Getting Started

MaxGalaxy Requirements

I. Technical Requirements (Compatible Operating Systems and Browsers)

• Hardware Requirements ­ Processor: 1.6 gigahertz (GHz) or faster ­ RAM: 4 gigabyte (GB) (32-bit) or 8 GB (64-bit) ­ Hard Disk Space: 5 GB of free space ­ Graphics Card: Microsoft DirectX 9 graphics device with WDDM driver ­ Display Resolution: 1280 x 800 screen resolution or higher ­ Internet Access: Wireless-AC1300 PCI-E adapter or faster. Standard CAT5e or

CAT6 connection is recommended for daily use. ­ Internet Speed: 1-3 Mbps minimum. 3-6 Mbps or faster is recommended for

daily use, especially with Point of Sale terminals. ­ Peripherals: Depending on the peripheral configuration employed, MaxGalaxy

may require the presence of one or more serial or USB ports.

• Supported Applications MaxGalaxy Admin Portal (AUI) ­ Microsoft Windows: Windows 7, 8, 8.1 and 10

Note: Edge browser is not supported with Windows 10. Use Internet Explorer 11 only.

Installation Guides

Installing New Peripheral Services

I. U.S Clients download: MaxGalaxy Peripheral Service, Certificate Application and MaxGalaxy TriPOS

II. Canada/ NXGEN Canada download: MaxGalaxy Peripheral Service and Certificate

Application

III. Save the downloaded file to your pc and unzip the contents of each file.

IV. MakeCert Installation – Canada and U.S Clients

Right click the “CreatePeripheralCert.exe” application and choose “Run as Administrator”

1. A new window will open, click on the GO button.

V. MaxGalaxy Peripheral Install

1. Unzip the MaxGalaxyPeripheralService18.3.0.0.zip file and open the MaxGalaxyPeripheralService18.3.0.0 folder. 2. Right click setup.exe and select Run as administrator.

i. If you receive a security warning, click Yes. 3. Follow prompts by clicking Next. 4. The peripheral Service should be installed. 5. Search Windows for “Services” and find MaxGalaxy Peripheral Service. If the service is not yet running, then right click on the service and select Start.

Setting Internet Options

Configuring Internet Options for Internet Explorer *This step is required to run the peripheral service inside MaxGalaxy*

1. Open Internet Explorer 2. Click on the settings icon in the top right corner 3. Select “Internet Options”

i. Click the “Security” tab at the top ii. Select “Local Intranet” then click the “Sites” button

iii. Click “Advanced” > Add the following to the list of sites: 1. https://www.maxgalaxy.net (If on US Server) 2. https://www.maxgalaxycanada.net (If on Canadian Server)

4. Click close and ok

Installing Ingenico iPP320 Card Readers for OpenEdge

I. Installing/ Setting up Ingenico iPP320 card readers 1. Download and install the OpenEdge RCM Local Service Installer. Contact your OpenEdge representative for the download link.

After RCM is successfully installed, it should be running in the taskbar. If not, search Windows for “RCM”, right click and select Run as administrator and then Yes.

2. Plug the Ingenico iPP320 card reader into the workstation. 3. In the taskbar, right-click the RCM icon > Device Configure to open the Device Setup screen.

4. In the PIN Pad Device dropdown list:

• For US clients, select Ingenico iPP320 or Ingenico iPP320 (US EMV). • For Canadian clients, select Ingenico iPP320 (Canadian EMV), and then enter the

Debit TID and Credit TID provided by OpenEdge.

For US clients:

For Canadian clients:

5. To detect the COM Port information, click Auto Detect. • If COM Port is not detected, then reconnect the card reader and detect again.

6. For US clients, click Load Forms to Device (for Canadian clients, click Load Settings to Device). 7. Click OK.

II. Setting up the OpenEdge Gateway

1. In MaxGalaxy AUI, go to: Financial > Financial Setup > Gateway Account. 2. Click Add to add a new gateway account. OpenEdge is listed as the default Gateway.

Enter Merchant ID, Terminal ID and Auth Key provided by OpenEdge (enter values for all three fields or leave them all blank). Then click Save.

3. In MaxGalaxy AUI, go to: Financial > Financial Setup > Payment Method. 4. Click Add to add a new payment method. Provide a name for the new payment

method, select Credit Card or ACH as the Payment Type, select your newly-created OpenEdge gateway account, then select a GL Account and desired Login Locations. Then click Save.

Installing EMV Card Readers

I. Installing EMV card reader drivers

1. Open the folder called “2 – Verifone_USB_Drivers” 2. Open the folder called “Verifone Universal Drivers”

i. Select either the “32” or “64” folder depending on your Operating System 3. Within that folder run the file “VerifoneUnifiedDriverInstaller.msi” 4. Click the next button 5. If you receive an error, try the other version (i.e. 32 vs 64) 6. Set the Port Number Base to 9 (If not already set) 7. Click install 8. The Credit Card drivers should now be installed.

II. Installing and Setting the TriPOS File *Before proceeding make sure you have your Enter Acceptor ID, Account ID, Account Token*

*TriPOS Application is only required if you are using a EMV Card reader*

*DO NOT PLUG IN THE CREDIT CARD READER UNTIL YOU COMPLED ALL THE STEPS LISTED BELOW* 1. Open the folder called “3 - triPOS_Setup”

2. Run the “triPOS Setup.exe” file

3. Enter your Enter Acceptor ID, Account ID, Account Token into the correct fields when prompted

4. Click Install and Finish.

5. The TriPOS application will now be installed.

III. Configuring the TriPOS File

1. Open the Windows start menu find the “Notepad” application and “Run as Administrator”

2. Navigate to the following path inside Notepad > C:\Program Files (x86)\Vantiv\triPOSService

a. Select to option to “Show all Files”

b. Open the file named: “triPOS.config”

3. Inside the triPOS.config file make the following changes:

a. Find: “<testMode>true</testMode>”

i. Replace with this: “<testMode>false</testMode>”

b. Find: <isDebitSupported>true</isDebitSupported>

i. Replace with this: “<isDebitSupported>false</isDebitSupported>”

c. Find: “<isGiftSupported>true</isGiftSupported>”

i. Replace with this: “<isGiftSupported>false</isGiftSupported>”

d. Find: “<isEmvSupported>false</isEmvSupported>”

i. Replace with this: “<isEmvSupported>true</isEmvSupported>”

e. Find this string “<serialLane description="NULL PIN pad" laneId="9999">”

i. Change “9999” to “1”

f. Find this string “<comPort>COM9999</comPort>

i. Change “COM9999” to “COM9”

g. If configuring a Verifone MX915 device.

i. Select Edit > Find then enter this string <driver>Null</driver>

ii. Change “Null” to “VerifoneFormAgentXpi”

h. If configuring a Verifone VX805 device.

i. Select Edit > Find then enter this string <driver>Null</driver>

ii. Change “Null” to “VerifoneXpi”

i. Find then enter this string <pinPadIdleMessage>Welcome!</pinPadIdleMessage>

i. Change “Welcome!” to the desired message to display at idle.

j. Save the triPOS.config in the same location from where it was opened

IV. Installing and Setup of the EMV Credit Card Reader and Local Services *You can plug in your Credit Card Device at this point*

1. Connect your EMV terminal device. It may take several minutes for your EMV Terminal device to complete the startup process. You may see a message near the system tray stating the USB Device Not Recognized, this is normal.

2. Once the device is recognized it will appear in your “Devices and Printers” screen on your computer

3. Navigate to the Start Menu and search for “Local Services” and open Local Services 4. Find the “MaxGalaxy Peripheral Service” option and right click on it 5. Click on the “Recovery” tab at the top

i. Set the three failure options to “Restart Service” ii. Hit “Apply” and “Ok”

6. Right click on the MaxGalaxy Peripheral Service and select “Restart” i. The service should restart and the status will say “Running”

7. Navigate to the “triPOS.NET” service i. Right click and hit “Restart” ii. sThe credit card reader should turn off and restart

1. Wait for the credit card reader to fully reboot when it is complete you should see the

“Welcome!” message appear

Installing NXGEN Canada Card Readers

I. Installing/ Setup of the NXGEN Canada Gateway *The NXGEN Canada gateway does not allow tip processing in MaxGalaxy at this time*

1. In MaxGalaxy, go to: Financial > Financial Setup > Gateway Account. 2. Click on the “Add” button to add a new gateway account. Provide an account name,

choose NXGEN Canada for the Gateway, provide the user name and password

(Provided by CardX), click the “Save” button 3. In MaxGalaxy, go to: Financial > Financial Setup > Payment Method 4. Click on the “Add” button to add a new payment method. Provide a name for the

new payment method, choose “Credit Card” for the Payment Type, select your newly created gateway account, and select a G/L account, be sure to select the desired login locations, click the “Save” button

5. In MaxGalaxy, go to: General Setup > Configuration > Login Location and make sure

that tip processing is NOT enabled.

II. Installing/ Setup of the Ingenico Credit Card Reader *Note: MaxGalaxy can only access this device via the Ethernet connection. Please note that

MaxGalaxy only supports a 1 device to 1 workstation setup. Accessing this device from multiple

workstations simultaneously WILL produce unpredictable results* *Important: Before proceeding with the install and configuration of your NXGEN Canada Card

reader please contact NXGEN Canada to get the reader configured through them before proceeding

(NXGEN Canada Contact)*

1. Contact NXGEN Canada to have them configure and test the reader before proceeding (NXGEN Canada Contact)

2. Plug the terminal into a power source and then plug your Ethernet cable into the terminal.

3. Next, you need to ensure that the terminal is in “semi integrated” mode. There are only two modes; “semi integrated” and “standalone”.

i. You can identify which mode you are in by the message on the main screen of the terminal. If the message says “Elaven” you are in standalone mode, if it says “Welcome/Bonjour” you are in “semi integrated” mode.

ii. You can toggle between the two modes by using the “F1” key on the keypad. Place the terminal in “semi integrated” mode.

*Being in “standalone” mode will prevent the device from communicating with MaxGalaxy or anything on the internet*

4. From the “Welcome/Bonjour” screen, enter the following key sequence: #,9,1,2,3, This will bring you to the “Port Setup” screen. On this screen, you can:

i. View the IP address assigned to this device ii. View and Set the port that this device will use to communicate over your

network via TCP. You will need to enter both numbers in MaxGalaxy in a later step

5. Set the port to 13000 and press the green enter button. Then press the red cancel button until you are back at the “Welcome/Bonjour” screen.

Installing External Peripheral Devices

I. Receipt Printers

1. Plug-in external devices to a power source. 2. Connect your receipt printer and ensure USB connections to your PC. 3. Install your receipt printer driver. 4. If the driver doesn’t install right away, you can download it from this link.

i. Star TSP100 Driver ii. Star TSP654 Driver

iii. Epson TM-T88V Driver 5. Once the Driver is installed the device will appear in your “Devices and Printers”

menu. From this menu, you can print a test page. i. If you can print a test page, then your printer is installed. You can proceed

with installing the Peripheral service. ii. If you cannot get a test page printed restart your computer and try again

6. Once you can get the printer to print a test page you are ready to configure the device within MaxGalaxy.

*You need to print a test page before you can configure the device inside MaxGalaxy*

II. Cash Drawers (USB Driven) *If your cash drawer is attached via the Receipt printer you can skip these steps*

1. Plug in Cash Drawer through USB. Windows should detect the device and install it 2. The device will appear under devices and printers but will be under the “Unknown” 3. Restart the computer leaving the cash drawer plugged in 4. Once the computer is restarted follow the below steps:

i. If you have a CD from APG insert it into the computer 1. Find and run the APG Drawer Kicker application

ii. If you don’t have a CD from APG or can’t run a CD on your computer download the files located here.

1. Unzip the folder and find the “APG_USB” folder and open the “USB554Utility.exe”

2. Click the “ADD” button on the utility and it should find and add the cash drawer

3. Test the drawer opening by selecting the “Open Drawer” button 4. The drawer should successfully open.

5. Once you can get the drawer to open you are ready to configure the device within MaxGalaxy

III. Installing and Configuration of Pole Display in MaxGalaxy

*Make sure device is plugged in and powered on before proceeding* 1. Download the POS Display Setup tools by clicking on the link below:

i. Open POS_DISPLAY_SETUP > USB_Drivers > Run install.bat. 2. When the installation is complete. Click Start > search for “Device Manager”

i. Look for the Port (Com & LPT) Take note of the COM# 3. Open MaxGalaxy navigate to General Setup > Hardware Setup > Serial Devices

i. Add the name of your Pole Display 1. Enter the COM Port # 2. Enter the following:

a. Character Limit > 20 b. Line Limit > 2 c. Reset Code > 11

d. Cursor Off Code > 14 e. Clear Code > 1F

3. Click Save. 4. Navigate to Point of Sale > Point of Sale Setup > Registers 5. Select your Register and click on the Devices tab. 6. Under line option “Pole Display”, choose your Pole Display on the drop-down menu.

IV. Installing GateKicker

1. Download and install the Peripheral Service (Instructions here). 2. Download and install the Gatekicker driver (GateKicker Driver). 3. Use the default install settings until you get to this screen and uncheck the two

boxes that are checked.

4. Finish the install. 5. When you are prompted to install the “LogMeTT” Program click “Cancel”.

6. At this step you can plug in your GateKicker device into the USB port of the PC (the driver should install successfully).

7. Navigate to Start > Device Manager 8. Find the COM port that the GateKicker Device is using. 9. Login to MaxGalaxy go to General Setup > Hardware Setup > Serial Devices. 10. Add the GateKicker as a Serial Device using the following settings.

Use the COM assignment that was found in “device manager” for this device

11. Once you have added the device click the Set Button to test the GateKicker

Configuration Guides

Credit Card Readers

I. Ingenico iPP320 Credit Card Readers

1. Configuring Ingenico Credit Card Reader inside MaxGalaxy. 2. In MaxGalaxy AUI, go to: General Setup > Hardware Setup > Card Reader Setup. 3. Under Step 2: Select Reader Type, select OpenEdge RCM.

4. Enter the Merchant ID, Terminal ID and Auth Key provided by OpenEdge, or leave all three fields blank (it is recommended that US clients leave all three fields blank). 5. To find the card reader, click Search. 6. Click Close. The Ingenico iPP320 card reader is now ready to use.

II. NXGEN Canada Credit Card Readers

1. Configuring NXGEN Card Reader inside MaxGalaxy 2. In MaxGalaxy, go to: General Setup > Hardware Setup > Card Reader Setup 3. Select NXGEN Canada from the drop-down menu 4. Enter the port number (should be 13000) and IP address from the “Port Setup”

screen on the terminal. 5. Click the “Save” button, you should get a message that the reader has been “Found

and installed” For more information about payments through NXGEN Canada Click here

III. EMV Credit Card Readers

1. Configuring EMV Credit Card Reader inside MaxGalaxy 2. Login to MaxGalaxy navigate to General Setup > Hardware Setup > Card Reader

Setup 3. In the card reader setup screen select the option for “Element triPOS” 4. Select the Cashier Facing option and close 5. NOTE: If you are using the Verifone MX915 device you will need to also select

“Signature Capture” for the device to work properly. Not selecting this option will cause an error within MaxGalaxy.

You should receive a success message which means that card reader is setup correctly After this step, you can run a test transaction through the POS module and then issue a refund.

External Peripheral Devices

I. Receipt Printers

1. Setting up Receipt Printers Inside MaxGalaxy 2. Log into MaxGalaxy

i. Go to General Setup > Hardware Setup > Control Codes ii. Add a new Control Code

You will make two control codes one for the cutting of the receipt and one for No Sale iii. If you have an Epson Receipt Printer enter the following:

1. Cut Code: 0D 0A 1D 56 42 20 2. No Sale Code: 1B 70 00 40 F0

iv. If you have a Star Receipt Printer enter the following 1. Cut Code: 1B 64 30 2. No Sale Code: 1C FF 80

v. Click save 3. Go to General Setup > Hardware Setup > Printers

i. Click add. ii. Select the Printer you installed previously i.e. Epson TM-T88V from the

dropdown list. iii. Specify if your cash drawer is connected to your Receipt printer or through a

USB port. 1. If your Cash Drawer is Printer driven make sure you select the option

“Connected to Printer”. 2. If your Cash Drawer is USB driven make sure you select the option

“Connected to COM Port”. iv. Select your Cut code and No sale code. v. Click Printer test.

1. This should print out a tiny receipt. 2. To cut the receipt click the test button next to the cut code that you

entered. 4. If the receipt printed, then you are all set and your receipt printer is installed. Click

“Save”.

II. Cash Drawers (USB Driven)

1. Open MaxGalaxy and navigate to General Setup > Hardware Setup > Serial Devices i. Click “Add” and enter a name for your cash drawer (i.e. Front Desk)

ii. Make sure device type is “Cash Drawer” iii. Port Name: “APG” iv. The other values are left as default. Click “Save”

*Setup of USB Cash drawer is complete*

III. Assigning devices in MaxGalaxy

After you have your external devices setup inside MaxGalaxy you need to tie them to specific registers within the POS module. The steps below outline this.

*If your cash drawer is connected through the Receipt printer you do not need to assign it in the devices tab.*

1. Navigate to Point of Sale > Point of Sale Setup > Registers. 2. Select the “Devices” tab on the register you want to assign the devices to. 3. For the “Receipt Printer” dropdown select the receipt printer that will be used at

this register. i. Repeat this step for the cash drawer and any other registers that you need to

setup.

Testing Guides You will only be able to test devices after your Point of Sale training is complete.

Running a Full Test transaction (Cash Drawer, Receipt Printer, Credit Card Reader)

I. Running a Full Test Transaction (From POS)

1. Login to the Cash register (Make sure you are logged into the correct one if Multiple are available).

2. Sell a small item for a couple dollars (You can process a refund after) i. Click “Payments”. ii. Select “Credit Card” > “Add Payment”. iii. Click “Complete Payment”.

2. Follow prompts on credit card reader. 3. The transaction will finish and the popup in Galaxy will disappear. 4. Another popup will come up to print receipt.

iv. Once the receipt prints you are finished and the transaction is complete.

Processing a Refund

1. Navigate to Financial > Refund The first step/screen in the Refund process is Start Refund:

4. If you are looking for Specific Purchases, you can find the purchase you want to refund a few different ways:

o Use the Purchase # field to search for a specific Purchase # o Use the Purchase Type Filter drop-down list to filter the Purchase results

5. The Select Purchase Grid displays all Purchases eligible for Refund for the selected Account. 6. Click the button at the bottom to continue through the Refund process (if not double-clicking on a Purchase and automatically proceeding to Step 3).

NXGEN Canada Notes

I. Card Present Payments

1. You can now use the Ingenico ICT250 credit card terminal with the NXGEN Canada gateway in MaxGalaxy. The credit card terminal will prompt for customer and merchant interaction when a payment is added using a payment method that is tied to the NXGEN Canada gateway.

2. If a card is damaged, it can be manually keyed into the terminal. Simply start keying the card number in when you are prompted to swipe/insert/tap/key. When the transaction is approved, a message about will appear reminding you to get an imprint of the card, just press enter to get back to the welcome screen.

3. Enter the port number (should be 13000) and IP address from the “Port Setup” screen on theterminal.

4. Click the “save” button, you should get a message that the reader has been “found and installed”. Click OK and then close the “Card Reader Setup” dialog box.

5. The Ingenico ICT250 credit card terminal prints receipts for CC transactions. If you have a receipt printer for cash and check transactions, you can go to Point of Sale Setup > Registers > (Your Register) > Printing Tab and enter a large dollar amount in the “print cc receipts over $” field. This will prevent the receipt printer from printing receipts that are being printed on the terminal.

II. Card Present Refunds

1. You can now use the Ingenico ICT250 credit card terminal to process a refund in MaxGalaxy and return money to a credit or debit card. The credit card terminal will prompt for customer and merchant interaction when a refund is added using a payment method that is tied to the NXGEN Canada gateway

2. Go to: Financial > Refund and complete step one of the Refund Wizard by selecting an account, receipt number, or purchase number.

3. Next, select the purchase that you wish to refund and click the button to continue to step 3 of the Refund Wizard.

4. Select the NXGEN Canada payment method and click the “Add Payment” button, a dialog boxwill appear instructing you to follow the instructions on the reader.

5. The credit card terminal will now prompt for user interaction. When you have completed the refund process on the credit card terminal, you will be returned to the complete refund screen in MaxGalaxy. Now click the “Complete Refund” button.

***Note: Clicking the “Remove Payment” button on this screen will void the refund that was

just performed ***

III. Card Present Voids

1. You can use the Ingenico ICT250 credit card terminal to void a payment in the Point of Sale module in MaxGalaxy, the credit card terminal will prompt for merchant interaction.

*Note: The only scenario where a void is possible is if you have taken a partial payment using the NXGEN Canada payment method in the Point of Sale module and you wish to void that partial payment. In this scenario, you will use the void

button in MaxGalaxy (steps outlined below). 2. Go to: Point of Sale > Cash Register and login to a given register. 3. Add an item and then click the “Payments” button. 4. Add a partial payment using the NXGEN Canada payment method. 5. Use a valid credit or debit card to approve the partial payment. 6. The payment will now appear in the “selected payments” window (see below). 7. Highlight the NXGEN Canada payment and click the “void” button, then click “OK” to

confirm the void. 8. User interaction will now be required on the credit card terminal, where you will see

the search menu, select the desired search method.

*Note: The transaction that you are attempting to void must be associated with the current batch on the credit card terminal. If the transaction is associated with a batch that has already been settled, you will need to complete the payment in

MaxGalaxy and then issue a refund 9. Locate the transaction that you wish to void, you can do this by searching through

the entire batch or by entering the reference number. When you have located the desired transaction, press the “select” option on the credit card terminal and then complete the void. *Note: You will need to provide the card that was used for the original payment to

complete the void
