Oakwood room

Situated on the ground floor overlooking the private landscaped gardens, the Oakwood Room is an attractive wood panelled meeting room with an open fireplace. Raised flooring at the end of the room provides an ideal area for presentations. The room also benefits from natural daylight and garden views as well as allowing direct access to the book lined Library Bar and decked area of the garden with an ancient and magnificent Magnolia Tree providing a shady bower. Directions to the Montagu Arms Hotel

Located under an hour and a half from London just 20 minutes from the centre of Southampton and with Bournemouth, Winchester and the M3 easily accessible, The Montagu Arms is the perfect venue for meetings and conferences.

By road:

From London: Follow the M3, bypassing Winchester and join the M27 westbound, following signs to Bournemouth. Leave the M27 at Junction 2, and turn left at the roundabout, following brown Tourist Board signs for the National Motor Museum and Beaulieu (A326). Continue along the A326 until Dibden Purlieu, and turn right at the roundabout onto the B3054 signposted to Beaulieu. As you enter Beaulieu village, TheMontagu Arms Hotel is on your left. Draw up in front of the Hotel and we will be happy to assist you with your luggage.

By air:

The closest airports are Southampton (only 18 miles away) and Bournemouth(approx 20 miles away).

By train:

The closest train station is Brockenhurst and is 6 miles away offering regular di-rect trains to London Waterloo.

1. ConfirmationA completed and signed Conference/ Function/ Group Booking Agreement Form is required within 7 days of the original verbal booking (within 24 hours if less than 7 days before the function) to confirm the booking. Should this not be forthcoming, The Montagu Arms Hotel (hereafter referred to as the hotel) shall be entitled to treat the provisional verbal booking as cancelled.

2. Cancellation of the Whole EventShould you have to cancel your booking a charge may be made equivalent to any loss suffered by the hotel. Cancellation charges for all Conference/ Function/ Group Booking Agreements will be charged as a % of the total booking value according to the following notice period given:Before 8 weeks of the event 25%Within 8 weeks of the event 50%Within 4 weeks of the event 75%Within 2 weeks of the event 85%Within 7 days of the event 100%

Bookings may be cancelled up to 16 weeks before the event without charge. The Hotel will always undertake to mitigate its losses and to re-let bedrooms and function rooms at a similar rate. The client will be responsible for the loss incurred by the Hotel in the event that the rooms remain unoccupied, or are occupied at a lower rate, on the date(s) booked. The cancellation charges imposed by the hotel will therefore reflect the actual loss.

3. PostponementsThere will be a postponement charge of £500.00 if the Conference/ Function/ Group Booking is postponed up to 4 weeks before the event and transferred to a new date within 3 months of the original booking. If any further postponements take place full cancellation charges will apply on the Conference/ Function/ Group Booking of the original confirmed date.

4. Contracted NumbersProvisional numbers will be asked for at the time of booking and the Hotel reserves the right to set a minimum number to be charged for the event.

5. Reduction in Contracted NumbersThe Hotel will accept a reduction in numbers of up to 10 per cent of the contracted numbers booked without charge, provided it does not result in a number less than any minimum number agreed.Any reductions in numbers in excess of 10 per cent will be treated as a cancellation of those additional numbers and subject to the provisions of Condition 2.

6. Non-ArrivalThe full amount of the first night’s accommodation will be charged.

ALL CANCELLATIONS & CHANGES MUST BE CONFIRMED IN WRITING.

7. PriceIn the event of any taxation change beyond the control of the Hotel e.g. Increases in the standard rate of VAT, the Hotel reserves the right to vary prices quoted to an extent which reflects such change.

8. Payment of Account & Credit ReferenceCredit is only available if agreed with the hotel before any Conference/ Function/ Group Booking commences. Where credit is agreed all invoices shall be due for payment within 28 days of the completion of the Function. Unless Credit facilities have been agreed the Hotel may request payment of a 30% deposit before any Conference/ Function/ Group Booking is confirmed. If not paid within 7 days of request, the Booking may at the option of the Hotel be cancelled. The outstanding balance of the account is payable by the customer on completion of the Function. The customer is responsible for checking and settlement of all accounts. Any cancellation charges are payable on date of invoice.

9. AgentsShould the Client contract with the Hotel through an Agent, the Agent acts in that capacity for the client and not for the Hotel. The client therefore accepts responsibility or the payment of the Hotel’s account.

10. Responsibility of ClientThe Client is responsible for any loss or damage caused by the Client or his guests, agents, employees, contractors, etc. to the Hotel or its equipment and facilities. The Client is responsible for the behaviour of his/her/its guests and in particular the orderly conduct of guests attending any function or staying at the Hotel.

11. Health & SafetyIf, during the Conference/ Function/ Group Booking, the Client uses the Grounds for any Teambuilding Physical Activities, the Client is expected to furnish the Hotel with the details of that activity and, where appropriate, for providing a risk assessment and safe system of work in writing at least 14 days before the arrival to allow the Hotel Management to assess the Health & Safety implications of such activity.

12. Finishing TimesConferences/ Functions/ Group Bookings must finish at the time agreed when booking and extensions of time will be subject to availability.

13. Cancellation by the HotelThe Hotel reserves the right to cancel the booking if:• If any part of the Hotel is closed or unavailable because of any event beyond the Hotel’s Control.• The booking may, in the reasonable opinion of the Hotel, damage the reputation of the Hotel• Either party becomes insolvent, the Client will then be entitled to the return of any advance payments made but otherwise the Hotel will have no liability arising out of such cancellation.

14. OverbookingIf under any circumstances the hotel becomes oversold The Montagu Arms Hotel will find alternate, comparable accommodations. If the replacement hotel is more expensive, The Montagu Arms Hotel will pay for the difference in lodging for the duration of the stay. The Montagu Arms Hotel will also provide transportation to the other hotel.

15. Liability of the HotelExcept in respect of death or personal injury caused by the Hotel’s negligence or as expressly specified in these Terms the Hotel shall not be liable to the Client by reason of any representation (unless fraudulent) or any implied warranty, condition or other term or any duty at common law or under the express terms of the agreement with the Client for any loss of profit or any indirect, special or consequential loss damage costs or expenses (whether caused by the negligence of the Hotel or its servants or agents or otherwise) which arise out of or in connection with Function or the Booking. The entire liability of the Hotel for the Booking shall not exceed twice the Hotel’s charges for providing the services agreed for each booking.

16. Smoking policySmoking in all areas of the Hotel and its bedrooms, restaurants, bar, spa and public areas is prohibited. The Hotel shall be able to recover from the Client any loss of income caused by any room being incapable of letting as a result of a breach of this condition.

17. CCTVIn the public areas of the Hotel CCTV is in operation and video recording may be made. This is for security and for the better management of the Hotel.

18. Third Party ContractorsThe Client must notify the Hotel in advance of the event details of any third party contractor it wishes to engage to take part in the event and to obtain the Hotel’s consent to the use of such contractor. The Hotel reserves the right to refuse access to any contractor it considers to be unsuitable.
