile socket-head bolts with locking washers and spacers. Panels are fitted together with cam and pin fixings where required in cupboards and lockers. Components Legs: Welded construction from 50mm x 25mm x 2mm mild steel tube verticals and 50mm x 25mm x 1.6mm horizontal tubes. Legs are fitted with 6mm mild steel plates welded into the bottom of vertical tubes, drilled and tapped M10 for fitting of adjustable feet. Epoxy-coated Grey (BS00A01). Rails: Constructed from 50mm x 25mm x 1.6mm or 2mm (depending on length) mild steel tube. Welded into each end is a 6mm plate, drilled and tapped M10 for assembly. Benches provide the main structural furniture elements of an Office Services environment or Mail Room. As well as providing storage opportunities underneath the top surfaces, raised cupboards, lockers and shelves can provide for easy cleaning or location of errant envelopes. Benches can be desk height for seated operatives or at a standing height – ensuring optimum ergonomic comfort for mail sorters. Benches are usually kept free of clutter to allow for Rough Sorting, letter opening or date receipt stamping, but also form the ideal base structure for the addition of fine sort units or inserting and franking equipment. There is a need for these units to be stable and hard-wearing. A modular construction also provides the opportunity for reorganisation and reconfiguration.

Health & Safety Feature: Rounded corners can be supplied in critical areas. Order tops to have an increased width of 150mm to achieve 1 radial corner.

More cost-conscious customers have seen this option as a necessary addition to our range, and so Series 90 Contract copies the product format of Series 90 Heavy Duty Benches. The units are available as an Open Bench (CEO), an Open Bench with a Bottom Shelf (CEB), an Open Cupboard with a Centre Shelf (CES), a Cupboard with Sliding Lockable Doors (CEC), a Bench over 4 or 6 Locker Units (CEL), and Mobile Bench Units (CEMU). Fine sorting is usually completed using modular compartments or pigeon holes. These can be bench mounted, above bench mounted or wall mounted depending on the specific requirements and space available. Choose from our Flexibuild, Compas, Clearview or Custom Post Boxes depending on your requirements.

Flexibuild Modular Sorting System The optimum instant solution for equipping today’s busy mailroom or office, our modular Flexibuild system easily assembles into height-adjustable compartments for sorting mail, sales literature or record filing. The plastic-coated wire mesh frames provide a clear view of the contents so that letters, message slips or small envelopes cannot get overlooked or mislaid.

The starter kits contain 18 or 24 compartments delivered in self-assembly flat packs. Extra shelves and columns (offered separately) can be added. Flexibuild Sort Units can be placed directly onto a bench, wall-mounted using Flexirail, or elevated with an open base that maximises work space, leaving room below the unit for franking machines etc. The sort units easily configure to suit any available space.

Direct Sort Shelves Specially designed to fit inside Flexibuild units, sturdy Security Bags save time and hassle for confidential mail. The top lip of the Security Bag clips over a welded handle fitted on the underside of the shelf above. The shelves need to be purchased separately and are the same size as our standard units.

The Clearview Concept: configurable sorting shelves in a strong MFC cabinet. Made from sturdy transparent acrylic, Clearview shelving provides one of the most efficient ways to sort mail and store documents. Because you can see straight through each shelf no important letters or documents need be overlooked – and as the clear shelves are also easily adjustable within the vertical columns, you can configure the size and layout of the units to your needs. Internal Distribution & Collection

An effective internal transportation of mail can be achieved by use of mailroom trolleys. These come in various designs and configurations depending on requirements and applications. The compartmentalisation of trolley baskets by using Concertina File Inserts held into place by steel rods allows for efficient segmentation and dissemination of internal mail for re-routing. In practice these trolleys are used in offices for movement between floors, hospitals for medical records, and many other applications and environments.

Many organisations view the back-office rough and tumble of the mailroom environment as a functional necessity, but an ugly office area characterised by loose waste paper and noise. The Clearview Satellite Hub Sort Units evoke the essence of discretion. Post or correspondence that has been delivered or requires collection is immediately obvious through the transparent carcass of the Sort Unit sides and panels. Clearview shelves slide in and out of the five available positions to create 6 compartments per column. Each shelf has scalloped front edge label holders that can identify each compartment. External Distribution

Once the Mail designated for external distribution has been weighed and franked, it often needs to be correlated into First and Second Class sub-groups, or by designated couriers, prior to departure. Sack holders hold open the sacks, allowing them to be filled whilst still mobile, avoiding the need for a continuous lifting and opening action by operatives. These units can be manufactured in single units, double units or multiple groups – in-line or back-to-back – depending on the size of the mail requirement. Once the sacks are ready for distribution, or filled up during the day, they may need to be transferred to larger containers prior to collection. Standard or York Roll containers, designed specifically for Royal Mail letter trays, are a size that can be loaded directly onto postal or courier vans, or simply assist in the movement of multiple bags without disturbing the document flow into mail sacks held in sack holders.

Ideal for use with labels from your office printer. Holds A4 width paper for extra legibility. Scalloped edge allows label to be inserted and removed without removing the label holder. Transparent holder secures with two plated rings (supplied).

Flexibuild Ring Labels: Purpose made for Flexibuild units. Ring labels comprise a rigid label with two plated fixing rings. The plastic surface can be written on directly or labelled.

Flexibuild Framed Labels: Durable moulded holder. The black moulded frame clips securely to the frame of the sort unit. Add the inscription either by hand-writing or applying a printed label. Clips onto upper leading edge of compartment.
